Repeating Invoice - bulk update of amounts
We are a subscription based business, so it would be great to be able to bulk update repeating invoice amounts. Either by selecting all the ones we'd like to change or by pushing through new inventory/product/service price changes. At the moment we have to change every single repeating invoice and this takes hours and hours!
Hi team, we totally get how bulk updating amounts on repeating invoices would help speed up the process and accuracy in amounts going out for regular customer sales.
Our product team is beginning to explore repeating invoices and the future of how we support these type of regular transactions. As part of this they're carefully considering popular ideas that have been raised by our community. We’ll come back to share further updates, once they’ve got a good handle on where this works stems.

Thanks Richard. I ran the bulk sales price uplift on my demo company, using a few of the 1 Month and 12 Month repeating sales invoice). Looks good. When we use the price uplift on the legacy system, we can specify a multiple for the roundhouse (e.g. round up to the nearest £5). The Xero would be great for anyone already using repeat invoicing and having to do annual price increases.

Nigel — great to hear from you, and your approach is spot on: a demo company is exactly how I built and tested this myself, and CSV-uploading a few of your recurring invoices into it will show you everything. It's live at ratelift.app — connect the demo company, pick the templates, set the change (e.g. +5% with rounding rules), and you get a full line-by-line preview before anything is written. Every original is kept, so any change can be undone with one click. Free while it goes through App Store certification. One heads-up: it works on sales repeating invoices only — Xero's API can't recreate supplier-bill templates, so that's a platform limitation rather than a choice. Your income-in-advance journals shouldn't be affected either way: the tool only changes template amounts, so your quarterly journal process carries on as now, just with the new values. Any friction at all, reply here and I'll walk you through it personally. Richard

Hi Richard, thanks for the update. I'd be happy to take a look (i'd probably use a Xero demo company). Ican "upload" a few of our recurring invoices via the CSV upload to Xero demo - then review these for "price updates". As we have a bunch of reporting based around our "non-zero" legacy system, i'll be using the Legacy system for a while. We also have to post quarterly journals in Xero for the "income in advance" as our recurring invoices are often covering an annual support period. I had a message from Xero (Product Manager) about another feature, so will be reviewing some more new features with Xero later this year

Quick update for anyone watching this thread: the tool I mentioned two weeks ago is now built and live, working against real Xero organisations. Bulk price changes on repeating (sales) invoices — select templates, set a percentage or fixed change, see a full line-by-line preview before anything is written, then apply with field-by-field verification afterwards. Every original is snapshotted, so any change can be undone with one click. Previewing costs nothing.
Juliana — a 2,000-client CPI uplift is exactly what it's built for, and I'd love to run yours with you as a free early user. Kevin — your select all/none with VAT retained by default is in. Nigel — if you'd ever consider bringing recurring billing back into Xero, I'd value your eyes on it.
I'm taking a small number of businesses as free pilot users while it goes through Xero App Store certification. Reply here and I'll set you up personally the same week.

UK business owner here with the same problem — passing supplier and subscription price rises through a few hundred repeating invoices, by hand, every time.
I've spent the last fortnight testing what's actually possible against the API, and can confirm what Nick and Roberto have said below: there is no in-place update — the only programmatic route is recreate-then-delete, and it has to be done defensively (in my testing the API will even part-write a batch behind an error response if a tool isn't careful).
I'm building a tool for exactly this, aimed at full Xero App Store certification: connect your org, select templates or link them to product/service codes, set a percentage or fixed change with rounding rules, preview every change line by line before anything is touched, then apply with per-invoice verification — approved status, schedules, VAT treatment and reference placeholders all preserved (my test runs show these survive intact when done correctly).
Before finishing it I want to shape it around real use cases, not just mine. I'm looking for a small number of businesses to pilot it free while it goes through certification — especially anyone facing a CPI or VAT-driven repricing. Juliana — a 2,000-client CPI uplift is exactly the scale I've designed for and I'd love to test against your scenario. Kevin — your point 1 (product-linked updates with a select all/none list, retaining VAT) is on the build list.
If you'd use this, reply here with roughly how many repeating invoices you manage and how long a price change takes you today. I'll follow up in this thread.

