VAT - Defer VAT lines to later periods
I would like to suggest the option to defer a vat liability to the next period.
In many cases, customers raise invoices, but then their customer does not pay for a time.
The customer in the meantime is forced to pay the vat putting him at a disadvantage.
I propose the option to defer a vat line item to the following period - in other words, remove it from the present tax return and allow it to reflect on the following tax return.

I can see that you are based in South Africa and that your idea likely relates to the VAT 201 report. Our VAT 201 return has been developed to comply with SARS guidelines and the option to defer individual VAT line items would go against this. For more information on VAT compliance we would recommend reaching out to SARS directly.
You will see the VAT 201 return can only be run on an Accrual basis. Accrual basis includes all transactions by the transaction date, whereas payments basis includes all transactions by payment date.
It doesn't look like the option to create the VAT 201 on a payments basis has been raised. If this is something you would like to suggest, please feel free to raise this idea…

Navigation | Financial Statements - Option to freeze report settings
Could you move the navigation buttons in the Financial Statements format (or any format with multiple pages) to the sticky bar at the bottom so you don't have to scroll to the top of the page to move between pages. some format pages are extremely long and it is a waste of precious time

Atm, if you're quite far down the page you could use the home button on your keyboard to quickly navigate back to the top.

Reports: Print button in new reports
Issue: Old reports Aged trial balance had print button;

My Reply: That's a pain when it was so simple before. We don't want to save the reports each time. Also from an Exported PDF, the print is at 75% so more difficult to read. Why change something that worked brilliantly? Print Button returned please
3 votesThanks for your feedback on the change in printing from old reports to the new. Being upfront, this was an intentional change to remove the print button in line with our commitment to environmental sustainability.
We don't have any plans to bring this back, but as suggested you'll find in new report you can export to a PDF and print that document if you choose.

Payroll - link payroll item to an asset account
At present it is impossible to link a payroll item to an Asset Account in GL. This is a limitation that is wrong and should be easy to fix. It is wrong because in some cases the wages are capitalised (for instance when the resources are used in full or in part to construct capital assets). Sure, it is possible to post a journal to move costs from P&L to a Balance Sheet account but it is cumbersome and error prone. I note, a majority of competing products do not have this limitation.

Reporting - Retain Old Report Formats
Is there anyway to retain the old report formats for P&L and Balance sheets post June 2023?
I find the new format not very easy on the eye and less user friendly. Can we retain the old format moving forward.9 votesHi everyone, appreciate the interest and feedback on the style of Xero's new reports. Being quite open, older style reports will be retired on 31 July this year (2023) and there will be no ability to retain and continue using the older report formats beyond this date.
We do want to hear if there are specific differences in the older styles that you'd like to see in the new and welcome you to start ideas for these individuals changes that we can gather support on and could be developed and reflected in the newer versions, but to be upfront here we'll move this idea to Not Planned.

Reporting - Default Trial Balance date to Today
When pulling the Trial balance it keeps defaulting back to the last financial year. Why not set it up to default to "Today" as most of the time you are pulling the Trial balance as it is today. Then if you want to see the Trial balance for the prior financial year will have it already on there in the last column. We pull the Trial balance regularly for reconciliations and it wastes time to keep changing the date and then click update. Although it does not take long to do this, it is still time wasted.

Thanks for sharing this suggestion with the community. I've confirmed with the team that are no plans to change the date that the Trial Balance report defaults to.
However, if there's specific dates or filters you'd like to use each time you run the Trial Balance report, I'd recommend creating a custom report that defaults to today's date.

Payroll UK - Increase the number of employees from 200
Are you likely to increase the number of employees you can have in Xero to more than 200? We don't want to move from Xero but may have to if the numbers can't be increased.
4 votesHi team, while we appreciate you raising the idea here, the cap of processing payroll for 200 employees is to prevent any issues with your user experience - Going over this could slow down the payroll function, and create difficulties when you run payroll reports.
If you do need to process larger payrolls, we suggest taking a look at our third-party providers in the Xero app store that can serve your needs and handle larger payroll data.

New bills dashboard visually unpleasant - requires 'classic view' option.
The new bills dashboard has weird oversized fonts and therefore appears busy and cluttered. Most of Xero has reasonable pages which are easier to read - like the invoice lists for example. This new version is not nice or professional. Not sure why there couldn't be an option for different view settings (the 'compact view' button does almost nothing). If this continues as a trend in Xero, we will likely move.

I can confirm it’s not possible to revert to the older bills screen, and there are no plans to introduce this as an option.
The changes to the look and feel of the bills list are part of a wider technology upgrade that allows us to deliver new features more quickly in the future.
Just to confirm, I’ve attached a screenshot of the refreshed bills experience from my test org.
I wouldn't say any of the text here appears weird or oversized, if you’re experiencing something different on your end, can you have a chat with our support team?

I wanted to let you know that the product and tech team have been following this thread and have been listening to your interest in the functionality. We do understand the frustration it’s causing when dealing with a large number of invoices awaiting payment. Your time is valuable, and the challenges you’ve encountered are not reflective of the seamless experience we aim to provide.
However, we are not able to build everything at once. And as a global business with many requests for our different regions and needs, when it comes to payments, we are prioritizing first improving the online invoicing experience to allow more payers to pay online. That is the most critical functionality as we know those using online payments, get paid faster. There are still some critical needs here.

