  1. Repeating Invoice - Bulk update next invoice date

    I am an accountant with clients who make use of repeating invoices. The current problem is that in certain months they want to run their invoices on different dates due to public holidays or festive season. In these situations they have to manually go and update the "next invoice date" in each invoice.

    I want to suggest a bulk action for this as it would end up saving hours for the businesses.

  2. A few things I've noticed that annoy me that I think could be tweaked;

    • Duplicate bills screen is a complete waste of time in its current state. Either change the parameters for what flags as a duplicate (ie - if it's the same amount, it should also be the same date, or check for duplicate reference numbers attached to the same supplier). Also give the option to ignore all duplicates from certain suppliers or if something appears, an option to never remind for this supplier & amount again.
      Also there's a button to provide feedback that doesn't work.

  3. In repeating invoices we often use the tax year mostly in this format 2025/26 but also 25/26.
    Whilst we can use placeholders [year]/[year+1] to give us 2025/2026 it is not ideal and this would need changing after the December invoices which is administratively the same as manually changing the tax year in the invoices at the beginning of the tax year.
    It would be good to be able to use [taxyear] and not have to change it again.
    This would be really easy to implement, therefore it probably will be overlooked. Here's hoping.

  5. Insert a Notes section on the Bills You Need To Pay screen.
    For example, I can enter a due date, planned date etc .. but a section for Notes that can include a little reminder for example "confirm A123456 has been delivered"

  6. I've always felt like your software was created by people who have never used the software themselves because some of the pathways and defaults just don't make sense. Note: I access Xero using the Chrome browser.
    Here are some changes that could be made that would really improve the user experience with Xero:

    1. When I'm entering bills, some date fields want me to enter the date like this: date/month/year and other times it wants me to enter it like this: month/date/year.  It's very frustrating having to switch back and forth randomly.

    Hi Jenna, we appreciate your feedback and the detail you've given is great. However, it's best that strange behaviour or performance issues are shared with our specialists at Xero Support who have tools to be able to investigate and escalated with our team if something isn't working as it should.

    There are a couple of your points I wanted to confirm here;

    • Bills to pay - you are able to set a default page for this. It sounds like it may currently be set to Paid bills in your org. You can set the default by clicking the 3 dots in the top right of the page where you'll see 'Default bill page' to select your preference
    • Default for bills due date - From the same place you can go to for invoice (Invoice settings) you can set a default Due date for your bills.

  7. Some of my customers utilise my services through a scheme where their employer or a separate 3rd party will pay their invoice.
    Often this same employer or 3rd party will be paying for many of my different clients and they will often pay me in one payment.

    Think of something like an insurance company paying for repairs on many different vehicles, or NDIS payments for the provision of health services to many different customers.

  8. I think the idea of Xero Projects is great. However, it requires a lot of hand-holding and reentering information to go through a project life cycle.

    Here are my top 10 improvements I think would make a FAR smoother experience.

    1. Pull through items quoted into the project as tasks once 'started'. This should be a bare minimum. At the moment tasks have to be manually added to any project.

    2. Push the project title into the reference tag so it displays in the Xero invoice list (otherwise there is no high-level description of what the job is for an invoice). Or…

    That's a few points you've listed, Nicholas. Sorry it's taken a while to respond to you here, and do appreciate the feedback.

    It's best for each point you've raised to be recorded as separate ideas so the community know what they're voting for, we can get a clear sense of interest in what customers are wanting to see, and we can keep you updated if a particular idea progresses.

    We have a few ideas that have been started and appear to relate to things you'd like to see too, I've adjusted the title of your idea here to represent your point on adding the project title to the Quote reference but for the others I'd recommend starting new ideas for each of these so we can start to track the interest from the community.

  9. I'm currently re-sending an invoice (manually sending a reminder) and I'd like to attach the email delivery receipt (which I have because I originally sent the invoice to me and then forwarded to the client from Outlook but that's a different set of bugfix/feature requests) as a file to the reminder. The only way to do this at the moment is to back out of the invoice sending screen, attach it to the original invoice and then send the invoice with the attachments both old and new.

