UK Payroll: Customise default working week
Ability to set up standard week in Xero Payroll.
Purpose: To make users easily calculate their employee’s wages. Especially for industries that run 7 days a week.
Hi everyone, we’re pleased to share that we’ve now released working patterns to all UK organisations that use Xero Payroll.
This change reduces manual workarounds enabling you to enter more information employees’ working patterns to support accurate allocations of leave and earnings rates. You’ll find you can now;
- Create or select from working pattern templates
- Add working patterns manually or using the template
- Setup multiple weeks of a working pattern
We’ve shared a few videos on YouTube that’ll help guide you through the change 😊

We pay staff on the last Friday of the month meaning some pay periods are 4 weeks long and some are 5. Currently there is no option to be able to customise a pay calendar so that they match our actual pay periods, which means the dates shown on our employees pay slips are incorrect. Please either allow users to customise their own pay calendars or to customise the payslips so that the correct dates are shown.

This is important to for the XeroMe start and finish times to know when to automatically put overtime in the overtime line.

The biggest problem XERO is not acknowledging is the fact that not all people work 5 days per week. A solution could be as simple as adding a field to the employees information record to capture the number of days per week an employees work and use it to calculate wages and holiday entitlements. This is if their code was developed using good practices and they didn't just use a "5" everywhere they need to refer to the number of days per week an employee works.
I have had to contact XERO support on 3 important occasions and my disappointment keeps just growing. This last time makes me think they don't have enough manpower to create a robust product and the code is just a nice graphics user interface. We will definitely be looking for alternatives to run our business.

Xero payroll is so basic I am going to switch my clients to QuickBooks payroll which is extremely much better. The danger is my clients will want to switch to QB which is not any Issue for me as I am a Gold Pro advisor with QuickBooks. However it will be a big loss for Xero.

This should not an idea for improvement and doesn't only affect industries that run 7 days a week. It also affect ALL companies were employees don't work regular hours (5 days week) i.e. an employee that does 3 days week with occasional overtime. XERO calculates taxes and holiday entitlements wrong.
XERO this is a BUG and not an improvement. Therefore developers shouldn't be waiting for users to vote to have it fixed.

This is important!! we keep asking for this and nothing is getting done. Same for average holiday pay which is a legal requirement in the UK

Xero is calculating pay incorrectly for our part time employees, we really need this feature added asap. I asked for this back in 2017 and can't believe it's still not a feature in Xero.

The public holidays with staff that have irregular working patterns make payroll a nightmare over holiday periods.

Not all employees work Monday - Friday and setting work patterns would be useful for staff who work irregular work patterns

Agree with all the comments below! all my staff work part time and varied hours - no one does 9-5 x 5 days a week.
This would also help with processing christmas leave so I don't have to manually calculate the leave hours vs manually calculating public holiday hours as it would dreamily connect to the existing roster! -

Over half of our staff have a different working pattern to the standard 5 day a week, 37.5 hours. If we could set up our own working patterns it would mean that we could rely on the figures Xero produce rather than having to make manual adjustments.

This is critical as will enable Xero to calculate correctly any absences, saving time. Xero doesn't not do this currently for anyone who has difference work patterns meaning that the deductions need to be calculated manually. If they then differ from Xero you have to either deduct an amount or add an amount which is then reflected in the payslip.

In the post-Pandemic working world this is an absolute MUST and will be the most influential factor in deciding if we stay with Xero as we scale.
