Projects - Assign a Purchase Order to a Project
Ability to assign purchase orders to a project in Xero.
Purpose: To make Xero projects overview shows everything ordered/billed & invoiced to the customers.
Hi community, some time passed since our last update in the thread here we do want to return and share - while our product teams explored possibilities for how we might represent Purchase Orders in Projects research has confirmed that there is underlying work needed to the platform Purchase Orders are built on before we can achieve any good outcomes of your needs here.
We have enthusiasm and a close eye remaining on the support for this, but want to be honest that this is not something that we’ll be able to focus our attentions on in the near future.
Once we have completed work first needed in the Purchase Orders space we can reassess how to integrate purchase Orders into Projects and will update you all of steps forward, here.

No a bad idea Thomas, but we don't want everyone with access to projects to see the PO. That is why if we could attach it in a way where only admin and managers can see it is no good.

We thought this was a critical function for us until we had a customer who issued us multiple POs for a project. We add each PO as Tasks to our projects (see attached). This way we can invoice across multiple POs on a single invoice and the customer can accurate apply the invoice task lines to the appropriate PO. This also lets us track our status for POs from within the Project app. We use this practice whether our customers issue a single PO or multiple POs per project.

These requests for functionality are a red herring.
I have added my support to numerous ‘critical’ gaps in the softwareFrom my research there are no plans to make any changes to the package
I am seeing requests for functionality from 10 years ago and no response and no updates from XERO

Please add this feature. It is very annoying that we cannot already do this.
For workflow purposes this ability would be extremely helpful to assist with clean organization. Always having the PO available to view from anywhere would be very helpful.However, users with LIMITED user access do not need to be able to view the purchase orders. But if users with limited access could upload attachments such as photos this would also be very helpful for logistic purposes.
At the moment we pay for TRAK because XERO projects is not complex enough to cater for construction firms at all...

I wouldn't hold my breath. It's all upgrading underlying technology for a year in almost all of these requests.

As a media agency, we really need this feature. Nearly every line item on a media buy invoice, will have a corresponding media purchase!

Our work around is to turn a PO into a draft BILL and then add the bill to the PROJECT

Agreed 100%. Xero is basically impossible to use for larger construction firms. And having loads of other specialised project costing add-on apps makes is very difficult and confusing for clients.

Please Please Please add this function. You can't fully track the financials of a project unless you can easily assign the purchase orders.

Karen - whilst Workflow Max may work for your company, it is an expensive integration and the ability to match Purchase Orders in Xero should be included in the core Xero software as a minimum.

Our Company uses workflow max (Xero Product) which has this functionality already. I decided to look into Projects because it would keep everything in one software package. At this point in time we will continue with WorkFlow Max.

I have moved our business over from MYOB AccountEdge to Xero because there was no further support for Apple products.
Whilst Xero is much easier to use & saves us time in some respects, it lacks what we need to run our business. We run projects with multiple purchases needing to be allocated in order to track expenses. So we need this functionality as well and it’s critical. May have to move to other software if Xero doesn’t implement soon. -

This would massively help our organisation of projects and being able to upload the digital PO to the project would also be a good addition.
Secondly, being able to automatically generate job umbers similar to invoice numbers would be a great addition. Currently we have an excel spreadsheet to keep track of our job numbers. However, we have a different starting number for each contact. -

Since we are not able to assign accrued income when we are positng a manual journal, it would be a very good idea that we can add all the purchase orders from customers and enter our purchase orders to suppliers against respective projects, these will meet with our needs to accrue income and or expenses.
