Invoicing - Fields for Job dates
invoices need dates adding , date of work carried out / on hire - off hire dates , the invoices currently only show the invoice date with no other dates added unless doing manually . we have had to stop sending our invoices from xero as customers need dates to match jobs so have had to revert to our old system just for invoicing , surely this could be added

We understand that only showing the invoice date can create extra manual work, especially when your customers need to see the date work was carried out, or on-hire and off-hire dates that match the job. Having to add these dates manually, or use a separate system just for invoicing, adds unnecessary time and complexity.
We’ve reviewed this idea and moved it to Gaining Support so other customers can vote and add their comments.
We’ll continue to monitor the support this idea receives and update the thread if there’s any progress to share.

Strip invoice identification on bank statement
Currently when multiple invoices are paid via Stripe and that money is sent to the bank account there is no way to clearly see which one has been paid other than to go in manually and track it. Would be good if you could work with Stripe to attribute it to an invoice in the bank payouts.

Invoicing Enhancement Request: Fixed Invoice Issue Date by Client
At present, the invoice issue date in Xero needs to be manually monitored and adjusted for each client. Since clients have different required invoice issue dates throughout the month, staff must rely on memory or separate reminders to ensure the correct date is used when creating invoices.
This creates a high risk of human error, particularly when preparing invoices in draft status, as the system does not automatically prompt or enforce the correct issue date per client. Incorrect issue dates can lead to:
Delays in client processing or approvals
Confusion regarding billing periods
Potential payment delays

Statement - Easier Sorting to BULK send SOME statements in a different language (French) and SOME in a different currency (USD). I am currently spending 8+ hours to send statements manually because there is no way to FLAG the account as French and then Sort by French OR Flag the Account as a USA one and then sort by currency or something. grouping items on invoices with separate totals
Please could we have the option to add multiple subtotal lines on a invoice. On occasion we are invoicing clients for multiple parts of a big project all on one invoice, but these are usually split into multiple smaller jobs combined. So we would have labour costs and materials for a certain area, then more labour and materials for somewhere else. We don't wish to be sending multiple invoices for the same project / site, however would like the ability to have a clear break with a subtotal displayed for the individual areas.

I would like to be able to select a covering statement email as the red box with overdue payments is really annoying our scholars. They see this and think it is the amount they owe. Most of our scholars pay in small instalments this is highly confusing for them. If we had a choice of an alternative template it would be really useful. Invoice Contact Name Not Updating on Generated PDF
When updating a customer’s contact details—specifically the name the invoice should be addressed to—the changes do not automatically flow through to the generated PDF invoice.
Currently, the only way to reflect the updated details on the invoice is to cancel the existing invoice and reissue a new one. This creates unnecessary extra steps and increases the risk of errors or duplication.
It would be extremely helpful if any updates to customer contact details automatically applied to all associated draft and existing invoices (where appropriate), including the generated PDF version.

Invoice - Quick edit option (like bills)

Can we have a function in invoicing to record a payment the same as the new 'eye' function on bills (screenshot attached)? Would make life a lot easier as adding multiple payments to an invoice currently involves way too many clicks!7 votesHi team, returning to the idea here I wanted to share an update. While we don't have quick edit for in voices atm, we have made an update to the Make a payment section of the invoice which will reduce a couple of extra clicks here. Rather than clicking a button on the invoice to open the payment section, you'll find that each invoice now has the make a payment section directly beneath an approved invoice.
We appreciate this doesn't fully resole this idea and will continue to keep a watchful eye on the interest, and share if there is any news of this here. Thanks

Invoice Import - Display warning for new contacts being created
Our practice makes use of Xero's ability to import invoices to do monthly utility billing and have found Xero's feedback notice / confirm import page to be VERY useful.
On this page Xero notifies us if
- any invoices will not be imported due to errors
- invoice number already exists
- any item descriptions and/or prices differ from the Xero org's listed products and servicesUnfortunately, it does not notify the user if any new contacts will be created on confirmation, as imported invoices automatically create a new contact if a matching one does not exist.

