Xero Files - Drag & drop file to Folder
Before the update you could drag and drop directly into a folder in Xero Files. Now you have to drag and drop into the Inbox and then move from there. This created an extra step. It would be great if you could still have the option to drag and drop a document directly into the folder within the archive.

Files - Reduce clicks to access folders
Please change the files layout to what it was before. It's extra clicks with your new archive and inbox set up. It's really poorly thought through.

Just to confirm, when you say this has added extra clicks for you - would that be the need to go to the Archived tab to access a fioder you've moved a file to?

Contacts - View all transactions history & notes from contact record
Ability to go into the contact/client and see all notes under history and notes also the notes that are made under an invoice for the client. So ALL notes are in one place and users don't need to run a report to check a note. The former Xero layout had this. Invoice notes showed up under history and notes for the client in the old Xero layout before July 2023.

Though we don't have plans of surfacing the individual transaction history & notes on a Contacts record, you may find the History & notes report useful for getting a wider lens.
You'll find with the report you can filter, search and view history and notes across all areas of Xero.
We are continuing to watch the engagement and support for this idea, and will share if there are any updates.

Customer statements - Ability to select if Due and Overdue amounts are shown
When sending statements Xero is adding automatic commentary on the associated email about "overdue invoices". In my examples the Xero feature claims that the customer is "Overdue $535" is 100% wrong - customer only owed $39.
I fully understand why this is. There are unallocated cash payments (overpayments) in the mix.
There can be a lot of reasons why this is - invoice queries, partial payments, customer terms, errors being resolved, a customer payment that is not easy to reconcile etc etc. but the point is, that these transactions (overpayments) are totally legitimate as far as Xero is concerned.

Files - Allow file emails without attachments
Ability to accept emails that have no attachments in Xero Files.
Purpose: Users can upload their email invoices/quotes easily into Xero.

As we continue to explore ways to improve efficiencies for our customers this is an idea our team are aware of and will consider in future improvements.
We have recently introduced Smart Document Capture, powered by AI that extracts data from files uploaded to your Inbox to help you create transactions in your organisation.
Coupled with this, we've also released the ability to upload multiple documents from your mobile. Meaning you can take photos of invoices you've received via email and easily upload these through your mobile, which Xero will then analyse and help you create transactions from.
We appreciate this isn't a direct solve for this idea but may bridge the gap for some here.

Files - Suggestion for thumbnail previews in Files Inbox
It would be great to look down the list of files in the Xero Files inbox and see a thumbnail image of what the PDF is, so that non-relevant ones or replicas can be deleted in bulk.
When files are forwarded, often the attachment is loaded to the inbox along with multiple other files which turn out to be logos from the email signature, and it is time-consuming to have to open every file to find out whether it is relevant or not, and delete individually.

Contact - Sub contacts
Would it be possible to create a contact who is a "sub contact" of an existing contact. For example we perform work for a strata management company. Every invoice is made out to [name of strata company] but the contact details, email address and physical address are all the same - that of the management company. I would love to create [strata management company] as the main contact with all the strata "divisions" they manage below them without having to create a new contact for every single new building. What are my chances?

We want to be open that this isn't something we have plans for developing just atm, but will keep considering the idea as we continue to develop contacts in Xero. I'll share if there is any progress here.

Files - Restore deleted files / Prompt to confirm when removing
Move the Delete button away from preview in files attached to contacts.
So many times, I have accidently deleted files attached to contacts. The delete button is right next to the preview. Contacts - Show attachments for transactions in the contact overview
Under the Contact, where Xero shows the current account balance and further down the screen we can see all invoices etc for that contact. When I scroll down the list of invoices I'd love to be able to see a little icon that tells me how many files I have uploaded to each invoice. The only way to tell currently is if I click into each invoice and then I can see the number of files attached per the little file icon at the top.

Files - Ability to split PDF to separate multi-page documents
Allow PDF Splitting in xero files to allow for batch scanning and uploading of invoices for auto extraction

We can see why having the ability to split PDF files directly within Xero Files could be useful, particularly when processing multi-page documents that contain multiple invoices, receipts, or other records. Being able to separate pages without downloading the file and using an external tool could help reduce manual handling and make document processing more efficient.

