Delivery schedule / Customise Invoice Statues
We would like to know if there are any enhancements available to incorporate a delivery schedule within Xero.
Currently, we export the “All Invoices” report by invoice date and generate a separate delivery schedule from this data. We would like to understand if it is possible to streamline this process directly within Xero.
In particular, is it possible to include a delivery date field on invoices that can be used to generate or feed a Delivery Schedule report?
Additionally, we would like to ask whether invoice statuses can be customised. At present, the available statuses include Draft and Awaiting Approval. We would ideally like to introduce an additional status, such as “Delivery Preparation,” before the invoice is fully approved. And e.g. delivered once done. Also to take into consideration bulk actions such as printing and changing statuses.
If this functionality is not currently available, we would appreciate your guidance on any possible workarounds or integrations that could support this process.

At present, Xero does not offer a built-in delivery schedule feature or a dedicated custom delivery date field on invoices that can directly generate a delivery schedule report, so this process cannot be fully streamlined natively within the platform. A practical workaround is to use the Reference field, notes section, or tracking categories to record delivery dates and then export this data into Excel, Google Sheets, or an external reporting tool for schedule creation. Similarly, invoice statuses in Xero are system-defined and cannot be customized, which means adding statuses such as “Delivery Preparation” or “Delivered” is not currently supported.
