    We appreciate the feedback and interest in being able to set different levels of approval across different transaction types in Xero atm. Currently the draft permission will enable a user to create draft transactions in an org with out the ability to approve, while the Sales Invoice Only role will enable a user to create and approve invoices or quotes without access to purchases, and similarly the Invoice Only Purchases role will allow a user to create and approve Purchase transactions without access to Sales.

    To better understand the ask in this idea can you share exactly the type of set up you would be looking to achieve to help with entering information in your organisation.

  3. I used to be able to sort by login history to see who has been working on which client account. This feature no longer is available it seems. Also, there used to be the ability to see a year's worth of logins, now it's only a few months. Why the change? This doesn't help when we are doing a year's worth of book-keeping for previous periods and I would like the functionality back to what we had in Classic. When using something New, please add and not remove well used and helpful reports and options. Thank you.

    Thanks for sharing your idea, and letting us know the changes that matter most for you. Currently the History and notes Assurance dashboard shows the date and time for the year. We can appreciate that the Users - login history should show a period longer than 60 days, We've reviewed your idea and now it's up to the community to get behind and support it.   4. Invoice Only User SHOULD have access to "send and print" feature once the Purchase Order were approved. To address this concern, a user should have an access level of Invoice Only + Purchases, however, changing the permission to this level, the inputs made by other users, which might be confidential and unnecessarily to be seen by others, are compromised. I would like to request to add this feature (send and print) for the Invoice Only users.

    We appreciate you taking the time to share and support this idea. We can see that this idea is already gaining traction amongst the community. Giving Invoice Only users the ability to send or print approved invoices has the potential to simplify your workflow and make day-to-day tasks more efficient.

    Enabling this functionality would allow the same users who create and approve invoices to also send or print them, reducing handovers and helping your business operate more smoothly. It’s a great example of how a small change can lead to better team autonomy.

    Currently, this action is available to users with Standard, Advisor, or Invoice Only – Approve & Pay roles. Expanding this to other Invoice Only roles, such as Draft, Sales, or Purchases could make Xero even more flexible for teams with clearly defined responsibilities.

  5. We are encountering a limitation within the current user roles that is hindering our Sales team’s efficiency in managing customer accounts.

    The Issue:

    The existing 'Sales (Invoice Only)' role does not provide the necessary permission for sales staff to amend, edit, or delete payments applied to invoices. This is critical for adjusting client balances quickly during the sales and collection cycle.

    The only alternative role grants full access, including Purchases/Accounts Payable, which we cannot provide to the Sales team due to internal control policies.

    Thanks for raising this idea about user role permissions for payment management. It’s a great starting point, and we can see how more granular sales role controls could help with managing access and maintaining internal checks.

  6. I’d like to propose a “view-only” feature that would be fully GDPR-compliant and suitable for organisations that manage sensitive financial information—such as block management companies handling residents’ funds.

    The idea is to allow every shareholder or resident to view the accounts and understand where money is being spent, while ensuring that all personal data is hidden. For example, where an individual apartment appears in the ledger, identifying information would be removed. To avoid jigsaw identification, each apartment could be linked to a classification matrix—for instance, showing it as a two-bedroom unit paying $2,000 per year—without revealing the resident’s identity.   7. There is currently no record of changes to User registrations in the xero file. This is a failure of audit processes.
    A description for each user would be handy to identify the role of each person within the Organisation.
    A start and End date would allow for Temporary access arrangements.

    Hi team, we appreciate the interest in this idea and how having a record of changes to a users permissions would be helpful as an audit in your Xero organisation.

    While this history event isn't in our immediate plans, we are closely considering how and what changes we record history for as we continue to develop parts of Xero.

    For the time being we are continuing to keep a watchful eye on the support in this here, and I will make sure to share if there is any news of this for you all here.

  8. We use Xero for our Bookkeeping business & would like to invite clients to view only the information pertaining to their individual business records. Right now, anyone who logs in can see every other client’s information, as well as their own.

    Hi team, rounding back to this idea here it appears there are a few different use cases being raised around permissions.

    From the sounds some would like to restrict access to for users to specific contact records, and we have an idea for this here that I'd recommend joining.

    For those that would like to restrict access to specific reports we have another idea around this we'd recommend joining.

    I'll adapt the title of this idea for those that'd like to restrict access to specific chart of accounts.

    We appreciate interest in each and you're welcome to join each idea you'd like to see development for, and we'll share any updates on each idea respectively.
