1. Assign projects in Dext

   Open your API to Dext so projects can be assigned to bills within Dext. The current situation whereby you can upload the bill from Dext but then need to go into Xero, locate the bill and assign it to a project, is simply unacceptable. I am using other accounts software for clients and I can assign projects within Dext without having the unecessary step of having to do so within the software.

   Hi Bridie, we appreciate your feedback however we have a Developer Product Ideas forum where API requests are best raised. It appears there's an idea for this already that yourselves and others that have voted here can join and stay updated through.

   Microsoft Teams integration for simple Xero Projects time entry

   Idea:
   I’d like the ability to log time directly from Microsoft Teams without needing to open Xero.
   Specifically, I want to:

   Open a Xero Projects tab (or app) within Teams
   Select a project and task
   Enter time worked (simple fields)
   Save and immediately continue working

   This would make time tracking quick and seamless as part of the normal workday, especially for teams already working in Teams. It would reduce friction. I currently need to login to xero on phone or pc, do a one time passcode, navigate from projects to time tracking, navigate the dates, navigate the fields, done. I could reduce the cognitive load and and task switching by just opening my Teams (or slack) tab, select the time tracking dropdown, and enter my task time.
   Value:

   Faster, less disruptive time capture
   Easier to enter, in the flow of work, rather than feeling like extra work
   Improved data quality and completeness
   Better adoption of Xero Projects and aligns Xero with modern digital workplace tools (e.g. Microsoft 365)

   Hi Tim, thanks for feeding back with us. I've taken a closer look into your idea here.

   When it comes to integration and API requests we have a dedicated forum these are best shared through. There we have experts that can consider and keep you updated on these, and you're likely to find more users that would be interested in supporting your idea, too.

   I've had a quick scan however couldn't see an existing idea specifically for integrating MS teams with Projects. Please do start one and you're welcome to return here to copy and paste the detail you've shared. Thanks again.

   I understand you'd like to view your in progress projects sorted by project name rather than by contact, especially since you have multiple projects for the same client.

   Unfortunately, there isn't a setting in Xero Projects that allows you to change how the project list is sorted or displayed. The project list view doesn't currently have customisable columns or sort options like some other areas of Xero (such as purchase orders).

   At the moment, Xero Projects organises projects by status (Draft, In progress, and Closed), but you can't change the primary display field from contact to project name or customise the sort order within those status tabs.

   I recognise this would be helpful for your workflow when managing multiple projects for the same client. You might want to submit this as a feature suggestion through the Xero Product Ideas forum, where our product team reviews customer feedback for future updates.

4. Tracking category's

   We recently tested the different user access options and every single one of them can add new tracking category's (obviously excluding read only).
   1. We need to be able to limit who can add category's
   2. There is no way to see who has added a category and when in the history reports or notes

   When running reports the system only allows 200 categorys but realistically cannot have more than 100 to 150 without crashing
   1. when choosing the categories for a report you have to manually tick each box (so between 0 to 200 boxes ticked manually) which is extremely time consuming
   2. Even when you save custom reports where you have set up reports over ranges it wont automatically add a new category that has been added that would fit in the range so you have to check through them to see
   3. There is no way to see what category's have had entrys in a certain period other than running profit and loss or transaction reports, there should be some sort of report to run a list of category's with no entry's over a certain period, as well as a list of categorys that have never been used.
   4. Archiving tracking categorys is a disaster as you have to choos ethem indiviually it then takes you to the archive page so you can to go back to the list of category's and scroll all the way down to find the next category. There should be a search option and a bulk option where you tick multiple category's to archive at once, or an option to tell teh system to archive tracking category's with no transactions going back a certain period.
   5. There should be an option to run a gross profit report where you can exclude expenses that are direct costs for tracking category's
   6. You need to be able to limit what category's can be used on certain ledger items, eg expenses can only have a limited number of category's and direct costs can only have a limited number of category's (eg in our case we do projects and we don't want a certain range of category's used in the project gross profit.
   7. There needs to be an option to make picking tracking category's mandatory

   Hi Tammy, while we appreciate your feedback and can see how you the points you've raised could improve your businesses use of Tracking, these really need to be broken into separate ideas here in the forum for other members to vote on and our product teams to consider in isolation of the change that's being asked.

   We welcome you to vote on existing ideas that cover the points you've raised, or create new ones for each that we can get a better sense of the community interest in here.

   Assigning sub-contractor paid bills to tasks in Projects

   Hi , there is currently an option to assign incoming bills to specified projects, which works well for our subcontractors.
   There is also an option(drop tab) once each bill is in the project to assign the bill to specific tasks; but this option does not work (unable to click to tasks).
   Please make this option work, as currently adding bills to our projects places the project over budget, and confuses the invoicing process.
   Being able to apply each paid subcontractor bill to specific tasks will be a game changer for us.

   Thanks for explaining this so clearly Rebecca. I can see how important it would be to allocate those bill costs more accurately within your project, especially when it affects your budget view and invoicing workflow.

   At this stage, the best next step would be to raise a case with Xero Support so we can take a closer look at what’s happening in your organisation and confirm whether this is expected behaviour or something that needs further investigation.

   When you contact Support, it would help to include:

   • the name of the project affected
   • an example bill
   • a screenshot or screen recording showing the task dropdown not working
   • the browser and device you’re using

   That extra detail will help our team investigate this more thoroughly.
