Ink saver invoice template
We request that Xero creates an Ink Saver template within Xero.
We do not want to use a DocX template to achieve this as not all businesses use Microsoft.The new invoice template that Xero has launched uses excessive bold text and a thick black line at the base of each invoice. This drains a lot of ink from printer cartridges causing an unnecessary cost to business and the environment.
An Ink saver invoice template should be built into Xero as a base option or selectable option and that would be very popular for Xero customers who:

Invoice Reminder - Prevent invoice reminder when a matching bank statement line is detected in Xero
A related problem is the risk of customers receiving reminders despite payment having already reached the bank but not yet having completed Xero's reconciliation workflow.
Requested improvement:
If an incoming bank transaction is clearly matched to the invoice, payment reminders should at least be suspended pending reconciliation.2 votesThanks for sharing this suggestion, Daniel. New Invoicing - Consolidated invoice process voiding the original invoices automatically
Consolidated invoices:
Have a proper feature that allows us to consolidate customer invoices rather than the "copy to" or "merge" as this does not tack the consolidation.
So the example us Customer A has 15 invoices you bill on 20th of each month but want to consolidate all 15 into 1 invoice to send them with all line items (not statements). splitting quantities of billable expenses when applying to invoice
Please could we have the option to add billable expenses to a customer invoice by quantity.
At current we have to assign the billable expenses as a whole, or not at all. Yet we sometimes hold items in stock for clients which are then billed at different dates, however once they have been assigned to the initial invoice we can no longer see the remaining stock on hand under the billable expenses list, unless we manually split it on the purchase invoice This only works if we know the quantities ahead of time, which we usually don't. The idea is to allow only part of a billable expense quantity or value to be applied to an invoice, making it easier to distribute costs across multiple invoices, customers, or projects without needing to manually track the remaining balance.

the new standard bill template
Revert the new standard bill template to the old layout so the amounts on the Invoices are net of VAT, and the poor people who have to process your subscription invoices don't have to waste time checking figures when subscriptions have to be recharged. It is already time-consuming when you have to deduct the subscriber discount.
Do you have an accountant or bookkeeper review the design before releasing it into the wild?

Invoice - Send and receive PDF attachments automatically via Xero Network
Xero Network - include PDF on invoices sent through Xero Network when those invoices are raised every month from repeating transactions and sent automatically
Currently, only the invoices raised manually have the PDF attached if raised manually, but not on the ones that are auto posted. Its time consuming to then have to download each one and then go to multiple companies to add it

Subscription Billing - Provide consolidated or grouped monthly invoicing for multi-organization owners
I receive Multiple, around 30, monthly invoices from Xero to me for each of my 30 entities.
They all come to my same email address.
They are all for my separate different entities.
I then have to open each email, click on each separate link, and download each separate pdf file of each separate invoice from Xero to each of my entities.
The common thread in these emails is that they all come to my same email address, at a staggered time over minutes / hours on the same day reach month.

Invoice | Auto pay - control emails sent to customers
All my clients are on recurring invoices. Every month they get an "Invoice Due" email & then 5 hours later they get a Payment Receipt email. Why is Xero REMINDING my clients that they are paying me money? I have over 30+ expenses on autopay on my credit card. I'll re-open and have slightly adjusted the title of your idea so we can begin to get a sense of the interest in having more control of the emails that are sent for auto pay invoices and payments.
Being open, right now this isn't something we're looking to support with this being a regulatory obligation in some regions. However we can continue to track interest here and share if there are any changes planned around this flow.

Attachments - Allow xlsm (Excel Macro-enabled Workbook)
I have to attach and include my back up when sending invoices.
Some of the back up is in .xlsm format (Excel Macro-enabled Workbook).Currently Xero won't allow attaching these: "File type isn't supported. Update it, then try again."
So I have to open and resave each document before I can attach, which is an unnecessary extra step in the process. It would be much more efficient to be able to attach the original document.

