If this is the common selection for due date you can set this up as a Default in your Invoice Settings, Denise. It's also possible to set this up as a default for individual contacts if you'd prefer too. 🙂

Alternatively, you might find it handy to use the shortcut when entering your invoices. You can simply type +10 in the due date field and it will set the date to 10 days after the Invoice Issue date.

  2. Feedback on the Updated Email Invoice Template: Prioritising Client Experience Over Financial Details

As a business owner wholly committed to providing exceptional customer service, I've encountered significant issues with the new email invoice template that I believe warrant urgent attention from the Product Team.

    1. Focus on Experience, Not Payments: Our aim is to immerse our clients in a seamless service experience. By prominently featuring payment details in the email, it inadvertently shifts the client's focus from the quality of service to financial transactions. Clients should have the option to review detailed financials at their discretion by accessing the invoice themselves.

  3. When typing a quote, available stock used to show (when you typed a figure in the "quantity" field (if available stock was less than required the open window would turn red) but it doesn't now. It would be great if this feature were also added to invoices (and quotations as before) so that one didn't need to check stock on a different page for each item being invoiced. I note that it shows when typing a credit note, so it must be possible!

Hi everyone, back again and pleased to share that viewing stock on hand is now with all users in new invoicing!

We appreciate the engagements you've all shown to let us know the importance of this feature when invoicing and how being able to view how many items of tracked inventory you have when invoicing, enhances your workflow. Thank you for feeding back and sharing your thoughts with us here.

Do keep joining, or start new ideas to let us know further changes you'd like to see developed.

  4. I would like to request the Xero add the feature to be able to approve and send customer invoices even when they have reached there credit limit in the new invoicing. Currently this feature is available in the classic invoicing of Xero. Xero are forcing everyone to move to the new invoicing from September 2024.
We use an external software for our customer invoicing and then import these into xero the following day after the sale has occurred and email the invoices to the customer. Moving to new invoicing currently means that for any customer that is over the credit…

Hi team, returning to the idea. To confirm, with standard branding you can simply choose whether the amounts shown on your invoices to customers are tax inclusive or tax exclusive.

In terms of default tax the Tax Amount column that can be shown on the invoice within Xero - it's possible to use an advanced branding theme and customise the DocX template to add the TaxOnLineAmount merge field to make this visible to your customer. If you'd prefer to not show Tax Rate or Tax name you can also use the advanced branding template to customise and remove these fields.

  6. Please include the functionality of classic invoicing which allows Xero to suggest email addresses based on your previous contacts used. This is a key time saving feature in our workflow and one of only a few reasons we cannot transition over. This feature also appears to be impacting other users with a slightly different issue - https://productideas.xero.com/forums/939198-for-small-businesses/suggestions/47697284-new-invoicing-keep-the-previous-contact-when-usi

Hi team, sorry we didn't return to update you on the deliver of being able to keep the contact when copying an invoice with new invoicing.

This was released a couple of weeks ago. Now when you copy an invoice to a new draft invoice you'll get the option to keep the same contact.

It;s worth noting that while the contacts details will follow through to the new invoice for sending purposes. Defaults are not automatically applied - So, if you'd like contact defaults to be applied to the new invoice you'll need to remove the contact and then re-add in the new draft invoice.

  7. When invoicing it should automatically add more lines as required rather than having to manually add extra lines.

Hi there 👋, like mentioned (Thanks Freya) when using new invoicing and you enter any data in the current line a new line will automatically be added below so you don't need to manually add new lines 🙂

  8. Can we please bring back the 'add last items' for an invoice?
This saved us A LOT of time on regularly customers.
Not sure why it was removed.

Hi everyone, i can confirm that '+ Last items' is available when you add a contact in new invoicing and is shown beneath the contact name. The items added will be for the last invoice that was approved for that contact.

The only exception here is if you have the Invoice only Draft role in which case this feature is not available.

We're looking at slight improvement to where this is placed on the invoice to make it more noticeable. However, if you have the right permissions and still aren't seeing this option where you'd expect it to appear when invoicing, please raise a case with our team of specialists who have tools to get a closer look and see why this option mightn't be appearing for you. Thanks

  9. Ability to add bigger better quality logo's at the top of the body of invoices sent as emails.

132 px x 37 px ends up so tiny and always blury (I have tried all formats but some sort of extra compression is going on in the backend. Don't look so good for us graphic designers ;-)

ps: screen shot attached so you can see where I mean, designscope logo always blury :-(

Hi everyone, thanks for your continued feedback and support for this idea. I’m pleased to share that the new standard invoice templates are now live in all regions.

