  1. Allow customer to choose payment amount especially in iPhone app tap
    And pay feature. My clients pay a deposit but sometimes pay in instalments. There’s no option to choose a specific amount … it’s all or nothing.

    Appreciate hearing how we could improve invoices for your use and to help items of your invoice stand out to customers, Lynda.

    This isn't something we have direct plans of at present but we'll start to feel out the interest from others in community here and can let you know if there are any updates around this.

  3. Notify the client that a Customer has reached (or is reaching) their credit limit automatically via email - the prompt when invoicing is useful but when doing a virtual finance function for a client, an automatic notification to be produced when a customer is reaching the credit limit would be beneficial and would reduce the need for additional external communication

  4. Currently, the bulk payment option through online statements works effectively for invoices in the base currency. However, when dealing with foreign currency invoices, customers are required to pay each invoice individually. This creates additional friction and inefficiency in the payment process, particularly for businesses managing multi-currency transactions.

    We would like to propose the development of a bulk payment feature that supports foreign currency invoices as well. This enhancement would streamline the payment process for international customers, reduce administrative overhead, and improve overall customer experience.

We can see how helpful it would be to let customers pay foreign currency invoices in bulk from statements, rather than needing to open and pay each invoice individually. For businesses working across multiple currencies, this would make the payment experience much smoother and save time.

When sending invoices from Xero if there is a delay in the sending of invoices instead of leaving them in the queue as unsent it would be better for them to be moved to a "outbox" or "pending send" so that you can continue to send invoices, or be aware they aren't going to be sent straight away.
    This happened to me yesterday and I spent a lot of time logging a service request only to find out that Xero was on the go slow and the invoices were just queued to send later, and I had tried to resend…

    Thanks for sharing this idea 🙂 — we can see how clearer visibility of invoice send status could be a positive improvement for customers using invoicing.

    Being able to see when an invoice is pending send, rather than simply appearing unsent, could give people more confidence in the send process and make it easier to understand what’s happening at a glance.

  6. Invoices - Please could we have an option for due date to calculate 45 after the invoice date and then end of the month? EG invoice date 1st May 26, due date is 1st May 26 plus 45 days = 14th June, EOM = 30th June (due date). This is a common way to calculate due date in Southern Europe. Thank you!

  7. Kia ora,

    I live and operate in New Zealand, where Xero was first created. With living in New Zealand, we use a lot of Māori words in our everyday lives.

    That said, I just created a quote for an upcoming photoshoot which is going to be held in a town in the Bay of Plenty called Ōmokoroa. But fortunately, the marcon that appears above the Ō turns into an L when the quote is exported. Can you please let the development team know about this issue please?

  8. Include a tick box or similar to allow a customer accept some line items and reject others within a single quote. This is helpful for offering a choice of materials with different price points so the customer can choose how much they want to pay.

    Example -
    Line 1 - option 1 cost to build a path with high end materials eg paving
    Line 2 - option 2 cost to build a path with lower cost materials eg gravel
    The customer would select either line 1 or line 2, not both.

    Small request....
    Can you please add the option to highlight text or bold text in line items on the quotes page. We often have multiple people working on/adding to a quote, which is sometimes built over several weeks or even months. It would be great to be able flag another staff members attention to an item or a note left in the line item by highlighting or changing text to bold.

  10. I want to delete a number of invoice templates in Xero as the bank accounts relating to these templates are closed and we no longer require the invoice templates. I'd like to be able to do this cleanly without having to 'delete and replace'. I simply want to delete an invoice template without having to replace it with another invoice template that is unrelated. My methodology is to clean up, remove and simplify the invoice template options.

  11. When copying an existing invoice, i.e. for a subscription renewal, it retains the expected payment date from last year's invoice (which was input when we received a remittance advice for that particular invoice from the customer). Retaining it in the newly copied invoice is really unhelpful because it is no longer applicable, the new invoice does not have an expected payment date from a year ago! I appreciate it is easy to remove but you have to remove it from each and every invoice from the awaiting payment tab, which is incredibly frustrating and unnecessarily time consuming when you have…

    Thanks for taking the time to share this with the community. We understand the request for copied bills to leave the Expected Payment Date blank by default. This could help streamline data entry and reduce the chance of outdated dates being carried over.

