    Thanks for all your feedback here, everyone. The way you add description only lines in new invoicing is a little different to classic and we wanted to explain in hopes it'll help with how you're using new invoicing. 
    When entering a description only line, you can enter text in the description field of the line. If you add detail to any other field the line will be treated as a 'financial' line and you will need to include Qty, Unit price, Account and Tax rate.
    When an inventory item is added this uses the item code field and the line is treated as 'financial', so it's not possible to use inventory items as description only lines in new invoicing atm.

  3. xero to xero Invoicing

    We use the Classic Invoicing version on Xero to send Invoices to our inter-companies and clients who are also registered with Xero.

    On 02 Sept 2024 this version will retire and only New Invoicing will be available.
    We are not able to select "send via Xero Network" from the New Invoicing option (using our Xero Network Key).

    Are the technical teams still working on this to have the option available or will this option fall away?

    Hi everyone, we thoroughly appreciate all the feedback we've heard from our customers on their use of the Xero network and the importance this is for helping you move efficiently when using new invoicing. Where possible we highly encourage setting up and using eInvoicing as a solution which is wider reaching than just those businesses on Xero, and has more functionality.

    In it's current state you can continue to send invoices using the Xero Network from the Awaiting payments list. That said, we've been listening closely and our product team are now considering development to incorporate sending invoices from Xero to Xero within new invoicing, as well as developing on this feature to enable attachments to be included when sending. We'll shift the idea to Under review for now and I'll share as there is more progression of this to update you on.

  4. Please move the SAVE for the New invoicing to the bottom as per old invoicing. When you have an invoice with 30-50 items and then have to scroll back up to save it adds to the pressure of getting things done.

    Leave the old there until you've got it together and your Paid subscribers are happy.

    Hi team, while we don't have immediate plans to change the placement of buttons on new invoicing we're interested in staying close to this feedback and I'll move the idea to Under review for the time being. We'll return to confirm any outcomes. 

  5. New invoicing is missing the ability to select the default due date that is against the customer. I had to change the invoice date for a customer with set payment terms of 30 days from the invoice date and there were several suggestions listed but the old option to reset to default date was missing.

    Thanks for sharing and feeding back through this idea, community. While our team are reviewing the behaviours of date fields in new invoicing - It may help to clarify how due date works in conjunction with defaults to define how these are working in your organisation at present. Basically put, every time you change an Issue date this influences the Due date, which is a slight change to classic invoicing.

    Currently, there are two defaults that can be set in Xero, within Invoice Settings and within an individual Contact records.

    Invoice Settings due date is a blanket for any invoice raised in the org, if you set a Contact due date this will override the Invoice Settings due date when you select that Contact when invoicing.

    When you change the Due date of an invoice, and then edit it's Issue date this will trigger any defaults you have set up…

  6. Thank you for delivering to keep the existing contact when copying an invoice. Now when you email the invoice the email address is not populated from the contact file. You have to go and look it up to send the copied invoice.

    Please refer to the contact details and pre-populate their contact email addresses.

    Sorry Lynne, It's a bit hard to troubleshoot and get the detail to understand why your contacts details like email aren't coming through to your copied invoice. I've just tested this with Draft and approved invoices being copied and the email of the contact was bought through each time as expected. I'd recommend raising this with our specialist through the Contact Xero Support option in Xero Central for closer inspection.


    Thanks for also checking on this, Olga - that message on defaults application is related to the Sales defaults saved against inventory items or the contacts record but doesn't apply to the contacts personal details. These should be applied when copying an invoice.

    To explain a little more - The reason defaults aren't automatically applied is because the line item fields will be prefilled with the information from the existing invoice that the new one is copied from.

  7. When a selecting the new invoicing platform, you lose certain functions.
    The first function that has been lost is the ability to copy invoice data to a purchase order - this feature needs to added to the new platform as some business use this to purchase items that have been sold from a supplier and makes sure there are no errors.
    The second function is when invoicing from Project the time entered for that project is no longer being allocated to an invoice and showing in the project as not invoiced, this will cause doubling up on billing.

    Hi community, I'm pleased to share with you that the Product team are investigating the first part of this idea - to copy invoice data to a purchase order in new invoicing. There's a few other bits of work lined up before they get to this but we'll be sure to return with an update on progress once there's more news 📰 

    As for the second function raised here, when you raise an invoice from Projects that includes tasks, time entries or expenses, if you change the project field on new invoicing the connection with Projects will be removed. To correct this, you can either void/delete the invoice and recreate it from the project or manually mark the time entry/task/cost as invoiced.

  9. Financial reporting is a critical business need of any business using software. Its strange that Xero dont have this as a catagory under Small business ideas. Can we add "Reports" as a catagory. Xero is poor compared to quickbooks now so need to udnerstand if its ever going to change or whether we need to move. I will only be able to gauge this if there are lots or zero user ideas on reporting (perhaps its only me that thinks its "ok but not great"

    Thanks for submitting your idea here, Robert. Appreciate where you're coming from. Right now, the structure of product ideas categories is similar to the blue navigation within your Xero org so we typically have reporting ideas under Accounting features. Understand how it mightn't be the most intuitive design atm though and this is something that we're considering making updates to. I'll keep you looped in on any change for this here. 😊

    Hi community, our product team have started exploring some improvements in inventory in Xero with the ability to bulk update the sales price of inventory items by a percentage being one they've set their eyes on!

