Invoicing | Contact - Default address based on GPS
Hi,
My business often delivers the same or similar services to repeat customers. It would be useful if Xero could default the contact address based on GPS Location, and then even propose default invoice items and pricing to make the invoicing process easier. This reduces the risk of invoicing mistakes and adds efficiency into the process for invoice creation. Invoices - Prevent sales invoice lines being posted to Overhead or Direct Costs nominal account codes
A number of users mistakenly post lines on their sales invoices to expense nominal codes, for example when recharging their mileage to a customer they credit this to Motor Vehicle Expenses instead of using their correct Sales account code.
Most other accounts/bookkeeping packages prevent this by default by only allowing sales invoices to be posted to sales nominal codes. Xero however allows sales to go to virtually any nominal account of the user's choosing, leading to this error cropping up quite often.
Could we have a way to restrict sales invoices only being posted to sales nominal account codes?

I WANT TO REMOVE THE ABILITY FOR INVOICES TO BE SENT TO INCORRECT CLIENTS BY INADVERTANTLY SELECTING ONE OF THE (MOSTLY OUTDATED) SUGGESTIONS FROM XERO.

Jobber integration to sync data from Xero
There is currently a way one sync from Jobber to Xero. It would be great if a sync from Xero to Jobber can be implemented to records payments in Jobber as soon as a transaction is reconciled in Xero. Similar to what is being one with Thryv and other integrations. This will save me about 1 hour of effort everyday and about 5 hours monthly when the bulk payments come in. I have tried to implement this myself however Jobber API support states they will only allow this if a partner works with them like Quickbooks and Stripe.

We have a Xero Developer ecosystem where interested parties can come to get information on how to integrate and sync data from Xero with their application. If not already, I'd suggest letting Jobber support team know this is something you'd like to see and if they'd consider expanding their integration for.

e-Invoicing : Support France legislation
Purpose : Starting september 2026 or 2027 dependng on the size of business, all the invoices for French companies should respect the new legislation for e-invoicing.
Is Xero planning to be accredited by French admin as a registered software ? (https://www.impots.gouv.fr/liste-des-plateformes-de-dematerialisation-partenaires-pdp-immatriculees-sous-reserve)
It would be very helpful for all the companies doing business in France.
17 votesHi everyone, great to see interest building around support for French e-invoicing. As France moves towards new digital invoicing requirements, it's understandable that you'd want a smoother way to manage this in Xero.
At this stage, Xero’s e-invoicing features are available in AU, NZ, UK, SG, and MY. While expansion to more regions is something we’re actively looking into, this particular request is still in the early stages.
The idea’s now in Gaining Support. If this would help simplify things for your business, adding your vote or sharing your opinions would help us get a clearer picture of the demand.

Invoicing - Adjust 28 days conflict for 30 day suppliers in February
In February this year, all suplier invoices that were supposed to be marked 30 days, got moved to due in March and not end Feb due to the 28 days, This needs to be changed as an exception as there will never be 30 days in Feb.

Invoicing – Enable full keyboard entry (date + account number) without mouse clicks
The current “Add Payment” workflow in invoices is inefficient for keyboard users. While manual entry of payment dates has been improved, the account selection still forces users to use the mouse, which breaks the flow.
We need a smoother, full keyboard-navigable process when adding a payment to an invoice:
1.Enter date manually (already possible )
2.Press Tab to move to the Account field
3.Type the account number directly
4. Press Tab or Enter to confirm selection without needing to click the search bar or manually select the account with a mouse

Invoices - Show 0% tax on non-taxable items, and correct tax % on taxable items in Invoice preview
In Invoice preview for a non- taxable line item there is a tax rate on the line item. At the bottom where tax is calculated the total tax is correct (it does not include tax on the non-taxable item). It is confusing for a client looking at the invoice, they may think they are being taxed on the non-taxable item. Can invoice preview show 0% tax on the non-taxable item and the correct tax % on the taxable item.

Quotes - Move quotes to an expired status after expiry date
At the moment, the options for quote status are: Draft, Sent, Declined, Accepted, and Invoiced. A sales quote that was sent but it's now past the date on which it expired still shows as Sent. It hasn't been Declined yet, but nor has it been Accepted, so there are quotes which are 4 years old still sitting in the list of valid quotes (see attached extract from the accounts of one of my clients). As you may be aware, you can currently create invoices for contact groups and these can be sent in bulk from the invoice overview page. However, this functionality is currently not available for quotes.