Keep features and page layout consistent throughout different screens
This is not just an invoicing issue, but there is no option to choose everything.
The Invoice, Quotes, Bills and Purchase order pages all have differing layouts and features available.
For ease of use and continuity, why do all the pages not have the same layout and functionality?
I don't understand why all the services don't have the same features. You can do something in quotes, that you cant do in invoicing. Like dragging and dropping text, you can do it in quotes so surely it can't be that hard to make it available in invoicing again as well, like…

We’re continuing to think carefully about consistency across the actions and layout of our features as the product evolves, especially as more shared components (like the table used across invoices, purchase orders, bills, and quotes) are introduced into the new experiences.
That said, each feature also has its own distinct needs. While the new experiences across these pages will feel similar, there will be differences designed specifically to support the users and workflows for each one.
Although we’ll move this idea to Not in Pipeline as it’s too broad in scope, I do want to acknowledge that creating a more succinct and harmonised experience across features is very much top of mind for our product teams.

Malaysia eIvoicing - Default MyInvois Recipient Email for Malaysian e-Invoicing
We are a Xero user based in Malaysia and would like to submit a feature request regarding the Malaysian e-Invoicing process.
Currently, whenever we issue an Invoice, Debit Note, or Credit Note to a customer that has a valid Tax Identification Number (TIN) and Classification Code, we are required to manually add MyInvois@invoi.ci as a recipient email each time before sending the document. This manual step is repetitive and increases the risk of human error.
We would like to request that Xero automatically populate MyInvois@invoi.ci as a default recipient email (under the BCC column) for customers who have:

Advance Template. Allow custom fields for advance templates (For all forms). like custom field 1, custom field 2 and custom field 3. So that we can add fields like salesperson name, contacts, terms, etc.

Multicurrency - Use buy/sell exchange rates instead of mid-rate
Use buy/sell exchange rates instead of mid-rate when generating invoice items from bill items that have been assigned to a customer.
Currently when entering a bill in foreign currency you have ability to assign the expense to a customer.
When generating a corresponding invoice the mid-rate from XE.com is used to convert the bill item FX amount into home currency. The mid-rate is always inherently wrong, as nobody has the ability to buy or sell currency at that rate.
This means that we have to manually find the correct buy exchange rate, do a calculation and then change the amount…
3 votesHi Ashlin, thanks for sharing this idea. We can see how having the option to use buy and sell exchange rates, rather than a mid-market rate, could provide more accurate foreign currency reporting for businesses that transact internationally.
Currently, Xero uses a mid-market exchange rate by default, although you can manually override the exchange rate on individual foreign currency invoices and bills when needed.

Invoicing - Allowing GST inclusive and exclusive per line
Allowing GST inclusive and GST exclusive options for all line items on an invoice.
This is an option when raising a payment in the system, where you can nominate whether a line item is either GST inclusive or exclusive.
On a invoice, it a blanket option, sometimes when you are on-charging an item and also charging a internal item and they might have different GST inclusion or exclusions

Invoices - View Inventory availability when selecting item
It would be very helpful to be able to see the availability of inventory items when raising an invoice or quote.
I know this is possible once an item has been selected but it would be even better to see availability of all the items on the suggestions list, in order to select only available items.3 votesHi Peter, appreciate your suggestion. We can see how displaying available stock levels while selecting tracked inventory items on an invoice could help users confirm availability before adding the items to the invoice.
At the moment, you can view stock on hand from the Products and services list, and Xero will also warn you if the quantity entered on an invoice exceeds the available tracked inventory. However, having this information visible during item selection could help streamline order entry and reduce the need to switch between screens.

Invoicing - Ability to add multiple contacts or party details to sales invoices
Xero currently allows one primary customer/contact on an invoice, but many maintenance businesses work with multiple parties on the same job.
A common example is a rental property maintenance workflow:
Bill To: Rental agency / property management company
Property Owner: Landlord / client
Tenant: Occupant of the property
Service Address: The physical address where the work was completed

AI everywhere - Use AI to add details on bills uploaded to Files
Many of my clients upload supplier invoices directly to Xero, where they appear in the Files section.
Currently, when selecting an uploaded invoice and choosing Add to new → Bill, Xero creates a blank bill rather than extracting and pre‑filling the invoice details. In contrast, invoices received via Email to Bills are automatically processed and prefilled using OCR/AI.
It would be extremely helpful if invoices uploaded to Files could be processed in the same way, allowing Xero to prefill a new bill using AI or OCR.
