Invoices - Add separate description / work carried out box
Please add a description box so that we can add additional information about the reason for the invoice. Being a garage we have to add description of car repairs carried out in the item line. Even if we could go right along the page with the text it would help a lot. At the moment invoices look messy and take up a lot of the page.

Invoices - Allow Credit Notes to be marked as "Sent" after they have been allocated
If a credit note has been applied to an invoice, Xero blocks us from marking the credit note as "sent".
Xero then shows this error message:
"Credit note wasn’t marked as sent.
Editing is not available for credit notes that have invoice allocations or cash refunds applied, so they cannot be marked as sent"According to support this is the intentional behaviour.
When a credit note has been allocated to an invoice or has a cash refund applied, you can only edit certain fields - specifically the Contact, Credit Note #, Reference, Description, Account and Tracking fields.

9 votesHi Josh, thanks for sharing this suggestion. We understand how Credit Notes not being able to be marked as “Sent” after allocation can create confusion when the document has already been issued.
Separating the “Sent” status from allocation or edit activity would help keep tracking clearer and more consistent with how the document is used.

Contact Credit Limit - Notify when Credit Limit is or close to being reached
Notify the client that a Customer has reached (or is reaching) their credit limit automatically via email - the prompt when invoicing is useful but when doing a virtual finance function for a client, an automatic notification to be produced when a customer is reaching the credit limit would be beneficial and would reduce the need for additional external communication

Contact - Ability for contacts' note to display when new transactions created
In the contact card - it would be good to have a "pop up" box that you can put notes in that appear in every field when you try to invoice a client or have a payment to make for a bill etc, that links to their contact card, as an alert for what you want the box to read. Super helpful for certain contacts only -but having this ability would be great
5 votesHi Shirley, thanks for bringing this idea to the community. We can see how having contact notes surface automatically when creating a new invoice or bill could help reduce missed details during data entry.
At the moment, contact notes are stored within the contact record and can be viewed from the contact profile rather than appearing as a pop-up during transaction creation.
I've updated the status of this idea to Gaining Support so we can continue tracking interest from the community. If there are particular types of alerts or workflows where this would be most helpful, we'd love to hear more about them.

Organisation Settings - Option to add Legal Terms of Trade
Xero urgently needs native Terms of Trade support.
Right now, the only option is attaching multi-page T&Cs to invoices — this is clunky, unprofessional, and not how modern businesses operate. REF:Advanced Invoice Template (DOCX)We need:
A short-form legal clause on invoices and quotes
A clickable link to full Terms of Trade
A single, centralised setup in organisation settingsInvoices should be clean and readable, not overloaded with pages of legal text just to remain enforceable.

We understand the request is for a simpler, more professional way to include legal Terms of Trade on invoices and quotes, such as a short legal clause, a link to full terms, and a central place to manage this in organisation settings, without needing to attach extra pages to each document.

New credit notes - Ability to edit and choose application amount when creating from invoice
The existing CN is being phased out in favour of a new-format CN (now in 2026). It is less user friendly than the old one; there are 2 options to create them as follows.
Using Create & Apply Credit from an invoice automatically applies the full amount without giving you a chance to edit first, requiring you to then un-allocate, edit, and re-allocate.
Creating a blank credit note from the Sales Overview means manually copying line items from the invoice, which is cumbersome with room for manual errors..
I'd like to create a CN off an invoice, and edit it…

Credit Notes - Select a date for credit note allocation
When allocating a credit note, either an invoice or bill, be able to set a date for the application, rather than defaulting to the date the credit note was created as it will fail occasionally when using lock dates.

Invoicing - Use Customer's Default Tax Rates Regardless of Account Type
We have a customer that is billed for direct expenses incurred for travel to their site.
We code the sale to offset the expense, but the tax code doesn't use the default as set against the customer (zero rated income), instead, because we have selected an expense account, it uses the expense account tax rate (zero rated expense, or 20% VAT on expense).
Left as it is, it is in the wrong box on the VAT return (our external accountants have picked this up recently).
The only way to correct this at the moment is by using 'find and recode'…

Credit notes - Negative symbol to differentiate from invoice
Now that the new Credit Notes have a white background the same as Sales Invoices it can be difficult to differentiate between the two. Can we please have negative symbols added to the Credit Notes to make it easier to differentiate from the Sales Invoices screen.