Allow for EFT or Debit order to pay my Xero account. As my companies do not have Debit or Credit cards.
Most of my companies do not have credit or debit cards, now I need to correct the Xero account with internal invoicing between the companies to recoup the costs and and claim the VAT in the correct company. Easy fix is to allow for debit orders or EFT payment. If accounts are not paid up to date, just block the use of the company.

Negative default due date settings
Allow negative values in default due date options.
We set our due dates 7 days prior to the invoice date, currently Xero only allows default due date settings to be set after the invoice date.
Allowing negative numbers would make our workflow much quicker!

Allow users to add a dedicated surcharge (e.g. insurance, card fee, handling) that appears as a distinct line below the subtotal on invoices, rather than as a regular line item.

Contacts - Ability to turn off initial icon
Can you please get rid of that annoying image that appears when I'm typing in a new contact on a sales invoice. As I'm typing the image is flashing away on each keystroke and giving me a headache!

Payment Services - Ability to set Zip fee to be added on top of invoice amount
Please add option in Xero Payment Services to pass Zip transaction fees to customer on top of my invoice amount. At least most of the invoice amount will be paid to me.
Like Stripe card payment service, pop-up could prompt payee to accept the fee on top of invoice amount. The 5-8% zip fee is too high to absorb for my sole trader businesses.
In Xero > Settings > Payment Services - the Zip payment service could have some settings just like Stripe card payments has to choose that option of including fees in the amount or adding the zip…
8 votesHi everyone, though we appreciate you raising this idea with us, we don't have any intentions of supporting surcharging of Zip fees to customers from Xero invoices - There are some BNPL providers that have "no-surcharge" as part of their clauses, Zip being one of these. You can read more on their payment terms on Stripes website.

Invoices - Add custom fields to display the billing term or service duration
The ability to add custom fields to invoices based on the industry would be a fantastic feature. I have a SaaS client who bills annually that has customers reaching out about adding the invoicing term(number of months) to their invoices. Seems like there have been other ideas submitted based on specific industry requirements.

Having dedicated fields for service start and end dates could also support businesses managing ongoing contracts, retainers, or deferred revenue workflows.

Invoicing - Create a Credit Note from a Paid invoice
We raise an invoice to a client.
They pay it.
Then for some reason, something changes.
We need to raise a credit note against that invoice!I know I can create a new one from scratch but I want the history with this particular invoice and all the other details that I have already typed into it.
What I DON'T want - is to delete the payment, create the credit note, delete the allocation of the credit to the invoice, then reapply the original payment.

Malaysia E-Invoicing - Embed Validated QR code on invoice PDF
1st) I suggest on embedding the Validated QR code to the normal PDF invoice so that we can print multiple invoices at one go and our normal PDF invoice also consists of banking details and credit terms whereas the Validated E-Invoicing has none of these.
2nd) I suggest on putting "Send to MyInvois" button instead of copy and paste the e-mail MyInvois@invoi.ci for every invoice. This is too troublesome.
3rd) Regarding the Invoice interface on the Sent Column, perhaps can Xero make it into two instead? One is for the Validated E-Invoicing & the other one is for customer. The…

Invoice - Allow customers to set up a Direct Debit mandate while completing a GoCardless Instant Bank Payment
I would like to take our first payment via Go Cardless Instant Bank Payment and send them a mandate to fill in for future recurring monthly payments.
We have our first invoice for customers purchasing a subscription from our website set to instant bank pay, so that they can pay immediately and be given site access immediately, but they will then make future payments by Direct Debit.
Via GoCardless directly, If you invite a new customer to collect an instant bank payment, you need to check the box for the option Set up mandate (Prompt this customer to set up…1 voteHi Stephen, thanks for raising this idea. We understand why having the option to set up a Direct Debit mandate at the same time as an Instant Bank Payment via GoCardless could help create a smoother customer payment experience.
The idea is to combine these steps into a single checkout flow, allowing customers to make their first payment while also authorising future Direct Debit payments without needing to complete a separate setup process.

New Invoicing - Move Save button to bottom of invoice like classic
Please move the SAVE for the New invoicing to the bottom as per old invoicing. When you have an invoice with 30-50 items and then have to scroll back up to save it adds to the pressure of getting things done.

Leave the old there until you've got it together and your Paid subscribers are happy.
