AU Payroll - Schedule superannuation payments
Add in ability to forward date when a superannuation payment is processed. I would like to submit the authority when I review the monthly super but have the payment not made until it is actually due, which would be a date in the future that I enter.
Hi there. With Payday Super changes coming soon, we know many of you will be thinking about how the new super payment timing will work for your business. It’s something we’re keeping a close eye on too.
While this particular idea isn’t currently on our product team’s roadmap, it’s on our radar and we’re actively monitoring the feedback here.

I've just attended the auto super webinar hoping to get clarity on future payment date available for super payment.
How are businesses, bookkeepers and authorised personnel expected to meet ATO-required deadlines when the necessary functionality is unavailable in Xero?
Businesses cannot reasonably be expected to meet statutory obligations when the system required to complete those obligations does not provide the necessary function, particularly where there is no practical alternative.
This is a critical compliance issue and should not be treated as simply a technical inconvenience.
This also has a significant impact on bookkeepers and authorised personnel, who need reasonable time to step away from work, recharge and protect their physical and psychological wellbeing.
They should not be expected to work excessive or unreasonable hours, constantly monitor systems or absorb the consequences of unavailable functionality.
It is a critical function to be addressed when there are alternative systems which can provide that function.

I'm still waiting to hear when this suggestion is going to have traction ie when can a preset a super batch to process on a certain day.
My question of when will Xero timetable this or when will it be able to deliver, a scheduled super batch payment date, was avoided in a super online seminar. -

As a small business I do all the Admin myself so anything to help me to prepare and have less to do on the actual day of processing pay and super would be very helpful. Thanks

This is a critical feature that should be available.
As bookkeepers and business owners, we should be able to take a break or go on leave without having to regularly log in simply to ensure that superannuation payments are processed on time—particularly when there is no one else available to manage the process.
It is unreasonable to expect users to remain connected to the platform during periods of leave because this functionality is not available. Being unable to properly switch off and take a well-deserved break creates unnecessary pressure and limits flexibility for small business operators.
This functionality is already available in Reckon, so I would hope that Xero can introduce a similar feature. Given the importance of ensuring superannuation obligations are paid on time, this should be considered a priority feature.

Being able to approve and schedule superannuation payments ahead of time is going to be critical for us over the Xmas period when there is an office shutdown. Our payroll is weekly and we set up multiple payruns before the shut down. We need to be able to authorise the superannuation at the same time and schedule it to be paid the same date as the payroll. I hope Xero is taking notice and working on this.

Surely you dont need to get hundreds of votes for this product improvement before its considered! There are hundred of bookkeepers who have to preset payments etc on a daily basis for a number of clients. We cannot go back to a clients file on the actual payday just to lodge the super. I have a client who travels who likes to authorise before they go and they are unable to do that either especially if it crosses over into different months or even financial yrs. Xero needs to step up and be the leaders to set the pace with this. Otherwise you are forcing us extra work by having to move to a clearing house that DOES allow predating payment/lodgement of super.
Xmas is fast approaching so this really needs to be underway before then to ensure it works and we have no hiccups as a lot of us will need to predate payments. -

Being able to future date super payments in line with the payroll paid date would be useful. As a small business with part time employees and a monthly payroll paid on the 15th we process our pay and set the payment up in advance in our bank account for the 15th. Our option with super if the 15th lands on an authorisers non work day/unavailable for some reason is to pay the Super early or late and given xero is still taking the full 7 days to clear the payment being late is not really an option so being able to future date the DDR would be useful.

100% agree! We shouldn’t have to rely on another person to approve a super payment. It’s an unnecessary step.
Xero needs to update this function so the funds leave the bank account on the scheduled pay-run date, not the date the payment is approved.

We need to be able to pre-approve the super just the same as we can pre approve all future payday payments to employees so we can go on leave. This feature is imperative and it’s rather backwards that Xero has not yet implemented it

I want to be able to approve it in advance like a set and forget. For example payday is coming out on the weekend this month (first day of the month) and I want to be able to approve the super on the Friday so it’s already actioned before COB. Also i want to be able to do it in an easier way such as on the app or sms approval.

Came to say exactly this, thank you to the first person that raised it.
This is critical for businesses that close over the December/January holiday period where multiple pay runs are pre-loaded to happen automatically.
We pay wages weekly, and this would be critical in our cashflow over that time where funds are sporadic.

I came here to add this exact product idea. Ideally the execution would allow for full flexibility - just add a 'process date' to the super batch approval.
If you have cash to pay it today and you're happy to pay in advance, you can do so. If you want to post-date the super to due date or some other future date, you can select to do so (with eg a drop-down - process now - process on due date - select date).
Even in week to week processes, so many businesses have multi-day approval processes for payroll (eg timesheets submitted Monday, payroll processed Tuesday, payment uploaded Wednesday for payment) and at times even a single day difference between processing and payment uploading can create an end of month, end of quarter or end of year reconciliation mis-match (which is not illegal, but is a complete nuisance).
Obviously as people have noted in other comments, the issue is further exacerbated in businesses where wages may be bulk-processed in advance eg due to annual leave or planned sick leave, or even due to the business arrangement (eg all staff are related parties on salary, bookkeeper only works in the file once a month and processes all payroll in advance for the month).

This is a fundamental issue that should have been done right from the start of payday super, especially to have the payments align for audit and reconciling.
This is also a big concern for small businesses, esp if there's only one payroll person who wants to take leave but also for processing multiple pays in advance over Dec/Jan which also impacts cash flow.

One of my clients has a payrun which is due to be processed (and the super paid) on the 28th December 2026. I would like to pre-process this payrun before I go on holiday, and have the payrun and the super paid on the paydate (or the day after, given the 28th is a public holiday). The pay itself will go through on the day I set; why not the super?

Pay Day Super Scheduling
We need to be able schedule pay day super as we can schedule pays in advance during closedown periods at Christmas. I have contacted support and their answers are NOT practical. I will not be paying all pays in December. I schedule January pays before we close. They also advised to have someone else action the super payments (I will be overseas without a laptop) In our small family business, this is not possible as we are all travelling! This needs to be rectified before we get to the Christmas close down period. I know I am not the only one requesting this, I have seen others mentioning it online. -

I am very disappointed that all they have done to Super is to ad more ways to add more approvers. That is NOT what we want. We want more ways apart from SMS to approve so that we can do it ourselves.

Super should automatically coincide with the date the pays have been set up. Most payroll officers set up the pays a day or two or more in advance to give themselves time to get it all correct, checked and approved. Super should be able to be approved and come out of the bank the same day as the pays. -

This is particularly important for small business owners who do not have relief staff. For example, I am taking 4 weeks of leave so will be future dating 4 weeks of pays to happen whilst I am away. I do not want to be paying the super now on approval of these pay runs. There should be the ability to future date the auto super payment to coincide with the pay date.

I am about to go on leave and processed a future pay run so I wouldn't need to take my laptop with me. However, to ensure everything was taken care of before I left, I was required to pay the superannuation before the employees had actually been paid.
This doesn't seem like a practical or logical process and creates unnecessary complications for businesses trying to manage payroll while on leave. I believe this is an issue that should be reviewed and addressed as soon as possible to prevent other users from having to do the same thing.
Please consider this feedback and investigate whether the workflow can be improved.
