    Also, thanks for your comment there Dianne, if the terms and conditions are longer we usually recommend using DOCX templates or advanced invoice templates for more freedom of customising. If you need further assistance with this, we'd recommend raising a case.

  2. I'd love for my staff to be able to login into xero to create invoices and quotes, and send them without being able to see the rest of the business accounts. Or has this been developed and can be done?

    This is possible within Xero Alex!. You can assign the Invoice or Purchases draft only permissions which restricts the user from seeing anything other than the draft invoices and related transactions they’ve created themselves. You can also assign Invoice only – Sales (quoting and invoicing) if they need sales-side access, or Invoice only – Purchases (purchase orders and bills) if they need purchase-side access. Both levels let the user create and approve transactions in that area, rather than only creating drafts. If you need more help deciding what to assign please reach out to out Support Team and they will be able to help you wiht that. 😊

  3. The Problem:
    When a customer pays more than the invoice total due to tips or card surcharges, Xero’s Add Payment screen forces any amount over the invoice total to be treated as an overpayment/credit, not as intentional extra income. This prevents me from allocating the excess directly to specific income accounts (e.g., Qualified Tips or Card Processing Fee Income) at the time of payment. As a result, I have to use multi‑step workarounds (separate Receive Money and Spend Money entries, later adjustments once bank feeds arrive) just to reflect a single real‑world payment event: invoice amount + tip/surcharge − merchant…

    Thanks for the suggestion. We understand the need to handle small differences like fees, rounding, or split allocations when applying invoice payments.

    This is already possible in the Bank Reconciliation screen. You can use Find & Match to reconcile payment statement line with the invoice, then add any difference via Adjustments (such as Bank Fees or Minor Adjustment) and allocate it to the relevant Chart of Accounts code.

  4. Send invoices directly via SMS/Text message, without the need to send via Email first.

    Also, the ability to send via SMS/Text message from the (iPhone) app.

    Hi! Did you know it's already possible to do this on an iPhone! to do this:

    1. Open the Xero Accounting app, tap Sales, then open the invoice you want to send.
    2. Tap Options, then tap Share.
    3. Select Messages/SMS (or another mobile app on your device) to share the invoice link.
    4. If the invoice is still in Draft or Awaiting Approval, sharing it will mark it as approved😊
  5. This has already been put forward, voted for and declined by admin however all the comments I can see refer to the client not being able to see descriptions - I want to use Xero as my sole place for organising, quoting and invoicing however we do a lot of repeat custom for several clients and may invoice them 20-30 jobs per calendar month, all we get in the invoice list is the invoice number which unless I keep a separate ledger or spreadsheet doesn't tell me what the work is for...... if I need to reference a specific job…

    Hi there, appreciate your detailed feedback. We understand the need to quickly identify invoices when managing multiple projects, properties, or jobs.

    For this use case, the existing Reference field in invoices can be used to add details like job names, project titles, or PO numbers up to 255 characters. The Reference field is searchable and can also be shown as a column in the Sales Invoice list view, making it easier to scan and locate invoices from the main screen.

  6. Require a "Pay Now" button available on the user invoice in Xero so when a customer rings wanting to make a payment over the phone, the Xero user can select and open the correct invoice, click on "Pay Now" and this take the users to the (Stripe) Payment Window where card details can be entered and payment accepted. Not all our customers have access to emails and can access the online portal via the emailed invoice. We have just moved from SAGE where this function was available and made accepting payments, quick, easy, simple and secure.

    Hi Richard, thanks for the suggestion. We understand the need to move quickly to payment when you’re on a call with a customer.

    You can already access the “Pay Now” option using the online invoice link. Here’s how:

    1. Open the invoice in Xero.
    2. Click the three-dot (more options) menu.
    3. Select Get link.
    4. Open the link in your browser to view the customer invoice.
    5. Use the “Pay Now” option to take payment.

    Alternatively, you can email a copy of the invoice to yourself and use the same “Pay Now” button from your inbox. If you need help with this, feel free to reach out to our Xero Support team.


  7. Please stop the credit note page from closing before I can email a copy to the customer.
    I have to reopen the credit note every time to email a copy.

  8. I wanted to share some feedback regarding the invoice templates. Currently, invoices always display individual item prices, which makes it difficult for businesses like ours that offer package or bundled services. It would be very helpful to have an option to show only the overall package price or total cost, without displaying each item individually.

    This feature would improve clarity for our clients and streamline the invoicing process for businesses that work with bundled pricing.

