UK payroll - Automatically create a pension bill from filling
It would be really helpful if a bill could be created from the pension filing figures on payroll once you have clicked on marked as filed. (such as it is an option when you do your vat return)

Stripe - Invoice Xero user separately for Stripe fees
In an ideal world when a client pays us via Stripe 100% of the fee would be reconciled and XERO/Stripe would invoice us separately on a regular basis for the applicable Stripe fees.

We understand your 'ideal world' scenario where the full invoice payment is deposited, and Stripe invoices you for the fees separately. We can definitely see how this approach would lead to a much cleaner and more direct bank reconciliation for every single payment.

Bills - View PDF without downloading
It would be massively helpful to be able to preview the PDF invoice instead of having to click on and download it each time. If you could preview it alongside where you are inputting data on a Purchase invoice that you have sent to Xero by email - then you can check details side by side rather than having to print out the paper versions. Would be much more efficient

Shopify Integration - Automatic Credit Notes for Refunds
Description / Pain Points:
Refunds: Manual credit notes are required for Shopify order refunds, which is time-consuming and error-prone for high-volume merchants.
Taxes: Xero only supports reporting for one region. Duties and taxes from other regions must be tracked manually, causing discrepancies and extra work.

- Auto-generate credit notes for refunds.

Hubspot integrated invoice - line item negative unit price
An invoice line item can have a negative unit price in Xero but this cannot be done in the the Xero published Hubspot connector app when creating integrated invoices. See the screenshot for the validation error when trying to set a negative unit price on a line item.
NB the validation error makes no sense either because the negative unit price entered IS less than the product total.

AU Payroll - Option for Weekly PAYG Withholding period
Ability to change our PAYG Withholding period to weekly. Only options are None, Monthly or Quarterly. The ATO requires we lodge and pay PAYGW weekly now and this is not possible in Xero. We have to change our PAYGW period to None so that it does not show on the BAS and manually calculate, lodge and pay this weekly.

Xero Me - streamlined User Re-invitation & Access Request Process
Feature Request: Streamlined User Re-invitation & Access Request Process for Organisations. To the Xero Product Team,
Firstly, thank you for continuously developing a fantastic platform. We rely on Xero daily for our core business operations.
We are writing to highlight a significant administrative challenge we face and to propose a feature that would drastically improve efficiency for organisations with a large number of employees, such as ours with 200 staff.
- The Problem: Inefficient Invite Management & Access Issues
Currently, we experience a high volume of access-related issues that are incredibly time-consuming to resolve manually. We estimate receiving ~50 requests per day from employees who cannot access Xero or XeroMe, with common errors being:
"You are not a member of this organisation."
"You do not have access."
"Invite has expired."
These issues typically arise because:
Initial invitation emails expire before the user acts on them.
User accounts become "deactivated" or "expired" due to periods of inactivity (e.g., seasonal staff, employees on leave).
Employees simply forget their login credentials and cannot use the standard recovery flow.
- The Current Pain Point: Manual and Repetitive Work
The existing process to fix this is manual and inefficient:
An employee emails our HR or Finance team.
An admin must log in to the Xero organisation, navigate to Users > Invited Users.
Manually search for the user's name or email address.
Click "Resend" on the expired invite or re-invite them from scratch.
Repeat this process 50+ times a day.
This creates a substantial administrative burden, delays access for employees, and leads to frustration across the organisation.
- Proposed Solution: A Self-Service "Request Access" Flow
We propose a two-part feature that empowers employees and automates the admin process:
Part A: For Employees (The User Side)
Any employee who receives a payslip from us (proving they are a legitimate employee) should see a clear link on their payslip or the Xero login screen: "Need access? Request it here."
Clicking this link would prompt them to enter their work email address.
The system would then send a verified access request directly to the Xero organisation's admin panel.
Part B: For Admins (The Management Side)
A new tab called "Pending Access Requests" is created within the Users section in Xero.
This inbox consolidates all requests from employees. Each request would clearly show the employee's name, email, and the date of the request.
Crucially, this screen would include a "Select All" checkbox and a bulk "Approve & Resend Invites" button.
This would allow an admin to review and process dozens of requests in a single click, rather than one-by-one.
- Benefits of This Solution:
Massive Time Savings for Companies: Reduces a tedious task from hours to minutes.
Faster Access for Employees: Employees can initiate the solution themselves without knowing who to email.
Reduced Back-and-Forth Email: Eliminates the email chain "I need access" -> "What's your email?" -> "I've sent it" -> "It didn't work".
Enhanced Security: Access requests are channeled through a secure, official system within Xero, reducing the risk of admins responding to phishing emails.
Scalability: Makes managing large and fluctuating workforces seamless.

