  1. Move the entire template up so the "Bill To", Logo and "Company Info are on the same rows.
    There is too much wasted space up top and could be used for more line items

    Or

    Add an option to crunch the line items with none, single or double line spacing between each item listed.

    Thanks for raising this, Kirk. We understand that having more control over invoice layouts can help keep customer-facing documents looking clean and professional.

    The suggestion is to add margin and spacing controls to Standard invoice templates, making it easier to adjust the layout to align the logo with address and company information.

    For now, Advanced DOCX templates can be used when you need more flexibility over formatting. We’ve moved this idea along to continue tracking interest.

  2. All my clients are on recurring invoices. Every month they get an "Invoice Due" email & then 5 hours later they get a Payment Receipt email. Why is Xero REMINDING my clients that they are paying me money? I have over 30+ expenses on autopay on my credit card. Not one company goes out of their way to reminder me that I am paying them money. But Xero not only tells my clients that they've paid me "another" $1,000 this month, but they tell my client TWICE.     Hi Sal, appreciate you raising a case with our support team about my response and understand where I have misinterpreted your idea (apologies for this).

    I'll re-open and have slightly adjusted the title of your idea so we can begin to get a sense of the interest in having more control of the emails that are sent for auto pay invoices and payments.

    Being open, right now this isn't something we're looking to support with this being a regulatory obligation in some regions. However we can continue to track interest here and share if there are any changes planned around this flow.

    Appreciate hearing how we could improve invoices for your use and to help items of your invoice stand out to customers, Lynda.

    This isn't something we have direct plans of at present but we'll start to feel out the interest from others in community here and can let you know if there are any updates around this.

  5. Notify the client that a Customer has reached (or is reaching) their credit limit automatically via email - the prompt when invoicing is useful but when doing a virtual finance function for a client, an automatic notification to be produced when a customer is reaching the credit limit would be beneficial and would reduce the need for additional external communication

  6. Your NEW credit note is no use to us as it does not show the client account number (not the bank the contact account number). If you are re-designing a layout at least keep the info you could previously see! Update before this is mandatory please

    Hi community, we appreciate the continued traction this idea's received, and do want to provide clarity and set expectation.

    Your feedback has been valuable in understanding the needs of using description only lines to; add subheadings, provide context for grouped charges, and ensure your invoices are easy for your clients to read and understand.

    To reconfirm, atm - You can add one-off description only lines as you enter an invoice. However, if you add detail to any other field the line will be treated as a 'financial' line and you'll need to include Qty, Unit price, Account and Tax rate.

    • We know some users have set up and saved inventory items for description only lines they commonly use, however as the item code field is used for inventory items the line of the invoice is treated as 'financial' meaning you'll then need to include Qty, Unit price, Account and Tax…
  8. Invoices - Please could we have an option for due date to calculate 45 after the invoice date and then end of the month? EG invoice date 1st May 26, due date is 1st May 26 plus 45 days = 14th June, EOM = 30th June (due date). This is a common way to calculate due date in Southern Europe. Thank you!

  9. Currently, there is no path to follow to an overpayments origin. We need to be able to see which transaction this overpayment came from when there is disputes over the account.

  10. Hi all,

    I would like to float the idea of including an 'Order' button/tick box on the invoices.

    The 'Order' flag would indicate that this Invoice is still 'In progress' and has not been fulfilled. In this situation the invoice has been created as the Quote has been accepted, however the invoice is not sent for payment until the order has been completed. This would also mean that this invoice is not included in the statement that is sent to the customer..

    This would help with the customers that have terms and/or have agreed to not pre-pay, however pay on…

  11. I want to delete a number of invoice templates in Xero as the bank accounts relating to these templates are closed and we no longer require the invoice templates. I'd like to be able to do this cleanly without having to 'delete and replace'. I simply want to delete an invoice template without having to replace it with another invoice template that is unrelated. My methodology is to clean up, remove and simplify the invoice template options.

    In the meantime as you've likely noticed, there are placeholders for Statement Balance, Balance With Currency and Symbol, and Balance With Symbol that you might use in the email template.

  13. Many of my clients upload supplier invoices directly to Xero, where they appear in the Files section.
    Currently, when selecting an uploaded invoice and choosing Add to new → Bill, Xero creates a blank bill rather than extracting and pre‑filling the invoice details. In contrast, invoices received via Email to Bills are automatically processed and prefilled using OCR/AI.
    It would be extremely helpful if invoices uploaded to Files could be processed in the same way, allowing Xero to prefill a new bill using AI or OCR. This would avoid the need to ask clients to change the email address they…

    Hi Craig 👋, we've recently introduced Smart Document Capture which will achieve what you're after here!

    Once you upload files Smart Document Capture will be able to analyse and create transactions on your behalf including invoices, bills, spend and receive monies.

    This feature is currently available to all regions except NZ and AU which will be coming soon. 😊

    I'll keep you updated once it's available to all users.

  14. When copying an existing invoice, i.e. for a subscription renewal, it retains the expected payment date from last year's invoice (which was input when we received a remittance advice for that particular invoice from the customer). Retaining it in the newly copied invoice is really unhelpful because it is no longer applicable, the new invoice does not have an expected payment date from a year ago! I appreciate it is easy to remove but you have to remove it from each and every invoice from the awaiting payment tab, which is incredibly frustrating and unnecessarily time consuming when you have…

    Thanks for taking the time to share this with the community. We understand the request for copied bills to leave the Expected Payment Date blank by default. This could help streamline data entry and reduce the chance of outdated dates being carried over.

    For recurring purchases, Repeating Bills may be a useful workaround, as each new bill is created from the template rather than copied from a previous bill.

  15. On the Products and services form/screen, have the ability to show and filter the Purchase and Sell tick boxs.

    Hi Roy, thanks for sharing this idea. We can see how having more flexibility in the Products and Services list view, including the ability to customise or add columns, could make it easier to review item details at a glance.

    At the moment, additional item information can be accessed by opening individual records or exporting the list to CSV for review in a spreadsheet.

  17. I have to attach and include my back up when sending invoices.
    Some of the back up is in .xlsm format (Excel Macro-enabled Workbook).

    Currently Xero won't allow attaching these: "File type isn't supported. Update it, then try again."

    So I have to open and resave each document before I can attach, which is an unnecessary extra step in the process. It would be much more efficient to be able to attach the original document.

    🌟 Thanks so much for sharing this idea, Larissa. I can appreciate how frustrating it must be to have to duplicate a contact or create manual statements just to manage separate projects under the same customer.

  19. This is based on an actual example.

    I had an invoice for around $15000 which consisted of around 10 line items. It appears Xero calculates GST per line item which is rounded (which is fine) and then for the total at the bottom appears to add up the rounded line items. What this meant in my case was that the GST total was 1 cent out where on my invoice it showed $2037.59 and on the purchase order I had it was $2037.58. The latter was the correct amount.   20. In working with a client who uses Xero as their invoicing system, we’ve identified a practical workflow gap that may affect many small manufacturers and custom-service businesses.

    The business does not operate a traditional point-of-sale system. Instead, they produce custom, made-to-order items such as signage and magnets for walk-in customers.

    These transactions typically involve:

    minimal customer details

    immediate payment on collection

    Thanks for sharing this suggestion, Anzelle. For businesses handling walk-ins or one-off custom work, creating a new contact for each interaction can add extra records to manage. A way to generate temporary or single-use invoices without saving a permanent contact could help support simpler record keeping while still allowing proof of payment.
