Invoices - Ability to generate job cards or work orders from invoices without pricing details
Hi Xero Team,
Many of our service-based clients would benefit from a “Create Job Card” option directly from a Xero invoice.
The job card should pull through:
Customer name
Address
Contact details
Invoice reference
Item descriptions
Quantities
NotesBut it should hide all pricing information, including:
Unit prices
Discounts
VAT amounts
Invoice totalsThis would allow employees and technicians to receive a work order/job card without seeing customer pricing, and would eliminate the need to manually recreate job cards in Word or Excel.
Thank you for considering this feature.
3 votesThanks for sharing this suggestion, Jeanne. We understand the request to create job cards from invoices without showing pricing. A Custom DOCX template can be created specifically for this purpose, with pricing and total fields removed.
When needed, you can temporarily change the invoice’s Branding Theme to the job card template, select Print PDF, and then change the branding theme back to the original one.
As this workflow is already supported, we’ve updated the status to Existing Functionality.

Edit an Accepted Quote
The ability to modify an Accepted Quote to add the Customers PO number in the Reference filed.
2 votesHi Scott, while it's not possible to edit/revise an Accepted quote. You can unmark as Accepted to then edit (Revise) and add details as you need. 😊
The main purpose is to prevent accidental changing of details of an offering that has been agreed and accepted by a customer.

If you'd like to try this out before taking action in your own org, you can use the demo company to test it. 🙂

One-click convert quote to invoice
Problem:
When a client approves my quote, I waste time manually creating a new invoice and retyping all the line items.Solution:
Please add a "Convert to Invoice" button on approved quotes that automatically copies all details, client info, and line items to a new invoice.Benefit:
This would save hours of admin work and stop mistakes from retyping. Every other invoicing software has this.1 voteHi Ndzalama, if you open the Accepted quote you should see an option at the top to Create Invoice which will copy the contents of you quote into an Invoice as you're after here - See more info on this in Xero central.
If you're having any issues with this please do raise a case with our Xero Support team who can get more details and access to help. 😊

Contacts - Importing CSV to update contact file
When I create invoices, Xero uses the first name field of the primary person in the contact record as the name after “Dear”. I create my contacts by importing them from another system via CSV, but there does not appear to be any way to populate that field automatically on import. That means I have to manually edit the contact in Xero every time I create a new one.
As a developer, I cannot begin to explain how irritating that is when you are doing it for the 200th time.
1 voteThanks for clarifying this for me Peter, I really appreciate the detail. The good news is that you can export your Contacts to a CSV then add in the FirstName and LastName details and reimport the file to update the Contacts. You can find more information in our Xero Central article. But if you need an extra hand you can raise a case with our Xero Support specialists. 😊

Invoice template - spacing between currency & amount
The Currency on Invoices should have a space before the $ sign, it does not look professional. Ideally the NZD should also come after the number, not before.
1 voteHi Suzanne, while this sort if customisation isn't available in the Standard invoice template it's possible to create an advanced theme that you could add spacing and change formatting within the template.
I want to be upfront that we don't have intentions of changing the placement or spacing of these particular items in the standard branding.

Branding - change document titles
Please bring back being able to amend the title of invoices within the new branding theme. Due to the change you have made and not having this functionality, I am now having to manually create the templates in the standard theme. I like the new branding, just need the flexibility to be able to change the title of the documents.
1 voteHi Susan, great to hear that you like the new invoice template editor.
Our team have made a recent change, but you should find you can add amend the title of your invoices from the Advanced section.
Here, you'll find a few drop down option as well as the ability to add a Custom title if you'd prefer. 🙂

Invoicing - Customise or change CRN label wording on new invoice templates
We recently had a customer point out that our company number is not listed on our invoices. I was a bit horrified (it's a legal requirement, as you know!) so I looked. It is there, but called 'CRN', so he didn't realise. Could that text please say Reg. Co. or something similar, so it's more obvious?
1 voteThanks for sharing this idea. We understand the request to customise or remove the CRN label on invoice templates to better suit your business or region.
This is already possible using Advanced Custom DOCX Invoice Templates, where you can edit field labels and other text on the invoice.
We've updated the status to Existing Functionality and closed this idea for voting. If you need help with setting this up, feel free to reach out to our Xero Support team.

