Permissions - Ability to set level of Approvals for different transactions
Hierarchy of approvals of bills and Purchase orders
eg Invoices over £1000 go to tom to approve
55 votesWe appreciate the feedback and interest in being able to set different levels of approval across different transaction types in Xero atm. Currently the draft permission will enable a user to create draft transactions in an org with out the ability to approve, while the Sales Invoice Only role will enable a user to create and approve invoices or quotes without access to purchases, and similarly the Invoice Only Purchases role will allow a user to create and approve Purchase transactions without access to Sales.
To better understand the ask in this idea can you share exactly the type of set up you would be looking to achieve to help with entering information in your organisation.

User Roles - Allow Read Only users to view imported bank statements
Read Only - Allow viewing imported bank statement
Have it so Read Only users can view imported bank statement, I don't know why this isn't already a thing....

User Role – Enhancement to Invoice Only (Sales) for Payment Management
We are encountering a limitation within the current user roles that is hindering our Sales team’s efficiency in managing customer accounts.
The Issue:
The existing 'Sales (Invoice Only)' role does not provide the necessary permission for sales staff to amend, edit, or delete payments applied to invoices. This is critical for adjusting client balances quickly during the sales and collection cycle.
The only alternative role grants full access, including Purchases/Accounts Payable, which we cannot provide to the Sales team due to internal control policies.
The Request:
To ensure our Sales staff can manage the revenue process without accessing sensitive financial…
8 votesThanks for raising this idea about user role permissions for payment management. It’s a great starting point, and we can see how more granular sales role controls could help with managing access and maintaining internal checks.
This idea is now Gaining support, so it’s now open for votes and comments. If this would be helpful for your team, jump in and share how you’d like to see it work, more examples and context will really help when we look at this in future.
Looking forward to hearing the community's thoughts and seeing the discussion build around this one.

Users - Login history only shows 60 days extend to longer period
I used to be able to sort by login history to see who has been working on which client account. This feature no longer is available it seems. Also, there used to be the ability to see a year's worth of logins, now it's only a few months. Why the change? This doesn't help when we are doing a year's worth of book-keeping for previous periods and I would like the functionality back to what we had in Classic. When using something New, please add and not remove well used and helpful reports and options. Thank you.
BTW, why did…
7 votesThanks for sharing your idea, and letting us know the changes that matter most for you. Currently the History and notes Assurance dashboard shows the date and time for the year. We can appreciate that the Users - login history should show a period longer than 60 days, We've reviewed your idea and now it's up to the community to get behind and support it. Permissions - Give Invoice Only users access to Send/Print for approved invoices
Invoice Only User SHOULD have access to "send and print" feature once the Purchase Order were approved. To address this concern, a user should have an access level of Invoice Only + Purchases, however, changing the permission to this level, the inputs made by other users, which might be confidential and unnecessarily to be seen by others, are compromised. I would like to request to add this feature (send and print) for the Invoice Only users.
19 votesWe appreciate you taking the time to share and support this idea. We can see that this idea is already gaining traction amongst the community. Giving Invoice Only users the ability to send or print approved invoices has the potential to simplify your workflow and make day-to-day tasks more efficient.
Enabling this functionality would allow the same users who create and approve invoices to also send or print them, reducing handovers and helping your business operate more smoothly. It’s a great example of how a small change can lead to better team autonomy.
Currently, this action is available to users with Standard, Advisor, or Invoice Only – Approve & Pay roles. Expanding this to other Invoice Only roles, such as Draft, Sales, or Purchases could make Xero even more flexible for teams with clearly defined responsibilities.
We’ve moved this idea into the Gaining Support stage. It’s now open for voting…

Permissions - Manage access to settings for standard user
I recently noticed that all Standard Users in Xero are able to edit the settings on a client subscription. Is it possible to make this permission optional, so that the subscriber can decide whether or not to grant staff access to these settings?
2 votesThank you for sharing this idea and for flagging how you'd like settings access to work for Standard Users in Xero. We appreciate you highlighting why greater control over this could be valuable.

User roles - Quote Only User Role with Restricted Inventory Access
Proposed Feature: Quote Only User Role with Restricted Inventory Access
Introduce a Quote Only user role in Xero that allows a user to create, edit, send and approve quotes while restricting access to all other parts of the system. The user should only see the quotes they created themselves and nothing else.
The Quote Only user should be able to create quotes, edit their own quotes, send quotes to customers, and view inventory items with read only access. Inventory visibility should include item descriptions, prices, tax settings, and available stock quantities, but the user should not be able to modify…

User role - Limit read only access
I am going through a bad divorce and I have to give my ex wife read only access to my company file however i am going against court orders and not giving her access as i know she will take invoices, purchase orders and product sell and buy prices to my competitors once our settlement is complete.
I need xero to create a read only service that does not show invoices, purchase orders, bills, inventory and also removes the report tab. pretty much just allow her to see bank accounts and where money is getting allocated.
i really feel like…
1 voteThanks for sharing your idea, and letting us know the changes that matter most for you. Xero’s current roles (including Read only) are intentionally broad, but we know they’re often too ‘all or nothing’. We can’t give a timeline for specific changes to Read only yet, but the direction is definitely toward more configurable roles and tighter control over what view-only users can see.