Purchase Orders - Approval for amended purchase orders
Since the option is there to amend a PO once it's been approved would it be possible to add a requirement for POs where the value has been increased to have to be re-approved?

Bills - Increase limit on amount of attachments
Would it please be possible to increase the amount of attachments that can be saved against a bill. At the moment it will allow us to attach more that 50 items but when it saves it only saves the first 50 and removes the rest.

Dividends and other distributions not as P&L - automated support
It would save time and avoid accounting errors if a new document type existed (akin to Bills) that can be sent to recipients (contacts) generating the accounting transactions appropriate for distributions such as dividends and appointments from trusts. Those transactions would be on equity and assets accounts (not expense accounts and accounts payable as is the case for Bills).
It would be great if such processing could be applied to contacts in bulk (e.g. a shareholders register) but the possibility of accounting for distributions singly would be a good start.
I am a trustee and the usual distributions are cash and fixed assets such as investment fund units. Real estate is a possibility.

Auto Reconcile by JAX
Even using Auto Reconcile by JAX or Import a statement by CSV file, the reference number still couldn't be added in the transaction automatically. This is very importatant to search or identify the reference for each transaction.
After I tried the Auto Reconcile function, I have to edit the transaction to add back the reference and created more works for me. So I turn if off now.
Also, if reconcile with bills more than one bill, there is only show the "Batch Payment" but not the reference maked in bill. It would better to see the reference in account transaction page with batch payment.

Public view ( GDPR SAFE )
I’d like to propose a “view-only” feature that would be fully GDPR-compliant and suitable for organisations that manage sensitive financial information—such as block management companies handling residents’ funds.
The idea is to allow every shareholder or resident to view the accounts and understand where money is being spent, while ensuring that all personal data is hidden. For example, where an individual apartment appears in the ledger, identifying information would be removed. To avoid jigsaw identification, each apartment could be linked to a classification matrix—for instance, showing it as a two-bedroom unit paying $2,000 per year—without revealing the resident’s identity. This would give shareholders full transparency while maintaining GDPR-level privacy protection.
This feature could also be extremely valuable for public-sector transparency. For example, it could allow the public to audit accounts for local government bodies or organisations receiving large public grants. A published web link could provide controlled, full access to view spending data, with personal information automatically censored. Additional options could allow spending to be tagged by location, so the public can clearly see how much money is being invested in specific areas.
Overall, the feature is intended to give anyone with a legitimate interest full visibility into the accounts, while automatically masking all personal information to ensure privacy and GDPR compliance.

MTD for ITSA - Facility to export a PDF of quarterly returns
It's currently not possible to export the Income Tax Self Assessment figures for the MTD for Income Tax quarterly submissions as a PDF to include them in a documents pack for client's approval via e-signature in Xero.
This would be helpful from April 2026, so accountants can gain client's approval prior to submission with HMRC.

The ability to create multiple custom budget reports which show budgets and transactions which can easily be emailed out to colleagues at the same time. This is useful if a Xero user has multiple budget holders to report to. This should be able to be emailed as both PDF and Excel.

Xero needs an UNDO button, so that when a mistake is made, there is a chance to correct it.

Payroll Reports - Matrix Format
Provide reports (for both draft pay runs and posted pay runs) in a matrix format like other Xero reports, rather than listed under each employee. The current format makes it impossible to carry out checks or to create further reports for management.
Given the latest update that improving payroll reports is not a priority for Xero, we are very close to leaving Xero and moving to another payroll provider for the next financial year, as all other softwares we have used during our careers have provided far more useful reporting than what Xero offers.
Xero's financial accounting reports are great and offer much more functionality (editing, filtering, etc) but the payroll reports are really awful.

Projects - Ability to edit time of users who have left
I use Projects as timesheets for my staff in my contracting business, and it has worked well for the past two years. I do not use Xero process staff wages, I use ACE Payroll.
After a staff member leaves, I delete them from Projects, as it costs me $7.50 per month per person, and when you have between 20-25 staff, it can get quite expensive.
Once I delete a staff member from Xero, I cannot change any of their time entries. The reason I need to do this is usually because they have allocated his/her time against the wrong project.
Would it be possible that after making a users inactive, as the administrator, I would still be able to correct errors to the times to ensure accurate cost analysis of the project.
Also sometimes we have staff members who return to our employment (after working at the skifields during winter), so to have the facility to make them active again, without having to go through the whole invite system, would be hugely beneficial.
