Expenses | Notifications - Option to choose the type of notification e.g email or in app
Ability to turn off email notifications for submitted expenses to Xero admins. Only started receiving email relating to submitted expenses as of 10th July 2025 but have been told by Xero support that it is an integral part of expense management and can’t be switched off. Have used Xero and expenses since 2019 and have never received an email relating to an expense submission. Am more than happy to continue receiving notifications of submissions via Xero Me mobile app but do not want or require email notifications.
30 votesHi everyone, we appreciate your feedback, and have been monitoring this change closely.
We appreciate the differing needs of our customers our product team have temporarily removed the notification changes mentioned in my previous update - This means this'll reduce the amount of email notification you're receiving from expenses.
We're looking into enabling more controls for expense notifications and I'll come back to share any further news around this with you here.

Bank | Ability to reconcile period - Regions outside CA and US
Ability to reconcile transactions to a bank statement at the end of a period, and closing it to prevent transactions being deleted or unreconciled in that period.
This feature is currently available to US and CA organizations(https://central.xero.com/s/article/Reconcile-a-period) - This idea is asking for this feature to be extended to all regions.
79 votesHiya team, we wanted to share another update with you all. As our product team conduct discovery for potentially extending the Reconcile period feature to more regions we'd love to get our community's active engagement in the process.
If you'd be interested in collaborating with our team on the research they're doing for this please reply on this idea or respond directly to our update 💬and we'll be happy to share your details with them for further contact. Thank you!

Bank Feed - Aldermore bank
For Xero to expand their bank feed connections to develop a feed that supports Aldermore bank
75 votesHi everyone, thanks for all the support for a bank feed with Aldermore Bank. We are aware of the interest here, and are currently exploring the possibility of this feed.
As some of you have noted, the best option for now is to manually import your bank statements into Xero. This will help you keep your accounts up-to-date. You can find instructions on how to do this in our Xero Central article here: Import a bank statement.
Another way you can help is by letting Aldermore Bank know you’d like to see them integrate with Xero. We've found that banks are more likely to prioritise building a feed when they hear directly from their own customers. They can get in touch with our team to start the process here: Register your financial institution for bank feeds.
We want to be transparent that while we're aware of the demand…

Bank Feed - Cynergy bank
For Xero to expand their bank feed connections to develop feed that supports Cynergy bank
39 votesHi community, thanks for all your votes and comments on this idea – it’s great to see so much support for this idea.
We know that having to manually upload statements takes valuable time away from running your business, especially when your bank doesn't offer CSV exports.
I’m happy to share that we're exploring a bank feed for Cynergy Bank.
While we can't give any commitment at this point, we'll be back once the team have had a chance to dig in deeper and share any progress.

Bank feed - Unity Trust bank feed
For Xero to expand their bank feed connections to develop feed that supports Unity trust bank
55 votesHi community, thanks for your feedback on a Unity Trust Bank feed. While a direct feed isn't available just yet, we understand that this'd save you a lot of time on manual data entry. As we work with Tink to support more open banking connections we'll move this idea through to In discovery. While this is a step in the right direction, it's not a guarantee that the feed will be developed, and we don't have a timeframe to share just yet. We'll be sure to post any updates right here.

Reporting Section under Ideas
Financial reporting is a critical business need of any business using software. Its strange that Xero dont have this as a catagory under Small business ideas. Can we add "Reports" as a catagory. Xero is poor compared to quickbooks now so need to udnerstand if its ever going to change or whether we need to move. I will only be able to gauge this if there are lots or zero user ideas on reporting (perhaps its only me that thinks its "ok but not great"
1 voteHi Robert, to give a bit of an update here as you may have seen through our Xero blog we have some changes that are coming that includes a simpler navigation.
Along side this we will be looking to make some updates to also simplify and make it easier for our customers to categorise their ideas in the forums here.
Totally get how having Reporting as it's own option would make sense and that is something we're looking at directly as part of this. I'll share as soon as we're confirmed on the new structure.

