User Role - Allow users access to specific reports
Ability to only allow some users to access specific reports.
Purpose: Because in some organisation, only some people can only see the information for some reports.
Hi everyone, thanks for the interest in this idea.
As you can appreciate, user roles span across the entire Xero product so there’s many combinations of permissions our customers want to see us build. Specifically, our reporting product team is very much aware of the challenges with the current permission sets relating to sharing individual reports with different users and are beginning to look into how we might be able to alleviate some of these reporting challenges.
However, at this stage it’s far too early to anticipate or confirm any direction on where this discovery work will lead, but it will inform our next steps. Additionally, as I'm sure you can appreciate there are sensitivities of data access and security. Creating upgrades to user permissions will need very careful consideration. As most will be across, the reporting team are leading up to retiring older versions of Xero’s reports on 31 July 2023. Once that’s done, they look forward to pointing more attention to reporting user roles and updating this thread with their progress.

We need some users to have access to reports only (including budget checking).

Bookkeeper as an employee needs to have an access to certain information in Report such as Aged Payable to be able to check and pay the bill, but should not be given full access to all the report such as profit and loss as only the business owner have full access to these type of financial information. The employee should only have an access to the information that they need. At the moment, they either have a full access or non which make the work a bit difficult. is there any way to do it?

This is important so different users within a company and firm that are having to enter AR/AP can view the relevant AR/AP reports without having access to all the other financial reports. Should be an option in the Users screen to give them access to AR/AP reports only.

We have a new Finance Manager joining our organisation next week and I will be creating a new Xero user account for him. However, I don't want him to see the details of our Salary and wages COA. We should have the option to restrict certain COAs to certain people due to confidential purposes. The overall figure can still be seen in reports for certain people but the details should be viewable by the one who has the most authority in xero system.

This is critical as we want to give teams access to monitor expenditure and budgets for their allocated area, without giving access to potentially sensitive information in the bank or payroll general ledgers. I'm struggling to find an app to connect to Xero that will do this, but would prefer it to be in Xero itself. With your focus currently on reporting, is this an opportune time to address this?

Being able to enable users with invoice-only permissions e.g. ledger clerks to be able to view receivables and payables reports. It seems ridiculous that you can only provide access to all reports i.e. the bank reports etc which stops a number of ledger clerks from being able to view a large portion of their role effectively due to permissions restrictions.

Very important to my organisation. Each budget holder/Snr manager should only be able to see their own area's budget and P&L. Also for Invoice Only role should be able to view some of the reports as well. Please work on this request !

I completely agree with the comments below. There has to be functionality to allow more customization of roles. Access to reports and accounts should be able to be limited by role. Mid level personnel should be able to pull customer and supplier reporting information, but not a full P&L. Additionally, our payroll integration creates bills in Xero, so in order to have someone that can reconcile bank accounts, they also have access to bills, so I cannot keep payroll information confidential. That is a major issue. There must be greater separation of duties and data integrity barriers within the system.

Agree with this fully. I need Accounts Payable to have complete access to anything supplier related (reports, payments etc). They pass payments against suppliers but then they cannot see supplier reports, it does not make sense. Standard user access then gives too much access - as it then gives access to all areas. I do not wish to give access to NL, BS, P&L to these users - only to reports that have to do with suppliers as they need them in their role. There needs to be more flexibility in providing access rights. Can this issue be addressed please?
