UK Payroll: Customise default working week
Ability to set up standard week in Xero Payroll.
Purpose: To make users easily calculate their employee’s wages. Especially for industries that run 7 days a week.
Hi everyone, we’re pleased to share that we’ve now released working patterns to all UK organisations that use Xero Payroll.
This change reduces manual workarounds enabling you to enter more information employees’ working patterns to support accurate allocations of leave and earnings rates. You’ll find you can now;
- Create or select from working pattern templates
- Add working patterns manually or using the template
- Setup multiple weeks of a working pattern
We’ve shared a few videos on YouTube that’ll help guide you through the change 😊

Just done the year end webinar and it said this will be available no later than 6 April 2024 but should be available to some from 5 February onwards. Where would we find this on our payroll? Employees - Employment details?

A critical piece of functionality needed to correctly comply with the UK's statutory obligation regarding Holiday pay Xero has done nothing about. I will be at Xero's Roadshow in London today and hope to find someone to talk to about users being ignored.

Completely agree with the previous comments - to be able to assign working patterns for part-time staff so that the system correctly calculates the annual leave feels like a fairly basic, but important, facility.

We need to be able to assign working days for our part time staff, our work week is monday to saturday, and someone on a 4 day contract with us, could be working different days depending on the week.
Working around Xero's current assumption that everyone works 5 days a week is frustrating, as it means manually ammending hours for leave etc. This is supposed to be a service to make things easier, not more long winded. -

Work week for full time staff can be Wednesday - Sunday or Monday - Friday.
Public Holidays are a nightmare with the Wednesday - Sunday staff. Annual leave / personal leave taken defaults are always wrong.
Part time hours is split between whole week instead of exact days.

I have a member of staff who works 18.5 hours over two full days of 7.5 hours, and then does a further 3.5 hours. When she books her leave it shows as 3.7 hours as Xero assumes she works 5 days. Additionally, the bank holidays for her are also incorrect.

I don't know why this isn't already part of the payroll package. It is really important for part time workers and those with irregular working patterns. It is a pain to set it up otherwise to make sure everything is correct for the employee.

is nice that xero split wages between bank holiday pay and regular hour, but the hours allocated to bank holiday is not accurate if the employee is part-time. xero need to introduce working days patterns option to be able to specify which days the employee works.
also I would like to have the option what to show on the payslip.
daily pay element also would be nice as a option.

It is crazy that this is not a feature. I have part-time staff and managing their holiday is a huge hassle.

So what is the actuall work around? Im in New Zealand and I still cant believe that this is not a funtion that is available to use.

Having moved from Sage I was surprised by not having the function to record normal working pattern and the difficulty in recording holidays for part time staff with different working weeks e.g. 22 hours over 3 days 1 x 7 hours and 2 x 7.5 hours.
With only a few staff this is workable but I can imagine with bigger payrolls this really would be a problem.
There isn't a one holiday group fits all solution so I've had to set everyone on holiday group 'none' in order to take out bank holidays e.g. when staff don't normally work on a Monday.
I have then 'requested leave' for the ones that have taken the bank holiday to keep things straight.
And I've had to take the approve leave function on myself as the hours need amending before approving.
I then have to inform my CEO. Ridiculously long winded. -

I cant believe that this functionality is not available in Xero, its an absolute must, impossible to calculate leave Taken/Requested without a working pattern set up.
Come on Xero!! this is not good enough

We have staff members with work patterns other than 5 days per week 8 hours per day. ie one member of staff works 5 hours per day but only on Monday Wednesday and Thursday. When he books holiday xero books 3 hours per day rather than 5. It is essential to create work patterns so that holidays are booked correctly and do not have to be amended manually.

We pay staff on the last Friday of the month meaning some pay periods are 4 weeks long and some are 5. Currently there is no option to be able to customise a pay calendar so that they match our actual pay periods, which means the dates shown on our employees pay slips are incorrect. Please either allow users to customise their own pay calendars or to customise the payslips so that the correct dates are shown.
