    Thanks for sharing this suggestion, Qiuyang. We can see how having AI automatically populate invoice details, such as account codes, descriptions, tracking categories, and tax settings based on previous transactions, could help reduce manual data entry and speed up sales invoice processing.

    For now, there are a few features in Xero that you can leverage to achieve this:

    • Use Contact defaults- this will automatically populate the Tax rates, Account codes, and Discounts on every transactions created for the contact
    • Use Untracked item - Untracked items are often used for repetitive data entry, especially for businesses offering fixed services
    • Use Repeating invoice template - If a customer repeatedly buy the same product or services, you can create a repeating template that will automatically generate at a set intervals with the same details each time
    • Copy from existing invoice - you can copy a customer's existing invoice to a new draft…
  2. Not sure if this is the correct category. Get rid of the remittance advice slip on statements. This was useful 10 years ago, but now, with so much being paid online, etc., this is an outdated facility. At least give us the opportunity to get rid of it.

  3. Actually Hide the discount from the Customer on the invoice.

    I DO NOT want the customer to know his discount, so if I select 'hide' discount it should not be displayed on invoice, or you should clearly say 'not hide'

    XERO Just does weird stuff constantly that makes no sense.

    This is already possible within Xero Steve. When you choose to hide the discount from the Invoice Settings page you are able to hide the discount. If you're having trouble with that, we'd recommend reaching out to our support team for more assistance.

    If you'd like to try this out before taking action in your own org, you can use the demo company to test it. 🙂

    Also, thanks for your comment there Dianne, if the terms and conditions are longer we usually recommend using DOCX templates or advanced invoice templates for more freedom of customising. If you need further assistance with this, we'd recommend raising a case.

  5. It would be great to have the option to have both a billing address and delivery address both on an invoice. for example we do work for real estate and need to have both the real estates business address on an invoice but we also need the address of where the residental work was completed. at the moment we are just putting it in the description box along with a description of works completed

    Hi Shamaya, thanks for sharing your thoughts on this.

    We understand you’re looking to show both billing and delivery addresses on invoice, making it easier to manage customers with different invoicing and shipping locations.

    This is currently possible through custom document themes. By creating an advanced DOCX template, you can add the delivery address field alongside the billing address so the right details appear on your customer-facing invoices.

    I’ve updated the status of this idea to Existing Functionality and closed it for further voting. If you need help setting up your custom layout or adding the relevant fields, our Xero Central guides can walk you through the steps.


  6. The Problem:
    When a customer pays more than the invoice total due to tips or card surcharges, Xero’s Add Payment screen forces any amount over the invoice total to be treated as an overpayment/credit, not as intentional extra income. This prevents me from allocating the excess directly to specific income accounts (e.g., Qualified Tips or Card Processing Fee Income) at the time of payment. As a result, I have to use multi‑step workarounds (separate Receive Money and Spend Money entries, later adjustments once bank feeds arrive) just to reflect a single real‑world payment event: invoice amount + tip/surcharge − merchant…

    Thanks for the suggestion. We understand the need to handle small differences like fees, rounding, or split allocations when applying invoice payments.

    This is already possible in the Bank Reconciliation screen. You can use Find & Match to reconcile payment statement line with the invoice, then add any difference via Adjustments (such as Bank Fees or Minor Adjustment) and allocate it to the relevant Chart of Accounts code.

  7. Send invoices directly via SMS/Text message, without the need to send via Email first.

    Also, the ability to send via SMS/Text message from the (iPhone) app.

    Hi! Did you know it's already possible to do this on an iPhone! to do this:

    1. Open the Xero Accounting app, tap Sales, then open the invoice you want to send.
    2. Tap Options, then tap Share.
    3. Select Messages/SMS (or another mobile app on your device) to share the invoice link.
    4. If the invoice is still in Draft or Awaiting Approval, sharing it will mark it as approved😊
  8. I'd love for my staff to be able to login into xero to create invoices and quotes, and send them without being able to see the rest of the business accounts. Or has this been developed and can be done?

    This is possible within Xero Alex!. You can assign the Invoice or Purchases draft only permissions which restricts the user from seeing anything other than the draft invoices and related transactions they’ve created themselves. You can also assign Invoice only – Sales (quoting and invoicing) if they need sales-side access, or Invoice only – Purchases (purchase orders and bills) if they need purchase-side access. Both levels let the user create and approve transactions in that area, rather than only creating drafts. If you need more help deciding what to assign please reach out to out Support Team and they will be able to help you wiht that. 😊

    You can already do this in Xero Brendan! You can use an advanced invoice template in order to show the contact's first name and last name. We have a bit if help around this in Xero Central , but if you need an extra hand you can raise a case with our Xero Support specialists. 😊

I work in purchases and desperately want to see in the suppliers page where there are multiple bills, a calculation at the bottom of each column (Paid, Due & Total) rather than having to manually calculate each column. The reports page to get this information is too complicated and longwinded. Just show each column totals would make my job so much easier!

    Hi there, thanks for sharing this idea. At the moment, you can already view outstanding supplier balances in Business > Bills to pay or by running the Aged Payables Summary report. Opening an individual supplier contact will also show their current outstanding balance. You can refer to the screenshot below to see how this would look like in Xero.