e-Invoicing : Support France legislation
Purpose : Starting september 2026 or 2027 dependng on the size of business, all the invoices for French companies should respect the new legislation for e-invoicing.
Is Xero planning to be accredited by French admin as a registered software ? (https://www.impots.gouv.fr/liste-des-plateformes-de-dematerialisation-partenaires-pdp-immatriculees-sous-reserve)
It would be very helpful for all the companies doing business in France.
35 votesHi everyone, great to see interest building around support for French e-invoicing. As France moves towards new digital invoicing requirements, it's understandable that you'd want a smoother way to manage this in Xero.
At this stage, Xero’s e-invoicing features are available in AU, NZ, UK, SG, and MY. While expansion to more regions is something we’re actively looking into, this particular request is still in the early stages.
The idea’s now in Gaining Support. If this would help simplify things for your business, adding your vote or sharing your opinions would help us get a clearer picture of the demand.

Invoice - Ability to edit phrasing on the new branding theme
The New Invoice Template looks good but when you get stuck into it, it isn't.
Why does Xero always introduced a half-baked "upgrades" that are not fully functional?
In the UK I do not want to see the phrase "Tax Invoice" - here it is just an Invoice, the old template I could delete the unnecessary word but not in the new template! Why?
I tried to set up a new Standard template but we get warning messages about it every time an invoice is entered, again why? If something is missing then tell me what - even support was…
5 votesHi Simon, thanks for posting your idea. Giving businesses more control over the wording used in the new branding themes could help create a more tailored invoicing experience.
If you need complete control over invoice wording today, custom DOCX branding themes allow you to edit static labels and headings before uploading the template back into Xero. We appreciate that this isn't as convenient as being able to edit the wording directly within the new branding theme editor.
I've updated the status of this idea to Gaining Support so we can continue tracking interest from the community. If there are particular labels or phrases you'd like to customise, let us know as those examples will help us better understand the most valuable improvements.

In the description section of the invoice is it feasible to highlight in bold

Packing Slip - Add more detail of items
As small market gardeners we currently utilize the invoice and packing slip within Xero which works and works for us well. My suggestion idea is to take the packing slips which identify how many of what items required and collate those into a printable or electronic report (picking slip) which provides a total no. of each of the items within the packing slips over a specified date range. look forward to feedback

Invoicing | Inventory - Auto update sales price
Every time i send an invoice, I update the new pricing for an inventory item in the invoice. This is manual but it should then automatically update the inventory price as well. so in short, the inventory should be following the latest invoice pricing to keep up to date.
9 votesThanks for sharing here, team - Currently, once you've selected an inventory item on a row of your invoice, if you click on the Item code field again you'll see the option to Edit which will open the item details modal for you to make changes, Save and continue on invoicing.
Understand some users may like this to be more automatic based on what you're entering in the line. I want to be transparent that we don't have plans around this and would need to consider how we make this optional for different use cases but for now we'll track the interest through the idea here.

Invoicing - Fields for Job dates
invoices need dates adding , date of work carried out / on hire - off hire dates , the invoices currently only show the invoice date with no other dates added unless doing manually . we have had to stop sending our invoices from xero as customers need dates to match jobs so have had to revert to our old system just for invoicing , surely this could be added

We understand that only showing the invoice date can create extra manual work, especially when your customers need to see the date work was carried out, or on-hire and off-hire dates that match the job. Having to add these dates manually, or use a separate system just for invoicing, adds unnecessary time and complexity.
We’ve reviewed this idea and moved it to Gaining Support so other customers can vote and add their comments.
We’ll continue to monitor the support this idea receives and update the thread if there’s any progress to share.

Contact Search - Name suggestion if misspelled
we have hundred of customers and I sometime mis-spell their names when starting in invoice. Its would nice if an intelligent pop up would come up and say 'Mr Blougs' doesn't exist, did you mean Mr Bloggs? and links straight to it. At the moment it's just an unfriendly 'this contact doesn't exist' or something.

Sales - Restore deleted invoice
I would like the ability to restore voided / deleted invoices and bills. Sometimes an item is deleted by accident but to restore it I have to copy it to a new draft and then re-attach any PDFs, which is clumsy and time consuming.

Invoicing - Ability to copy & paste from invoice preview
Is anyone else having issues with previewing an invoice?
After generating an invoice, I always preview it and then copy the customer name and then download a pdf to save on my shared drive. Now the Preview is showing all distorted and Xero will not allow me to copy. Some times when clicking on preview. it works and and some times it doesn't. Doesn't matter what browser I am Using it happens. I have even used another laptop and it is happening. Even changed the invoice template to older one and still happens. This is doing my head in.
