Hi there, we appreciate your suggestion. It's a thoughtful idea that touches on a key part of the procurement process. We understand that the current method of emailing PDFs and relying on suppliers to recreate the information on their side requires some manual work.
An online view of purchase orders, along with the ability for suppliers to convert those into a quote or invoice in Xero, would help make this a much smoother experience for everyone involved.
At the moment in Xero, purchase orders can be converted into bills, which you can then send to suppliers, and quotes can be converted into invoices to be sent to customers. However, there isn’t a way for suppliers to view a purchase order online and import it into their organisation as a Quote.

Hi Rebecca, thank you for this valuable feedback on user access in Workpapers.
We can certainly see your point. The current 'Standard' and 'Admin' levels can be too broad, often requiring you to give staff higher access than necessary just to perform routine tasks like setting up a new workpaper file.
Your suggestion to introduce more refined user roles that better reflect the actual work your staff are involved in is a great solution to improve both workflow and security.

Hi Rebecca, thanks for this great idea about centralising user management for Workpapers.
We understand that having to manage staff access separately in Workpapers instead of in one central place like XPM or Xero HQ creates extra administrative work. Your suggestion to integrate Workpapers user management so you can control all practice staff access from a single location makes perfect sense.

I'm surprised this 2022 request hasn't been acted on yet. I raised a Support Case on this point this month as I really want to use XPM more effectively in my practice. The Support Team confirmed that as yet (May 2025) there was no integration between XPM Timesheet data and Xero Payroll. This is a major pain, as it detracts from using Xero XPM for timesheets and increases the number of softwares that Staff need to interact with in performing their roles. Currently I'm using Xero Projects for time recording, but as I don't share the Practice accounting data with my staff, and due to limitations in the User Permission options, staff have to retain an additional personal email Xero login for Xero Projects only for time recording. This again is a bit overly complex, which affects staff satisfaction. However by doing it this way, I can then easily pull the timesheet data across to Xero Payroll from Xero Projects by the touch of a button, rather than risking manual error when transferring data from XPM. It would certainly be far easier if timesheet data from XPM integrated directly to Xero Payroll. Please can you ensure this is on the XPM Development Roadmap

Account Transactions Report - Please add "Created Date" Column option to the Accounts Transaction Report
Currently "Created Date" is only an option on "Payable Invoice" and "Receivable Invoice" reports.

This is critically important. From a GDPR perspective no business owner should be giving certain Employees Payroll Admin access to ALL employees just to allow those supervisors, managers or PA's to approve timesheets on certain employees.
Giving those supervisors, managers or PA's unnecessary access to employment and employee data may not be deemed appropriate, exposing the Business Owner to risk of GDPR infringement litigation, fines and penalties.
It also looks like this feature is already available in Xero Australia, so it surely can't be too difficult to add to the UK.

I was going to raise this myself. As it has not been acted on yet, perhaps it is not understood, So I will endeavour to explain it from a different direction.
Payslips currently have Draft and Posted flags, to indicate their progress.
Please can you add a Sent flag when the payslip has been emailed, so the progress flags are Draft, then Posted, then Sent.
This would allow us to check that payslips have been sent out and prevent client frustration should the task be overlooked.
In terms of best practice, I would also love notes to be added below the payslip to confirm, when and who completed each stage, but I think the first step of creating the "Sent" stage is the most important improvement.

With reference to the response given by Anis Anuar on 24 September 2025.
Suggesting that Xero users raise a bill and send that to a supplier is incorrect tax record keeping unless there is a legal "self billing agreement" in place. (see https://www.gov.uk/guidance/self-billing-notice-70062 for guidance)
Raising a bill when you haven't received supporting documentation creates a the impression that a "legal" business tax deductible and VATable transaction has occurred.
In the absence of a Self Billing agreement this is basically not legal. Having a "Bill" item on Xero does not prove that the Supplier has supplied you with the goods and services listed, or that the VAT stated has been paid over to HMRC by the supplier.
The primary most important part of business cost/expense records are the documents from the suppliers which confirm what was supplied, who supplied them, where the supply was made to enable the business to explain why that expense is tax deductible or VAT recoverable.
In the event of an HMRC enquiry, HMRC will ask for the primary documentation. This may also occur Due Dilligence on a business sale or investment activity.
