UK Payroll - Salaried employees who work changing shifts each week
In service industries like hospitality salaried employees will work a different set of shifts each week across 7 days. Currently I have to set up a working pattern and if they phone in sick on a Saturday for example if that day isnt set as their working day (i.e we set them up as Mon-Fri for ease) we have to record the sick day on the Monday to ensure it is deducted. But in these industries the working days are different each week and they dont work on a set pattern. Need the ability to set that the employee works a varying working pattern, and when a sick day or absence is recorded it is marked as "on a work day" or something

Fixed Assets - Add 3-year depreciation schedule for Small Business Corporations in South Africa
Small Business Corporations (SBC's) can, under certain circumstances, depreciate assets in a 3-year schedule as follows:
- 1st year: 50%
- 2nd year: 30%
- 3rd year: 20%
See the attached document, under 4.2.
Currently, this is not possible (I checked with Support).
I expect this to work within Xero, as it is a regular tax rule in South Africa.
Adding this schedule for South Africa would be extremely useful and important, as we now have to do the depreciation outside of Xero.

History & Notes - Full detail of action
Can we drill down into the history lines by date to see the actual changes/edits or whatever was done for individual invoices? This would enable a clearer picture for future scrutiny.
My client couldn't work out what had been done and neither could I . All the history said was 'edited' by an employee.7 votes -
Invoices - Tag, Colour Code, or Otherwise Categorize Invoices
It would be really useful if there was an options to tag or colour code invoices in the list view, so that at a glance we could see invoices grouped together for any given reason.
For example most of my invoices are paid via direct debit, so I'd love a way to tag/colour code the invoices that have not yet signed up for the debit system, so that I can see at a glance how many I am still missing and who I need to follow up on.

New invoicing - Remove option to Edit Item
New Invoicing - Remove the edit button in the item list. It is inconvenient and makes completing an invoice with multiple items harder than the new invoicing already is.
2 votesAppreciate customers use Xero in different ways, Meradene. Want to be open that we don't have any plans to remove this option, but we'll begin to get a sense of the interest of this from the idea here.

New invoicing - copy to keep original invoice date
For setting dates on new invoicing:
- when using the "copy to draft invoice" function, keep original date from copied invoice and not default to current date.

In terms of the second when you're mentioning the input of dates. You should find you can currently enter dates in number format, however you'll need to make sure you keep the '/' or '.' to separate day month and year, alternatively you may find shortcuts help you cut down the time needed to enter your dates here.

new invoicing
Invoicing - I am a massive user of Xero. Managing 3 businesses & work very long hours on Xero. Yes I despise with a passion the new & improved invoicing. It's clunky, clumsy & slow. It has removed all of my shortcuts.........regardless, I'm guessing no one in Xero care. Is there somehow you can make it more compact, it's so large & some of the smaller monitor screens it doesn't seem to fit the display area very well. Luckily one of the businesses I work for are software engineers & have offered to make addons for me to make my life easier. EG our invoicing legally requires to show billing date periods in the description or somewhere. I cannot create a recurring invoice to provide this information. For a business that is rapidly growing, it would not be feasible to continue to use Xero for invoicing if this cannot be provided.

In terms of the compactness - this is something we heard feedback on. While we can't make everything the same as it was in classic, over the past couple of months our product team have released changes to new invoicing to reduce padding, text size, column widths and make smaller changes to the placement of actions and buttons based on user feedback. We don't have intentions of making further changes around this, however another option you could explore would be your browser ad monitor setting to maximise the content you see on your screen at once.
In terms of the repeat invoice with a billing period that you mentioned - perhaps placeholders could be used to help insert the dates of the period that you need to bill for in the Description field and save you having to manually enter this each month?

Accounting for savings pots within one bank account
I am "one man band company" and use Mettle Bank in the UK. It offers the the facility to put money into "pots" so that I can save for things such as Corporation Tax, VAT payments etc. This is basically a bank account within a bank account and one which I find very useful. The downside is that there is no obvious means to keep track of what is in each pot within Xero and complicated by the fact Mettle does not stream the total in each pot via the connection only the total amount with the bank account itself. Within the Mettle app the balance that is displayed is the cash balance between the total in the bank and what is in the pots which I find very useful as that is the amount of "unallocated" cash I have available. What would help is an automated means of keeping track of the transfers in and out of the pots even though they can't be reconciled and a display of the total in the "pots" and the unallocated cash the sum of which will match the total in the bank account. I've looked at using the tracking facility but that doesn't seem to be appropriate. If this can already be done, can you tell me how please.

1 voteHi Neil, perhaps worth engaging your accounting advisor on, however from the sounds you could create 'suspense' accounts in your chart of accounts to reconcile these amounts from your bank account too. Effectively when you make you create a transaction that is related to the amount that's been allocated to a pot you could then make a payment on the transaction to that 'pot' account in your organisation. This way you could run the Account Summary report to keep a constant track on the amounts you have unallocated in your pots.