User role - Public view ( GDPR SAFE )
I’d like to propose a “view-only” feature that would be fully GDPR-compliant and suitable for organisations that manage sensitive financial information—such as block management companies handling residents’ funds.
The idea is to allow every shareholder or resident to view the accounts and understand where money is being spent, while ensuring that all personal data is hidden. For example, where an individual apartment appears in the ledger, identifying information would be removed. To avoid jigsaw identification, each apartment could be linked to a classification matrix—for instance, showing it as a two-bedroom unit paying $2,000 per year—without revealing the resident’s identity. This…

Permissions - Remove yourself from organisation with expenses only role
Users who only have access to expenses should still be able to ask to have their permissions removed. It is ridiculous that I have access to a company expenses dashboard that I shouldn't because I don't know the subscriber and can't remove myself.

Expenses - Add option to prevent approvers from self-approving their own expense claims
I have read the Xero feedback that multiple approval levels in XeroMe expenses is not on the roadmap (disspointing) but I would like to make a case for a specific situation. I have team managers that can approve other expenses, but they should not be able to approve their own expenses.
Can we please have a check box, or option, that if someone is granted approver status, that they should or should not be able to approve their own expenses? Everyone needs a reviewer, but as it stands, if someone is granted approval rights, that individual can approve their own…
1 voteHi Brian, thanks for sharing your feedback. We understand the point in having an option to prevent users from approving their own expense claims, particularly for larger teams or businesses with more structured approval workflows.
I’ve moved this idea to Gaining Support so we can continue tracking interest and help our product teams better understand the demand for this type of approval permission setting.

User permissions - Ability to bulk delete users
completing a cert IV in accounting and bookkeeping you have to become a user for approximately 10 different companies. Therefore once you have finished your course they sit in your My Xero, the only way to remove yourself as a user it to do each one, can you have an option to remove yourself as a user for multiple companies in one step.
17 votesHi team, thank you for sharing back with us on how providing a bulk tools to remove users from an organisation would be helpful.
Being upfront this isn't something we have plans for developing right now but are continuing to watch interest in this idea grow. We will share if there are any updates.

Xero Me - Payroll Authorisers to NOT include advisers
Please adjust the Leave Authorisers in Xero Me to be the employees in the business with Payroll Admin &/or the Authority to Approve Leave.
Currently all user with PAyroll Admin are available for selection - which includes ALL advisors.
As an accountant - we are having to revoke our access to a client's payroll to ensure that the staff in the client's business cannot select the accountant's staff members to approve their leave.36 votesThanks for your patience; it’s been a little while since you first raised this idea. I wanted to point you toward a similar request regarding granular payroll permissions: [Permissions: Payroll - Payroll admin limited access].
It’s clear that having precise control over who can access specific payroll areas would significantly improve how you manage timesheets and leave approvals.
To help your idea gain traction, please share it with colleagues so they can vote for it too. The comment section is also open for all members to share how this feature would improve their Xero experience.

User Permissions - History recorded of role changes and ability to add description
There is currently no record of changes to User registrations in the xero file. This is a failure of audit processes.
A description for each user would be handy to identify the role of each person within the Organisation.
A start and End date would allow for Temporary access arrangements.52 votesHi team, we appreciate the interest in this idea and how having a record of changes to a users permissions would be helpful as an audit in your Xero organisation.
While this history event isn't in our immediate plans, we are closely considering how and what changes we record history for as we continue to develop parts of Xero.
For the time being we are continuing to keep a watchful eye on the support in this here, and I will make sure to share if there is any news of this for you all here.

User role permissions - Control and restrict access to chart of accounts
We use Xero for our Bookkeeping business & would like to invite clients to view only the information pertaining to their individual business records. Right now, anyone who logs in can see every other client’s information, as well as their own.
25 votesHi team, rounding back to this idea here it appears there are a few different use cases being raised around permissions.
From the sounds some would like to restrict access to for users to specific contact records, and we have an idea for this here that I'd recommend joining.
For those that would like to restrict access to specific reports we have another idea around this we'd recommend joining.
I'll adapt the title of this idea for those that'd like to restrict access to specific chart of accounts.
We appreciate interest in each and you're welcome to join each idea you'd like to see development for, and we'll share any updates on each idea respectively.
