Contact - Notes section that's visible within all screens of contact's record
Ability to have a notes section in the Contact’s record.
Purpose: Users can easily add extra notes about their contacts.
Hi everyone, as noted in my recent update Additional notes for a Contact is now live to 100% of organisations. A quick recap - You’ll find this new feature located at the bottom of the Contact details section, when adding or editing a Contact. It’ll be visible in the Add/Edit screen, and from the right panel of a Contact’s record.
There are some asks through this idea that go beyond this release such as;
- Viewing notes from the Contact List
- Ability to export/import additional notes
- Sales Invoices - Pop-up reminder of notes
If you're interested in these features please join and support them. It’d be good to get a refreshed sense of the interest in each. You're also welcome to start a new idea for additional functionality - Our product teams will bear these in mind as they continue to develop across Xero. What I liked about using Skype for my notes was that it was visible when I clicked on to the client. I didn't have to go into Edit to see the vital information, unless it was a long note.

To all supporters who would also like this feature:
A slight workaround (it cannot contain too much information) is to fill in the 'website' with a note.
For example " followclientinvoicingPDFprotocol.com " - Xero does not seem to (yet) check the validity of a website address. -

Excellent idea, we need to have notes for a customers specific requirements etc, but no where to put it in xero. Would love a comments notes box included! possibly once a note is saved, it could have the user name and date that note was made for ease

Just realised whilst I can still see the Skype section for those with notes, cannot edit it, so old notes will remain - really not ideal as some of it will be outdated.

Notes section visible within all screens of contacts is vital for our volume of customers on Xero and the need for a number of users to access.
Skype section was the perfect solution to that.
Anything previously stored in the Skype section, disappears from view after any edit to contacts, this is not helpful -

I have also raised this yesterday as its really annoying now my Skype section I used has been removed, My message was as below, and I was linked to this thread.
I used to use the Skype box to put notes which were instantly visible, without going into the contact. Such as not using the only shown email address for queries as that was PDF invoice submission only, their credit agreement or we have internal notes to add. This field has been removed, isnt there a way to add a text box?
From what I can see, it would be a well used field. Any notes on the contact notepad section just get lost as more are added, therefore its not a suitable option. I need a section that's visible all the time.
I have discovered the fax number (left on but Skype removed, in 2022?) can take letters, so am using that for now but its limited.
Can this be looked at and something added in at all?

Absolutely critical. The current structure for adding notes is a UI nightmare, and it's not attached to the account information when you export/import, meaning I can't use it.

To have an option in Xero for an automatic prompt or notification when you create a new invoice. Some Clients do not accept invoices via email and require a hard copy to process an invoice.

Some clients have huge amounts of data about individual pricing plans for certain clients. This needs to be accessible and seen as soon as they open the contact - they have used the skype field for this and now the Skype field has disappeared altogether.
Clients Problems being:-
A) we need an alternative place for these notes (within the contact details area) Traditional notes in Xero is useless as you cannot pin to the top and we cannot scroll down each contact looking for a note that may or may not be there.
B) As soon as I open any contact detail with those who currently have a skype field we cannot edit (ie copy the skype note) and if we hit save all that info is gone.

Yes, have seen the current changes to the Contacts section - and hate it!!! Was way more user friendly when it was all on the one screen........... please revert back :-(

It would be great to add a note as suggested by Jo and Jason at the top of the Contact / customer. Ideally you could give the note and colour code. The colours next to the Customer abbreviation currently has NO purpose so made this code could be used to classify customers[ yes , i can use Groups] or the notes on importance.

we have corporate clients that have payment portals such as Tungsten and Ariba.
We need a way to record information regarding invoicing using the systems as notes against our customer records. -

A notes section that appears always at the top, side or wherever is a critical critical function. I've started to add a word document in the files for each customer but still requires many clicks to open, add additional notes etc.
If you could also pin any general notes to the top of a contact this would be really helpful as very quickly a contacts record is a wash of confusion!

This is an excellent suggestion, as some clients have very specific details or instructions, and having those visible within Xero would save time cross-referencing.

Agreed. And to add, it would be really good to be able to edit/ delete notes. Or have some other section which is the 'master' contact/customer information section where you can store the key, current information. e.g. We have different pricing for different customers, and we'd use this feature to record the latest pricing information to make raising correct invoices much easier. Rather than having to go through lots of notes to work out the current rates.

The ability to add any form of note on clients history, eg ABN cancelation/ reinstatement date for TPAR . change from not GST registered to GST registered mid year.
