  1. Sales Invoice - Bulk create Sales Invoices is possible with the import of the csv file, however, the invoices entered is not marked as paid, so we either mark them all paid on one especific date (bulk payment) or go in each one of them and enter the payment...

Going in each one is impratical, and bulk paying all, lets say, at the end of the month is ok, but not right.

We would love to create and mark the invoice as paid in one go, just like with the import precoded bank transactions...

That would help a lot, as…

  2. Remove New invoicing description Character limit. Currently the limit is 4000 which isn't enough for large customer invoices.

Hi everyone, thank you to everyone that participated in our teams survey from my last update. We appreciate your insights and these continue to help inform our teams of where they can best focus their efforts, as they continue to develop invoicing.

We don't have any plans at this stage to increase the Description field character limit from 4,000, however we're interested to continue tracking the interest in community and understand what the optimal amount of characters would be for our customers.

If there are any changes we will share an update with you all, here.

  3. Please increase the character limit for line descriptions when generating invoices from Projects.

Right now, if a bill line has a description that exceeds the small character limit, it gets cut off on the invoice. I have to then manually open each bill, copy the full description, and paste it into the corresponding invoice line. Obviously this is extremely time-consuming and inefficient for something that seems like a relatively small backend fix that would make a big difference to everyday usability.

Is anyone else dealing with this?

Hi there 👋, thanks for reaching out to our Xero Support team and clarifying the difference between your idea here from the one we merged to. Apologies for this oversight - I've restored your idea here.

While increasing the character limit of a bills description when invoicing from a project isn't something we have plans for atm, we can gauge the interest from community in this and will update you if there's any progression.

  4. When adding many backup files to an Invoice it would save time if there was a check box to "attached ALL files to online Invoice" rather than having to tick each file.

  5. Increase the character limit for product/item codes from 30 to at least 50.

Our suppliers use a minimum of 8 characters, up to 12 characters. We use 4 suppliers regularly, which all use different SKU's; This means we can have 36 characters for standard products, even more if there is a supplier we don't purchase too regularly from or if there are 2+ similar products that get grouped under one item.

  6. In an ideal world when a client pays us via Stripe 100% of the fee would be reconciled and XERO/Stripe would invoice us separately on a regular basis for the applicable Stripe fees.

Hi Jo, thanks for sharing your idea on how Stripe fees could be handled.

We understand your 'ideal world' scenario where the full invoice payment is deposited, and Stripe invoices you for the fees separately. We can definitely see how this approach would lead to a much cleaner and more direct bank reconciliation for every single payment.

We're grateful for your engagement and letting us know the changes that matter to you. We've reviewed your idea and now it can gain support from other community members. Along with votes, others can now comment to share additional detail about how having Stripe fees invoiced separately could improve their experience with Xero.

  8. Would it please be possible to increase the amount of attachments that can be saved against a bill. At the moment it will allow us to attach more that 50 items but when it saves it only saves the first 50 and removes the rest.
I realise there are ways round this eg by attaching an e-mail with multiple items attached within it, but it's then more time consuming when trying to find specific attachments

Interesting to know you're attaching so many files to bills, Jenni. Out of curiosity can you share why you need to attach so many files to each bill? And, is there a # that would suit how many you'd often attach?

  9. Currently one can only post 50 lines in an invoice. It should be unlimited as some clients have at least 200 lines or more depending on their line of business.

  10. Please set up an option on the invoice page to send over due reminders. It is very cumbersome and time consuming being required to open the invoice
    click email
    click edit
    Click the correct email template
    click send
find the tiny box that says sent (make this bigger and green)

A more efficient method is to have a column on the invoice page with a heading that says "send over due reminder" with a tick box next to each invoice.

We can then tick all the over due invoices, it will automatically populate the over due email. Have an icon…

  11. Include a tracking order under inventory/product items. For e-invoicing in Malaysia, a classification code must be tagged to each product items when issuing the bill. This is mandatory as the e-invoicing would need to be validated by the tax authorities. Including this classification code simplifies the coding for each product items and this would avoid running into errors during validation with our tax authorities.

  12. When previewing bills in 'awaiting payment' or 'awaiting approval' there used to be up and down arrows to cycle from one bill to the next or previous. The arrows have been removed from the interface with no plans to bring them back.

Previously, we could review the account and GST coding of each bill, as well as having the attached invoice open to the right, including the abillity to review the Xero ocntact bank details by clicking on the contact name. Now, without the abiity to cycle between bills easily, it means we need to close each bill before clicking…

Hi community, we acknowledge the strong feelings in this idea and why you need a feature to flag bills directly within Xero. We really appreciate all your feedback and the detailed explanations of how this would help streamline your accounts payable.

We are dedicated to providing a solution for this over the longer term, but this will take some time requiring changes that sit beneath the face of bills.

In lieu of a direct feature for this we wanted to highlight some of the options discussed by the community here:

    • Add a note to the bill: A detailed note on the bill itself can serve as a clear internal reminder of the dispute.
    • Utilise tracking categories: Creating a specific tracking category like "Disputed Bills" can help you filter and report on these items.
    • Adjust the due date: Temporarily extending the due date can prevent accidental payment while the dispute is…
  15. Allow organisations to disable autosync in Hubdoc for every supplier (existing & new) as an account level setting

  16. When you export invoices, it gives you multiple lines for any invoice which has more than one line. It is therefore not possible to easily total up the amounts due because some invoices are on there multiple times meaning the values are overstated.

Hi Stewart, is there a way you see the export being more helpful for you. For example would you be looking for a summary of each invoice? The Receivable Summary and Detail reports maybe useful for this sort of view and can be exported.

  17. In the bank account settings, add an optional data field to enter in the Overdraft limit on a bank account. Then on the dashboard screen, show the net available balance of current bank balance + the undrawn Overdraft limit.

Purpose - to save the user from having to manually calculate how much is available to make supplier/payroll payments or login to internet banking prior to check.

Should also be a simple feature to add.

  18. Ability to add CC/BCC on every outgoing Statement Of Accounts to customers.
Purpose: Internal colleagues or stakeholders allows for a clear record of who received the statement and the context of the communication.
It enables easier response and ensures everyone involved is aware of the situation.

Thanks for sharing in product ideas 🙏, as you may have noticed with invoices it is possible to cc and Bcc for sending individual invoices at present. As we continue to build out the Sales experience this may be something we look to expand to other areas of Xero, like Statements.

We'll track the interest of this here and share if there's any news.
