  1. You can only allocate payment on accounts to a customer ledger on Xero by clicking 'Overpayment' which is very long winded. Please can this be simplified to select the customer and then allocate straight as a 'payment on account' and then this can be allocated to the invoice once this is uploaded.

    In addition, if there is money out that gets contra'd against money received from a client, there is no way of coding this to the customer ledger.

  2. The email template, for example sales invoice, controls most of the email body but not all of it. If the email template starts "Hi [Client]" for example, the actual email generated automatically adds content before this, namely a logo, company name, amount and due date. I would like to be able to control this content as well, but it seems unchangeable. In contrast, the invoice template allows full control so you can apply various branding. Please can you open up all the email content to be controlled by the template.

  3. When Xero are emailing out their invoices please can you go back to attaching the invoices as a pdf as it quicker to be able to forward them rather than having to sign in and save them as draft, especially when you are having to do loads for clients.

    Thanks for sharing back on this, everyone. We'd like to confirm the way the options works now when sending in new invoicing - This is triggered by previous behaviour.

    So, when you send using new invoicing, the selection for 'Attach PDF' is driven by the last invoice you sent. If the last selection was unticked the next invoice you send will automatically be unticked, and vice versa.

    What's worth noting is that this is a browser based setting. For example if you change computers or browsers your setting will revert to default where both options are unticked. As you'll see from my recent update on this similar idea this is something we may explore further down the line but we don't have any immediate changed planned for.

  4. We use the Billable Expense function on Xero. However, we find it impractical when it comes to allocating the billable expenses. This is because we are unable to see the full description of the expense in the allocation pop-up screen and this results in incorrect allocations.

    If the description column can be dragged to resize it, or include a scroll function, then incorrect allocations can be avoided.

  5. I regularly forget to click "assign" before "OK" when assigning a customer to a billable expense. In the attached screenshot, I've identified an expense, found the customer, and the line item is ticked. It's infuriating to have to remember to click "Assign" before "OK", when the rest of the interface is telling me that everything is all set and saved. While I try to remember to press the wretched "Assign" button first, could you please change the default so that clicking "OK" has the effect of clicking "Assign" automatically? There shouldn't be a separate "Assign" button.

  6. When a new invoice is created, have the reference number auto fill from saved data. Just like you can save what sales account and tax to use for a contact. I have customers that give me a blanket PO for the year and I use it on every invoice I create for them.

  7. Currently trying to use the new invoicing, but I'll start typing a contact name then tab across before seeing the contact pop up, since I use this contact daily. Under the old invoicing, it would just find the contact once I hit tab. Under the new invoicing, a new contact is created. And since the invoice is saved immediately, this new contact is also saved, so once I finish with the invoice, I then need to go and archive the contact that was created.
    Can we change the defaults or something to fix this?

    Hi community, appreciate your feedback. Currently our team are working on some improvements to the To field in new invoicing and the contacts card that appears when selecting a contact. We understand some of our customers make use of the keyboard much more than the mouse and in reviewing the flow when using Tab the team will be making a change to make selection of a contact and movement to the date field smoother. I'll come back to confirm the detail of the change when this is released.

  8. In New Invoicing can the Date field be left blank when in draft status as per previously. Regularly I create draft invoices and want to continue to be able to leave the date blank or to put tentative dates in before moving forwards int he process.

  9. When you export invoices, it gives you multiple lines for any invoice which has more than one line. It is therefore not possible to easily total up the amounts due because some invoices are on there multiple times meaning the values are overstated.

  10. The repsonse to my support case was to be told to post the bug here... seems a weird request, but sure...
    "The best way to get our product team to consider this would be to create a new product Idea on this, which is submitted to our product team who then go ahead and make changed based in priority."

    The santander batch file does not follow the santander format. In the past Santander used to accept the file anyway but they have now started rejecting it.

    We have several client contracts which include 5% price increases per annum. It would be great if you could create a repeating invoice and specify a percentage to increase the amount by on its next repeat

  13. URGENT!!!! The new invoicing is quiet frustrating. It doesn't remember past settings when emailing the invoices. So now I need to remember EVERYTIME I send an invoice to click 'send me a copy', which I know I'm going to forget especially if I'm in a rush.

    ANNOYING!!!! There's an added step now to attach a pdf. I now need to click add files then drag the pdf, instead of simply dragging it and clicking to send with invoice or not.

    Thanks for continuing to share back through this idea. Right now, as you may have seen in updates to some other ideas - our team are developing the line item grid where you enter detail of your invoices. This will encompass reduced padding and smaller pixels to condense details and help you see more information in one page without as much need to scroll which will help with the feedback you've shared here.

  14. On organizations you have using bank feeds, a pdf of the bank statement should pop up in Xero once the bank publishes them. QBO has this feature so easy to look at a bank statement while reconciling the account and will also show pictures of the cleared checks.

  15. In new invoicing the drop down issue date is today or tomorrow. I suspect "Yesterday" and "end of last month" would be helpful for lots of businesses who bill the day or month after a job is finished.

When I am logged-in to Xero as a user with "Invoice only" and "only create drafts" permissions, it is my understanding that this user should not be able to create new invoice items or see menu options for creating new items. However, it appears this user can see this menu option when adding a line item to an invoice and attempt to create a new item, leading to an ambiguous error message.

  17. When you update the inventory selling price of an item you expect that this is reflected when a repeated invoice is generated. This is not currently the case. The price is ONLY updated when you edit the repeated invoice. Please have an option box on the repeated invoice that allows inventory price updates on generation. Currently waste hours and hours and make mistakes every time an inventory item changes price. Logged support cases about this for years but trying here now. Huge time saver.

Today is May 17th 2024, there are currently 300+ ideas, suggestions, and requests here related to Projects, few of which have even been responded to by Xero. It seems clear that Projects is the red-headed step-child of the Xero platform, always the last to the table when the development team starts talking about updates.

  19. New Invoicing change - I now have to click in Contact Field of every Invoice.

    Has Xero made a change here?

    When I create a new invoice, it used to automatically take me to the Contact field so that I can add the contact.

    I now have to Click in the contact field for me to input a contact for the invoice...

    This is messing with my muscle memory again...I thought Xero were trying for less clicks, not more clicks?
