  2. The ability to assign a Purchase order to a project when raising the Purchase order, also the ability to invoice that purchase order as part of invoicing Tasks and Expenses.

    We raise a lot of purchase orders related to Projects that we cannot link to the project until we receive the bill from the supplier. We would like to be able to add the PO straight to the Project and also be able to include it with the invoice even before receiving the supplier bill.

  3. I need to create a report per project which shows the total costs split into nominal codes. I do not want to also use tracking - duplication of work.

    Project reporting is extremely limited on Xero

  4. Would like the ability to track changes to the estimated project amount over the course of the project as "Change Orders." This should allow for the following data points: date, description, positive or negative changes to the original estimate, calculate the new project total. The ability to notify project assignees and request approval from the client.

  5. It would be so helpful to have a column on the Projects homepage showing the to-be-invoiced-amount. Currently it shows the total Time and Expensese amount.

    Because we have so many projects on the go, your reports do not work (too much information to process) so the only way to know if a project has time/expense un-invoiced is to open every one of them and check.

    Very time consuming and frustrating! Not very 'smart'.

  7. Ability to include attachments from Xero bills on project invoices when that bill (or item from that bill) is expensed to a project as 'pass cost on' or 'mark up'.

    My workflow:

    1. Supplier A sends me an invoice.

    2. I raise a bill for this invoice and assign it to a project (pass cost on or mark-up). The bill in Xero has a PDF attachment of the invoice/receipt.

    3. I generate an invoice for my client, which includes the expensed bill from Supplier A. My client may want to see evidence of the expenses I'm passing on or marking up from Supplier…

  8. Xero Projects Full Integration with Xero Payroll

    Idea Summary:
    Enable Xero Payroll (Coming later this year) to natively use approved time entered in Xero Projects for payroll processing, just as Projects time is already used for client invoicing.

    Problem:
    Currently, time entered in Xero Projects cannot flow into Gusto (or future Xero Payroll). Teams must re-enter time or rely on external payroll systems, creating duplicate work, errors, and reconciliation overhead. This makes processing payroll today (Gusto, Paychex, ADP) feel disconnected from the rest of the Xero ecosystem.

  9. I'd like to see more data points when creating a project and more filtering options in the project reporting. For example, being able to filter by who the project is assigned to, contact groups, zip codes/counties etc. Ultimately, I'd love to see the ability to create a custom project profile that allows for unique data fields.

  10. It would be helpful to have a way to tag files with searchable keywords that can be searched globally. Example, if i want my accountant to be alerted to particular set of transactions or one transaction , if can add a seaarchable keyword in the reference or notes field that would be appreciated.

  11. It would be useful for the AI tool or even just a standard report to check if Department matched Budget. E.g. we have a Central department and all Central budgets start with Central. E.g Central: Stationery, Central: Web services. Or alternatively Xero to automatically allocate all Stationery purchases to Central Dept.

  12. Time adjustments or credits within a Project | Time entries in Projects works well and it makes sense that a time entry is locked once it is invoiced. However we regularly need to make adjustments for situations like (a) incorrect entries, e.g. billing time on a public holiday not worked, that we want to credit back against the invoice or (b) moving time between tasks within a project. I understand that Practice Manager has a "Time Credit" feature that may be suitableto this need if it could be made available in Projects. If not we need something like a manual…

  13. Assigning sub-contractor paid bills to tasks in Projects

    Hi , there is currently an option to assign incoming bills to specified projects, which works well for our subcontractors.
    There is also an option(drop tab) once each bill is in the project to assign the bill to specific tasks; but this option does not work (unable to click to tasks).
    Please make this option work, as currently adding bills to our projects places the project over budget, and confuses the invoicing process.
    Being able to apply each paid subcontractor bill to specific tasks will be a game changer for us.

  14. It would be so helpful if when it comes to invoicing, like estimated expenses, you could group Tasks. So that there is just one line item on the invoice.

    Staff have multiple labour charge out rates depending on what type of job they are doing, so record their time to multiple tasks. But we only want to show one total Labour cost on the invoice.

    The current workaround is to bring through up to 15 lines from the Tasks, manually calculate the total, and remove the additional lines - which then loses the tracking on what has been invoiced.

  15. Please add a Tracking Categories shortcut in the Accounting menu, under Accounting Tools (like Chart of Accounts, Manual Journals, etc are). As a charity we use Tracking Categories all the time, for branches of work and for funds and grants, and it is frustrating to have several more steps to access now. Thank you!

  16. In Xero Projects, when a deposit has been invoiced (eg via the deposit option in the Projects invoicing workflow), the "available credit" shows in the Projects UI.
    However, when raising subsequent progress invoices (eg for tasks/expenses), the "Apply credit deposit" checkbox is all-or-nothing - it applies the full available credit or none. There's no option to manually enter or select a partial amount from the deposit/credit balance to apply to the current invoice.

  17. It would be helpful if you could add a description or comment field to tracking categories. This would allow us to add keep category names concise and then add more information to in the description field so that we can describe things like how it is used, start and end dates for event tracking etc.