Purchase orders - Online view with option to convert to Quote
Purchase Orders - ability for the suppliers that you send the Purchase Order, to view the document online and have the option to import the Purchase Order to Quotes and Sales Invoices.
The Purchase order area of Xero feels a bit underdeveloped at the moment. However, one strong step would be to allow Purchase orders sent by Company A from their Xero account to be transferred to Company B's Xero Sales area at the click of a button (giving an option of Quote or direct to sales invoice).

4 votesHi there, we appreciate your suggestion. It's a thoughtful idea that touches on a key part of the procurement process. We understand that the current method of emailing PDFs and relying on suppliers to recreate the information on their side requires some manual work.
An online view of purchase orders, along with the ability for suppliers to convert those into a quote or invoice in Xero, would help make this a much smoother experience for everyone involved.
At the moment in Xero, purchase orders can be converted into bills, which you can then send to suppliers, and quotes can be converted into invoices to be sent to customers. However, there isn’t a way for suppliers to view a purchase order online and import it into their organisation as a Quote.

Invoicing - Reduce steps from Reference to Item field

What has happened here...it is now taking eight tab clicks to get from Reference Number to the first box to input the item code...last week it was six...so the number of click has increased, not decreased.

Invoicing - Increase the Font Size
Rows on invoices - On the new invoicing manually adding rows is cumbersome for a mechanic business suggest making more than 1 row on the invoice. I rarely have an invoice which is less than 6 rows.

As you may have seen from updates on this idea we have now added the ability to add multiple rows to an invoice at a time in sets of 5, 10 or 20 like you could in classic invoicing.
Earlier this year we also enhanced the invoice grid to optimise font size, padding and column widths. I want to be transparent that we don't have further plans for changing the font size in invoicing.

Short Term Cashflow - Combine existing invoices with predictions for future invoices
When viewing the 90-day short-term cash flow projection, payments from our on-site shop show 90 days of predicted income. However, for customers with existing invoices in the system, only those invoices are displayed.
The issue arises when customers have only 30 or 60 days of invoices, causing a drop-off in the cash projection after 60 days.
Proposed Solution:
- Combine existing invoices in Xero with predictions for future invoices.
- Automatically remove these predictions when an actual invoice is entered into the system.

Malaysia E-Invoicing - Embed Validated QR code on invoice PDF
1st) I suggest on embedding the Validated QR code to the normal PDF invoice so that we can print multiple invoices at one go and our normal PDF invoice also consists of banking details and credit terms whereas the Validated E-Invoicing has none of these.
2nd) I suggest on putting "Send to MyInvois" button instead of copy and paste the e-mail MyInvois@invoi.ci for every invoice. This is too troublesome.
3rd) Regarding the Invoice interface on the Sent Column, perhaps can Xero make it into two instead? One is for the Validated E-Invoicing & the other one is for customer. The…

Invoicing - Select multiple contacts within a group
There are times I want to create several invoices within a group, but not the whole group. For example, in the Equine Lessons Group, there are contacts who take private lessons, group lessons, and/or homeschool lessons. Each contact may also be at a different skill level, therefore a different class. I would like to be able to select which contacts to invoice for Level 1 Homeschool Lesson, or for Level 3 Homeschool Lesson, or even Equine First Aid, depending on who, when , and what course is being taken.

Invoice - Display entry count in 'History and notes' section title
Transaction "History and notes": show in the title how many notes exist. This will avoid having to click the drop down arrow head to check every time. e.g. "History and notes (3 entries)".
3 votesHi Peter, we get why being able to see the number of entries in the History and notes section at a glance would be helpful, especially when you're quickly checking for activity on an invoice.
It might seem like a small change, but we can see how it would save time and make things just that bit easier when you're managing lots of transactions.

Invoicing - Update contact with email used when sending
Under the old invoicing, when an invoice was emailed to a client for the first time, the email address used for that first invoice automatically populated the Contact card's email address at the time the invoice was sent.
This meant that if the invoice was unpaid, the reminder would be able to go to the same person who received the invoice.
However the new invoicing doesn't automatically populate the Contact's email address.
This means an extra step is needed to ensure the Contact card is updated.
If this step isn't taken, then the automated reminders don't go out.

Right now, if you send an invoice to an email that’s not already linked to a contact, you’ll need to add that email manually in Xero. The current setup is designed to be flexible so you can send invoices to multiple emails without changing the contact record. But we can definitely see how this feature would speed things up for you.