Files - 'Move to' button on the Xero inbox files update
Xero have changed the files section and now there is inbox and then archive. All the previous folders clients have are now in the archive section. In order to file something in a folder they now need to move it to the archive section which as this shows all documents, they then have to find the document again and then tick it and use the move to button to move it to the chosen folder. Xero need to add the move to button to the inbox screen otherwise clients are having to do multiple clicks again to move the documents.…

Contacts - Default cursor to search
I'd just like the cursor to already be IN the search field when I open Contacts please.
Thanks29 votesWe understand why this idea is quickly gaining traction. Being able to start typing in the search bar as soon as the contacts page loads would be a small but meaningful improvement.
Right now, the cursor doesn’t land in the search bar by default, so it’s an extra click each time.

Contact - Field for Business Registered Name
When creating a new contact, I need a space for the Business registered Name as well as Trading name.
29 votesHi everyone, appreciate all the engagement here so far. It has been a while, so wanted to update the status of this idea here. We understand that when you’re managing contacts, having a clear way to separate a legal entity name from a trading name can be important for keeping your records accurate.
The suggestion here is to add a dedicated Legal Name / Business Registered Name field to contact records, so this information can be stored separately and used when managing documents, reporting, and client details.
We’ve moved this to Gaining Support so we can continue tracking interest and gather more examples from businesses that need to manage different legal and trading names in their workflows.

Smart document capture - Ability to auto approve transactions to awaiting payment
The new Smart Capture feature in Xero Files is a great step forward, but one key limitation is currently preventing us from fully moving away from Hubdoc.
At the moment, when Smart Capture creates a bill, it can only be published as a draft. There doesn’t appear to be any option to choose the bill status during the creation process.
In Hubdoc, we can choose the status before publishing, for example:
• Draft
• Awaiting Approval
• Awaiting PaymentThis is extremely useful for workflow management and automation.

Smart document capture - Add tracking category when reviewing
Provide a way for an uploaded document to be assigned to tracking categories.
Due to screen space I suggest an icon which opens a pop up selector.Currently to assign a category to tracked items means re-opening and re-editing the transaction.

Contacts - Ability to pin a note on contact profile
To be able to 'pin' a note t the top of the client profile to see a note clearly.
This note will continue to stay at the top of their activity to view easily.

Right now, as you may be aware there is a Notes field (separate to the Files & Notes on a contact s record). This is within the Contact Information section when adding or editing contact details.
Information you enter here will be shown on the Contact main page to the right side of the screen and can be edited as needed
Being open we don't have plans for enabling the ability to pin a note on a contact at present but will continue to track the interest in this through the community. Thanks

Xero files - Automatically populate tax rate when creating invoices from uploaded files
Currently when putting an invoice on Xero files, you have to manually apply the VAT rate. If the VAT rate can be populated based off what the invoice states, it would make processing more efficient.

Contacts - Send invoices and statements through WhatsApp
Hi not sure if it is available, but can you add WhatsApp to clients? It would be great if one can email and WhatsApp client invoices and statements, directly from the online portal.
23 votesThanks for sharing your interest in being able to send invoices via WhatsApp from Xero.
While this isn't a direct feature available in Xero right now, an option right now for invoices is to use the Xero Accounting app where you can retrieve the link for the invoice to share this via another app on your device, like WhatsApp - we have help on this for iOS and Android in Xero Central.
We're continuing to get a sense of the support for this feature through this idea but want to be open this isn't something we have plans for at this time.

Tax number validation - The ability to verify VAT/GST/ABN numbers of contacts directly with the country Tax Authority
When setting up suppliers in "Contacts" within Xero, it would be great if Xero could perform a VAT check from a link to the HMRC website. There could be a button next to the VAT number box called "Check VAT" and then the supplier's VAT details (as per HMRC) would show.
Furthermore, it would be great if there could be a VAT report that you could run each quarter to check whether all VAT numbers are correct. It might involve a bit more work for the bookkeeper to ensure they set up the supplier correctly in Xero, but it would…

Hubdoc - Mark purchases as Paid once reconciled in Xero
When the transaction is reconciled to a Bill that's been uploaded from HubDoc in Xero, it should mark the document as Paid in HubDoc. (Google's AI-generated answer says that this happens, but it doesn't on my account). That way it would be much easier to see in HubDoc which items still aren't reconciled
Specifically, if a document is
1) published as "Purchased, Awaiting Payment", and published to Xero
2) that bill is then reconciled to a transaction in Xero, so that bill is shown as Paid and linked to Hubdoc
