  1. Being able to attach multiple photos at a time to an invoice. Some of my clients jobs require me attaching upto 20 photos. To attach them individually is very time consuming

  2. When allocating a credit note, either an invoice or bill, be able to set a date for the application, rather than defaulting to the date the credit note was created as it will fail occasionally when using lock dates.

    Thank you for sharing your suggestion for setting a specific allocation date for credit notes against invoices or bills. This would provide a smooth solution for linking invoices and credit notes across different financial years after lock dates have been set.

  3. We have a customer that is billed for direct expenses incurred for travel to their site.

    We code the sale to offset the expense, but the tax code doesn't use the default as set against the customer (zero rated income), instead, because we have selected an expense account, it uses the expense account tax rate (zero rated expense, or 20% VAT on expense).

    Left as it is, it is in the wrong box on the VAT return (our external accountants have picked this up recently).

    The only way to correct this at the moment is by using 'find and recode'…

    Hi everyone, thanks for taking the time to share this.

    We understand you’re looking for customer tax settings to take priority over account defaults when creating invoice lines, so tax treatment is applied more consistently.

    Having the right tax option as a default could help reduce manual checks and make invoicing easier when managing customers with different tax requirements.

  4. Every time i send an invoice, I update the new pricing for an inventory item in the invoice. This is manual but it should then automatically update the inventory price as well. so in short, the inventory should be following the latest invoice pricing to keep up to date.

    Thanks for sharing here, team - Currently, once you've selected an inventory item on a row of your invoice, if you click on the Item code field again you'll see the option to Edit which will open the item details modal for you to make changes, Save and continue on invoicing.

    Understand some users may like this to be more automatic based on what you're entering in the line. I want to be transparent that we don't have plans around this and would need to consider how we make this optional for different use cases but for now we'll track the interest through the idea here.

  5. If a credit note has been applied to an invoice, Xero blocks us from marking the credit note as "sent".

    Xero then shows this error message:
    "Credit note wasn’t marked as sent.
    Editing is not available for credit notes that have invoice allocations or cash refunds applied, so they cannot be marked as sent"

    According to support this is the intentional behaviour.

    When a credit note has been allocated to an invoice or has a cash refund applied, you can only edit certain fields - specifically the Contact, Credit Note #, Reference, Description, Account and Tracking fields.

    Hi Josh, thanks for sharing this suggestion. We understand how Credit Notes not being able to be marked as “Sent” after allocation can create confusion when the document has already been issued.

    Separating the “Sent” status from allocation or edit activity would help keep tracking clearer and more consistent with how the document is used.

    We’ll continue monitoring interest and use cases shared here.

  6. Purpose : Starting september 2026 or 2027 dependng on the size of business, all the invoices for French companies should respect the new legislation for e-invoicing.

    Is Xero planning to be accredited by French admin as a registered software ? (https://www.impots.gouv.fr/liste-des-plateformes-de-dematerialisation-partenaires-pdp-immatriculees-sous-reserve)

    It would be very helpful for all the companies doing business in France.

    Hi everyone, great to see interest building around support for French e-invoicing. As France moves towards new digital invoicing requirements, it's understandable that you'd want a smoother way to manage this in Xero.

    At this stage, Xero’s e-invoicing features are available in AU, NZ, UK, SG, and MY. While expansion to more regions is something we’re actively looking into, this particular request is still in the early stages.

    The idea’s now in Gaining Support. If this would help simplify things for your business, adding your vote or sharing your opinions would help us get a clearer picture of the demand.

    We’ll post updates here as soon as there’s more to share.

  8. I receive Multiple, around 30, monthly invoices from Xero to me for each of my 30 entities.

    They all come to my same email address.

    They are all for my separate different entities.

    I then have to open each email, click on each separate link, and download each separate pdf file of each separate invoice from Xero to each of my entities.

    The common thread in these emails is that they all come to my same email address, at a staggered time over minutes / hours on the same day reach month.

    Hi everyone, thanks for sharing this suggestion. We understand you’re looking for a way to consolidate subscription invoices across multiple organisations, so managing billing records is simpler.

    Having a grouped invoice view could make it easier to review, download, and manage subscription for multiple entities.

  9. The existing CN is being phased out in favour of a new-format CN (now in 2026). It is less user friendly than the old one; there are 2 options to create them as follows.

    1. Using Create & Apply Credit from an invoice automatically applies the full amount without giving you a chance to edit first, requiring you to then un-allocate, edit, and re-allocate.

    2. Creating a blank credit note from the Sales Overview means manually copying line items from the invoice, which is cumbersome with room for manual errors..

    I'd like to create a CN off an invoice, and edit it…

    Appreciate your feedback on the new credit notes experience here, Zoltan. Can see how this would be useful when you need to make a few changes to the credit note that's related to a specific invoice.

    While we don't have immediate changes for this planned we'll start tracking the interest here and can keep yu updated if there's anything in the works.

