  1. On sales overview (invoices), it would be really good to have "scheduled" in the "sent" column - where an invoice had been scheduled to be sent by email, but not yet been sent. A column showing the date they are due to be sent would be even better.

    If not as above, it would be really handy if you could click on a tab for "scheduled" so you get a list of invoices that are scheduled, and the date they are due to be sent (like the 'scheduled' folder in Gmail).

    Great to hear you're finding use in the Invoice scheduler, Xav. Being a new feature that's still being rolled out to customers working this feature into other areas like the invoice lists view hasn't been planned just yet, however it would be good to get a sense of the wider interest in this here.

  2. I would like the ability to restore voided / deleted invoices and bills. Sometimes an item is deleted by accident but to restore it I have to copy it to a new draft and then re-attach any PDFs, which is clumsy and time consuming.

  3. The existing CN is being phased out in favour of a new-format CN (now in 2026). It is less user friendly than the old one; there are 2 options to create them as follows.

    1. Using Create & Apply Credit from an invoice automatically applies the full amount without giving you a chance to edit first, requiring you to then un-allocate, edit, and re-allocate.

    2. Creating a blank credit note from the Sales Overview means manually copying line items from the invoice, which is cumbersome with room for manual errors..

    I'd like to create a CN off an invoice, and edit it…

    Appreciate your feedback on the new credit notes experience here, Zoltan. Can see how this would be useful when you need to make a few changes to the credit note that's related to a specific invoice.

    While we don't have immediate changes for this planned we'll start tracking the interest here and can keep yu updated if there's anything in the works.

  4. Ability to apply a tracking category to all items listed on a quote rather than having to manually enter the tracking catergory for each item line.
    Eg a tick box that would apply tracking category to all, but you could then still change some of the tracking catetgories if needed at a later date.

    Appreciate you sharing your idea in the forums here, Ellie. Understand it's not a bulk assign feature like you're asking here, however you may find setting defaults for Contacts useful in your flows here.

    You can set defaults for tracking for purchase and sales transactions within a contacts record that'l automatically be applied to lines of your quote when that contact is selected.

    For now we'll get a sense of interest from the wider community in being able to assign tracking to your quotes in bulk from the idea here, and I'll share if there are any plans made.

  5. Now that the new Credit Notes have a white background the same as Sales Invoices it can be difficult to differentiate between the two. Can we please have negative symbols added to the Credit Notes to make it easier to differentiate from the Sales Invoices screen.

    Hi Jane, appreciate the feedback here. We understand that payment confirmation is an important part of the customer experience.

    Extending SMS functionality to include “Paid” invoice notifications or receipts could provide a quick, mobile-friendly way to confirm transactions. We’ve updated this to Gaining Support so we can track interest and share it with the product team.

  7. A simple solution for those that want to format their text when emailing would be to allow formatting that WhatsApp uses, where you simply add * either side of word or sentence that you wish to format as bold, for example.

    Thanks Eamonn for the feedback here. We hear that having a quicker way to format text in invoices and emails would help improve clarity and workflow efficiency.

    Being able to apply simple Markdown-style formatting while typing could make it easier to emphasise important information like due dates or payment terms. This has been moved to Gaining Support so we can continue tracking interest and share it with the product team.

  8. We need the desktop app to support a bill approval workflow. Ideally, I’d be able to submit an invoice for approval, with it then routing automatically to different approvers depending on the nominal code. Once approved, it should post straight through to the ledger.

  9. All my clients are on recurring invoices. Every month they get an "Invoice Due" email & then 5 hours later they get a Payment Receipt email. Why is Xero REMINDING my clients that they are paying me money? I have over 30+ expenses on autopay on my credit card. Not one company goes out of their way to reminder me that I am paying them money. But Xero not only tells my clients that they've paid me "another" $1,000 this month, but they tell my client TWICE.     Hi Sal, appreciate you raising a case with our support team about my response and understand where I have misinterpreted your idea (apologies for this).

    I'll re-open and have slightly adjusted the title of your idea so we can begin to get a sense of the interest in having more control of the emails that are sent for auto pay invoices and payments.

    Being open, right now this isn't something we're looking to support with this being a regulatory obligation in some regions. However we can continue to track interest here and share if there are any changes planned around this flow.

