  1. Please make all XERO subscription/billing invocies in XERO as darft under the supplier XERO. It is silly that they are we emailed to the billing a holder and not automatically available within Xero itself.

  2. Hi all,

    I would like to float the idea of including an 'Order' button/tick box on the invoices.

    The 'Order' flag would indicate that this Invoice is still 'In progress' and has not been fulfilled. In this situation the invoice has been created as the Quote has been accepted, however the invoice is not sent for payment until the order has been completed. This would also mean that this invoice is not included in the statement that is sent to the customer..

    This would help with the customers that have terms and/or have agreed to not pre-pay, however pay on…

  3. Actually Hide the discount from the Customer on the invoice.

    I DO NOT want the customer to know his discount, so if I select 'hide' discount it should not be displayed on invoice, or you should clearly say 'not hide'

    XERO Just does weird stuff constantly that makes no sense.

  4. Advance Template. Allow custom fields for advance templates (For all forms). like custom field 1, custom field 2 and custom field 3. So that we can add fields like salesperson name, contacts, terms, etc.

    Hi Choonke thanks for raising this here. We understand the need for having Sales person's fields both on the invoice itself as well as the custom template. We have opened this idea up for the community so they can add their votes and comments on this idea. In the meantime, we'll monitor this space for more traction.

  5. In the previous version of Xero, uploading invoices was much faster and more efficient. When uploading an invoice image, we could immediately select whether it was a Sales Invoice or a Bill from the same screen. This saved time and simplified the workflow.

    Another important feature in the old system was the visual indicator: once an image was uploaded and recorded as a Sales Invoice or a Bill, there was a clear mark showing that the document had already been categorized. This provided transparency and reduced the risk of duplicate entries.

    We understand that the previous single-screen invoice upload process helped with efficiency, and it’s great to hear how it supported your workflow.

    The idea is now in Gaining support, so the community can vote and join the discussion. Adding details about your workflow can help the community see the value and encourage others to share their experiences too.

  6. Move the entire template up so the "Bill To", Logo and "Company Info are on the same rows.
    There is too much wasted space up top and could be used for more line items

    Or

    Add an option to crunch the line items with none, single or double line spacing between each item listed.

  7. Once upon a time when we used TAS for our bookkeeping services, they had a very useful feature when processing recurring journals. We could choose separately months to correspond to the days clients being charged for. For example, we would pick January, March, May, July, August, October, December to process invoices for 31 days; February for 28 days; and April, June, September, November for 30 days. Once you have that set up initially, you don't have to think about adjusting recurring journals every month. At the moment, it takes me about half a day just to update over a hundred…

    Hi Anna, thanks for sharing your idea, and letting us know the changes that matter most for you. We understand that having more options in terms of how often the journal should be repeated would be helpful and prevent extra admin. We'll open this up for the community to share their thoughts and vote on it. In the meantime, we'll monitor this space for traction.

  8. The existing CN is being phased out in favour of a new-format CN (now in 2026). It is less user friendly than the old one; there are 2 options to create them as follows.

    1. Using Create & Apply Credit from an invoice automatically applies the full amount without giving you a chance to edit first, requiring you to then un-allocate, edit, and re-allocate.

    2. Creating a blank credit note from the Sales Overview means manually copying line items from the invoice, which is cumbersome with room for manual errors..

    I'd like to create a CN off an invoice, and edit it…

    Appreciate your feedback on the new credit notes experience here, Zoltan. Can see how this would be useful when you need to make a few changes to the credit note that's related to a specific invoice.

    While we don't have immediate changes for this planned we'll start tracking the interest here and can keep yu updated if there's anything in the works.

  9. Invoicing Add Payment - can we please have the add payment option pop up in a separate box like it did before on the new invoicing. Now you have to scroll to the bottom of the page to enter details and add payment, but I have to scroll up to see my invoice number and reference and as I type, it scrolls back to the top.. like you're fighting with something that should be a 2 second job. Why does this need to be on the bottom and why did it change at all?