  10. When viewing the 90-day short-term cash flow projection, payments from our on-site shop show 90 days of predicted income. However, for customers with existing invoices in the system, only those invoices are displayed.

    The issue arises when customers have only 30 or 60 days of invoices, causing a drop-off in the cash projection after 60 days.

    Proposed Solution:

    1. Combine existing invoices in Xero with predictions for future invoices.
    2. Automatically remove these predictions when an actual invoice is entered into the system.

  11. Now that the new Credit Notes have a white background the same as Sales Invoices it can be difficult to differentiate between the two. Can we please have negative symbols added to the Credit Notes to make it easier to differentiate from the Sales Invoices screen.

  12. we have hundred of customers and I sometime mis-spell their names when starting in invoice. Its would nice if an intelligent pop up would come up and say 'Mr Blougs' doesn't exist, did you mean Mr Bloggs? and links straight to it. At the moment it's just an unfriendly 'this contact doesn't exist' or something.

    Thanks for sharing this idea with us. We can see how having smarter contact search when creating an invoice would be helpful, especially when you’re working with a large number of customers and a small spelling mistake makes it harder to find the right contact.

    We’ve reviewed your idea and moved it to Gaining Support. This means it’s now open for other customers to vote on and comment, which helps our product teams understand the level of interest and the impact this has for customers using Xero.

  13. As small market gardeners we currently utilize the invoice and packing slip within Xero which works and works for us well. My suggestion idea is to take the packing slips which identify how many of what items required and collate those into a printable or electronic report (picking slip) which provides a total no. of each of the items within the packing slips over a specified date range. look forward to feedback

    We can see how useful it would be to have packing slips collated into a printable or electronic picking slip that totals the quantities needed for each item across a selected date range.

    We’re going to move this idea to Gaining Support so we can continue to track interest and feedback from other customers who’d also like to see this in Xero.

  14. Consolidated invoices:
    Have a proper feature that allows us to consolidate customer invoices rather than the "copy to" or "merge" as this does not tack the consolidation.
    So the example us Customer A has 15 invoices you bill on 20th of each month but want to consolidate all 15 into 1 invoice to send them with all line items (not statements). Then the 15 invoices consolidated would be zero'd or closed off with a note saying the old invoice reference and where they were consolidated to into the new single invoice.

  15. Invoicing Add Payment - can we please have the add payment option pop up in a separate box like it did before on the new invoicing. Now you have to scroll to the bottom of the page to enter details and add payment, but I have to scroll up to see my invoice number and reference and as I type, it scrolls back to the top.. like you're fighting with something that should be a 2 second job. Why does this need to be on the bottom and why did it change at all?

    Hi everyone, we hear the request for an in-page popup option to add payments, so you can apply payments to invoices without needing to scroll up/down the screen.

    Thanks for raising this Idea with us, we can see the value in having the New Invoice button in a position that is readily available from any part of the invoicing process. We have moved this to Gaining Support so we can track interest, now all you need to do is share with friends and colleagues and get them to vote and comment.

  17. Advance Template. Allow custom fields for advance templates (For all forms). like custom field 1, custom field 2 and custom field 3. So that we can add fields like salesperson name, contacts, terms, etc.

    Hi Choonke thanks for raising this here. We understand the need for having Sales person's fields both on the invoice itself as well as the custom template. We have opened this idea up for the community so they can add their votes and comments on this idea. In the meantime, we'll monitor this space for more traction.

    In the meantime as you've likely noticed, there are placeholders for Statement Balance, Balance With Currency and Symbol, and Balance With Symbol that you might use in the email template.

  19. We would love the option to add a variable FAF(Fuel Adjustment Factor) in the form of an added percentage of the total invoice, to the invoices we send to pur customers. Currently we have to work this out and enter it into each invoice manually which is very time consuming. If you could add a component to your invoicing that included an optional FAF which could work out the percentage for you that would be amazing. Considering nearly every transport and logistics company we know has now added a FAF to their charging due to the recent volitility in fuel…

    Hi Ange, thanks for sharing this idea. We understand that having a quicker way to apply percentage-based charges could help businesses manage invoicing more efficiently.

    The suggestion is to add an option to automatically calculate and apply a percentage surcharge or fee to invoices, reducing the need for manual calculations.

    For now, you can use a separate surcharge item or connected payment settings where applicable to help manage these charges. We’ll continue tracking this idea here so the community can share feedback and use cases to help shape future improvements.


  20. Move the entire template up so the "Bill To", Logo and "Company Info are on the same rows.
    There is too much wasted space up top and could be used for more line items

    Add an option to crunch the line items with none, single or double line spacing between each item listed.

    Thanks for raising this, Kirk. We understand that having more control over invoice layouts can help keep customer-facing documents looking clean and professional.

    The suggestion is to add margin and spacing controls to Standard invoice templates, making it easier to adjust the layout to align the logo with address and company information.

    For now, Advanced DOCX templates can be used when you need more flexibility over formatting. We’ve moved this idea along to continue tracking interest.
