UK Payroll - Allow Xero users permission to authorise employee timesheets
Allow Xero users permission to authorise employee timesheets. At the moment only the payroll administrator or specific employee has the ability to do this. Payroll permissions under settings/users should be expanded to be more granular, with an option to allow users permission to authorise timesheets. Alternatively, under the employee details in Payroll, an option to select authorised Xero users whom may sign off timesheets for that user.

At certain times of the year we have a number of casual staff using timesheets. It would be really useful if their manager could approve the timesheets instead of finance having to chase his approval each week and then saving that email for the audit.

Can we also have approval of timesheets by clients integrated back to Xero?
-
Stephen Passmore commented
It would be a good idea so that we can move away from having to print out timesheets for authorisation by the manager.

This needs sorting as a matter of urgency so that like holiday approval, managers can authorise timesheets so it does not become another task to run when trying to process payroll. Managers do not need to see the whole of the payroll side of things.

This needs implementing as a matter of urgency! Having to give managers payroll admin privileges simply to approve timesheets is not appropriate.

This is critically important. From a GDPR perspective no business owner should be giving certain Employees Payroll Admin access to ALL employees just to allow those supervisors, managers or PA's to approve timesheets on certain employees.
Giving those supervisors, managers or PA's unnecessary access to employment and employee data may not be deemed appropriate, exposing the Business Owner to risk of GDPR infringement litigation, fines and penalties.
It also looks like this feature is already available in Xero Australia, so it surely can't be too difficult to add to the UK.

We are unable to use this as a solution without the client being able to authorise our candidate's timesheets. It is not an option to self-authorise because this then invalidates the invoices that we sent, that must be based on the client confirming and authorising the days worked. We also do not work on an hourly rate, but a daily one. We use Xero for all other aspects of our business and are currently having to use an alternative company and pay extra for this, unneccesarily.

I'd assumed, incorrectly, that it would work exactly the same way leave is approved. Back to manual timesheets it is then.

Ridiculous that it isn't already a feature - makes Payroll as a whole useless to us.

This along with annual leave reports is a basic requirement within any organisation.

we cant use the timesheet element of the app without being able to do this

This would be very beneficial for us!

Brilliant idea that would benefit many companies immensely

We are currently struggling with the additional work of involving non-finance managers in the payroll process. Not having an option for a delegated manager to approve payroll leaves us with two unappealing choices of finance leading on a process that is not financial, or giving a non-financial manager access to whole of payroll. This issue is critical.

Oh, how strange! I had assumed it would be standard to have non-payroll staff be able to approve their team members timesheet, as clearly payroll staff will have no idea if the submitted hours are a true and fair reflection of the hours worded. If you can add the granular level to Purchase and Sales, from talking to my dev's it suggests you would have the framework and structure to do this very quickly for payroll

This is really important to us - we have teams that need a manager to approve their timesheets only and not be able to see the information for everyone else on payroll. Not being able to do this creates a lot of extra work at payroll time that really isn't helpful.. I note this idea is from Sept 2022 so doesn't seem a priority for Xero.

Can someone advise the timescale on this being implemented? It’s ridiculous that you can’t do this already.
-
Beth Gray commented
The support documentation already says this is possible so clearly the need for it is not unknown by Xero. This should be implemented ASAP as you cannot allow managers to view the whole of payroll and you can't expect your payroll co-ordinator to be the one to approve timesheets for every department.

AU Payroll, please add a layer of authorisation to Xero Users to allow non employees such as client reps the "timesheet approval only" option. In some of our labour hire contracts we need client approval for timesheets, however the only way we can give them that access is by setting them up under payroll as a "contractor - non employee". They are not employees but we cannot give them access under the "user'" settings because that will give them full access to all payroll functions. There needs to be tiered access for users, outside of payroll, similar to the "invoice only" levels for sales & purchases.

This is an issue we too are facing. We really need the ability to approve timesheets by Line Managers before being reviewed and processed by the payroll administrator. It should really be available in all of Xero Payroll not just the AU one. Its possible I think to approve Leave in a similar fashion, so why not timesheets?!