  10. On Invoices and Quotes, being able to add rows which sole purpose is to form a header or a group.

    What I mean by this is, for example, if I was doing a decorating job for a customer where I was decorating 2 rooms, for ease of understanding, I could separate the materials and costs for each room and group them under a respective header/group, thus allowing them to be easily kept under one invoice/quote.

    This would also work really well for quotes where a job may have multiple options for a customer to potentially choose from.

    Thanks for sharing here, jason - We have an existing idea around multi sectional quotes that I've added your vote to and have adjusted the title of your idea here for the Invoices side of things.

    We'll be sure to update you if there are any updates for this in either feature.

  11. Would be great to be able to save a default, or even multiple templates, for the Quote TITLE and SUMMARY. We are currently retyping or copy+pasting common quote titles and descriptions for every single quote. Most of our quotes have the same title and a similar description, that could be built into a template or default text if you'd add that feature.

    Hey Dean thanks for bringing this Idea to us, we always appreciate our customers thoughts on how we can improve Xero! This Idea has been moved to Gaining Support so others can vote and comment on this. We also wanted to let you know that there is a work around for tis idea, you can create a draft quote with all the relevant details and use that as a base to 'copy to' to reduce the time spent filling out the same details. Don't forget to let you friends and colleagues know they can vote on this idea now 🙂.

  12. Many of my clients upload supplier invoices directly to Xero, where they appear in the Files section.
    Currently, when selecting an uploaded invoice and choosing Add to new → Bill, Xero creates a blank bill rather than extracting and pre‑filling the invoice details. In contrast, invoices received via Email to Bills are automatically processed and prefilled using OCR/AI.
    It would be extremely helpful if invoices uploaded to Files could be processed in the same way, allowing Xero to prefill a new bill using AI or OCR. This would avoid the need to ask clients to change the email address they…

    Thanks so much for taking the time to share this idea and explain how you and your clients are working today. While we can’t comment on specific future changes, we’re actively investing in ways to apply AI and data capture across Xero to help automate more of the manual work in workflows like bills and document handling. Our goal is to use AI where it genuinely adds value for customers – reducing data entry, improving accuracy, and making it easier to manage documents regardless of how they’re brought into Xero. Feedback like yours is really helpful in shaping where we focus those efforts, so we appreciate you highlighting this scenario.

  13. It would be really useful to have the option to add one-time billable items to a repeating invoice and set them to be included on the next invoice automatically. For businesses that charge a fixed monthly retainer but occasionally add extra services, this would save time and reduce the risk of forgetting additional charges. The item could sit in a pending list against the customer and then be pulled through automatically alongside the standard repeating invoice when it is next raised.

  16. As small market gardeners we currently utilize the invoice and packing slip within Xero which works and works for us well. My suggestion idea is to take the packing slips which identify how many of what items required and collate those into a printable or electronic report (picking slip) which provides a total no. of each of the items within the packing slips over a specified date range. look forward to feedback

    We can see how useful it would be to have packing slips collated into a printable or electronic picking slip that totals the quantities needed for each item across a selected date range.

  17. read only is almost self defining - unfortunately read only users are not able to export (some) tables. The rational is that they are bundled with import. Can read only users have the right to export data.

  18. Problem
    When sending Quotes and Invoices in Xero, users need a simple way to confirm who an email was sent to and keep a clear record of recipients within their email client.

    Current behaviour
    If “Send me a copy” is selected, the sender receives a copy of the email, but it does not clearly include all recipients. To check who the Quote or Invoice was sent to, the user has to go back into Xero history and look up the details there.

    Suggested improvement
    For both Quotes and Invoices, when “Send me a copy” is selected, include all original recipients…

    We can see the value in having the copy sent to the sender include the original recipients when “Send me a copy” is selected, especially where this helps with keeping accurate records and following up.

  19. The software shouldn't be restricting printing of a draft invoice at any stage of the process nor user settings.
    Printing of draft invoice (even not finalized) is needed for documentation and accountability purposes!
    Drafts only user cannot do this at the moment.

    Every company and with any software I have worked so far, printing is allowed and expected to be done, as a proof of work done, back up of what was submitted etc.

    In our company we have more than one person workng on the same draft invoice.
    How can I can prove that I have done my job…

  20. Request deposit without a stripe account.

    The new feature is only available with stripe account which take a fee. This is expensive for Invoices of high value, can we just have this feature without the stripe requirements please.