I have looked for integrations to XERO as we decided the 3rd party system rather than XERO should be used to create the invoices and then import the invoices to XERO. We decided to use a Legacy ERP system to maintain our recurring billing and manage the price updates on the recurring billing templates. We could not manage price update for the recurring invoices via XERO as it has no functionality to update invoices by a percentage (with rounding). The ERP system also provides the reporting on the recurring revenue.

Hi Team.
Is there a plug-in or app that integrates with XERO to do a bulk-change on repeating invoices?
We want to do CPI increase for all our clients and we have almost 2,000 clients and doing one by one is going to be painful! -

There's no native way to do this in Xero, and the feature request has been sitting at 260 votes with an official "not on roadmap" response for a while now.
The API also doesn't let you edit a repeating invoice in-place — the only way to change the price programmatically is to delete the original and recreate it, which is awkward to do safely.
I built a tool specifically for this: you connect your Xero org, select the repeating invoices you want to adjust, set a percentage or fixed-amount change, preview the diff, and execute. The engine creates the replacement first, verifies it's correct, then deletes the original — so you don't end up in a state where an invoice disappears if something goes wrong mid-run.
One limitation worth knowing: it only works with ACCREC repeating invoices (sales invoices). ACCPAY (bills) can't be recreated via the API.
It's $29/month: repricer.mp3fbf.com. Happy to answer questions if you want to know more about how it handles edge cases before trying it.

what needs to happen is:
1) if we change a product or service in any way there should be the option to apply that change to none, some or all recurring invoices / customers, a simple tickbox list would do when submitting the change (providing there is a select all / select none option ....please dont forget this and make us manually tick 600 boxes). some consideration should be given to the vat rate as well - maybe have a "retain vat rate" box that is selected as "retain" by default
2) the covering email template needs to also be mass updatable to none, some or all invoices as per above
3) when changing a contacts email address or name, please have an option to just auto update all or some of the recurring invoices with the same information. Currently it doesnt work because you cant save the contact before updating the recurring invoice, and when you are directed to change the recurring invoice, it pulls the old contact details because the contact hasn't been saved yet
4) quotes - please allow us to enter a quote for a new customer and to be able to add the new customers email address and other details as you can do with invoices. currently you cant add an email address to a new customer quote. just use the same code as for invoice creation...
5) Please allow some custom variables to be added to recurring invoices that can be pulled into the covering email and invoice. I personally really need a date field and to be able to manipulate that date field like [month year + 13] but for the custom date
6) There is a bug when updating a recurring invoice - it sometimes changes the sending date from "date x of the following month" to "days after invoice date" - this is very irritating
happy to work with you to achieve this.

Thanks Kelly. We have been working with Xero for a couple of years, but still use another 3rd party accounts system to generate all the "repeat" invoices as the current Xero feature is not suitable (due to the issue around annual price changes). We would consider assisting Xero in the review process for any bulk update of "amounts" for repeating invoices in Xero.

Kelly, it is sad that Xero have has this suggestion on the table since 23 August 2022. It is a simple enhancement and from a programming task, would not appear to be too difficult. With the advent of AI, those of us vested in XERO (shares and operationally with clients), really want Xero to be at the forefront of innovation. I say prioritise this request to the top of the list. Incidentally, what is Xero's development priority list?

Would save SO much time if 'Products and Service' could be reflected automatically within repeating invoices. This is currently so time-consuming to complete manually for hundreds of clients each time a recharged subscription (e.g. Xero itself!!!) changes price.

When you update the inventory/product & service selling price of an item you expect that this is reflected when a repeated invoice is generated. This is not currently the case. The price is ONLY updated when you edit the repeated invoice.
Could Xero update this so that the next repeating invoice price update automatically and that there is no need to go into each repeating invoice and update it mannually.
Time consuming to do it manually. We oncharge Xero fees and with Xero subscription price increase, we need to manually update each repeating invoice.
