  1. When on pretty much any view, sometimes you just need to copy an invoice number (or a few).

    Now, when you click on a line, it goes to the invoice.

    Please give an option to disable the click to go to invoice/credit/bill, and allow us to click on a line to highlight/copy as right now it gets annoying - you have to click, but then press escape quickly enough, or, download as a CSV which just takes too long.

    Hi William, thanks for your reply here.

    I've checked the Invoices and Bills pages, and see much the same sort of behaviour. For example, when trying to highlight an invoice number in the Number column, or the Reference column for Bills, it tends to take you into the transaction.

  2. It would be really useful to have the option to add one-time billable items to a repeating invoice and set them to be included on the next invoice automatically. For businesses that charge a fixed monthly retainer but occasionally add extra services, this would save time and reduce the risk of forgetting additional charges. The item could sit in a pending list against the customer and then be pulled through automatically alongside the standard repeating invoice when it is next raised.

  3. Most of our customers prefer receiving invoices via SMS. When trying to print the invoice via the SMS link, it generates a 2-3 page online version of the invoice. Can you implement a "Print pdf" option that would generate the same concise layout used when previewing the invoice in Xero? Thank you!

    Great to get this sort of insight, Kelly. Thanks for sharing. We'd like to get a sense of the wider interest for being able to print PDF from the SMS invoice message, please feel free to share with any colleagues or customers that you know would find this useful so they can vote on this too.

  4. The email template has changed which accompanies the invoice to the customer. We have a legal name plus a trading as name which people know us by. Currently the legal name is showing up boldly at the top of the email which it didn't before. We would like the trading name to be in this place so as not to cause confusion to our customers, or have the ability to remove it entirely as it has the logo there displaying the correct name.

    Hi community, we really appreciate your feedback on this and hearing why you'd like to be able to change the organisation's name that's shown when sending invoices from Xero.

    This is on our teams radar, and is something they may look into longer term however we want to be open that it's not in the current roadmap.

  5. On the awaiting approval invoice page can we get more details for each customer, like any overdue amount and any credit they have in their account. Currently you cannot apply a credit unless you open the invoice. This will save time and errors.

  6. A problem I have each month is when preparing sales invoices - I use several branding themes, one of which is for the AdFin integration.

    It would be ideal to be able to see on the invoice list (in Sales > Invoices) which theme was attached to each invoice, it would be further beneficial to be able to select a bunch of invoices and bulk change the theme where required.

  7. Problem
    When sending Quotes and Invoices in Xero, users need a simple way to confirm who an email was sent to and keep a clear record of recipients within their email client.

    Current behaviour
    If “Send me a copy” is selected, the sender receives a copy of the email, but it does not clearly include all recipients. To check who the Quote or Invoice was sent to, the user has to go back into Xero history and look up the details there.

    Suggested improvement
    For both Quotes and Invoices, when “Send me a copy” is selected, include all original recipients…

    We can see the value in having the copy sent to the sender include the original recipients when “Send me a copy” is selected, especially where this helps with keeping accurate records and following up.

    We’ve reviewed this idea and are moving it to Gaining Support so other community members can vote and add comments to share how this would improve their experience too.

  8. When copying an invoice, it should display “New Invoice” instead of “Edit Invoice,” as it did in classic invoicing.

    Currently, showing “Edit Invoice” makes it difficult to track which invoices have already been copied. Please change this so copied invoices are labelled as “New Invoice” for better clarity and usability.

  9. The software shouldn't be restricting printing of a draft invoice at any stage of the process nor user settings.
    Printing of draft invoice (even not finalized) is needed for documentation and accountability purposes!
    Drafts only user cannot do this at the moment.

    Every company and with any software I have worked so far, printing is allowed and expected to be done, as a proof of work done, back up of what was submitted etc.

    In our company we have more than one person workng on the same draft invoice.
    How can I can prove that I have done my job…

  10. On sales overview (invoices), it would be really good to have "scheduled" in the "sent" column - where an invoice had been scheduled to be sent by email, but not yet been sent. A column showing the date they are due to be sent would be even better.

    If not as above, it would be really handy if you could click on a tab for "scheduled" so you get a list of invoices that are scheduled, and the date they are due to be sent (like the 'scheduled' folder in Gmail).

    Great to hear you're finding use in the Invoice scheduler, Xav. Being a new feature that's still being rolled out to customers working this feature into other areas like the invoice lists view hasn't been planned just yet, however it would be good to get a sense of the wider interest in this here.

