Purchase order - Show supplier aged balance when entering PO
Surface supplier aged balances during Bill and Purchase Order creation
When creating Bills or Purchase Orders, there is currently no visibility of a supplier’s outstanding or overdue balance without leaving the workflow to run reports.
This creates unnecessary friction between Finance and Purchasing teams, with buyers frequently needing to ask questions like “What do we owe this supplier?” or “Is their account overdue?” Finance teams are then forced to interrupt their work to manually check balances.
Proposed improvement:

As we have multiple product teams working across Xero it really helps for us to have ideas for each feature tracked separately in the forums here that we can consider and keep you updated through.
I've split your idea so we can track the interest in seeing this detail on a Purchase order, and another for viewing this within Bills across here.
This isn't something we have plans for at present but will track the interest and update if there are any plans made.

Purchase Order - Send purchase order by Sms or WhatsApp
Ability to send a purchase order by sms or copy link to WhatsApp. Same as you can do with sales invoices.

Purchase Orders - Print & email as a single option
Not sure why anything needed changing, it's now harder to use. Tab doesn't create a new line automatically, I now need to click on the line, thus making the process take more time. I can't email and print a PO at the same time, it now requires more effort, and making it all full screen strains my eyes. This 'update' feels like it wasn't tested and none of it is for the better.

You should find when you tab from the Description field to the quantity field a new row is automatically added to your PO.
I want to be upfront there are no intentions to allow switching back to the previous experience, however understand there is also a request around being able to Print and email in one click that would help improve your experience. I've adjusted the title of your idea here and we'll begin to get a sense of the interest for.

Purchase Order - Send option at the top of the page
New PO layout has added extra scroll and clicks to PO creation.
Bring back the ability to send the PO from the bottom of the screen.
We start at the top, select supplier, add the products going down... get to the bottom... and have to scroll all the way back up to search for the send button... why?

We can see how having to scroll back to the top of the page to send a purchase order adds extra steps to the workflow, particularly when the process naturally moves from top to bottom as details and line items are entered.

Purchase Orders - Approval for amended purchase orders
Since the option is there to amend a PO once it's been approved would it be possible to add a requirement for POs where the value has been increased to have to be re-approved?

Purchase Order - Customisable purchase order tracking
Could customisable tracking fields be added to PO's. There are several steps in our business between SENT and then BILLED. the only way we can track this is using a spreadsheet as when looking at a PO in XERO we can not easily check status. Using the Notes is too slow and awkward.
As an example: We send a PO to Supplier; Items are then Collected by a courier (this could be weeks or months later); Items then Delivered to Customer (also delay here of months). By allowing us to have customised tracking fields we can then update the PO…1 voteThanks for sharing this here Paolo. We understand that a lot goes on between when the purchase order is created and fulfilled. At the moment, while there are no extra statuses, you can use tracking categories if you're not using them already. You can fill in the first tracking category as Collected by courier etc and the other tracking category would be delivered to the customer. Xero Accounting App - Purchase orders in app search feature for tracking
I create a purchase order through the Xero App
I go to Categorise to an account - on my iPhone it has a search accounts feature, on my colleagues Samsung phone there is no search feature - he has to scroll through all the accounts listed to find the correct accounting code

Inventory Plus - Create a Purchase Order directly from an open Sales Order
Currently, this process is separate so you have to recreate the sales order as a purchase order to send to a vendor to fulfill. Instead, next to each item on the Sales Order, or at the top to create a single PO for all items, you could create a Purchase Order. This would put the Sales Order in process and save a step.
5 votesThanks for sharing this idea. As you're aware, it's possible to duplicate a Sales Order to create another, but you can't copy it to a Purchase Order right now.

Purchase Orders - Make all fields mandatory
Purchase Orders - It would be most helpful when generating a purchase order, that all fields are made compulsory so that people can't save the purchase order until all fields have been completed. Thanks

Right now, to avoid your purchase orders going out without all the necessary detail you may want to consider giving some users Invoice Only - Draft permission.

Purchase Orders - Import from an Excel file
Can we add a function to import purchase order from excel file? We have had it as import bill already, but it is not enough because we need to use the PO function in Xero. However, it is time consuming and many mistakes due to manually entering our PO. It would be great if we can import from excel for both bill and PO function.

Purchase Orders - Expand column width to show longer PO numbers
The PO number space under Purchase Order View is limited, we cannot view our full PO number, refer to picture
Please extend the column, else Xero should restrict the maximum allowance length for PO number format.

Purchase Order - Change Contact when copying to Invoice
Have also the change payee option, From copying the Purchase order to Invoice, so the customer from PO will remain in supplier contact lists only.
3 votesHi team, appreciate why you'd like to be able to identify the Contact that the invoice should be created for when copying a PO to an invoice.
This isn't something we have planned changes of right now but will continue to track interest through this idea.
In the meantime, as soon as the invoice is created you should be able to click the 'x' next to the contact name to quickly remove and search the contact you'd like this entered for.

Xero Inventory Plus: Purchase Order Templates
In Xero I’m able to use my purchase order templates that I created with docx.
I was hoping to keep things consistent when generating POs from XIP. I don’t see that I can alter the templates.

Purchase Orders - Update the Send Email options
Purchase Orders Send Email Features.
This is to request the Product team to please also update the Send Email settings for the Purchase Order to make work efficient and clear to multiple recipients if they are only on CC.
Attached the screenshot of the latest update Xero had made for Invoice Send Email in which the CC and BCC is in the sending option. It is very helpful for the multiple receiver where in the business communication, we need to CC multiple emails than putting every email in the sending to space.3 votesHi team, as part of the work we're doing in the new Purchase orders experience the team will be bringing the same send experience from invoicing into the purchase orders send.
This means features like the ability to CC and BCC when sending a Purchase order will soon be possible 😁

Xero Accounting app - Automatically assign the next Purchase Order number
When using the Xero app from your phone, to have the Purchase Order numbers auto generate the number.
Currently, we have to look back and previous purchases to find the last used PO....unless you have a great memory. And then, while creating a new purchase order, we have to enter the new number.
Currently, we also need to select as an optional detail, the order number. It would be nice if the app created a new PO number, sequentially from the previous PO issued.

Purchase order - Compare purchase order amounts raised with budgeted accounts
For Purchase Orders:
1) Able to assign departmental head for approval ( email goes to manager for approval and they can click and approve ) . Can create a approval level all from Xero to email.
2) Able to see budget against PO , once budget uploaded approver or procurer can see department or nominal account budget before approval.

We have an existing idea for being able to assign a user that can approve purchase order that you may like to join and vote for.
I'll slightly update the title of this idea to reflect the request to compare with budgeted amounts. We don't have any plans for this right now, but will get a sense of the interest to begin with through this idea.
