Invoices - Open "Add Payment" option in a separate popup window or overlay view
Invoicing Add Payment - can we please have the add payment option pop up in a separate box like it did before on the new invoicing. Now you have to scroll to the bottom of the page to enter details and add payment, but I have to scroll up to see my invoice number and reference and as I type, it scrolls back to the top.. like you're fighting with something that should be a 2 second job. Why does this need to be on the bottom and why did it change at all?
6 votesHi everyone, we hear the request for an in-page popup option to add payments, so you can apply payments to invoices without needing to scroll up/down the screen.
We’ve moved this to Gaining Support so we can track interest and help our product teams understand the value of improving the payment entry experience.

Quotes - Ability to assign tracking to multiple lines at once
Ability to apply a tracking category to all items listed on a quote rather than having to manually enter the tracking catergory for each item line.
Eg a tick box that would apply tracking category to all, but you could then still change some of the tracking catetgories if needed at a later date.5 votesAppreciate you sharing your idea in the forums here, Ellie. Understand it's not a bulk assign feature like you're asking here, however you may find setting defaults for Contacts useful in your flows here.
You can set defaults for tracking for purchase and sales transactions within a contacts record that'l automatically be applied to lines of your quote when that contact is selected.
For now we'll get a sense of interest from the wider community in being able to assign tracking to your quotes in bulk from the idea here, and I'll share if there are any plans made.

Tap to Pay iOS - Allow to chose the amount paid
Allow customer to choose payment amount especially in iPhone app tap
And pay feature. My clients pay a deposit but sometimes pay in instalments. There’s no option to choose a specific amount … it’s all or nothing.2 votesThanks for sharing this idea — I can see why this would make a difference for businesses taking deposits or stage payments 🙂
I’m going to move this idea to Gaining Support so we can get a better sense of how many people want this too. If it would help your workflow, please add your vote and share a comment about how you’d use it — that kind of detail really helps the product team understand the need.
We’ll keep an eye on the feedback here and share any updates when we have them.

Quotes - New field for Repeating Fees
With so many forecasting app using Xero Invoices & Quotes, we would like to see Quotes get an upgrade. Specifically add fields to show the billing frequency for that line.
This would allow us to build our dymanic quotes in Xero, showing one time fees and monthly recurring ones. Hopefully this could also then auto-create the correct invoice types when accepted. So One-time lines are grouped into one regular invoice and all monthly lines are grouped onto a monthly repeating template.
6 votesHi Rebecca, thanks for sharing your idea, and letting us know the changes that matter most for you. While there is no development plans yet, we will open this idea up for other users who may find this feature useful so that product team has more visibility. In the meantime, the best option is to continue using repeating invoices. Cheers

receipt
I would love to be able to email a receipt directly from the Bank Reconcile screen.
Currently, issuing a receipt after reconciling a payment is really clunky. I have to:
Reconcile the transaction
Leave the reconcile screen (or have a second Xero window open and refresh it)
Go into the bank account and find the payment
Open it and email the receiptAlternatively, I have to look up the customer, open the invoice, find the payment, and then email the receipt.
That’s a lot of steps for something that could ideally be done at the point of reconciliation.
It would…

Ink saver invoice template
We request that Xero creates an Ink Saver template within Xero.
We do not want to use a DocX template to achieve this as not all businesses use Microsoft. The new invoice template that Xero has launched uses excessive bold text and a thick black line at the base of each invoice. This drains a lot of ink from printer cartridges causing an unnecessary cost to business and the environment.
An Ink saver invoice template should be built into Xero as a base option or selectable option and that would be very popular for Xero customers who:

Invoice - Support macron character for Māori words
Kia ora,
I live and operate in New Zealand, where Xero was first created. With living in New Zealand, we use a lot of Māori words in our everyday lives.
That said, I just created a quote for an upcoming photoshoot which is going to be held in a town in the Bay of Plenty called Ōmokoroa. But fortunately, the marcon that appears above the Ō turns into an L when the quote is exported. Can you please let the development team know about this issue please?
2 votesAppreciate you raising this, Caleb. Supporting macrons consistently throughout Xero could help ensure names and other information are recorded accurately.
We've moved this idea to Gaining Support so we can continue gathering feedback. We'll keep the team updated on the interest and use cases shared here as they consider future improvements.

