Archived clients and access to lodged and filed tax returns
It appears that as soon as I archive a Client, I no longer have access to any of the tax returns I've previously lodged for them. This is problematic when we need to keep our records for 7 years and FYI docs has kept the links to the signed and filed tax returns (and those links no longer work), but not the actual PDF signed tax returns. I've had questions from the new accountant and cannot see the original documents we've lodged.

It’s a common question when tidying up a client list, especially when you still need to retain access to historical compliance information.
The good news is that archiving a client in Xero Practice Manager doesn’t remove or delete any lodged tax returns or Activity Statements. All draft and filed records remain available for your audit history and reporting needs.
To view them, please:
- Go to Clients > Archived clients
- Open the relevant client record
- Head to the Tax Returns tab to see their full return history
As this is already working as designed within the system, I’ve moved this to Feedback and will be closing it for votes.

Client Reference Code Visability
Client Reference Code - it would be great if this ACTUAL field showed when viewing a clients details as opposed to having to EDIT a client to see it??
I know there is an Export Code option but why have both when could just make the Client Reference Code visable on a clients detailed page.
2 votesHi Jo, thanks for reaching out. The good news is that this is already available in XPH. When you open a client record, the Client Reference Code is shown in the top-left corner of the screen, next to the client’s name.
As this is already existing functionality, I’ve moved this idea to Existing Functionality and will be closing it for votes.

XPM - Tag linked with clients and jobs
When adding notes under a client or job, they are labelled with different tags. Within the same client, the tags should be interlinked so that when one tag is clicked, all notes with the same tag are displayed.
2 votesThanks so much for sharing your thoughts around tagging notes and being able to see everything with a particular tag.
At the moment, there is already functionality in Xero that lets you tag notes and then filter to see all notes with a specific tag. To do this, you can:
- Add the relevant tag to your notes when you create or edit them.
- Use the filter option to select that tag.
- Xero will then show you all notes that have been assigned with that tag.
Because this behaviour is already supported, we wont be pursuing this Idea. That said, your feedback is still really helpful — it highlights that this existing functionality isn’t as obvious or discoverable as it could be, and we’ll keep that in mind as we look at improving the notes experience over time. 😊

Job Templates & General settings
Hello everyone, it is a challenge in the new XPM to find general settings and job templates, which were previously under Practice.
2 votesHi all, thanks for reaching out! We understand that when you’re trying to standardise your practice’s workflow, not being able to easily find templates and settings can be a roadblock.
The good news is that these features are already available in Xero Practice Manager (XPM). As highlighted by Andrea as well:
- General Settings: Click on your Practice name > Settings.
- Job Templates: From General Settings, go to Jobs > Job Templates to create and manage structures for recurring work.
Since these tools are already built in to help automate your practice, we will be closing this idea for votes.