The new designer includes smarter image controls to help your logos look sharp and fit your invoices more effectively.

We know there are further enhancements you’d like to see. If you have additional feedback or ideas for improving the designer, please start a new idea so the community can continue to share and support them.

Thanks again for helping shape Xero through your feedback.

Hi Tamara, this is already possible. From the Drafts tab just click the Export button. This'll download a CSV file that you can open in Excel.

If you've set up and are using Tracking in your invoices there are also columns for these, as well as VAT.

  11. Add a prompt to save a draft of an invoice when leaving the invoice screen to add or change a contact or address or check something.

Aah perfect sound like new invoicing is the solution for you here then, Kevin. As mentioned from a draft invoice as soon as you add a contact Xero will begin autosaving any data you enter.

Hi Debbie, we'll move this across to delivered as mentioned in my last update it is possible to assign items of your invoice to Projects you've set up.

If you're not seeing this column by default, you can click the 'Show/hide fields' button to add this to the grid view.

If you've set up tracking for your projects and are interested in being able to add a new tracking category while invoicing we have a different idea for this across here that you can join for updates.

Hi team, the option to add a % discount to line items of an invoice is available via the Xero Accounting app, on both Android and iOS devices. You'll find this from the menu in the top left (3 dots for Android, and 'Options' on iOS). 😊

  15. On the Edit page

Please can you display the combined chart of accounts account code with the CoA description in the account column as you do on in the classic view, rather than us needing to click on the description that shows in the column, so the account code then also shows.

We use three brands which use the same numbers for the same services but then add two alpha to show the brand: 200AA, 200BB, 200CC etc. and because of the display in the classic invoice edit view to help the double-checking before sending the invoice we check the…

Thanks for the screenshots and feedback here. We've made a lot of changes to new invoicing since first announcing the retirement of classic invoicing. You'll find you can now view both the Account code and Account Name in the Account column when editing your invoices.

  16. It is currently not possible to change the exchange rate used in the new invoicing screen, when invoicing in a foreign currency. You have to switch back to classic invoicing to correct it to the monthly rate we have entered in settings.

Hi team, we have recently released the ability to set the exchange rate within new invoicing for organisations that use multi-currency.

Just like classic, as soon as the invoice currency is changed to a currency other than the orgs base currency, the option to 'Set exchange rate' will appear which you can click to edit.

We know this is an important feature you've been waiting for in the new experience, and we're really keen for you to try it out and share any feedback you have back with us here. Thanks!

  17. Ability to create an invoice template that saves the line items, e.g description, quantity etc
Instead of having to manually enter the same description for each new invoice created, just save it as a template. Not just as a branding template.

Hi everyone, as shared earlier here if you have common inventory and services you trade, you can add these as items to your Products and services

You can reduce the time spent by using the Item column when invoicing to find and select the items you've saved.

If you're looking to add 'description' only lines we're looking into this with new invoicing and you can follow updates for this across on this idea.

  18. When a sales invoice is created, there should be a place where i can see what is the gross profit. If not, I would have to go back and forth between the inventory module and the sales invoice module to maunally calculate.

  19. It would be extremely helpful to have a 'master' input at the top of each column of a quote / invoice / bill etc so that the master input is then auto-populated under that column heading for all line-items of the quote / invoice / bill.

For instance, my sales code is likely to be the same for each item of a given invoice, and yet I need to input this code as many times as the number of line-items in the invoice - rather than just once. Same for eg tax code and, in my case, I have a…

Hi community, we'd like to share that this improvement is now live for all users.

You'l find there's a blue dot in the bottom-right corner of each cell from which you can copy values up or down a column using drag and drop or keyboard navigation.

This'll save time entering or updating repeated details like tracking, account codes and tax rates.

Just drag up or down a column from the blue dot. Or, if using your keyboard, hold Shift, and use the up or down arrows to select the cells you want, then press Enter to apply the value.

We appreciate all your support and contributions through Product ideas.

  20. When emailing an invoice to a customer there is an option to insert a link to the invoice. However the link is always placed at the end of the message and I have to cut and paste it where I want it in the message.

Could the link not be inserted where the active cursor is instead? Saving the user the hassle of moving the link.

    See mock up.

Hi community, with the improved send experience in new invoicing you'll find this is now possible.

When you add the Online Invoice link through placeholders, you'll see it is automatically inserted wherever the cursor is placed in the email on the left and you can get an instant visual of what this looks like to your customer on the right. 😊