  10. When I import invoices from a CSV, they can often be really big (900-1500 lines). It tells me if I am going to create a new item. It would be helpful if it would tell me which SKU it is going to create so that I can go to my CSV and check if it is actually a new item or if there is just a typo in one of my SKUs.

  11. If a credit note has been applied to an invoice, Xero blocks us from marking the credit note as "sent".

    Xero then shows this error message:
    "Credit note wasn’t marked as sent.
    Editing is not available for credit notes that have invoice allocations or cash refunds applied, so they cannot be marked as sent"

    According to support this is the intentional behaviour.

    When a credit note has been allocated to an invoice or has a cash refund applied, you can only edit certain fields - specifically the Contact, Credit Note #, Reference, Description, Account and Tracking fields.

  12. We would like the ability to preview the Credit Note BEFORE saving it as a Draft.

    Currently, the only option to preview a Credit Note is to save it as a Draft and then use the "Print PDF" option to open a preview.

    Instead, we would like an option where we're able to view a preview when creating the Credit Note.

    Purpose: To be review the Credit Note for mistakes before officially saving it.

  13. Invoices - Awaiting payment

    When clicking on invoices, it would be helpful to be able to select a default invoices tab I would like to land on. This feature is available for Bills and the user is able to select the 'Awaiting payment' tab as a default.
    In the interest of having easy access and a quick view on which customers have not paid, it would be beneficial to introduce this feature.

If you navigate through the main menu, the Invoices or Bills pages always default to the All tab, but clicking Invoices owed to you or Bills you need to pay from the dashboard takes you directly to the Awaiting Payment tab. As noted by others in this thread, one option for now is to bookmark the Awaiting Payment tab directly from your browser. Our product teams are continuously reviewing all the feedback on the Xero Product Ideas portal.   14. Now that the new Credit Notes have a white background the same as Sales Invoices it can be difficult to differentiate between the two. Can we please have negative symbols added to the Credit Notes to make it easier to differentiate from the Sales Invoices screen.

  15. Suggestion: Additional Date Field for Bills (Invoice date vs Posting date)

    I recently started using Xero and I have been really enjoying the simplicity and usability of the platform so far.

    I wanted to share a suggestion regarding the "Date" field when entering bills. Currently, there appears to be only one date field, which can be interpreted either as the invoice date or the posting (accounting) date depending on internal company practice.
    From an accounting and reporting perspective, it would be very helpful to have two separate fields (Invoice and posting Date). Benefits are:

  16. we have hundred of customers and I sometime mis-spell their names when starting in invoice. Its would nice if an intelligent pop up would come up and say 'Mr Blougs' doesn't exist, did you mean Mr Bloggs? and links straight to it. At the moment it's just an unfriendly 'this contact doesn't exist' or something.

  17. When adding a new contcat from within an invoice, it would be useful to be able to add the contact first/last name. Currently you can only add the business name, email, phone number and addresses. That means unless you open up the new contact in a separate page to add in the contact first/last name (which is time consuming), then when the invoice is completed the email cant be addressed to the person's name. Would be much simpler to have first/last name field within the new contact section of the invoice.

  18. Invoice reminders are currently "all or nothing". I dont want to chase my good clients with automated messages from Xero becuse it upsets them but I do want some of my clients to have auto reminders about invoices about to become due and invoices overdue, those who generally are bad payers. In the same way we have email and invoice templates can we have invoice reminder templates and when we raise an invoice be prompted to apply a reminder template (or not). Or can the template for reminders be part of the customer financial details, in the way we can…

It would be great to have the option to have both a billing address and delivery address both on an invoice. for example we do work for real estate and need to have both the real estates business address on an invoice but we also need the address of where the residental work was completed. at the moment we are just putting it in the description box along with a description of works completed

  20. Instead of a search button, the search field should be displayed by default and the cursor should default to that field. That way we can just type our search terms without first clicking on a button or a field.