Invoicing | Files - Ability to attach files before adding contact
This Function is Broken with New Invoicing - It does NOT create a new invoice with the file attached.
69 votesThanks to everyone that contributed and gave feedback to the teams survey that was shared in my last update.
There was a lot of valuable insights that the team are able to take from this as they continue to plan whats next in invoicing.
We understand and appreciate there are different flows for how our customers invoicing, and the timing of adding files can be dependent on these flows also.
Our team are currently reviewing and exploring solutions to enable attachment of files to an invoice prior to the Contact. As soon as I have more news around this I'll be sure to share with you all through the idea here.

Connected App - Supplier data-sync for purchases
Option to data-sync Amazon, Ebay, Etsy etc accounts to allow VAT invoices to automatically assign to purchases. This would save so much time each quarter when preparing VAT.
1 voteHi Siobhan, I know it's been sometime since you started the idea here. We wanted to share that we’ve recently launched our Etsy integration in the Xero App Store.
Right now, the integration focuses on helping sellers reconcile payouts, categorise income/expenses, and manage sales tax. We don’t currently have native solutions for Amazon or eBay, though we are exploring opportunities in this space.

Purchase Orders - Option to part-receive
Receiving part orders. No "back order" capability. So what is the point of using purchase orders when you can't change to a "Bill" if only part of the order has been sent/received?
81 votesHi team, thank you for the input from you all that helped with our team's research.
Over the coming months we'll be delivering a new purchase orders experience, that'll provide the ground work for new features like the ability to create part bills from a Purchase order.
We understand the appetite from our community in this and will be sure to keep you looped in on progress. 🙂

Quotes - Add sales tax lookup tool
The sales tax lookup tool is really nice to have on invoices. That function should be added to quotes. When I'm trying to quote a customer, that isn't an option (sales tax lookup). I have to select a pre-saved tax rate. Seems like it would be easy to add that.
12 votesHi everyone, we're really grateful for your insight into how you use and apply sales tax when trading with customers. Our team have found this very valuable as we continue to develop auto sales tax across other areas of Xero.
With that in mind, our team have been working on auto sales tax within quotes and would love to get your feedback on it. If you'd be interested in signing up to our beta please share your interest through this form✍️ and we'll be in touch over the next couple of weeks. I'll return once our team have evaluated the outcomes and we have more progress to share.

Xero Advisor Financials - Automatically fill notes or alert if figures don't match
Currently notes need to be updated manually on the financial statements (as far as I am aware). New accounts need to be added to the respective notes otherwise the figure in the notes will not match the figures in the financial statements.
I feel that this is inviting error as inevitably there will be times where this process is overlooked.it would significantly simplify the process if Xero recognises where a note is connected to a financial statement line item, and then automatically fills in the notes with the same accounts grouped in the financials.
at the very least, there…4 votesHi community, I'm Brigitte, a Senior Product Manager from our Xero reporting team. We’re doing some research on how partners manage notes in Y/E financial reports, and we’d love to hear about your current workflow using report templates.
How you can help:
- This conversation will take about 30 minutes via video call
- We'll ask you to share your screen to walk us through your current process of preparing/reviewing notes
If you're interested, please use this link to choose a time that best suits you.
If none of the available times work, just reply to my update with a preferred time, and we’ll do our best to accommodate!
We greatly appreciate your constant support & valuable input for the reporting team! Thanks so much.

UK Payroll - Pay employees directly via Open Banking
With the advent of Open Banking, it would be great if when you submit the payroll, it could also utilise OB to physically make the payment to the employee also. This would help automate the whole payroll process.
12 votesThanks for supporting this idea, everyone. We appreciate the efficiency being able to directly pay your employees from Xero would bring to your workflow and the time it'd give back. 😊
Our product team are now in testing of new functionality to allow direct wage payments within UK Payroll via open banking with Crezco. I'll be back to share more as this progresses.