    Hi Amy, thanks for sharing the idea. We understand that there is no option readily available to hide line amounts and show a total cost. However, what you are wanting to achieve is something you can already do in Xero! You can use DOCX templates in Xero in the form of advanced invoice templates. Just customise it further by editing the template in Microsoft Word to remove or hide certain fields and show only one total. We have a bit if help around this in Xero Central but if you need an extra hand you can raise a case with our Xero Support specialists. 😊

    Hi Sunil, while by default a repeat templates date will default to the current date, it's possible to set a historic date. Based on the frequency you set for the template once saved Xero will automatically create invoices for past dates on that frequency.

    You can have a practice in the demo company if you'd like to try this out before implementing in your own.

  10. Please restore the function which was a casualty of Xero's move to "new invoicing." The "received" and "opened" tracking that used to appear in History & Notes was part of classic invoicing and was not carried over when Xero retired it . This is an important function for small businesses.

    Hi robert, it sounds like you're referring to when an invoice is sent and the online invoice link is clicked and viewed. This functionality exists within new invoicing as well, you should se in the history of the invoice when it is sent as well as a system generated history event for when the online invoice link in the email received has been clicked and viewed.

  11. Prior to the latest update of Xero, users could select 'due in 0 days', which would enable reminder invoices to be sent on the due date.

    Now there is only the ability to send an invoice reminder just before or just after the due date.

    Please reinstate the option to automate invoice reminders on due date, not just before or after.

In the 'Sales, Invoices' screen, when approving and emailing multiple invoices at a time, it would be really helpful if overpayments were indicated with a little symbol next to the customers names so that they can be easily applied before emailing. I entered this idea a couple of years ago but it was combined with a reconciling idea.

    Hi! Did you know it's already possible to do this in Xero? In the Sales > Invoices screen, different types of credits each have their own symbol in the list:

    • OP – Overpayment
    • PP – Prepayment
    • CR – Credit note

    These codes show in the first (type) column next to each transaction, so you can quickly see what kind of credit it is at a glance.

  14. Automated payment services for payday super payment without adding in client's bank or get a bank feed.

    We have few overseas client, we process Payroll, PAYG-W, Super on Xero and the client pays to respective entities online.

    Since now we have payday super coming up soon, we think it will best to add the payment batch to client's bank account directly and get client to approve and pay the same from their banking system.

    Client is not keen on bank feeds in order to the register for automatic super payment.

    Hi Amrita, thank you for your feedback regarding the bank feed requirements for Auto Super. To use the Superannuation feature customers are required to connect a bank feed to their registered account.

    This is a deliberate step toward enhancing the security of your payroll data. With this added layer of protection, we are working to provide a safer way for you to process payments to your employees.

    We do recognise that there are certain circumstances where a bank feed may not be possible. Because of this, we can offer temporary or permanent bank feed exemptions on a case-by-case basis. If you believe your situation warrants an exemption, please raise a case with our Xero Support specialists.

  15. Similar to bank rules, when coding an invoice for approval/payment create rules from a particular supplier so that multiple lines can be auto coded - ie Our Power supplier invoice is split into 3 account codes by % each time (33% bar cost, 40% general, 27% restaurant). Could this be set up similar to bank rules?

    Hi team, returning to the idea here there are existing features that should help with the coding of your invoices and bills here.

    For example you can set up some defaults for Sales and Purchases within a Contacts record which will auto populate fields in Invoices or Bills you enter for that contact. With Bills there is also the ability to email to bills or Upload which will capture many of the details from your file into a draft Bill saving you even more time.

  16. In New Invoicing, the Contact field shows a summary popup of the selected Contact. Some details can be quickly edited (name, email, address, phone).

    However, there is no link to quickly navigate to the full Contact Card stored in Xero.

    It would be helpful to be able to jump directly from the Invoice to the full Contact stored in Xero - eg if more details edits need to be made to the Contact, or to view the Contact's full details. If a link is provided this should open in a new tab to avoid losing the Invoice context.

    Hi Ben, while you can't edit all fields of a contact within an invoice it is possible to navigate to the contact record from the invoice.

    You just need to click the small box with an arrow icon which will open the contacts record in a new tab for you to be able to edit as needed. 🙂

  17. Provide a setting to hide GST from the quote total (display only), allowing businesses to present ex-GST pricing (while clearly noting prices are ex GST in the notes below for transparency). GST is still automatically included when the quote is invoiced.

  18. while generating the quotation, we would like our company details to appear on the continuation pages as well. Currently, only the UEN number is being displayed. Additionally, we would like to include page numbers for easier reference by our customers.

  19. Not sure if this is the correct category. Get rid of the remittance advice slip on statements. This was useful 10 years ago, but now, with so much being paid online, etc., this is an outdated facility. At least give us the opportunity to get rid of it.
