Idea Summary:
Enable Xero Payroll (Coming later this year) to natively use approved time entered in Xero Projects for payroll processing, just as Projects time is already used for client invoicing.Problem:
Currently, time entered in Xero Projects cannot flow into Gusto (or future Xero Payroll). Teams must re-enter time or rely on external payroll systems, creating duplicate work, errors, and reconciliation overhead. More detailed reporting to include Supplier/contractors name and the facility to report a breakdown by nominal codes/ expense type
Within the project costing reports they need to show at least the Supplier/Contractor name and the date would be useful. A report containing just a description and cost is not useful, when it doesn't even show a company name it relates to.
This would then allow to extract into Excel and sort as we need to know the project spend by supplier/contractor per job.
Also there needs to be the option to analyse these reports out further by expense type or nominal code, to see the actual spend broken into categories/type per job. All these facilities were a standard feature…

import a list of projects
I would like a solution to be able to import a list of projects. ie project number, client name, project description. It is very time consuming to setup projects individually one by one. Would be much easier if I could create an excel listing, convert to csv and import to xero

Xero Projects - Ability to set the default "Enter time as": 'Start & end' instead of 'Duration'.
Xero Projects - Ability to set the default "Enter time as": 'Start & end' instead of 'Duration.' (Or at least have it remember my last selection as I never use 'Duration.'
It would also be great to have the 'End' time rolled forward to the 'Start' time of the next entry.

Vat showing on projects overview and cost to you
Hi, it would be really helpful if there were an option to show VAT reflected.
Currently, there is no setting in Xero Projects to display VAT-inclusive costs or VAT amounts directly in the project overview or reports.

It would be great if cost codes or tasks automatically linked to a job once they’re assigned to a customer or project. At the moment, you have to assign the task and then separately select the job from the tracking dropdown, which feels like duplicating the same step. Ideally, once a cost code or task is assigned to a customer or project, it would automatically populate and link in the tracking section. This would streamline the workflow and reduce the chance of mis-entering or incorrectly assigning information.

Recording timesheet entries
There is currently a start and end option, but could this be replaced with a date range option instead? It can take around 10–15 minutes to enter a single week of billing as each day has to be posted individually, and employees can’t clearly see which days they’ve already entered, increasing the risk of errors.

discounting
In the projects area, the expenses area lists expenses at their original cost and doesn't include the discount given by that supplier. This means the expenses shown for the project aren't actually reflective of the true cost of the project.
There are currently no reports that allow you to see the company expenses, with discount, filtered by project so i can't actually report on the GP and net profit of a project without the painstaking process of clicking into every expense to find out the ACTUAL cost to the company less the discount given. Export Time entries: CSV and PDF
Often I have to send my customers a short report about the timeentries and how much is left. Right now I'm doing a screenshot with the gofullpage extension. Sometimes import the PDF to chatgpt to get a actual sheet. Would be great to have an export button on the time tab of a project.

Bulk assign expenses to Project in Cash Coding
Assign multiple transactions to a project in cash coding. There should also be a projects field on the main page, rather than having to go to "add details>assign to project>search for project>click project>click ok>click reconcile".
As with many travelling workers, many of my transactions for a trip are all bunched together and it would save me so much on bookkeeping time and fees to be able to select multiple statement lines or transactions and "assign all" in one click. Under cash coding makes sense because the checkbox already exists for each line, Projects just becomes another column.

Bank Reconciliation - Add Tracking Category to Transfer
when using tracking categrories it would be useful to be able to add the tracking category to a bank transfer, instead of going through find and match and the adding a transfer.

Xero Payroll - Audit trail/Time logs for timesheet entries
Time logs in timesheets. I will be very helpful if there are time logs, when updating timesheets. We can see when our employees has updated their timesheets, if that is on time or late. This will help us trough chasing purposes.

Projects – Progressive Billing for Fixed-Price Tasks
Problem
Fixed-price tasks in Xero Projects currently bill the entire fixed amount at once. Logging time or transferring the task to an invoice forces Xero to invoice the full value immediately.
Many businesses complete fixed-price work through multiple time entries or stages over long periods. We need to bill the fixed price progressively while still tracking actual time for internal cost and efficiency.
Impact
Today, users must manually split one real task into many smaller tasks (“Stage 1”, “Stage 2”, “Stage 3”), or manually edit every invoice to avoid overbilling.

Projects - Bulk update all tasks in a project as invoiced
Have an option to 'mark all items as invoiced' in a project. You can currently only do this if you invoice from 'project amount'.
We re-order and combine tasks when invoicing and then have to manually go into the project and mark every task and expense as invoiced individually. It's very time consuming. I need an option to mark all items as invoiced at once.

Projects - Closed Projects Appearing when you select to add a Project
I thought that once a project was 'closed' it remains closed and does not appear anywhere except in the closed tab of projects however this is not the case. I tested and was able to allocate an invoice to a closed project.
Suggestion:
a) closed projects remain locked out; you can only allocate to them if you re-open - they should not even appear in any selections
b) If they must remain where they are then a pop-up warning appears if you try to allocate this way there are no mistakes in accidently allocating to a closed job1 voteHi Kelly, thanks for sharing your feedback. At the moment, Xero Projects lets you assign certain transactions to closed projects so businesses can clean up allocations after the work is done. Closed projects are marked as “Closed,” which helps distinguish them from those in progress. We have added this to the Gaining Support for more traction.

Tracking Categories - Bank Feed Rules
We use location codes to sperate our transactions by site or (cost centre). I tried to create a bank rule to allow the transaction to be dynamically allocated to an individual location, depending on the location appearing in the transaction description.
I have been told that this does not currently exist.

Tracking Categories - Increase maximum number of active tracking categories and tracking options
More Tracking Categories Fields: please would you consider increasing the number of Category fields? Currently there's only 2 fields and in a situation where you want to track complex sales cycles and sources, this is not sufficient.
For example - tracking a referring business, a partner account manager, a salesperson and a client account manger.
Having categories allows to perform calculations of revenue generated, its sources etc.

Projects - Allow as an Add-On for all pricing plans
As a 1-man business I only need limited features, but the Project feature is one of these that feels essential to my line of work. It is only available in the highest pricing plan and is not available as an add-on. This appears to price out small businesses who want this feature. Please consider allowing this as an add-on, even if it isn't to be available in different pricing tiers.

Projects - Add Estimated Income Feature
Currently, Xero Projects allows us to enter and track predicted expenses, which is great for monitoring project costs. However, there is no equivalent option for predicted income.
Being able to record predicted income against projects would provide a much clearer picture of project profitability and cash flow forecasts. This would allow project managers, accountants, and business owners to compare projected vs actual income alongside expenses, improving financial forecasting and decision-making.
Benefits of this feature:
Aligns income forecasting with existing expense tracking.
Improves visibility of project profitability before actuals come in.
Helps businesses plan resources, budgets, and cash flow more effectively.

Currently the way to view to profit is to add columns for both Gross Profit and % Profit to the Project Details and Summary reports.We've moved this idea to gain more support from the community.
