    Hi community, thanks for the strong support in being able to attach files within Xero Payroll, both for employee records and pay runs. We really appreciate you sharing the value and efficiency this could create for you when working with Xero. It's evident that being able to store important documents like licenses, sick notes, and onboarding papers directly in Xero would remove the need for external storing systems or manual processes.

    We acknowledge it's not the end goal but wanted to highlight the use of apps, as some have shared like Dext, to help bridge this gap in the meantime.

    I want to assure you that enabling attachments in payroll is part of our long-term intentions. However, to deliver this functionality effectively and reliably, we first need to develop some foundational elements within our payroll platform.

    Hey everyone 👋thanks so much for your ongoing feedback and commitment to supporting this idea.

    We understand the need for a straightforward process to download all payslips at once, particularly for WorkCover claims or employee requests where multiple payslips are required. We’re excited to let you know that our product team is now actively working on a solution to allow bulk downloading of payslips.

    In the meantime, you can use the Payroll Activity Details report to get a detailed breakdown of each payslip. It's also worth noting that employees can access and download their own payslips directly through the Xero Me portal.

  3. Currently, Xero does not have the feature to assign certain working days for part time employees. This becomes very frustrating when doing payroll.

    For instance, an employee works Wednesday to Friday and when a public holidays falls on a Monday, Xero will allocate either all or some of the employees ordinary hours to this date incorrectly. This means we will have to manually adjust it each time.

    A simple resolution would be to set up employees to certain working days, then the public holidays would assign correctly and there would be no need to manual adjustments.

  4. Ability to specify a set approver for a specific employee for when they submit leave requests.

    Employees who are nominated as a leave approver should only be able to approve leave for the specific employees who have them nominated as their approver.

    Alternatively, employees who have the "Authorised to Approve Leave" checkbox ticked should only be able to approve leave by employees in the same Employee Group.

    Only payroll admins should be able to approve leave for all employees.

    Thanks for the great discussion and all the votes on this idea. We know that without the ability to set specific leave approvers, it can be harder to keep governance clear, avoid self-approval and ensure requests go to the right person.

    While we’re not planning to develop dedicated approval workflows in the near term, we want to share a tip that many have found useful. You can help streamline the process by guiding employees to select their direct manager from the approver list. While all payroll admins and leave approvers are listed, this step helps make sure requests reach the right person and keeps oversight clear.

    Your feedback here is incredibly valuable for future planning and we’ll continue to keep an eye on this idea’s traction. We’ll keep it open for voting and will share any updates if plans change down the track.

    Great news team, work has been moving along well and I'm pleased to share our teams are developing the ability for employees to self-onboard by entering their own onboarding details within Xero Payroll in Australia.

    We appreciate the extra admin and time this will take back for Payroll admins to be able to focus on the more critical payroll tasks. Currently in testing with a small group of users, I look forward to coming back with more details as we progress to release.

  6. Suggest the ability to apply work patterns to part time employees. For example, we have a part time employee who works 7 hours on Mon, 6 hours on Tues and 6 hours on Wed.
    At the moment, if a Public Holiday falls on a Monday, it does not correctly work out hours worked.
    The same happens if Annual Leave is taken; incorrect hours are calculated which affects AL accruals.
    Hours worked have to be calculated and added manually.

    Hey everyone 👋 Thanks so much for all the detailed feedback on applying work patterns for part-time employees. We’ve been following the conversation and understand that manually adjusting pay runs for pro-rata entitlements can be a real challenge. It’s clear that having this automated could save time and give you greater peace of mind.

    I’m pleased to let you know our product team has reviewed this idea and we’re updating the status to ‘Accepted’. This means that while it’s not on our immediate roadmap, it’s something we see real value in and want to bring into Xero when we can prioritise the work.

    Hey everyone, thanks for all your feedback on displaying leave balances in days on payslips. We recognise that many of you are keen to see this feature.

    Our product team has reviewed this suggestion. While we understand the value it'd bring, it isn't on our foreseeable roadmap. As a result, we're updating the status of this idea to 'Not in Pipeline'.

  8. Could we include a notification when a staff member has a birthday? This has multiple benefits including allowing us to check if their award salary or benefits need to change and also be able to congratulate them on their birthday. Surely it wouldn't be a huge change to make but would be a unique and helpful change for many SME as I currently need to create a new Google calendar for staff birthdays, creating additional work especially when we have 50+ staff and low retention in hospitality.     Hi everyone, thanks for your feedback and votes on adding birthday notifications to Australian payroll - we understand how this could help with team celebrations and managing age-based award rate compliance.

    After reviewing with our product team, this feature isn't currently on our roadmap, and we'll update the status to 'Not in Pipeline'. Right now, setting up an external calendar could help you track these important dates.

  9. Offering a simple update to the Xero system which would dramatically improve one grey area:

    I had a discussion with my team and it's a common topic that keeps coming up - we find it very awkward having the 'Time Off' allowance displayed in 'Hours'.

