Xero Expenses - Easily add expense to employees next payslip
Once expenses are approved it would be fantastic to have an option to "send" this to their next approved payslip rather than having to manually add this to the payslip.
Seems madness this isn't implemented already - what is the point in doing everything in Xero if you need to faff around making adjustments for details that are already in the system.
Employee's submit expenses - so you know who needs reimbursed already.

Reports - New Group Row to appear in the location you are at.
It would be really useful that when you are selecting to add a new Group under Row's that it adds the new group option in the location you are currently at, rather than adding it in at the top of the report and having to move it down to where you want it to go.
Also having the ability with the when adding a new formula to be able to select how you want the formula result to appear (ie %, $, rounded $ to the nearest $ etc).

PayPal - Import proportion of VAT with feed
As a retail company with many hundreds of transactions each day it is a massive task to properly account for VAT. All our products are VATable inside the UK but we receive many orders from outside the UK which are non-VATable, or from other EU countries where we must charge a different VAT rate for our IOSS return.
PayPal holds details of the VAT that was collected as part of the transaction, but as Xero imports all these hundreds of transactions from PayPal it currently does not import those VAT details. That means we have to look at our other systems to work out which tax bracket to put each and every transaction into. It would be really useful if Xero could import the VAT data (or even just the delivery country code) that is held in PayPal so that the correct VAT treatment could be automatically applied using rules.
Is this a problem that other higher volume retailers are facing or does someone have a solution to this?

FIles - save to folder faster
It would be great if the mobile app allowed me to take a new photo of a receipt into folders faster - maybe you could improve the "Work offline" functionality so that it does more in the background.
I need to use this method, instead of emailing receipts, because we have various folders (1 for each debit & credit card) where we put the specific receipt photograph into

Xero Me - Prevent employees from editing personal details
It would be great if we can lock down the ability for an employee to edit and change their legal name and date of birth in Xero Me.

Project Financials - Include a Supplier option
In the older Project Report function it was possible to select the Supplier Name. This option is now not available in the newer Project Financials report. This is useful as it allows supplier engagement for a specific project to be monitored and avoids the need to perform other more long-winded searches.

Invoice Branding - Ability to map to specific currencies.
It would be great that it would be possible to set a default branding theme for a particular currency. This way the payment details added to a theme tailored for a Currency will match the invoice currency without manually having to set the correct theme in the invoice.
7 votesHi Thomas, while you can't match a specific branding theme based on the currency of the invoice, you can set this at a Contact level.
If you generally invoice a contact in a particular currency this means that you set this in the Contacts record within their Sales defaults section - see more in Xero central

Reporting: Sales Tax Report - Run in different currencies

To be able to produce the Sales Tax Audit report in other currencies as well.
Reason: to be able to extract the report for organisations registered in countries of which currency is other than the Company's base (if also required for the authorities.)

Bills - Show unapproved bill costs in accounts
Currently bill costs are not posted to the accounts until it has been approved. It would be beneficial if once a bill was entered/submitted for approval in xero the costs were shown in the accounts. If the approver is not available to approve the bills it holds up finalising month end accounts.

AU Payroll - Accruable earnings pay item
Accrued Earnings Payroll item in Payroll
We need to record a Project Incentive Payment as an accrual on payslips. These accruals vary per project with some accrued hourly, daily or weekly and are paid at the end of the project.
The Accrued Earnings payment would be setup in Payroll Settings, with a running total displayed on payslips.

Reports - Ability to add page breaks in Text Blocks
When importing a text block report from Figured into Xero annual accounts template, we have no control over the page breaks. This often results in undesirable page breaks. An ability to add page breaks into a text block would fix this.

Purchase Orders - See status on pdf
It would be useful to see the status (approved/awaiting approval etc.) on Purchase Order pdfs - to avoid the risk of unapproved POs being sent to suppliers. Requested by a client.

Invoices and Bills - Lock once finalised
Locking Invoices and Bills so they cannot be deleted once Finalised.
We often see clients raise invoices, or bills in their Xero file, and then later delete them if a change is required, and then raise another invoice or bill.
From an accounting perspective, this is a huge sin.
Once an invoice or bill has been finalised, the only way it should be altered is by raising either a debit or credit note against it. Xero allows a user to raise debit or credit notes, but the average non-accountant does not understand what these are, so they do the easiest thing and simply delete, and start again. It would be a lot better if once an invoice or bill has been finialsed, it was locked so could not be deleted from the system.
