Access to Invoice only users to certain ledgers
Invoice only users should be able to access certain ledger accounts.
Also they should be able to have access to file option just under the settings option.

Purchase Overview - show permit number column in draft bills

Automatic Credit Notes for Refunds & Multi-Region Tax Support for Shopify Integration
Description / Pain Points:
Refunds: Manual credit notes are required for Shopify order refunds, which is time-consuming and error-prone for high-volume merchants.
Taxes: Xero only supports reporting for one region. Duties and taxes from other regions must be tracked manually, causing discrepancies and extra work.

- Auto-generate credit notes for refunds.

Stripe Autopay Should have dunning rebill attempts. And "Setup Autopay" checkbox should be selected by default, customers can un-click
It is common for subscriptions to automatically attempt rebill 3 times, most customers expect this if there is a temporary card issue, it can be communicated with them in the failed payment notification. They shouldn't have to manually setup up the subscription again, especially if using the same card.
Also if a customer is going going ahead with a subscription service, it makes sense that autopay is the default setting on the invoice. There needs to be the ability to disable it if they want to pay by bank transfer for example, but the default should be that their card will be automatically billed. Just making the checkbox filled by default would avoid confusion making it easier for customers.

add product invoice line reset
When adding a product to an invoice line it should not overwrite, or prompt to keep, existing descriptions, quantities, prices, etc (the other fields on that line).
Currently if you have an existing line and go to add a product it replaces any text, prices, tax, etc on that line item. Sometimes we want to adjust a product without that happening.

Repeating invoice templates - ability to view on mobile app
As a subscription based business, the majority of our invoices are repeating invoices. However, when on the go, we are unable to view, edit or create repeating invoice templates as they aren't available on the mobile app.

Add “Today” filter option for any report in Xero
We would like to automatically transfer daily sales data (excluding GST) from Xero into our custom system. However, the current sales reporting options in Xero do not allow us to select a “Today” filter.
At present, we have to manually set the date each day to get the daily sales amount, which makes automation difficult and time-consuming.
Idea / Request:
Please add a “Today” filter option (similar to existing options like “This Month” or “Last Month”) so that businesses can easily pull daily sales data without manual date entry.This would:
Enable easier automation with integrations and custom systems
Save time by avoiding manual adjustments each day
Provide more accurate and real-time sales reporting

streamlined User Re-invitation & Access Request Process
Feature Request: Streamlined User Re-invitation & Access Request Process for Organisations. To the Xero Product Team,
Firstly, thank you for continuously developing a fantastic platform. We rely on Xero daily for our core business operations.
We are writing to highlight a significant administrative challenge we face and to propose a feature that would drastically improve efficiency for organisations with a large number of employees, such as ours with 200 staff.
- The Problem: Inefficient Invite Management & Access Issues
Currently, we experience a high volume of access-related issues that are incredibly time-consuming to resolve manually. We estimate receiving ~50 requests per day from employees who cannot access Xero or XeroMe, with common errors being:
"You are not a member of this organisation."
"You do not have access."
"Invite has expired."
These issues typically arise because:
Initial invitation emails expire before the user acts on them.
User accounts become "deactivated" or "expired" due to periods of inactivity (e.g., seasonal staff, employees on leave).
Employees simply forget their login credentials and cannot use the standard recovery flow.
- The Current Pain Point: Manual and Repetitive Work
The existing process to fix this is manual and inefficient:
An employee emails our HR or Finance team.
An admin must log in to the Xero organisation, navigate to Users > Invited Users.
Manually search for the user's name or email address.
Click "Resend" on the expired invite or re-invite them from scratch.
Repeat this process 50+ times a day.
This creates a substantial administrative burden, delays access for employees, and leads to frustration across the organisation.
- Proposed Solution: A Self-Service "Request Access" Flow
We propose a two-part feature that empowers employees and automates the admin process:
Part A: For Employees (The User Side)
Any employee who receives a payslip from us (proving they are a legitimate employee) should see a clear link on their payslip or the Xero login screen: "Need access? Request it here."
Clicking this link would prompt them to enter their work email address.
The system would then send a verified access request directly to the Xero organisation's admin panel.
Part B: For Admins (The Management Side)
A new tab called "Pending Access Requests" is created within the Users section in Xero.
This inbox consolidates all requests from employees. Each request would clearly show the employee's name, email, and the date of the request.
Crucially, this screen would include a "Select All" checkbox and a bulk "Approve & Resend Invites" button.
This would allow an admin to review and process dozens of requests in a single click, rather than one-by-one.
- Benefits of This Solution:
Massive Time Savings for Companies: Reduces a tedious task from hours to minutes.
Faster Access for Employees: Employees can initiate the solution themselves without knowing who to email.
Reduced Back-and-Forth Email: Eliminates the email chain "I need access" -> "What's your email?" -> "I've sent it" -> "It didn't work".
Enhanced Security: Access requests are channeled through a secure, official system within Xero, reducing the risk of admins responding to phishing emails.
Scalability: Makes managing large and fluctuating workforces seamless.
Thank you for considering this feedback. This feature would be an absolute game-changer for our operational efficiency and would be hugely valuable to any business with a large number of users.