  11. Give sales invoices the ability to create self-billing contractor bills - the same as billable expenses but for the the sales side, rather than the purchase side. I produce high vol royalties where the suppliers(producers) do not physically bill, but we need to raise the charges directly in line with the sales received. Massively labour intensive and could be fixed with this function.

    Hi everyone, to give a bit more detail from our status update a few months ago - The ability to copy to a bill is a feature that the team will be building into the new invoicing experience. They have a few items on their agenda and I want to be open that this is not planned to be delivered until after the sunset of classic invoicing. 

    For the time being, you'll find you can still copy to a new invoice, quote, purchase order or bill from the invoices list view. 

    You can get a bit more of an understanding of what's coming from our Xero central page. When there's more news on copy to a bill I'll share this, here. 

  12. Scenario - Multiple projects open. If materials are purchased at eg a builders merchants for mutliple projects on one invoice/receipt, it's not possible to allocate the spend to individual projects which is madness. It seems that the total invoice/receipt must be assigned to ONE particular project. When materials are bought, it's often far cheaper to buy them in bulk, hence buying for more than one project at the same time. It should be possible to therefore assign individual lines on the invoice to a particular project (a bit like tracking).

    Hi Clare, if you're adding an expense from within a project, it's expected that the expense you're creating is related to the Project you're in. You could create a Bill within the Bills to pay area where you can assign individual lines of your bill to different Projects.

    Hi Natalie, to understand a little more around your idea here. When you mention ticket number - is there specific field you'd enter this sort of information in the invoice. for example would you have the ticket number in the reference field or perhaps the description?

    Hi team, we appreciate the attention this idea has received and do want to share that while we aren't directly developing at this stage, notification and being able to collaborate on bills is something our team are currently looking into.

When sending invoices from Xero to Xero it doesn't attach the actual invoice in the draft bill as an attached so we don't have this invoice for record keeping purposes and can't even see if there's VAT or No VAT charged on the invoice as it is not attached to the bill. This needs to be added.

    Thank you for all sharing how we could keep improving your use of Xero and it's features. For those that haven't explored yet - we recommend considering if eInvoicing can serve your needs in this space. It's available now and incorporates even more functionality than Xero to Xero offers.

    As we're developing new invoicing, our product team are looking at development to build the Xero to Xero network into new invoicing as well as considering enhancing it's functionality by allowing customers to include attachments when using this feature to send invoices. Right now we'll move to Under review and I'll be back when there's more news on this to share with you all.

  16. It would be helpful and efficient to be able to make or add an account code straight from the "account code" dropdown in the bill/invoice/journal without needing to go to chart of accounts to make a new one. Currently, users still need to go to the chart and then go back to the bill/invoice/journal but since this refreshes the page, it erases all the data already filled up in the invoice.

    Hi all, appreciate how this suggestion would make life easier 😊 This is a feature that our team are looking to improve, and they have plans to enable a quick link to go to the COA (similar to quotes today). They do hope to enable the ability to add a new account directly within the Invoices screen however there are a few other pieces of work lined up before they can tackle that.

  17. As an event company, we often receive bills months after the original project is "complete". I wish I could assign costs to "complete" projects the same way that I can assign invoices to "complete" projects.

    Hi Leah, when you've closed/completed a project it is still possible to add Bills and new Expense tasks to it. 

    From the bill you'll be able to look up and assign lines of your Bill, or within the project you can simply add an expense. The only transactions you can no longer add once closed are Billable expenses, Spend monies and time entries. 

    Is there a specific reason you need to enter the expense as one of these type of items?

  19. Suggest being able to turn a bill to pay directly into a prepayment or better yet a part prepayment.

    The Bills to Pay function doesn't work well (at all?) for prepayments - if a draft bill is received there is no workflow to set it as a prepayment recognised by Xero (although you can set the account to debit as a prepayment). Suggest adding "Record as prepayment" to the bill options drop down.

    Even better would be the functionality to record the bill as a part prepayment, many of our bills are for annual service delivery, therefore the bill will…

    Hi Matthew and Anthony, appreciate perhaps not as streamlined as you'd like here there is the ability to apply a prepayment to a bill. 

    In Xero, you would enter the bill to recognise the expense, payment itself would generally be recognised through the bank account when reconciling which is where you can create a prepayment and then apply the credit to the bill.

    Alternatively, if you'd like to do this from the bills screen, you could use the create icon (+) in the top blue navigation and select Spend Money when redirected you'll want to switch the 'Spent as' to Prepayment from Direct Payment.

    Purpose: Users that take orders and receive payments from their contacts before placing inventory can easily do it in Xero.

    Hi everyone, we appreciate the restrictive nature of inventory(Products and Services) atm, and our product team have plans to explore adding capability to cater for negative inventory or back order of stock recorded in Xero. 

    While they have a few other priorities to get through first we'll move this idea to Under review and return to share more when this work picks up.