    Just like some other tracking systems, they allow you to see your 'Time Off' as 'Days' which is much easier to glance at - instead of having to continuously calculate hours, which takes time and can cause confusion on some occasions.

    Thanks for sharing your thoughts on this one, community. We know how important scheduling payslips is for many of you, and we appreciate the time you’ve taken to explain how it could help your workflow.

    We understand being able to set a future send date could make life easier when you’re managing different client paydays, covering for colleagues who are away or avoiding confusion from employees receiving payslips before the money is in their account.

    Right now the workaround is to set a reminder to log in and send payslips on the required day. We know that’s not ideal, and while we don’t have dates to share, we’re committed to improving the payslip experience. This idea is under active consideration and we’ll keep you updated on progress.

    Hey everyone, we thank you for the detailed feedback on improving how leave requests work for part-time employees in Australian payroll. 

    We understand the value of shifting the task of adjusting hours to employees, freeing up payroll administrators’ time for other priorities and we also appreciate the points raised around accuracy and compliance.

    While we don’t have current plans to deliver exactly what’s been suggested here, our product team is continuing to focus on developing working patterns within AU Payroll. Based on what we’ve seen in other regions, this'll likely address many of the needs discussed here.

    We’ll move this idea to Not in pipeline for now, but we’ll keep you posted on any updates that could help achieve what’s being asked.

  12. Currently, Xero lists a super accrual for employees under the age of 18 when they earn over $450/mth. However, it doesn't take into account how many hours that employee works per week. Under 18s are not eligible to be paid super unless they work over 30 hours per week (even if they earn over $450/mth), but Xero doesn't recognise this. Unfortunately this shows up a s liability for the employer, even though a liability doesn't exist. I know that it can be worked around in the pay run, but it just means extra work for the payroll admin - particularly…

    Hey everyone! Thanks for your ongoing feedback on this. We appreciate you taking the time to highlight how important it is to get superannuation calculations exactly right, especially with the specific rules around employees under 18.

    Our product team has reviewed this idea and agrees this needs to be addressed. The current workaround of manually adjusting each pay run isn't the seamless experience we want to provide, especially for businesses with multiple under-18 employees.

    As a result, we're moving this idea to 'Accepted'. While we can't give a specific timeframe for a solution right now, this status means it's on our radar and something we'd like to develop in the future.

  13. For permanent employees, all XERO business customers should be able to calculate their future leave balances. This will allow a business owner to know if they can approve the leave or not, or what conversation to have with a team member.

    Hi community, thanks for all your discussion and votes on this idea. We can see the appetite in being able to project future leave balances in AU Payroll. We understand that you're looking for an easier way to see an employee's accrued leave for a future date, which would make planning for things like company shutdowns and approving leave requests simpler.

    Our product team has taken a look at this suggestion, however building this functionality isn't on our foreseeable roadmap. For that reason, we'll be changing the status of this idea to ‘Not in Pipeline’. The idea will remain open for votes, so we can continue to gauge interest when we next review our priorities for payroll.

    As some have shared - exporting and combining reports outside of Xero is one way to get the information you need, although we understand its not the solution you'd like here.

  14. Would be great if Xero could trigger an automated (email and/or text) reminder to the superannuation payment approver 10, 5 and one days out from the superannuation due date each quarter.

    A similar reminder feature already exists in XPM for Activity Statement Lodgements - reminders can be turned on.

    Xero also has the ability to automate reminders to Customers around bill payment.

    Xero has the email and SMS of the superannaution approver already on file.

  15. We want to be able to open and complete the employees draft timesheet, if it has already been started. We have enough to do without starting again from scratch what the employee may have already done but just not clicked the submit button.

    It is idiotic that, as the owner and payroll manager, that we cannot see an employee's draft timesheets.

    As the business owner and Payroll Admin, we should:

  16. When a leave request comes in for approval and the employee can take leave in advance (the box is ticked), it should show you how many hours the employee has available. This amount should be the number available minus the leave balance that has already been approved in the system. The leave balance report is only useful when employees can't take leave in advance in their first year. It's a challenge each time (especially leading up to Christmas) to calculate leave that is available before approving the request because you have to review how much leave has been approved in…

    Right now, there are a few other items that need their immediate attention, so while there are no immediate plans for developing this, it's something they'll continue to review as resource becomes available. If there is any change to share around this we'll update you all through this idea.

  18. When operating tracking income and expenses in two areas, payroll allows for the primary tracking category when setting up the employee and the time sheet allows the secondary tracking option to be selected.

    Currently the timesheet option only allows for the 'hours worked' to be allocated to the secondary tracking option. Any allowance can only be added at the pay run which means it cannot be added to the secondary tracking category.

    Can we have the ability to add allowances as an option in the timesheet?

    We understand that the ability to easily remind employees to fill out timesheets would make things easier and save you time.