Chart of accounts - Add support for subaccounts
Xero should have the ability (similar to QuickBooks) to have sub accounts in Chart of Accounts.
70 votesHi community, thanks for continuing to engage, and sharing your needs in adding more layers to your chart of accounts structure.
We know especially for some of our US customers that this can sometimes be a show stopper in using of Xero.
Right now, we do have a product team that have begun exploring the efforts that'd be required to implement a change of this nature - while we can't commit to any development at this point we'll share any progression with you all here. Thanks

Financial Accounts - Switch rules effect notes
Would like to see switch rules work in the notes to the financial accounts the same way they work on the balance sheet - allowing for reclassification of accounts with negative balances, for example negative current asset to current liability or negative non-current liability to move to non-current asset.
These issues are particularly acute when an account goes from positive to negative and vice-versa between current year and prior year.
On the basis the switch rule does not operate correctly in the notes to the financial accounts, means that in many cases the switch rule is rendered an unusable feature…

Inventory - Record stock when Purchase Order entered
Currently, the stock is not updated until the bill is entered. Many times the deliveries can be part-deliveries or billed on multiple bills. It is impossible to part bill and update the stock for the delivered items
Also, we can get billed before any order is even processed by the supplier. To match the bill with the purchase order, it needs to be entered through the purchase order, which updates the stock before it has even arrived in store.
We need the ability to update the stock record in Xero at the time of delivery, not on billing date.
This…105 votesThanks for the support and voting on this idea, team.
We're in the midst of developing a refreshed purchase orders experience, that gives us the basis for new features.
As you may have seen in other recent updates, we have a keen eye on developing backorders, recording part amounts billed and allowing negative stock on hand in Xero.
We'll be back to share another update as work progresses.

Purchase Order - Link Purchase Order to Bill
Linking Purchase Order to Bill
Purpose: To copy the details from the po to populate the forwarded bill from email fields.
This would enable the ease of processing bills; using the data already on the po and verifying the costs accordingly.
Also this is vital, so that you can match multiple bills to the same po.
188 votesHey community, we know how this feature would really help reduce manual work, make reconciliation smoother, and give you more confidence when processing your bills, and managing orders.
Some customers have shared a possible solution for the time being of using the bill’s reference field for the PO number. We know this isn’t perfect, but might help in the interim.
I’m pleased to share that we’re refreshing purchase orders at present, and taking on board all the feedback surrounding the top requests from our customers in these forums.
Linkage between Purchase orders and Bills is a high focus for our team in this space. While we can’t give timelines atm, we’ll move the idea to In discovery and keep you updated as work progresses. 😊

VAT - VAT threshold warning for registration
Ability to have a warning message appear when turnover is reaching the VAT registration / deregistration threshold
38 votesHi everyone, thanks for raising and supporting this idea of having more visibility or an alert when turnover is reaching the VAT threshold. This is something our team have picked up and taking a deeper dive into. No promises at this point but we'll keep you updated of any news here.

Purchase Orders - Allow for backorders
Ability to use backorders in the Purchase Orders.
Purpose: Users can easily know which purchase orders have backorders.
76 votesWe appreciate all your support and sharing on your needs in backorders through this idea.
Our product team have been working away to refresh purchase orders which'll be released over the coming months.
Work for negative inventory is also in progress, and our team are looking at how this flow works through to sales invoices for backorders. 😊
We'll make sure to update you as there is more news to share. Thanks
-
Sales Invoices - Allow to have column for backorders
To have a column of back orders/negative items within the Sales Invoices.
Purpose: Users can easily enter back ordered items rather than doing extra steps of adding 1 more item in their inventory.
107 votesThanks for the on-going support in this idea, everyone. We're pleased to share that work in inventory and purchase orders is moving along well.
As noted in our last update, work for negative inventory is in progress, and our team are looking at how this flow works through to sales invoices for backorders. We'll share more as soon as there's news.

Payroll: User Roles - Options to give permission to approve/decline leave and read only Payroll reports.
Ability to have more flexible permission in Xero Payroll, especially for read only Payroll reports and to give other users permission to approve/decline leave requests.
Purpose: To have more options and flexibility in assigning users to Xero Payroll.
134 votesHi Community! Thanks for your active and on-going participation in this idea. The volume of comments and votes highlights how important more granular user permissions are for managing your payroll processes effectively.
Improving user permissions and providing greater control over sensitive data is a key area of focus for us. While we have no specific feature to announce today, your feedback is critical in shaping the future of this part of Xero.
Because of the clear need you've all highlighted and our desire to investigate this further, we're moving this idea's status to In Discovery.
During the discovery phase, our product team will be digging deeper into the core problems you’ve raised.
We appreciate your patience as we explore this. We'll be sure to update this thread when we have more to share. Thank you again for helping us understand what matters most to you.