  11. Hi all. We have recently come over the Xero from Attache.
    Several hundred times per month in Attache, we used the product look up option for individual products sold on Invoices and the same for individual products on Purchase orders however xero currently does not offer this as outlined below.
    By putting in a code into the search area for invoices and P/O, we would like the option to search for that item, then click on the product that is identified as the one we want to look up, and bring up the invoice or purchase order the product is…

  12. Please add a tab in the invoices category for "Paid Awaiting Pickup".

    Right now under invoices there is a tab for "All", "Draft", "Awaiting Approval", "Awaiting Payment", "Paid" and "Repeating". Our business often has invoiced paid but the customers have not picked up their products. When they come in we have to search to see if what they are picking up has been paid for. A tab for "PAID AWAITING PICKUP" would really help.

  13. Attached preview window to stay in locked screen on the Left, with line items to be on the right on a scroll screen. Because if you add attachments to work from, the screen will be ready to view from the top left and if you have more than 20-line items inputted and you're working from the bottom. You can't see what the attachment is to work from. Look at pictures to see the mark up of issue. This issue is same as the bills. The bills attachment is on its on screen, but you can move it where you want…

  14. We do very detailed quotations that are done from our quote / costing sheets. These are then sent as a PDF to clients. It would be really helpful if these PDF could be uploaded like a bill to Xero quotes and invoices.

  15. To be able to add an end date to a repeating invoice which is before the "next invoice date". Often clients do not receive notice that a repeating invoice will not be due until after the latest invoice has been sent. They don't want to delete the repeat invoice so they can see a history of previous repeats. Currently can't set an end date that is before the "next posting date".

  17. I would like to be able to check an option that automatically adds the accout number to the reference field on invoices. This would save a lot of time.
    I'm sure there would be options that people would like ot autofill this field so make ot part of the settings

    Appreciate the feedback and how this would be useful when your reference is driven off the contact's account number.

    It's not something we have plans for right now, but do share your idea with others that you feel would find this helpful so they can add their support for your idea here. We'll keep a close eye on the interest and share of there's any progress.

  18. invoices need dates adding , date of work carried out / on hire - off hire dates , the invoices currently only show the invoice date with no other dates added unless doing manually . we have had to stop sending our invoices from xero as customers need dates to match jobs so have had to revert to our old system just for invoicing , surely this could be added

    We understand that only showing the invoice date can create extra manual work, especially when your customers need to see the date work was carried out, or on-hire and off-hire dates that match the job. Having to add these dates manually, or use a separate system just for invoicing, adds unnecessary time and complexity.

    We’ve reviewed this idea and moved it to Gaining Support so other customers can vote and add their comments.

    We’ll continue to monitor the support this idea receives and update the thread if there’s any progress to share.

    Hi Dejan, thanks for bringing this idea to the community. We understand the request for a way to manage bonds or security deposits within the invoicing workflow, including holding the amount separately and releasing or applying it later. This can be useful for businesses that regularly work with deposits alongside standard invoicing.

    The idea is to introduce a clearer way to track and manage security deposits through a dedicated hold and release process, rather than relying on manual workarounds such as liability accounts or journals.

    For now, deposits are typically managed using standard invoicing and liability accounts, with manual tracking used for holding and returning funds where needed. We appreciate this can add extra steps depending on your workflow.

  20. At present, the invoice issue date in Xero needs to be manually monitored and adjusted for each client. Since clients have different required invoice issue dates throughout the month, staff must rely on memory or separate reminders to ensure the correct date is used when creating invoices.

    This creates a high risk of human error, particularly when preparing invoices in draft status, as the system does not automatically prompt or enforce the correct issue date per client. Incorrect issue dates can lead to:

    Delays in client processing or approvals
    Confusion regarding billing periods
    Potential payment delays
    Additional time spent reviewing…

    Hi Alexi, thanks for bringing this idea to the community. We can see why having the ability to set a default invoice issue date at the contact level could be useful, particularly for businesses that work to specific customer billing cycles or contractual invoicing arrangements.

    The idea is to allow a default invoice date to be saved against an individual contact, so invoices created for that customer automatically use the preferred issue date rather than defaulting to the current date.

    For now, using Repeating Invoices may help in some scenarios where invoices need to be generated on a consistent date each month. However, we appreciate this won't suit every workflow, especially when creating ad hoc invoices.
