MTD VAT - Show MTD VAT reports after downgrade to Ledger plan
Historical MTD VAT reports can't be seen after subscription downgrade!
We have just realised that we have lost access to a client's MTD VAT reports after their Xero subscription was downgraded to ledger after de-registering for VAT and becoming dormant. We can see all their pre 2019 VAT reports under "Filed with HMRC" or "Published" but there is nowhere to view the subsequent MTD returns and the detail behind them. Not great when you are preparing a final set of accounts prior to dormancy.
These reports may well be needed in future in the case of a VAT inspection or preparation of accounts and are part of the bookkeeping process so should be available after a downgrade when VAT capability is no longer required. Clearly we will now have to remember to export them prior to a downgrade but this is all additional work and surely shouldn't be necessary in a cloud system with an ongoing subscription. Please would you look into this!

Bank Reconciliation - Check box for 'Pay by check'
Right now, checks must be written by going to the top of the page, choosing "Spend Money," choosing the bank account, and then checking the "Pay By Check" box on the page. I regularly enter transactions right on the back account page through the "Spend Money" and "Receive Money" button. It would be great if the "Spend Money" area on the account page could just include the "Pay By Check" box so we could avoid the extra steps.

Stripe - Improve ACH bank transfer to include current balances/overpayments
I am writing to bring your attention to some significant process issues related to payments on invoices that I've encountered after using the Stripe service for just one month with only two transactions. As a new user, I believe these issues warrant your immediate consideration to improve the service for all your customers.
ACH Payment Process Concerns
Overpayment IssuesOne of the main problems I've encountered is related to overpayments when using the ACH process to receive payments from our customers. The current system does not seem to account for outstanding balances beyond the single invoice being paid, which can lead to complications.
Example Scenario
Let me illustrate with an example:- A client is billed $250 monthly
- The payment link only allows for a $250 payment
- The client owes a total of $750 and wishes to pay the full amount
- When paying $750 through Stripe, only $250 is applied to the invoice
- The remaining $500 sits in the Stripe account, unallocated
This situation creates unnecessary complications and additional fees for both the business and the client.
Suggested Improvements
To address these issues and potentially save businesses significant amounts in fees, I propose the following enhancements:
- Include Current Balances: Display the current total balance owed within the invoice payment links, not just the single invoice amount.
- Allow Flexible Payment Amounts: Enable clients to pay any amount up to their total balance due, rather than limiting to a single invoice amount.
- Automatic Application of Funds: Develop a system to automatically apply excess payments to outstanding invoices in Xero, rather than leaving funds sitting in Stripe.
Current Workaround and Its Drawbacks
The current workaround involves creating a new invoice in Stripe to allocate the excess funds. However, this solution is far from ideal:
- It incurs additional fees (0.50% of the total amount)
- It results in duplicate invoicing (in both Xero and Stripe)
- It creates unnecessary administrative work
Impact on Businesses
This issue is likely affecting many of your clients, potentially costing them millions in unnecessary fees. It also creates inconvenience for both businesses and their customers, as they must now pay each individual invoice link separately to avoid these complications.
Call to Action
I strongly urge you to prioritize addressing this issue. Implementing a system that shows current total balances and allows for more flexible payment amounts would significantly improve the user experience and demonstrate that Xero is looking out for its clients' best interests.
In the meantime, I find myself in the unfortunate position of having to advise my clients to pay each individual invoice link separately, which is inconvenient and time-consuming for all parties involved.

UK payroll - Back date directorship start date
Xero should deal with back dating a directorship
As an accountants it is not unusual to only have a touch point around the year end and the client prepares the payroll. And the addition of new directors can be missed by the staff preparing the payroll.
No HMRC guidance is that you can adjust in the next month if the directorship is in the same payroll year. Xero does not work in this scenario. You need to revert each pay run back to the start if the directorship and re run and submit and if there is a weekly pay run this is a significant job.Xero should deal with back dating a directorship

NZ Tax - Ability to calculate income tax for part year returns
Hi team
We need Xero to be able to calculate tax correctly on part year returns for clients in Xero tax. Even though the date fields are available in your returns to show a part year, the tax is still calculated for a full year so the assessment from IRD differs from the return prepared in XPM.
Currently the only option is to file via myIR which is really not good enough.

Tracked Inventory - Add Sales invoice number of COGS journal
When COGS posts via tracked stock on a sales invoice, record the sales invoice number the COGS value relates to in the nominal ledger. There is already a field for this, but Xero does not populate it.

