22 votesThanks for sharing this idea with us 🙂 We understand why being able to download attachments directly from an expense claim would be useful, especially where customers need to keep a copy of supporting documents or work with multi-page files.
We’re continuing to see interest in this idea, and recent feedback suggests support for this capability is growing. That helps build a clearer picture of the demand and the value this change could bring for customers using Expenses.
While we don’t have any plans or timeframe to share right now, the idea is gaining more visibility through feedback and engagement. We appreciate you taking the time to add your support and we’ll continue to share updates if there’s any progress in future.

Expenses - Edit Submitter when awaiting approval
The expense reimbursement function should include an option to change the submitter after the request has been sent for approval, rather than declining the request and re-enter just to be able to update the submitter name in case of 'submitting on behalf'
Additionally, it should allow exporting the entered expenses into an Excel file to verify whether everything has been entered correctly. Currently, exporting is only possible once the request has been approved. This feature is especially important when there are numerous expense lines.

Expenses - Import claims on PDF files
Allow submission of PDF expenses. We frequently see invoices paid on expenses in small businesses that come in by email as PDFs but need to be printed and photographed to upload the expense.

Xero Accounting app | Bank Reconciliation - Ability to add an expense as 'common expenses'.
"Common Expenses" - fix product flaw.
In Xero app, as follows:
-Purchases
- +
-Add receipt
-Tap:Categorise to an acct
-acct list pops up with heading "Common expenses". 2 accts listed which I rarely use.
PLEASE FIX : there is no way to edit the list of accts under the heading at the top "common expenses". See my screen shot2 votesHi Tim, apologies for not returning to you here sooner! The Common expenses list in in the Xero Accounting app is auto-generated from your org’s chart of accounts, based on which expense accounts you’ve actually used when creating receipts/spend money in the app.
It’s effectively a shortcut of your most-used expense accounts. Atm there’s no way to manually edit or reset that list so we'll continue to keep a track on your idea here and share if there is any change planned.

Xero Expenses - Customise the bill reference field
Expenses module: We want the ability to customise the Expenses Claim Reference.
All expenses under the Reference are set as "Expense Claims," which makes it impossible to search specific claims/events or others. Can this not be customised within the expenses Module ?
The recommendation from Xero is to revert to manual expenses, which defeats the objective of paying for the Expenses module. Any chance this can be added or will we need to remove the feature as there is no point paying for something we need to do manually?

Our Community team have reviewed your idea and moved it to Gaining Support so it can gather input from other members. This means others can now vote and comment to share how this change could improve their experience with Xero.
At this stage, we do not have any current plans to share for developing this specifically for expense generated bills. We will continue to watch the support and detail this idea receives from the community, as that helps us better understand the level of demand and the use cases behind the request.

Xero Expenses - Ability to edit exchange rate
"As an employee submitting my expenses I don't want to be left out of pocket because Xero Expenses doesn't allow me to set the exchange rate I was charged by my bank."
Xero Expenses uses XE.com exchange rates for foreign currency exchange rates and it's not possible to override/change this.
It should be possible for the employee, or approver, to manually set the foreign and domestic currency amounts, or set the exchange rate itself.

Xero Expenses - Easily add expense to employees next payslip
Once expenses are approved it would be fantastic to have an option to "send" this to their next approved payslip rather than having to manually add this to the payslip.
Seems madness this isn't implemented already - what is the point in doing everything in Xero if you need to faff around making adjustments for details that are already in the system.
Employee's submit expenses - so you know who needs reimbursed already.
