Invoicing - Add printable customer letter templates for overdue invoices
In Sage 50 Accounts Professional, we use the built-in PI Chase Letter functionality as an important part of our credit control process.
When an invoice reaches 30 days overdue, we print and post a PI Chase Letter 1. If we receive no response, we then print and post a PI Chase Letter 2. These letters are generated automatically using predefined templates, which we print on our company letterhead and send by post.
A key feature is that the letter includes an itemised summary of the customer's outstanding balance, showing:
Invoice number
Invoice date
Details/description
Amount outstanding
Total balance due
This provides customers with all the information they need in one document and is particularly useful when we have been unable to contact them by email or telephone.
While Xero's automated invoice reminders work well for email communication, they do not provide an equivalent printable chase letter that can be generated and sent manually when required.
We would like Xero to add:
Customisable printable chase letter templates (e.g. First Reminder, Final Reminder).
The ability to generate these on demand rather than automatically.
Automatic population of customer details and an itemised list of outstanding invoices.
Support for printing on company letterhead or exporting as a PDF suitable for printing and posting.
The option to record that a particular reminder letter has been issued.
This functionality is essential for businesses that still rely on postal correspondence for debt collection and would provide a much closer equivalent to the Sage 50 credit control workflow.
Hi Molly, though we don't have intentions of developing the exact same functionality as competitors, we are working on a feature to help you get paid without having to chase.
You can register your interest for this now. You'll be able to turn this on for your preferred contacts. JAX will monitor open invoices and create a personalised plan for each customer.
Customers will receive a consolidated statement and a well timed nudge. 🙂
