UK Payroll - Employee Details export in bulk with correct date format
Purpose: to be able to move payroll from one Xero company to another quickly and without errors.
When exporting employee details from payroll in order to bulk upload them onto another company's payroll, it is not possible to do a bulk export. You have to instead individually download each employee. This is fine if there are only 10-20 employees, but any bigger and you are opening yourself up to missing employees and making mistakes. Any other exports currently available do not give all the information needed to then import directly into a new payroll.
Perhaps the main frustration, however, is that the date format for DOBs, start dates, pension enrolment dates, etc on these exports are in mm/dd format, despite ALL other exports (bank reconciliation reports, Gross to net reports, etc) being in dd/mm format. This again means that a large amount of errors are likely to be made, as I only noticed after uploading a few employees. To manually open each employee file, change the dates, and save and then upload is an extremely time consuming task and human error is likely to occur. It also does not make sense to me that Xero would export information that is not in the same format that its own system needs in order to re-import it.

AU Payroll - Long Service Leave for Casual Victorian employees
Requirement to have flexibility in how Long Service Leave is recorded for Victoria for casual employees who have taken multiple periods of parental leave and unpaid leave so small business is able to record number of weeks and entitlement due date and be able to accrue the entitlement of .80 weeks per year of service (and have that show on their pay). At the moment we are unable to show the employee the entitlement in weeks - only hours. The hours paid per week will be variable depending on when they take the leave so having this flexibility in Xero would be beneficial.

Payroll: 'Save and close' option in draft pay runs
At the moment, inside an individual's payslip/pay run, the button options are 'save', 'save and next' and 'close'.
A button for 'save and close' would be ideal when only one or a few employees (not the whole batch) need to be manually viewed and edited. Instead, we need to click 'save', wait for the page to load again, scroll down and click 'close' to return to the pay run employee list.
3 votesThank you for your contribution and support on the idea. We understand that the ability to easily save and close in one click would benefit your workflows, however to be upfront we don't have direct plans for making this change within the payslip in the foreseeable future.

Lot of employee are working overtime. Holiday should be paid adding the Holiday Pay Adjustment. This means that overtime, certain allowances and commission plans will be included in the first 20 days of leave taken in any holiday year. To put this simply, you should be no worse off financially by taking your holiday. So if you earn commissions, claim certain allowances or work overtime these will now be considered as part of your holiday pay adjustment payment. Every employer must calculate this manually, and errors may occur during the process. It would be fantastic if a formula could be added to Xero.
(Monthly pay ÷ hours worked in month) = average hourly pay
Average hourly pay x hours worked in week = weekly payI've attached an example.

NZ Payroll: allow employee to edit hours in leave request
Payroll functionality around multi day leave requests.
A number of employees work 4 days , and xero divides the days into 5.
The problem is when a leave request for lets say a day and half sick leave - they cannot manually enter 12 hours (8 +4) or 10.5 (7 + 3.5) unless they do Seperate Leave requests per day.
I have a collegue doing 2 weeks of working 6 hours and taking 2 hours each day on annual leave. I ended up having to make his leave request because I am admin.
I had to obtain pre-approval since the request could not be sent to his manager. We did not want 10 leave requests for 2 hours each!Does anyone else think this would help staff better?

AU Payroll | Employee - Second Emergency Contact Option
Could we please have an option to add a second emergency contact for our employees.
Currently when creating a new employee we only have one space for an emergency contact. However, in the case of an actual emergency only one contact may not be enough, a second contact gives a much higher chance of being able to get in contact with someone.

We appreciate being able to easily add a secondary emergency contact to the details tab of the employee record is important to you.
Atm, you could use the notes tab to add a new note to the employee record and include the details in here.
To be open we don't have direct plans for making this change within the details tab any time in the near future.

AU Payroll - Reports: Superannuation and hours worked on Payment Summary Details report
Being a start-up company we claim R&D refund as part of our tax return. In order to support R&D activities we need to work out employee remuneration and hours to support our claims. Currently, Xero does not have any R&D reports that we can use. Hence, I am wondering whether the Tech team at Xero can include two fields (Column options) in the existing report "Payment Summary Details".
The fields required are 1) Superannuation 2) Units (worked hours)
Then we can export this report to work on our R&D claims. Thank you

AU Payroll - Total payment to show on Pay Runs and individual Pay Run screen
Show the Total Payment of a Pay Run, on both the Pay Runs and individual Pay Run screen. As it is, you have to click Payroll > Pay Employees > Pay Run > Employee to see the Total Payment for that specific Pay Run. Far too many clicks to check what the total amount was that was posted to Wages Payable account (and paid from the bank account).

AU Payroll - Prompt to enter Leave loading rates
When ticking the "eligible to receive leave loading" box under taxes, have a pop-up to enter the leave loading rate. A lot of clients tick the box, but are not aware they need to manually enter the rate under leave in the payroll settings as well for it to occur.

It would be very useful to have a report that shows at a glance when each employee last had a pay rise. Like an extra column in the Employee Remuneration Report. Or an audit report that shows the history of pay changes for all employees in one place.

AU Payroll - Unlimited text space for employee name fields
Increase number of letters/spaces in text field boxes in employee name fields.
Text fields for employee names are currently limited to 36 letters so my suggestion is to have an unlimited text field or increase to 50 spaces.
I only discovered this when a new employee's last name has 40 letters so I can't accurately add his full last name. Payslips need to be downloaded and edited via a pdf editor so he has the accurate payslip for his tax and visa records.

AU Payroll - Set Multiple Pay Cycles for the Same Employee
Include the ability to set multiple pay cycles for the same employee. For example, wages are paid fortnightly but commissions are paid monthly. The dates are not aligned with the period if we use only one pay cycle.

AU Payroll: Include Working Holiday Maker field on Taxes tab
Under the new STP Phase 2 screens there is no-longer options on the 'Tax' tab to select Working Holiday Maker, rather just 'Australian resident' and 'Foreign resident'.
I understand on the 'Employment' tab you now need to make this selection, however, I've already had many users reach out confused thinking they need to select 'Foreign Resident' now.
My suggestion is to do one of the following:
Add Working Holiday Maker as an option and have it link back to the Employment tab if selected.
Add a text note in the 'Tax' tab section explaining the requirement to return to the 'Employment' tab to set Working Holiday Maker there first.

As you’ve mentioned there is a placement to accomplish what you're asking here by selecting Working holiday maker in the employment tab under Income type.

Ability to have an automated scheduled payslip.
Purpose: To make Payroll admin workflow easier, especially when they aren’t working on the day when payslip needs to be sent.

We understand being able to set a future send date could make life easier when you’re managing different client paydays, covering for colleagues who are away or avoiding confusion from employees receiving payslips before the money is in their account.
Right now the workaround is to set a reminder to log in and send payslips on the required day. We know that’s not ideal, and while we don’t have dates to share, we’re committed to improving the payslip experience. This idea is under active consideration and we’ll keep you updated on progress.