Invoice - Display "Attention To" field from Delivery Address on invoices
If I enter a name in the Attention field of the delivery address the Ship to information will not populate on the invoice. Please allow the Ship To fields to respect the Attention field of the Delivery address information.
1 voteThanks for raising this, Trevor. The Attention To field can already be displayed on invoices when the contact's Delivery Address is used.
Add the recipient's name to the Attention field under the contact's Delivery Address. When the Delivery Address is included on the invoice, the Attention To name will appear above the address details.
As this functionality is already available, I’ve updated the status to Existing Functionality. If I have misunderstood your suggestion, please let us know.

Purchases - Accounts Payable - Data Export Feature Request
In Accounts Payable (Bills), there should be a Data Export option under the three-dot menu for each supplier.
For example, if we paid ABC Company in June 2026, we should be able to export in excel all payments made to that supplier for that period. Currently, this option is not available in the Reports section or the three-dot menu.
At the moment, we can only view outstanding or unpaid bills, but we cannot easily export payment history for an individual supplier. This feature would make it much easier to track and report supplier payments.
1 voteHi Dilip, thanks for bringing this idea to the community.
You can already export detailed supplier payment history using the Payable Invoice Summary report. This lets you filter by supplier and paid bills, and export the results.
Alternatively, you can also run the Supplier Bill Activity report which allow you to filter for Payable Payments transaction. This can help list payments made to a supplier within the date range.
As the underlying export capability is already available, we've updated the status to Existing Functionality and closed the idea for voting.

Custom Invoice Numbering Sequences
Many businesses use customised invoice numbering formats to differentiate and organise invoices, such as XER-INV-0001.
Currently, users need to manually update the invoice number each time a new invoice is created. It would be helpful to have the ability to set a custom invoice numbering format with an automatically incrementing sequence.
This would eliminate the need to manually check and update invoice numbers and would allow businesses using customised numbering systems to properly utilise recurring invoices.
1 voteHey Alicia, this is already possible within Xero. When you set up your custom invoice umbering, the numbers should advance numerically regardless of the Prefix (Xero INV).
We have a bit if help around this in Xero Central, but if you need an extra hand you can raise a case with our Xero Support specialists. 😊

Xero Billing Clients and counting towards partner program
Allow an option to have the client pay for their Xero subscription directly while maintaining the client as part of our rewards system.
Currently we have to collect sales tax for many clients in many areas of WA state. for billing them for Xero, and we have to keep up with changes in billing. We should have the option of the client paying the invoice directly and not lose our cut as a partner.
1 voteHi Jim, thanks for raising this. A quick clarification on this one: clients who are billed directly by Xero do count towards Partner Program points when you're invited into their organization as Administrator.
These clients currently earn you more partner points than Partner-billed clients. You can refer to this article for more information.
As this is already supported, I’ve updated the status to Existing Functionality. If you have specific questions on this, we'd encourage you to reach out to your Account Manager.

Reporting - P&L to allow "Compare With" periods by single tracking category
Currently the moment I select a tracking category to isolate, I am not able to compare to previous periods or add date columns to P&L reports. Am I missing something? This is critical for reporting - thanks :)
1 voteThanks for sharing this feedback.
While Xero doesn’t currently allow Compare tracking categories and Compare with periods to be used together, you can still compare periods for a specific tracking category option by applying it as a filter:
- Go to Reporting and open Profit and Loss.
- Select the required Date range.
- Under Compare with, select the number of previous periods you want to compare.
- Click Filter.
- Select the relevant tracking category and category option, such as a department, location or region.
- Click Apply.
- Click Update to run the report.
The report will then show the selected tracking category option across the periods you chose. This provides a way to review the performance of one tracking category over time, even though Xero can’t currently display multiple tracking options and multiple comparison periods in the same report.
For more information, see Profit and Loss report – Xero Central.😊

Deposit and balance email template missing
Have the option to edit the deposit and balance email template globally in Email Settings
1 voteHi Antonio, thanks for sharing this idea. We understand the value of having different email messaging for deposit and balance invoices.
This feature is currently available in Xero. As mentioned in our article, you can create a new email template for Deposit and Balances. When sending email for an invoice, you will have the option to choose which email template to use.
If you need help with setting this up, our Xero Support team will be happy to assist.