    For recurring purchases, Repeating Bills may be a useful workaround, as each new bill is created from the template rather than copied from a previous bill.

  12. On the Products and services form/screen, have the ability to show and filter the Purchase and Sell tick boxs.

    Hi Roy, thanks for sharing this idea. We can see how having more flexibility in the Products and Services list view, including the ability to customise or add columns, could make it easier to review item details at a glance.

    At the moment, additional item information can be accessed by opening individual records or exporting the list to CSV for review in a spreadsheet.

  13. In the contact card - it would be good to have a "pop up" box that you can put notes in that appear in every field when you try to invoice a client or have a payment to make for a bill etc, that links to their contact card, as an alert for what you want the box to read. Super helpful for certain contacts only -but having this ability would be great

    Hi Shirley, thanks for bringing this idea to the community. We can see how having contact notes surface automatically when creating a new invoice or bill could help reduce missed details during data entry.

    At the moment, contact notes are stored within the contact record and can be viewed from the contact profile rather than appearing as a pop-up during transaction creation.

  14. I have to attach and include my back up when sending invoices.
    Some of the back up is in .xlsm format (Excel Macro-enabled Workbook).

    Currently Xero won't allow attaching these: "File type isn't supported. Update it, then try again."

    So I have to open and resave each document before I can attach, which is an unnecessary extra step in the process. It would be much more efficient to be able to attach the original document.

  15. Xero urgently needs native Terms of Trade support.
    Right now, the only option is attaching multi-page T&Cs to invoices — this is clunky, unprofessional, and not how modern businesses operate. REF:Advanced Invoice Template (DOCX)

    We need:

    A short-form legal clause on invoices and quotes
    A clickable link to full Terms of Trade
    A single, centralised setup in organisation settings

    Invoices should be clean and readable, not overloaded with pages of legal text just to remain enforceable.
    This is a basic business requirement, not a workaround:

    Improves professionalism
    Reduces friction with customers
    Supports legal enforceability
    Aligns quotes, invoices, and onboarding

    We understand the request is for a simpler, more professional way to include legal Terms of Trade on invoices and quotes, such as a short legal clause, a link to full terms, and a central place to manage this in organisation settings, without needing to attach extra pages to each document.

  16. Invoicing - Awaiting Payment list - Display average number of days they pay in

    When looking at the Invoices Awaiting Payment list, it would be very helpful to see the average number of days that customer pays in – so I know if it’s time to start chasing them.

    Purpose: There’s no point in chasing an overdue invoice if I can see that it’ll likely be paid tomorrow. As it is, it takes 3 clicks to find that stat.

    Thanks for sharing this idea 😊. We can see why having the average number of days a customer usually takes to pay visible directly in the Awaiting Payment list would be helpful.

    At the moment, this information is available on an individual contact record rather than in the invoice list view. We’re moving this idea to Gaining Support so we can better understand how many customers would like to see this surfaced more directly in the invoicing workflow.

  17. Serious limitation in Xero is TB period control. Currently the TB is created using transaction date, so late bills effect prior period instead of falling into the current account period. This is a key feature of any accounting system and a major limitation of Xero for SMEs.

    To make this work it feels like a very simple change is required:

    • ability to select period when entering a bill, sales invoice or journal (drop down field)
    • ability to produce TB by either date (current set up) or period (field referenced above)

    Hi Kellie, thanks for sharing this suggestion. We understand how native e-invoicing support for the US region could help streamline invoicing and support businesses as electronic invoicing becomes more widely adopted worldwide.

  20. Use buy/sell exchange rates instead of mid-rate when generating invoice items from bill items that have been assigned to a customer.

    Currently when entering a bill in foreign currency you have ability to assign the expense to a customer.

    When generating a corresponding invoice the mid-rate from XE.com is used to convert the bill item FX amount into home currency. The mid-rate is always inherently wrong, as nobody has the ability to buy or sell currency at that rate.

    This means that we have to manually find the correct buy exchange rate, do a calculation and then change the amount…

    Hi Ashlin, thanks for sharing this idea. We can see how having the option to use buy and sell exchange rates, rather than a mid-market rate, could provide more accurate foreign currency reporting for businesses that transact internationally.

    Currently, Xero uses a mid-market exchange rate by default, although you can manually override the exchange rate on individual foreign currency invoices and bills when needed.