    Aaah I see, thanks for the extra detail, Freya. Appreciate where you're coming from. With a few other items of focus for the team in this space atm, I do want to be open that there aren't any plans atm, but we'll track the interest here, I'll make sure this extra detail gets back to the team, and can share if there is any change to update you on, here.

  10. You've finally forced us into the new invoicing. Lots of promises were made to fix what was broken with it. Unfortunately these promises are just as broken as the new invoicing. Here's what needs fixed:

    1. When a new invoice comes up automatically set the focus to the name field so it's ready to receive data. Have to click on it.

    2. Fix the date field. If I use the down arrow key it opens up the date widget But then using the left and right arrow keys should move the date off of the current date to either tomorrow or yesterday.…

    Thanks for your feedback, Randall. I want to assure you we're still working on features and improvements within new invoicing.

    In order for others in community to know what they're voting for and help our product teams get understanding of the specific changes our customers would like to see it's best that these are tracked separately on product ideas site. There are existing ideas for some of the points you've raised here.

    Relating to your point on the date field - I'd recommend connecting with our specialists to confirm the behaviour that you're getting and the specific date field this is related to. Once you press enter or space after opening the calendar widget you should be able to use your keyboard arrow keys to navigate the calendar.

  11. Item code duplication notification prior to adding all the purchase and sales details or if it is duplicated make it editable while entering invoices without having to go out and into the inventory tab.

  12. For tracked inventory items, there's no way to change the inventory asset account which can be inconvenient. As the inventory grows, they are put under new different classifications so I want to add a new inventory asset account for each. However, I cannot change it in the item's inventory asset account when it is already tracked. It would be very helpful if this will be allowed. Or at least a way to delete a tracked item if there's no transactions/bills, but only adjustments.

  13. When entering a cost create a dropdown selection menu of standard costs that are setup in settings. Current system requires a prompt to type in the correct cost to appear and fill out preset cost and charge figures.

    Also include a drop down to select staff member entering the cost. This would be a time saver for mileage and expense claims so you could filter a disbursement report quickly and submit to save double working.

  14. It would be really useful if Bills autosaved to Drafts - as happens when you enter an Invoice. Because Invoices are autosaved, you are in that mindset and can often forget that you have to click Save or Approve for a Bill to be logged.

  15. Integrate invoicing with the US Govvernment Invoice Processing Platform, which covers nearly all invoicing of US Government Contracts, other than DoD and Intelligence Community. Right now, there’s only a manual entry process from a Xero generated invoice. https://www.ipp.gov/

  17. Example we explain here is a 4 line Purchase Order in CSV format which, using the Bills To Pay Template, we are importing in my test Xero platform.
    Each line in the PO use a different Account Code from our Chart of Accounts.

    In brief, if we leave any of the Account Code fields empty the system does not seem to want to import the Supplier Contacts Purchasing Default Account settings.
    I have tried all versions of this import and the only one I can get to work is one where all the fields are completed.

  18. Currently when creating a batch payment, the bank payment details fields (Particulars / code / reference) are all drawn from the payee's Xero contact details page.

    payment of some bills require an invoice number in the bank payment reference field (rather than just an account number), and this also helps to track which invoices are paid for companies with frequent / varied billing + auditing bank transaction list records.

    It would be great if either:
    a) For a specific bill, Xero reads the invoice number and places this into the "reference field" within the bill payments screen (usually works) AND…

    Thanks so much for sharing your feedback on this idea, community. We appreciate that having to manually select attachments on every invoice can feel a little fiddly. We get that you want a smoother workflow, that saves you time.

    As noted by others in the idea, one option for now would be to add standard files, like your terms and conditions, directly to your invoice template. That way, they'll be included automatically when you send out your invoices.

    To confirm how this functionality currently works - this is based on the user and driven by the last invoice that was sent. Where you have files attached, and you had selected to include files as an attachment when emailing the invoice, the next invoice you send with file attachments should have this selected by default.

    A caveat to this is when you are working in incognito mode, or refresh your browser…

    Hi Janilyn, appreciate it's not an option when going through the copy to process. However, once the invoice is created you can click the 'x' next to the contacts name to remove and type the correct customers name.

    If the previous contact has only had purchase transactions entered for them, once you've remove them from the invoice they should not be shown in the customers list in your organisation.