New invoicing - "add last items" adds last PAID items
I'm invoicing for June, and I'm clicking "add last items" so that I can copy and paste the descriptions, and it added the items from the last paid invoice and not the last invoice - I know because the last invoice had line items for May, and it added the line items from April. The May invoice for the client I'm invoicing is still open but the April one is paid and closed.
I just want the thing to do what it says on the box.
(I'd also like for there to be fewer than 7 different font/size/colour in the text so it's readable instead of giving me migraines trying to look at things that aren't highlighted, but you can't have everything)

Bills - Customisable payment receipt/remittance including bank payment details
Bill pdf – to have a print function to print a Payment Voucher for Bill created via a template which user can customize and must contain bank payment details
of supplier which is input in the Notes under supplier contact (see 1a above). This is to allow us to send the payment voucher manually to boss for boss to do the manual payment to supplier.
Boss needs the supplier invoice details and the supplier bank payment details in supplier masters (see 1a) as well as a footer of Prepared by; Approved by and Acknowledge receipt on the
Bill Payment Voucher print out. Boss does not want to use xero. Connection with Belgium (and other countries) tax authorities
We have 3 Belgian customers who are unable to used Xero as there is no connection with Belgium tax authorities, comparable with the HMRC in the UK for MTD VAT returns. If Xero truly want to be a global accounting solution, with Group structures having multiple geographical entities, they need to provide more global support/interaction to avoid clients moving away to alternative solutions.

Reporting: Excel Export - Adjust default row height on exported reports
When exporting reports to Excel they are coming in with very narrow row heights. By Default Excel will create a row height 4 points larger than the font. Eg: default font is 11 points and row height is 15 points. If I increase the point size, the row height increases.
My exported reports have the general data at 9 points but the row height is at 11 points - and I'm constantly having to modify my spreadsheets.
It appears that Xero believes that a 2 point difference between font size and row height gives enough white space to make the spreadsheets easy to read.
Can we please have at least 4 points difference between font and row height on exported reports.

Billable Expenses - Retain tax treatment from original Bill on Invoice
When adding bills with mixed GST/GST-free items to an invoice as a single line, please preserve the tax attributions (proportions) of the items in the billable expense.
Example: If I want to invoice a billable expense to a client from a purchase made at Coles Supermarket, the expense will contain some items that attract GST and others that do not.
These are correctly recorded in the bill (spend money transaction), but when this bill is added to an invoice as a single line, the GST/GST-free portions of the bill are lost. (And tax is applied to the total of the bill, not the correctly recorded bill elements.)
The only way to preserve the proportions is to add items from bills as separate invoice line items - but this is impractical (time consuming/wasted) for dozens and dozens of billable expenses.
Please fix!

Demo Company - Clear ALL, don't reset, optional data reload and cloning
This idea has been raised again and again but XERO isn't listening!!!
The demo company is a great idea, but it makes no sense to automatically reload all the "duff" data every 30 days.
It's VERY simple to achieve a very useful and flexible feature, by....
1) Be able to clear all the data in the Demo Company
2) Make the 30 day reload of useless data optional
3) Enable cloning of an existing organisationWe need to be able to test imports, features etc. and be able to return the "demo company" to EMPTY and if required to restore the standard demo company data set or Cloning an existing organisation.
PLEASE ACT ON WHAT CUSTOMERS WANT

Xero Support - Change how 24/7 support is advertised
Xero advertises 24/7 support. My idea is that this representation is amended to reflect what support is actually offered.
Xero state that you can "Contact Xero for free and unlimited 24/7 customer support". To most people, the meaning of this representation is that you can communicate in real time with someone from Xero who can help. This is not the case.
The advertising claim should reflect that, while you can request support at any time, you will only get that support when Xero staff have the time to provide it, based on their triage system.
If you believe I'm being too literal, consider this statement "Your doctor is available 24/7 to provide you with support/medical advice". Do you take this to mean that you can contact your doctor at any time to make an appointment? Or that you can get hold of them (that is, talk to them) at any time?

On the Suppliers list, if you want to get to the next page you need to scroll down to the bottom of that page. Could there be a next page toggle at the top of the page as well as the bottom. This also is applicable to Customers.

Profit & Loss - Show dividends/distribution/Income tax after net profit
Standard layout, which is the one that clients generate and use to check their profits, shows dividends paid, Income tax expense or distributions. This makes the client very confused as these are not part of the operating expenses. Clients do not need to know how to edit or prepare a new layout to take these expenses out. Also, we as accountants can't customize P&L for each of our clients.
This needs to be address urgently.

Reports | Budget Variance - Add line highlight
As someone who is colour blind, I find the Budget Variance Arrows are similar / same colour which makes viewing budget variance at a glance a challenge.
It would be great to have an option to have lines highlighted a colour if above/below budget instead. Even better if this colour option was customisable.
