Currently you can only search for Quote No. Reference and Customer

"Contact merchant" feature uses the organisation's reply-to email instead of the creator's login email
When customers go into the quote link in the email and click "Contact merchant" feature it uses the creator's login email instead of the organisation's reply-to email.
It would be better if the organisation's reply-to email is there instead to keep it private, or a function to disable this to prevent the log-in email from being used by customers

Quotes - Preserve spaces and special characters in default PDF export filenames
Default "Print PDF" filename for Quote PDF documents should not have spaces and dashes removed from the Quote number text before forming the document file name.
Example: If I enter "Q-5678-9 123 Fail St" into the Quote number field, Xero "grooms" the PDF file name text to be "Quote Q56789123FailSt.pdf"
This creates unnecessary additional work to un-groom the file name every time a quote is printed to PDF.
By comparison, this unnecessary false grooming does not take place when using the Print PDF function for a Xero Invoice.

Keeping spaces and hyphens in quote PDF filenames could make downloaded files easier to identify and manage, particularly when saving or sharing multiple quotes.

Treat Invoices quotes and proformas the same for entering
Invoices / Quotes / Proformas all need to be exactly the same, and how you enter them exactly the same.
All we need is the ability to store them and use them different.
For example, a customer wanted a quote, and that needs all the details (except their order number) as a Pro-Forma or an Invoice.
The Quote does not show the customer delivery details when you are entering a new customer [see below] so I had to go all around the houses to enter it, and then I had to print a PDF on the screen just to make…1 voteHi 👋 your idea is being looked into by our Community team. Xero Accounting App - Add/edit contact VAT numbers on mobile app
Please allow for the loading of a VAT number on the App. We are a mobile business that doesn't always have access to a PC

Quote - "Copy to draft quote" to copy ALL details
"Copy to draft quote" to copy ALL details from the invoice.
Currently, when a new quote is created from and invoice using "Copy to draft quote", not all details are copied form the invoice.
For example, the currency is not copied from the invoice but from the customer's default currency (which may be different than the invoice's); I am not aware whether other parts of the invoice are not brought over to the quote.I contacted support who confirmed that this is a feature - it is actually done on purpose.
I think this is in fact a bug and…

At this stage, we’re going to move this idea to Gaining support so we can continue tracking interest and better understand how many customers this impacts and the specific details they expect to be copied across. Quotes - Update quote after invoicing backorder
When invoicing from the quote have the quote be updated after what was invoiced just like how the feature is for the purchase orders

Quotes - Increase font size for line item grid
Please change the font size back to the larger size in the quoting & invoicing where the line item entry section on the quote/invoice edit screen, where the Description, Qty and Amount fields appear smaller than the other fields at the top of the page.
The larger size the same as the reference/date fields was much better.
3 votesHi Sharna, we understand you’re looking for the ability to increase or scale the font size within workspace grids, so line items are easier to read when working with detailed data.
Having adjustable text sizing could help improve readability and make it more comfortable to work through longer lists of items.

Xero Accounting App - ability to delete quotes
Make all features available on phone app that are available on pc / laptops.
There’s various basic functions that cannot be done on the Xero app designed for phones. Many small business users who are on the road for work want to action expenses and invoices as they go and have the same functionality on their phone as the laptop. Features are currently missing e.g:
- adding a discount to an invoice
- adding a category
- deleting a quote

Quotes - Ability to search or filter the quotes list by customer City or Region
There is multiple quotes that i want to search by "CITY", but it seems that it is not possible.
Can someone guide me how to action this?

Quotes - New Status for quotes on hold
In addition to the existing quote tabs, add an On Hold status. It does not need a separate tab. The quote can stay on the Sent page with a clear visual indicator like a dot, icon, or color tag showing it is on hold. This would cover quotes that are not ready to proceed or are conditionally approved but not fully approved, without marking them as accepted. Although the notes section is quite handy, I believe having some sort of visual impact will increase the users' efficiency. :)

Quotes - Move quotes to an expired status after expiry date
At the moment, the options for quote status are: Draft, Sent, Declined, Accepted, and Invoiced. A sales quote that was sent but it's now past the date on which it expired still shows as Sent. It hasn't been Declined yet, but nor has it been Accepted, so there are quotes which are 4 years old still sitting in the list of valid quotes (see attached extract from the accounts of one of my clients). As with invoices could you add this function to quotes as well to make things easier

XPM - Integrate Quotes with Xero Sign for e-signatures
Currently Quotes are not able to be sent directly for e-sign acceptance (i.e. clients will need to print physical copy of quote, sign and email back unless they have access to adobe sign). It would be an improvement if quote can be sent to Xero Sign for signing and audit trail. Alternatively, it would also be great if clients can accept/decline from the quote email.

Quotes / Invoices - Select which lines to copy to a new transaction
When your quote involves different vendors, it would be nice to have the option to create POs with a click of a button for all the vendors but because you can't specify a vendor for each item then at least let us select the line items. Also very important, any additional information that was added to the description during the quote / invoice process should be carried over to the PO.

Xero Accounting App - Ability to sort quotes order
In app version, when we click omn Quotes then we see 2 options to choose- numer of quotes sent & number of quotes to invoice.
When we click on number of quotes to invoice then we see all the quotes converted to invoice. But they appear as increasing order means oldest quote on top, we should have option to change the order i.e newest quote on top.3 votesThanks for sending through your idea and highlighting what’s important to you.

Quote - Formatting options in summary section
Quote- Multiple formatting options in the "Summary" section.
In the service delivery business the quotation is also your proposal. Having the ability to use bulleting or numbering as well as bold text or underlining would greatly improve the look and feel of your proposal when the "Summary" section is used to describe and summarize the work or project you are quoting on.

As you may be aware, you can currently create invoices for contact groups and these can be sent in bulk from the invoice overview page. However, this functionality is currently not available for quotes.

Quotes - Add optional items
IT would be really good to have the capability to add 'optional' items to a single quotation -
- example #1: supplying in quantities of 10, 25 and 50,
- example #2: there are five items in the 'basic quote' but the customer may choose to add items 6,7 and/or 8 but these aren't a fundamental requirement to include.
If there is a quotation tool, then being able to offer customer flexibility is important as issuing multiple quotes can appear unprofessional