Au Payroll - Overtime report
Overtime Report by employee in one easy to read report
Managerment required a report to analyse overtime per employee over the course of a year - in one report. Only option in Xero is to run report employee by employee. (which would be incredibly time consuming)
A simple report would be -
- Rows would be list of employees
- Columns would be all the overtime categories,
- values would be sum of hours worked (or dollar value or both)
- parametres would be between two given dates.I could find no such useful report in Xero - instead I had to download the activity report into XL which was over ten thousand rows, then spend over half an hour deleting non overtime rows and format it in order to run a pivot table to get said report.
It seems to ridiculous that all this info is in Xero and should be reportable within seconds, instead it took me an hour. Furthermore - having to repeat all this every time I want an update.

AU Payroll - Long Service Leave's Liability calculated and 'live' for reports within Xero
LSL liability calculations are currently handled externally to Xero.
It would be nice to have a system which could automatically track LSL on staff, similar to asset depreciation.5 votes -
Purchase Orders - Expand column width to show longer PO numbers
The PO number space under Purchase Order View is limited, we cannot view our full PO number, refer to picture
Please extend the column, else Xero should restrict the maximum allowance length for PO number format.

Customer Statements - Consolidated statements for a group of Contacts
We have dozens of parent companies with underlying subsidiaries who place separate orders for separate locations, all under the parent company's credit line/name. These all split into different contacts in Xero when they come in from our order processing system. We need Xero to support hierarchies/parent-child relationships/nested orders, so that all purchases can be aggregated to the parent company, both for tracking overall credit use and for sending consolidated statements that include all purchases from all "children". We work with BigCommerce who has a BundleB2B feature that allows these kind of parent-child hierarchies on the client-facing side, but we can't use it because Xero can't support that structure. Please consider accommodating. It's extremely time consuming to have to pull & send multiple statements for one company every month, and have to manually add up all their spending to determine if they've exceeded their credit limit.

Repeating Invoice - automatically calculating days of the month in the qty field
Repeating Monthly Invoices:
Can we have a feature where monthly invoices have the ability to automatically calculate the days in that month based on the date in the "next invoice date". Therefore it doesn't need to be manually changed. Eg Monthly repeating invoice. next Invoice date - 1 November 2024. Qty - 30

Xero Projects - Have an option to "mark all untracked expenses as invoiced"
We have a large project with countless numbers of invoices assigned to the project. I would like an option to be able to "mark all untracked expenses as invoiced" so that we can see what has already been invoiced to the client and so that we can work out more accurate profitability figures. At present, each individual invoice needs to be marked off separately and this can take hours to mark them all off, particularly if the project is large.

History & Notes - Give access to Standard user
It would be nice to be able to give access to the History and Notes to Standard users. Right now it's only visible for Advisors while I believe this is a feature that could be useful to Standard users as well.

Add VAT to Stripe fees that automatically feed into Xero
When the Strip transaction fees come across for UK customers, the VAT box states 'NO VAT'. All Stripe fees are VATable so the VAT box should be '20% VAT'

Expenses - Rename "Mileage" claim to "Trip KM's" for countries that use metric system
It would make sense to rename "Mileage Claim" to "Trip KM's" or something like that.
There are only 3 countries around the world that officially still use the IMPERIAL system (Miles). United States, Liberia, and Myanmar.
It's a term that doesn't come naturally to the rest of the world.
In the back of my mind, I feel that I need to do a "KM's to Miles" conversion calculation, for every trip entry. Even though I know that's not necessary.2 votes -
Sales Tax Report - Option to filter for tax types
We run two different VAT registrations for one company (UK and IE) so we have both UK and Irish tax types, we run our VAT returns for different periods for the two country's (UK is quarterly and Ireland is bi-monthly). The sales tax report needs an option to filter for certain tax types so we can run it for only UK tax types or only Irish Tax types. We also need the option for backdated / adjusted items after the return (as we cannot link directly to HMRC having both country's VAT running we don't get the same functionality as a UK company would), we need to be able to post the return to the ledger and mark items as included so that entry's after the filing date are flagged in the next return (the way that you can do in the Sage accounting products)

AU Payroll - Option to set week ending date on Timesheet Detail report
The week ending period on the Timesheet Detail Report is Monday to Friday and cannot be adjusted.
Oaur pay week runs from Wednesday to Tuesday. We have to duplicate data on an Excel spreadsheet for reporting for management.
It would be very useful if the week ending period could be edited so we could use the reporting in Xero and save time processing payroll.

Profit & Loss - Show dividends/distribution/Income tax after net profit
Standard layout, which is the one that clients generate and use to check their profits, shows dividends paid, Income tax expense or distributions. This makes the client very confused as these are not part of the operating expenses. Clients do not need to know how to edit or prepare a new layout to take these expenses out. Also, we as accountants can't customize P&L for each of our clients.
This needs to be address urgently.
