  1. There is multiple quotes that i want to search by "CITY", but it seems that it is not possible.

  3. At the moment, the options for quote status are: Draft, Sent, Declined, Accepted, and Invoiced. A sales quote that was sent but it's now past the date on which it expired still shows as Sent. It hasn't been Declined yet, but nor has it been Accepted, so there are quotes which are 4 years old still sitting in the list of valid quotes (see attached extract from the accounts of one of my clients). There needs to be another category for quotes which are old but which the customer may want to revisit (and therefore would be more efficient to…

  4. In addition to the existing quote tabs, add an On Hold status. It does not need a separate tab. The quote can stay on the Sent page with a clear visual indicator like a dot, icon, or color tag showing it is on hold. This would cover quotes that are not ready to proceed or are conditionally approved but not fully approved, without marking them as accepted. Although the notes section is quite handy, I believe having some sort of visual impact will increase the users' efficiency. :)

  5. When we create quotes for a lot of our customers we want to include a few different documents with the quote without having to manually attach it to the quote. We want to add documents like product offering, pricing sheets, terms of sale etc. below the initial quote. We want to do this by selecting a branding theme which will automatically populate the template with those extra documents for us

  6. "Copy to draft quote" to copy ALL details from the invoice.

    Currently, when a new quote is created from and invoice using "Copy to draft quote", not all details are copied form the invoice.
    For example, the currency is not copied from the invoice but from the customer's default currency (which may be different than the invoice's); I am not aware whether other parts of the invoice are not brought over to the quote.

    I contacted support who confirmed that this is a feature - it is actually done on purpose.

    I think this is in fact a bug and…

    Thanks for sharing your feedback on this. We understand why it would be helpful to have complete confidence that all details carry over when copying an invoice to a draft quote. At this stage, we’re going to move this idea to Gaining support so we can continue tracking interest and better understand how many customers this impacts and the specific details they expect to be copied across. While we can’t commit to any changes right now, your feedback is valuable and helps inform how we assess possible improvements in this area 🙂

  7. Currently Quotes are not able to be sent directly for e-sign acceptance (i.e. clients will need to print physical copy of quote, sign and email back unless they have access to adobe sign). It would be an improvement if quote can be sent to Xero Sign for signing and audit trail. Alternatively, it would also be great if clients can accept/decline from the quote email.

  8. When your quote involves different vendors, it would be nice to have the option to create POs with a click of a button for all the vendors but because you can't specify a vendor for each item then at least let us select the line items. Also very important, any additional information that was added to the description during the quote / invoice process should be carried over to the PO.

  9. In app version, when we click omn Quotes then we see 2 options to choose- numer of quotes sent & number of quotes to invoice.
    When we click on number of quotes to invoice then we see all the quotes converted to invoice. But they appear as increasing order means oldest quote on top, we should have option to change the order i.e newest quote on top.

  10. Quote- Multiple formatting options in the "Summary" section.

    In the service delivery business the quotation is also your proposal. Having the ability to use bulleting or numbering as well as bold text or underlining would greatly improve the look and feel of your proposal when the "Summary" section is used to describe and summarize the work or project you are quoting on.

  11. Hi, I would like to be able to complete quotes correctly please. So for example, QU-6767 was accepted by the customer. The customer later decided that only one line of the quote was required, which was invoiced. I would now like to mark the remaining part of the quote as declined.

    It would therefore be helpful to have more options for the quotes system, to be able to mark the quote as partially invoiced and the remaining as declined, even after the quote has been accepted.

    I create monthly reports of accepted, declined and invoiced quotes. It would be helpful…

    Thanks for taking the time to suggest how Xero could better support sending quotes and invoices to multiple contacts.

    As you may be aware, you can currently create invoices for contact groups and these can be sent in bulk from the invoice overview page. However, this functionality is currently not available for quotes.

    Hi Danielle, when you say you'd like to post an application. Could quotes potentially be a fit for this purpose here? Otherwise could you share a bit more detail on what would be needed to record the application in Xero.

  14. IT would be really good to have the capability to add 'optional' items to a single quotation -

    • example #1: supplying in quantities of 10, 25 and 50,
    • example #2: there are five items in the 'basic quote' but the customer may choose to add items 6,7 and/or 8 but these aren't a fundamental requirement to include.

    If there is a quotation tool, then being able to offer customer flexibility is important as issuing multiple quotes can appear unprofessional

  15. I note there are repeating (aka recurring) invoices and bills.
    I would like repeating quotes as well because every year, we issue a quote to some of our clients for maintenance agreements or hosting agreements. It is basically the same quote every year except that the amounts are adjusted for CPI

  17. BETTER WORKFLOW FOR QUOTES/DELIVERIES/INVOICING:
    If we could get the actual flow for how the paperwork per Job can be produced!

    1.I always start with a QUOTATION: this doesn't always need to be sent to a customer at all as it could be raised by way of a telephone conversation, etc,et. This is logged as a Job manually in a Workbook.
    2.If the customer agrees and some do use PO numbers then when we go to accept/confirm, this is when we need the ability to enter Their PO number or some other confirmation that can be proved, this may take the…

    Hi team, appreciate the stepped out process of what you're needing here and the gaps that currently exist that you'd like us to fulfil to improve processing jobs for your business with Xero.

    Atm, there is no sales order type document that can be the bridge between a Quote and Invoice in Xero. An option would be to add the Customers purchase order number to the reference of the Quote or as an additional note however appreciate this does won't suffice for everyone's workflows.

    Being open here we don't have any plans for this in the short term, however will continue to keep a pulse on the support here and share if there are any updates.

  18. Make the functionality of quotes similar to invoices, e.g. import quotes, bulk approve quotes, bulk send quotes. I recently had to send out 417 quotes for the same thing and they had to all be done individually which was extremely time consuming. If they had been invoices, I could've imported them on a spreadsheet, approved them all at once and sent them all at once. Instead each one had to be done individually.

    Appreciate your liking to invoices in Xero, Angela. Each functionality would need to be considered in isolation so I've changed the title of your idea here for bulk sending.

    We don't have any direct plans for this right now, but we'll begin to get a sense of the interest and keep you updated of any change, here.

    You'll find an existing idea for import/export of quotes that you may like to join as well. If there's any other feature like this that you'd like to see welcome to start another idea. 🙂

  19. I am trying to archive legacy quotes - I have followed your instructions but when I highlight the selected quotes, there is no option button for archive?

    We want our quotes section to a more true reflection of the current business activity but at the same time do not want to have to delete legacy quotes. There is a need to archive similar to Inventory feature.

When checking information on the inventory screen it would be extremely helpful if you could click on the 'In committed quotes' or 'Quantity on order' to see the customer or supplier to which they are assigned. Sometimes I need to chase a supplier for parts but have to waste time trawling through the purchase orders to track down who they have been order from. Likewise it would save time to be able to go straight to the customer quoted once an item has been received.
