It's surprising to me that Xero doesn't offer this. We already have invoice reminders, surely it's possible to have customisable payment plans with reminders to clients?
Example; I invoice Don and Cindy for $3500.00. They have to pay a deposit of 30% to secure services, leaving $2450.00 owing. Their event/job is 18 months away, and I want to divide their remaining invoice into 5 equal chunks = $490.00 paid every 3 months, or whatever period is suitable.
The invoices can use the already existing reminder system, but it needs to be expanded and have specific amounts tied to…

Repeating Manual Journals - Provide more frequency options
Once upon a time when we used TAS for our bookkeeping services, they had a very useful feature when processing recurring journals. We could choose separately months to correspond to the days clients being charged for. For example, we would pick January, March, May, July, August, October, December to process invoices for 31 days; February for 28 days; and April, June, September, November for 30 days. Once you have that set up initially, you don't have to think about adjusting recurring journals every month. At the moment, it takes me about half a day just to update over a hundred…

Sales Overview - Add Valuation document
It would be most helpful to have a valuation format ( which for my construction business sits between the ( Quotation & invoicing documents that Xero have delivered perfectly)
This would require a % of the line item “ as defined in the quotation document” this value / % would increase as the project progressed.
Is this something that could be accommodated?? For a 50 something builder with limited I.T experience Xero has proven to be user friendly and very efficient tool. Thank you!!! Xero bundles Hubdoc with its product, and Hubdoc is an excellent way of managing supplier invoices. Send a PDF attachment to the Hubdoc email address and it can be processed, reconciled, and retained as a proper PDF record.
So why is Xero, of all the services I use, one of the few that does not seem to give me the option to receive its own invoices as PDF attachments?
Instead, I have to click a link, open the invoice, download the PDF manually, and then send it on to the very document-processing system that Xero itself provides.

When I create invoices, Xero uses the first name field of the primary person in the contact record as the name after “Dear”. I create my contacts by importing them from another system via CSV, but there does not appear to be any way to populate that field automatically on import. That means I have to manually edit the contact in Xero every time I create a new one.
As a developer, I cannot begin to explain how irritating that is when you are doing it for the 200th time.

Reporting - P&L to allow "Compare With" periods by single tracking category
Currently the moment I select a tracking category to isolate, I am not able to compare to previous periods or add date columns to P&L reports. Am I missing something? This is critical for reporting - thanks :)

Title shows on the Invoice Screen
It would be helpful to have a the title line show on the Invoice list as it does on the quotes screen. This is helpful for when you are trying to find an old invoice without having to click through each individual one.

Invoice Attachments - Ability to add videos
Being able to add a video to the attachments on an invoice so when sending an invoice, you can send a 5-10 second video of a repair or service or what was fixed or item you are invoicing over. Photos are good, but sometimes video is better.

Invoices - Retain and save the selected Account Code on line items with a $0.00 amount or 100% discount
We send out promotional items and invoice these with a 100% discount. When saving the invoice, Xero is not saving the account code that I applied. I've read this is an accounting simplification. We need to see these invoices - is there a workaround?
3 votesHi Vanisha, thanks for sharing this suggestion. Retaining the selected account code on zero-value or fully discounted line items could be useful for reporting and analysis, particularly for tracking promotional or non-charged allocations.
Keeping this mapping in place would help preserve useful context in reporting, even when the line has no financial impact on the ledger.
We’ll keep an eye on the feedback and interest in this thread.

Invoice template - Tax ID displayed under own Company details
The rational of display Tax ID Display Name under the client contact doesn't sounds right as this is the column where we should key in our own company information.
When we using the standard template of Xero for AR Invoice, if there is tax id keyed under client's name, the field of "Tax ID Display Name" will be display under the client name. this sounds weird when I was told to amend the "Tax ID Display Name" which can be found under Financial Setting to something called "TIN Number" or "Tax ID Number" to make the display right.

In the meantime, there is a workaround available using an advanced invoice template (custom DOCX template). This gives you more control over the invoice format, so you can customise how the invoice displays outside of the standard template.

Removal of pre-populating the Who and What fields when reconciling/posting payments - Incomprehensible decision
Xero appears to have stopped pre-populating the Who and What fields when reconciling/posting payments. This is such a backward step in an accounting package that I find it hard to believe anyone asked for it or thought it was a good enhancement idea (and that it took priority over lots of other ideas/changes that would have had merit). Pre-populating saved a huge amount of time and mistakes/inconsistencies e.g. not having to look up the account number where previous similar payments had been posted to; not being able to see a default description that had been used on previous transactions; not…

Repeating invoices created days in advance with future date
I was on Quickbooks Online where the functionality was brilliant to have repeating invoices, but it was sent days in advance.
For instance; I have repeating invoices for more than 150 customers dated on the 1st of the month and due within 7 days from invoice date, however the system was set up to send the invoices 7 days in advance (I was able to manually choose 7 days) dated the 1st of the next month. Essentially, giving all my customers a week's advance notice and usually receive payment long before it is actually due.Would be fantastic if Xero…

Invoices - Add custom fields to display the billing term or service duration
The ability to add custom fields to invoices based on the industry would be a fantastic feature. I have a SaaS client who bills annually that has customers reaching out about adding the invoicing term(number of months) to their invoices. Seems like there have been other ideas submitted based on specific industry requirements.
3 votesWe appreciate the suggestion, Deanne. We understand how being able to add custom field for billing terms to invoices could help provide clearer information to customers and reduce the need for manual descriptions.
Having dedicated fields for service start and end dates could also support businesses managing ongoing contracts, retainers, or deferred revenue workflows.

Credit notes - Preview before saving as Draft.
We would like the ability to preview the Credit Note BEFORE saving it as a Draft.
Currently, the only option to preview a Credit Note is to save it as a Draft and then use the "Print PDF" option to open a preview.
Instead, we would like an option where we're able to view a preview when creating the Credit Note.
Purpose: To be review the Credit Note for mistakes before officially saving it.

Stripe- Bulk Payment for Foreign Currency Invoices
Currently, the bulk payment option through online statements works effectively for invoices in the base currency. However, when dealing with foreign currency invoices, customers are required to pay each invoice individually. This creates additional friction and inefficiency in the payment process, particularly for businesses managing multi-currency transactions.
We would like to propose the development of a bulk payment feature that supports foreign currency invoices as well. This enhancement would streamline the payment process for international customers, reduce administrative overhead, and improve overall customer experience.

Xero Accounting App - ability to delete quotes
Make all features available on phone app that are available on pc / laptops.
There’s various basic functions that cannot be done on the Xero app designed for phones. Many small business users who are on the road for work want to action expenses and invoices as they go and have the same functionality on their phone as the laptop. Features are currently missing e.g:
- adding a discount to an invoice
- adding a category
- deleting a quote

Invoicing - Display customer overdue balance and available credits on Awaiting Approval page
On the awaiting approval invoice page can we get more details for each customer, like any overdue amount and any credit they have in their account. Currently you cannot apply a credit unless you open the invoice. This will save time and errors.

When sending invoices from Xero if there is a delay in the sending of invoices instead of leaving them in the queue as unsent it would be better for them to be moved to a "outbox" or "pending send" so that you can continue to send invoices, or be aware they aren't going to be sent straight away.