    I've updated this idea status to Existing feature for now. If the suggestions above does not fill the gap for you, please let us know where and how you'd like this information to display, and why the current feature doesn't fulfil your requirements.

This has already been put forward, voted for and declined by admin however all the comments I can see refer to the client not being able to see descriptions - I want to use Xero as my sole place for organising, quoting and invoicing however we do a lot of repeat custom for several clients and may invoice them 20-30 jobs per calendar month, all we get in the invoice list is the invoice number which unless I keep a separate ledger or spreadsheet doesn't tell me what the work is for...... if I need to reference a specific job…

    Hi there, appreciate your detailed feedback. We understand the need to quickly identify invoices when managing multiple projects, properties, or jobs.

    For this use case, the existing Reference field in invoices can be used to add details like job names, project titles, or PO numbers up to 255 characters. The Reference field is searchable and can also be shown as a column in the Sales Invoice list view, making it easier to scan and locate invoices from the main screen.

    Thanks for sharing your feedback here. We can see how having dropdown fields for Projects and Tracking categories could make data entry easier, particularly for users who are new to Xero.

    The dropdowns for fields like Tracking Categories and Projects are already available in invoices. You can click into the field, tab and use the arrow keys, or start typing to display and filter the available options.

  14. When creating the same invoice for multiple customers, allow us to just add all customers in one hit rather than keep having to redraft the invoice which takes up a lot of time.

  15. The idea comes from the desire to add contacts to multiple groups and then search invoices from contacts who are in Group "A" and in Group "B".

    However, I think more broadly useful is an entity tagging system. A contact/invoice/etc could have user defined tags.

    Search tools (contact search/invoice search/etc) could be improved by allowing for results from the intersection of multiple tags. (See Elasticsearch)

    Hi Evan, thanks for sharing your feedback. We can see how having more flexible ways to filter customer groups could make it easier to manage larger contact lists, reporting, and searches.

    There are a few existing features in Xero that may help, depending on what you’re trying to achieve.

    • Contacts can be added to multiple Contact Groups, and you can use report filters, such as in the Receivable Invoice Summary or Payable Invoice Summary reports, to narrow results using different group combinations.
    • For more detailed financial segmentation, Tracking Categories can also be used to organise and report on transactions across dimensions like department, location, or business unit.

  16. I'd like to be able to select at Organisation level how you view your invoices and bills as a general rule across the system. Somehow as inclusive and some show exclusive however, you should be able to set the choice at company/organisation level so it's the same across the whole system.

    Hi Emma, thanks for your suggestion. We understand that having more control over default tax settings can make day-to-day transaction entry smoother.

    Xero already applies tax defaults using a priority order, starting with the Contact, then the item, and then the account settings. These defaults can be updated within your settings to help ensure the correct tax treatment is applied when creating transactions.

    As this functionality is already supported through existing tax and default settings, we’ve updated this idea to Existing Functionality.

  17. Ability to customize colors in Xero. Such as adding a colorful swoosh across the top and/or bottom of the invoice. This is visually appealing and would make Xero stand out amongst the rest.
    Other ideas could include a customizable border also.

    Hi Johnny, have you tried Xero's new Invoice editor? This is currently available to US, UK, AU and NZ organizations and will be rolling out to other regions over the coming months.

    As you noted, with this new template editor you can add branding colour that will show as a line above your invoice lines and at the bottom of your invoice.

    If you would like to add more colour and customization to your invoices than what this can offer you may be best to look into advanced branding.

  18. The ability to have a ‘my view’ and ‘client view’ on invoices.
    We have many jobs which are ongoing, and the invoice is sitting in Draft for weeks, constantly getting updated as the job goes on. Each day, labour and materials used that day are adding in as separate line items, so we can see the breakdown cost for each day.
    When we finally send it to the client however, we don’t want them to see the separate line item for each day, so we bundle it together for them into 1 bulk price.

    Hi! Did you know it's already possible to do this in Xero?

    To show a bulk amount, you can use a DOCX template or an advanced invoice template which will allow you to only show the lines you want to show on the invoice.

Require a "Pay Now" button available on the user invoice in Xero so when a customer rings wanting to make a payment over the phone, the Xero user can select and open the correct invoice, click on "Pay Now" and this take the users to the (Stripe) Payment Window where card details can be entered and payment accepted. Not all our customers have access to emails and can access the online portal via the emailed invoice. We have just moved from SAGE where this function was available and made accepting payments, quick, easy, simple and secure.

    Hi Richard, thanks for the suggestion. We understand the need to move quickly to payment when you’re on a call with a customer.

    You can already access the “Pay Now” option using the online invoice link. Here’s how:

    1. Open the invoice in Xero.
    2. Click the three-dot (more options) menu.
    3. Select Get link.
    4. Open the link in your browser to view the customer invoice.
    5. Use the “Pay Now” option to take payment.

    Alternatively, you can email a copy of the invoice to yourself and use the same “Pay Now” button from your inbox. If you need help with this, feel free to reach out to our Xero Support team.


  20. Please stop the credit note page from closing before I can email a copy to the customer.
    I have to reopen the credit note every time to email a copy.