Missing Setting options approved and awaiting approval
The two-way communication between Xero and integrated software/apps needs to have at least some settings options – currently, there are none. At this point, it’s either connect or disconnect. The way Xero and the integrated software communicate is based solely on what they envision businesses using Xero would like as features, with a strong focus on streamlining processes. To make things as simple as possible, all invoices and costs added to Fergus (and many other project management apps) just go straight into Approved.
When staff members, contractors, or anyone with access to the software/app can add costs to ongoing projects which are then synced to Xero, it’s a great feature. But if something is added to the wrong cost and it’s automatically approved, it creates chaos in our Xero system and results in unnecessary double handling. Unfortunately, we have experienced numerous instances where Xero has had errors in cost allocations, requiring extensive review and reconciliation. Issues that wouldn’t have been necessary if there was an option to sync bills, invoices etc. from integrated software's/apps to Awaiting Approval for the accounts department to check first.
Integrated apps/software are meant to help speed up processes, not slow them down. Of course, every company operates differently, but you can’t micromanage every employee or contractor, and mistakes happen. Xero, as an accounting software, is for many businesses the source of truth, and anything approved usually needs to be double-checked to avoid situations where items must be voided or reports don’t add up. Awaiting Approval helps ensure the information uploaded to Xero is correct before it lands in Approved.
A simple on/off switch to choose whether invoices, bills, etc. go to Awaiting Approval or directly to Approved/Ready for Payment would be extremely helpful.

Invoice or bill search
It would be helpful when you look invoices or bills, you could go back where you were not start of the page.
Sometimes when projects take months to complete or client comes back requiring information of their product years later. So when looking 1 bill from supplier and you might have to open one by one. Then when you go back Xero takes you to the start of the page and you need to go and find again where you were. Bank Feed - Apple Card
I would love a bank feed (ideally a direct feed) that supported Apple Card. A number of other financial programs support it - Xero should too!

We are a small business and have one employee that helps us with some basic accounting needs such as allocating payments, creating invoicing and quotes BUT this is only required to do this in one out of the 4 bank accounts within our Xero account. For many small businesses that have serveral accounts i.e. tax account or savings account etc you need to be able to restrict what users can view or have access to these. At the moment its either access to all accounts or nothing.

Contacts - Ability to select a person instead of company name for all instances of use
In nearly every other business program, a Contact refers to a person and not the business name. The person should be the primary entry entered for contact information, and the business name is an attribute to that person, not the person an attribute to the business as it is currently set up in Xero. We often have to change the specific person (or entity like Accounts Payable) who a quote or invoice or other document needs to go to, and the only way to do that currently is to change the primary person under the business name each time we need to change the person or email. This change would also allow better synchronization with other business programs like Outlook, Hubspot, and many other CRM platforms. Or, another option is to have the ability to select which person from a business should be addressed instead of it only being the primary. We need the ability to select a specific person instead of only the business name is the main necessity.

Bill Payments | Crezco - buy batches of bill payment fees
The highest Xero subscription allows you to make 10 bill payments through Crezco and then you pay a fee per bill. This is a pain, as I now have to approve each 24p fee.

Billable Expenses - Assigning items to customers, make clicking "OK" act like the "Assign" button
I regularly forget to click "assign" before "OK" when assigning a customer to a billable expense. In the attached screenshot, I've identified an expense, found the customer, and the line item is ticked. It's infuriating to have to remember to click "Assign" before "OK", when the rest of the interface is telling me that everything is all set and saved. While I try to remember to press the wretched "Assign" button first, could you please change the default so that clicking "OK" has the effect of clicking "Assign" automatically? There shouldn't be a separate "Assign" button.