GL Payrun - Bulk upload payroll details
Hello,
I wanted to take a moment to share a suggestion that I believe could significantly simplify our payroll process. It involves the implementation of a bulk upload feature, which would allow us to handle payroll data in a more efficient manner. We will need a template that contains essential details for each employee. These details may include the employee's name, rate of salary, and various pay items relevant to their compensation. This would reduce the time and effort invested in processing payroll.

Payment Service - Add Wise as a card payment provider
It would be ideal to have the option to add Wise as a card payment provider for invoices (instead of Stripe). Wise are now offering cheaper rates than Stripe and this would be a good option for some of our clients who pay our invoices by credit or debit card.

From the 4th September, we removed the option to add Pay with Wise to your Xero subscription for new sign ups, and we made the decision to completely remove the feature from 26th February 2024.
Our team is hard at work on an alternative bill payment solution that uses Open banking.

US Xero Payroll - Ability to delete or apply credits to 'old' bills to pay
I have multiple 2018 bills to pay generated from the US Xero Payroll feature that I can not delete nor apply credit memos to. Those were always "locked" bills. I've been trying to void or zero out these bills for years and apparently, there is no way to actually do this. I've spent hours with customer support to no avail. Please put something in place to allow users/me to accomplish this task. My AP bills are messy and my cash basis balance sheet is messy. Journal entries are not a solution as the bills will never go away using this…
4 votesHi team, we appreciate your input in Product Ideas and the idea shared here. Since US payroll was removed from Xero in 2019 we don't have any plans for making changes in the product for this.
We understand it's not the ideal solution however if you have tax bills or payroll transactions that weren't marked as paid before Payroll was decommissioned, you can post manual journals to adjust the balance of the relevant accounts.
While you can post manual journals to most accounts in Xero, there are some exceptions such as accounts payable. You'll need to use other methods to make adjustments to these account balances we have some help to guide you on this in Xero central.

Payment Services - Add Zeller as a payment option
Zeller is a far better payment option to Stripe. It would be great to have this as an integrated 'PAY NOW' option
1 voteHi Terry, we don't have any plans for extending the payment services we offer with Xero in the near term. However if you have a payment service that doesn't currently integrate with Xero you can see if they have a custom URL with placeholders that can be applied to your invoice template in Xero.
We have a bit of information on this here, however you'll also need to touch baser with Zeller to request the custom URL that you can include, from them.

Invoicing - Add a record of the invoice template under invoice History and notes

We are working on improving new invoicing history that'll eventually include when branding of an invoice has changed.
However, we want to be upfront that recording the name of the branding template the invoice has been changed From and To is not something we'll be developing in the near term.

Repeating Invoice - Update repeating invoice if contact email address is changed
It would be good to have the option to update any repeating invoice if the contact email address is changed, whether it could be a pop up reminder to update the repeating invoice or automatically update it if it is the only address against the contact. This would save time and any errors if the repeating invoice is not updated

While this has been looked into by our Product teams, we want to be honest that we don't have plans for re-developing a prompt on repeat invoices when a contacts email is updated at this time. Enable print for Profit and Loss report
We should be able to print the Profit and Loss without having to export to PDF first.

As part of our commitment to environmental sustainability, we've removed the Print button from our reports.
As you've found, if you need to print a report you can still export to PDF and print. Alternatively, as a workaround our new reports will fit the page when printed directly from the browser.

User Role: More options for access rights
More granular level for user access rights
I have seen lots of ideas around this same topic but worded slightly differently.
Essentially, the access rights are far too high level causing users to have access to tasks and rights to delete, approve when they shouldn't

Although it might seem quite specific it does help to have detail of the specific permission sets and what is missing in the existing roles shared for each idea, and get a sense of the users that are interested in these differing permissions.
As you can likely imagine, with the number of features and different roles & responsibilities staff may have across businesses a matrices of options for every single permissions across every feature in Xero would be quite complex and cumbersome when trying to assign what a user can or can't do in your organisation.
While we don't have direct plans for this level of incremental control, our product teams are definitely interested to consider the makeup of permissions within a given area or feature of Xero. I'd urge you and others here to add your support to…

Building on Beautiful - a good mantra?
The "building on beautiful" Xero philosophy seems at odds with many of the ideas posted on this forum. In my opinion users want functionality - not beauty. My idea is to change Xero's design mantra from building on beautiful, to building on functional. At present this seems lost on software designers that place priority on (inefficient) mouse clicks over scrolls, and limited bank rec screens. Have these software designers ever had to deal with large volumes of financial data/documents? It would seem not - they're simply focussed on making it beautiful.

If you've been using our Global Pay Run product you may have recently received communication of changes we're making that we believe will help you manage your payroll more effectively.

AU Payroll - Payroll Activity report to show leave entitlements in draft pay runs
Before posting a payroll, when you run the "Payroll Activity" report, include the leave entitlements about to be posted not just the pay items.
So when you download a report to do a final check before posting payroll you can check ALL payroll activity not just half of it !
2 votesHi Kristen, appreciate you sharing in product ideas here. While this isn't something we have plans for I wanted to confirm you can currently check leave accruals by clicking on the employee's payslip prior to posting the pay run.
Once the pay run's posted, before it's filed, you could run the report and find any issues, and revert it back to draft to make changes if necessary.