Invoice Reminder - Prevent invoice reminder when a matching bank statement line is detected in Xero
A related problem is the risk of customers receiving reminders despite payment having already reached the bank but not yet having completed Xero's reconciliation workflow.
Requested improvement:
If an incoming bank transaction is clearly matched to the invoice, payment reminders should at least be suspended pending reconciliation.2 votesThanks for sharing this suggestion, Daniel. We understand the request for payment reminders to recognise when a payment is already on its way, such as an unreconciled bank statement line. This could help avoid sending reminders when customers have already made a payment, but not yet applied to invoices.
We've updated the status to Gaining Support so we can continue tracking community interest. If this could help your workflow, add your vote and share your thoughts.

New Invoicing - Consolidated invoice process voiding the original invoices automatically
Consolidated invoices:
Have a proper feature that allows us to consolidate customer invoices rather than the "copy to" or "merge" as this does not tack the consolidation.
So the example us Customer A has 15 invoices you bill on 20th of each month but want to consolidate all 15 into 1 invoice to send them with all line items (not statements). Then the 15 invoices consolidated would be zero'd or closed off with a note saying the old invoice reference and where they were consolidated to into the new single invoice.Statements won't work, with the copy or merge you…
13 votesHi Keith, thanks for sharing this idea. We understand the consolidated invoice feature is an area of interest for our customers. The scenario you've described, combining multiple invoices into one with proper tracking, provides really helpful context. Your idea has now moved to Gaining Support, which means it's open for the community to show their support through votes and comments. Thanks for contributing to making Xero better ✨.

splitting quantities of billable expenses when applying to invoice
Please could we have the option to add billable expenses to a customer invoice by quantity.
At current we have to assign the billable expenses as a whole, or not at all. Yet we sometimes hold items in stock for clients which are then billed at different dates, however once they have been assigned to the initial invoice we can no longer see the remaining stock on hand under the billable expenses list, unless we manually split it on the purchase invoice This only works if we know the quantities ahead of time, which we usually don't. Please add a…4 votesHi Stacy, thanks for sharing this idea and the illustration you've provided.
We can see why having the ability to partially assign billable expenses could be useful. The idea is to allow only part of a billable expense quantity or value to be applied to an invoice, making it easier to distribute costs across multiple invoices, customers, or projects without needing to manually track the remaining balance.
We've updated the status of this idea to Gaining Support. If this would be helpful for your workflow, please add your vote and share more detail about your use case.

Invoice - Send and receive PDF attachments automatically via Xero Network
Xero Network - include PDF on invoices sent through Xero Network when those invoices are raised every month from repeating transactions and sent automatically
Currently, only the invoices raised manually have the PDF attached if raised manually, but not on the ones that are auto posted. Its time consuming to then have to download each one and then go to multiple companies to add it
2 votesThanks for highlighting this opportunity. We understand the request to have PDF attachments automatically follow an invoice when it's sent through the Xero Network. Having everything arrive together could make invoice processing simpler and reduce manual follow-up between businesses.
We've moved this idea to Gaining Support so we can continue gathering feedback. If this could improve your workflow, add your vote and let us know what you'd expect to be included with the invoice.

Drag and drop text to different fields/lines in invoicing
The "Invoicing - Use drag & drop to copy line details" feature you have just released is not helpful.
Please bring back drag and drop text in invoicing. I used to be able to select one word in the description field (such as the purchase order number brought through from the project) and drag it to the reference field.
I also used to be able to rearrange the words in the description field by dragging and dropping words to another line or within the same line.
I still don't understand why this feature was removed and has not been put…

Subscription Billing - Provide consolidated or grouped monthly invoicing for multi-organization owners
I receive Multiple, around 30, monthly invoices from Xero to me for each of my 30 entities.
They all come to my same email address.
They are all for my separate different entities.
I then have to open each email, click on each separate link, and download each separate pdf file of each separate invoice from Xero to each of my entities.
The common thread in these emails is that they all come to my same email address, at a staggered time over minutes / hours on the same day reach month.
If they could be sent to me in…
4 votesHi everyone, thanks for sharing this suggestion. We understand you’re looking for a way to consolidate subscription invoices across multiple organisations, so managing billing records is simpler.
Having a grouped invoice view could make it easier to review, download, and manage subscription for multiple entities.
I’ve updated this idea to Gaining Support so we can continue gathering feedback and examples from the community.

