NZ - Payroll - Annual Leave entitlements
just found out that when an employees hours increase close to their anniversary date the hours of leave due are calculated only on the hourly rate at that time and not pro-rata for the year. example works 9 months at 35 hours and 3 months at 40 hours, the staff member should be allocated 3 x 35 and 1 x 40 weeks of annual leave = 145 hours but Xero will allocate them 160 hours. This is not a difficult fix.

Payroll AU: Process Negative RDO Units in Timesheets
Would like to see the option to have negative line items within timesheets and in the Employee Pay Templates.
Currently, in timesheets and pay template you cannot enter a negative units value. This would be useful when entering RDO deduction to hours worked.
EG, john works 40 hours (8 hours per day) and is deducted -4.hours for RDO adjustment (-.80 per day).
Per day = 8 Hours* $60 per hour, less -.8 RDO adjustment* $60 per hour = $432 for one day.

Option to Hide Regular Earnings Lines on Payslip When Employee Is on SSP
When an employee is on Statutory Sick Pay (SSP) for the full pay period, Xero currently displays both the regular earnings (zeroed out with a negative adjustment) and the SSP lines on the payslip. It would be helpful if there was an option to hide the regular earnings lines so that only SSP appears on the payslip. This would make the payslip clearer for employees and reduce confusion.

Notification that an employee has self onboarded and warning that will expire BEFORE it does!
I recently invited a new employee to self onboard-which is a great time saver. I put in a nominal expiry date and then I do not recall getting any notification that they had onboarded. A nice big notification in Xero when I logged in would have been great. I have been in and out of Xero all week for various other tasks and next minute I received an email saying their onboarding had expired. I had no option to retrieve her info and had to delete her and resend the invitation which made me look inept. Alternatively, Xero could keep…

Prevent Xero product feature adverts if you are already using that feature.
Xero will show me banners at certain times to tell me of a new feature that could save me some time but they do that without first checking whether I am using that feature already. For instance, Xero just told me how I could save time with automatic superannuation. I spent time reading the linked article only to realize that I already have automatic superannuation payments set up and operating. Xero has the data to know if I am using the feature they want to advertise. Xero should respect it's users' time by not suggesting features that users are already…

Reposting this idea: The solution provided is clumsy and time-consuming, and involves drilling down on every terminated employee. The idea is for a report that makes this unnecessary.
When using the Leave Paid out on Termination feature in xero, the paid out leave is recorded in the Holiday Leave Accrual category. This means we are unable to run a report showing the value of unused entitlements paid out on Termination. This is important information for Workcover Reconciliations etc. Please set up a report for Unused Leave Paid out on Termination.

NZ Payroll - Auto accrual for additional leave from salary sacrifice
We offer employees the option to sacrifice salary for additional leave. Prorating the salary is easy - just enter a new salary and a day for it to apply from. Giving the additional leave is a pain, as it aligns with the financial year, not the employee's leave anniversary date. At the moment I have to create a new leave type, and manually add the leave balance.

Total hours to shown when processing payroll and on Timesheet Report
Total hours to be shown for each employee as processing the payroll to allow overtime to be calculated if required. Also total hours to be shown on timesheet report eg fornightly payroll where there is more than one timesheet processed.

payroll sort by last name
When will it be possible to lock in a preference in a pay run to sort by last name, not first name. I don't understand why this is not the standard display anyway.

AU Payroll - Report to show Working Holiday Makers
There currently is no report that incorporates a list of employees based on "Income type". Hence there is no filtering that can be done by "Income Type" either. As a company that employs people from multiple income types, this feature is something of importance to us. Manually creating, updating and managing a spreadsheet for this information seems workload heavy when it should be simple as the information is already a part of XERO's requirements for employee employment information. Knowing how many Working Holiday Makers you have on your books compared to non WHM's is of significance.

We’ve moved your idea to Gaining support and will be keeping an eye on how much interest it gets from other users.
In the meantime, a couple of handy workarounds are: using the Classification field (which appears in the Employee Remuneration report), or setting up Employee Groups, which are also available in reporting.

UK Payroll: Notification when employee reaches pension age
UK Payroll: field within the employee record to log the employee's state pension age and for there to be a notification one month in advance to notify both the employee and the employer to review the employees national insurance contributions if they are to continue working past this date.

UK Payroll - Calculate pension contributions on pre-Statutory earnings
I Would like Xero to create a built-in feature whereby Employer pension contributions stay the same even during Statutory Pay Periods e.g. SMP or SSP.

AU Payroll - Notification when leave requests are created for the same date
Encountered an issue where employees annual leave has been entered twice and it doesn’t flag in the system. Unsure if a Xero glitch or a human glitch, but regardless, it shouldn’t be able to process 2 Annual Leave runs for the same dates/ Pay periods.

AU payroll - Allow leave accrual on all Ordinary Time Earnings (OTE) regardless of rate calculation type
Problem: Xero only automatically accrues leave on OTE pay items if the rate is set to "Multiple of employee's ordinary earnings rate".
Impact: Custom hourly rates or flat-rate OTE pay items (e.g., higher weekend rates above standard award multiples) cannot accrue leave automatically, creating compliance risks and extra manual work.
Solution: Enable the "Accrue Leave" setting for all pay items configured as Ordinary Time Earnings, regardless of the rate calculation method selected.

Payroll Details on the Xero HQ page
Add payroll details on the Xero HQ Insights page.
In the same way that we can see the bank reconciliation data, we need columns that show the last pay run and the last date of super paid (or the earliest pay run of super that still needs to be paid). Earliest STP not filed would be good as well.
I understand that some entities will have multiple pay runs in operation but an indication of the last pay run processed, pay day suepr and STP filings would be af huge value in monitoring the situaiton for out clients.

NZ Payroll - Efficient timesheets data entry and display
Make the New Layout as Efficient/Productive as the Classic Layout. It takes too many mouse clicks to set up the timesheets, compared to the Classic Layout:
1) The Classic Layout had "weeks" for the employer to choose. It didn't require you to click the starting date & the finish date. Can the New Layout have the most recent unpaid week already present, so that the employer/manager can immediately input the hours for each day?

SPPA Integration
Other payroll software integrates directly with SPPA so that at a click of a button you can export all the information you need for your SPPA Annual return. I know from speaking to my GP Practice Manager colleagues that this is the main thing preventing them from moving over to Xero Payroll. The reruns can be quite complex, especially if you have part time staff or staff starting part way through the year so this would make life a lot easier.

UK Payroll - Add Project time tracking in draft pay run rather than timesheets
Currently there is no option to allocate payments to projects in payslips. We have on multiple occasions, allocated payments to projects as a manual journal due to payments for payroll not being allocated to projects in timesheets. It is frustrating as you only realise when checking project profit/loss and quite time consuming.