Invoice | Auto pay - control emails sent to customers
All my clients are on recurring invoices. Every month they get an "Invoice Due" email & then 5 hours later they get a Payment Receipt email. Why is Xero REMINDING my clients that they are paying me money? I have over 30+ expenses on autopay on my credit card. Not one company goes out of their way to reminder me that I am paying them money. But Xero not only tells my clients that they've paid me "another" $1,000 this month, but they tell my client TWICE. A lot of things are unsavory about life, but this feature, which we're…
3 votesHi Sal, appreciate you raising a case with our support team about my response and understand where I have misinterpreted your idea (apologies for this).
I'll re-open and have slightly adjusted the title of your idea so we can begin to get a sense of the interest in having more control of the emails that are sent for auto pay invoices and payments.
Being open, right now this isn't something we're looking to support with this being a regulatory obligation in some regions. However we can continue to track interest here and share if there are any changes planned around this flow.

Lawfirm
We use this system in our law firm and maintain two separate accounts:
One account is used exclusively to record trust transactions.
The second account records both trust and business transactions, enabling us to deduct the total invoiced amount from trust funds while clearly reflecting the client's remaining trust balance.
Overall, the system works exceptionally well for our practice. However, we have encountered a few issues with the Payments Received and Overpayment functions.
The main concern is that the Overpayment feature affects the Payments Received figures and the total receipt amount. Unfortunately, overpayments are not reflected on a printable receipt…

Attachments - Allow xlsm (Excel Macro-enabled Workbook)
I have to attach and include my back up when sending invoices.
Some of the back up is in .xlsm format (Excel Macro-enabled Workbook).Currently Xero won't allow attaching these: "File type isn't supported. Update it, then try again."
So I have to open and resave each document before I can attach, which is an unnecessary extra step in the process. It would be much more efficient to be able to attach the original document.
3 votesThanks so much for taking the time to share this idea 🌟
While we don’t currently support this file type, we can see why you’d like the ability to attach it in its original format.
We’re moving your idea to Gaining Support so we can gauge community interest and better understand how many customers would find this helpful in their invoicing workflow.
If others would benefit from this too, we’d encourage them to add their vote and share a little more about how they use these files, as that context can be really helpful for our team.

Keep features and page layout consistent throughout different screens
This is not just an invoicing issue, but there is no option to choose everything.
The Invoice, Quotes, Bills and Purchase order pages all have differing layouts and features available.
For ease of use and continuity, why do all the pages not have the same layout and functionality?
I don't understand why all the services don't have the same features. You can do something in quotes, that you cant do in invoicing. Like dragging and dropping text, you can do it in quotes so surely it can't be that hard to make it available in invoicing again as well, like…
2 votesThank you for sharing your feedback, Nicole. We’re continuing to think carefully about consistency across the actions and layout of our features as the product evolves, especially as more shared components (like the table used across invoices, purchase orders, bills, and quotes) are introduced into the new experiences.
That said, each feature also has its own distinct needs. While the new experiences across these pages will feel similar, there will be differences designed specifically to support the users and workflows for each one.
Although we’ll move this idea to Not in Pipeline as it’s too broad in scope, I do want to acknowledge that creating a more succinct and harmonised experience across features is very much top of mind for our product teams.

Malaysia eIvoicing - Default MyInvois Recipient Email for Malaysian e-Invoicing
We are a Xero user based in Malaysia and would like to submit a feature request regarding the Malaysian e-Invoicing process.
Currently, whenever we issue an Invoice, Debit Note, or Credit Note to a customer that has a valid Tax Identification Number (TIN) and Classification Code, we are required to manually add MyInvois@invoi.ci as a recipient email each time before sending the document. This manual step is repetitive and increases the risk of human error.
We would like to request that Xero automatically populate MyInvois@invoi.ci as a default recipient email (under the BCC column) for customers who have:
- A valid…
2 votesThanks for bringing this to the community. We understand the request to have MyInvois@invoi.ci automatically included when sending Malaysian e-invoices where the relevant TIN and classification details are in place.
This could make sending compliant invoices, credit notes and debit notes more straightforward, particularly for businesses sending these regularly.
I’ve moved this idea to Gaining Support so we can keep gathering feedback. If you’d find this useful, add your vote and share how you’d like it to work.
