Projects - Add Estimated Income Feature
Currently, Xero Projects allows us to enter and track predicted expenses, which is great for monitoring project costs. However, there is no equivalent option for predicted income.
Being able to record predicted income against projects would provide a much clearer picture of project profitability and cash flow forecasts. This would allow project managers, accountants, and business owners to compare projected vs actual income alongside expenses, improving financial forecasting and decision-making.
Benefits of this feature:
Aligns income forecasting with existing expense tracking.
Improves visibility of project profitability before actuals come in.
Helps businesses plan resources, budgets, and cash flow more effectively.

Currently the way to view to profit is to add columns for both Gross Profit and % Profit to the Project Details and Summary reports.We've moved this idea to gain more support from the community. We'll watch it closely for more traction. In the meantime, you can share this idea with your peers who might want to see this feature in Xero as well.

Xero Projects - Ability to link Tracking category in Project tasks
It would be great if cost codes or tasks automatically linked to a job once they’re assigned to a customer or project. At the moment, you have to assign the task and then separately select the job from the tracking dropdown, which feels like duplicating the same step. Ideally, once a cost code or task is assigned to a customer or project, it would automatically populate and link in the tracking section. This would streamline the workflow and reduce the chance of mis-entering or incorrectly assigning information.
5 votesHi Ryan thanks for raising this with us. We appreciate the need for a Tracking option within the Projects space. While this is not available currently we will open this up fro the community so they can add their vote. Did you know if you've set up tracking categories, you can assign a category to use for the contact's transactions from the contact default section?
When you create a new transaction, click in the tracking field and the assigned category will populate (you don't need to select it from the list). You can refer to the subheading Default Settings here .Cheers!

Xero Projects - Apply sales tax to markup on tax-exempt expenses
Add ability to apply sales tax to a markup on an expense that was tax exempt.
Currently a tax exempt expense (building permit fees paid to municipalities, example $100) are tax exempt. I would markup this expense if paid on behalf of a client (10%, total $110). When adding the expense to an invoice I can either apply sales tax to the entire $110, or mark the expense as tax exempt. I am forced to ignore the markup feature in Xero projects then create a separate line on invoices "Expense markup + HST" which is less than ideal.

Projects - when adding estimated tasks, enable there to be a quanitity section when selecting the fixed price items
When adding estimated tasks onto a project , add a quanitity section when selecting the fixed price items.
Some tasks for example like quoting for installation of boards per m2, we have the price per m2 set up as a code, so it would be useful to then be able to easily adjust the quanity required to get a revised sell / cost.
You currently have to calculate what the sell price would be and manually override the fixed charge. Projects - Add "item" to task as a master task and break it down on invoice
It would be great to add an "Item" to a project, that would, as a whole include, tasks and expenses.
For example, Kitchen/cabinet maker, Project is a whole house, I want to add items to the project of say, Kitchen, Laundry, Wardrobe etc.
and then either it just has a dollar value to it (no tracked time or expenses), or have the ability to add specific expenses and tasks to the item.
Then when you go to quote, all items are split apart with their expenses and tasks separate from the other items.

Projects - import new project & information
I would like a solution to be able to import a list of projects. ie project number, client name, project description. It is very time consuming to setup projects individually one by one. Would be much easier if I could create an excel listing, convert to csv and import to xero

Projects - Allow partial / manual allocation of available deposit credits
In Xero Projects, when a deposit has been invoiced (eg via the deposit option in the Projects invoicing workflow), the "available credit" shows in the Projects UI.
However, when raising subsequent progress invoices (eg for tasks/expenses), the "Apply credit deposit" checkbox is all-or-nothing - it applies the full available credit or none. There's no option to manually enter or select a partial amount from the deposit/credit balance to apply to the current invoice.

Projects - Allow access to view profitability without admin user role.
we have recently set up our business so everyone is on xero, we would like people to be able to view profitability in projects, but not have the admin user.
Giving people admin user allows them too much access, but we want them to be able to see profitability on the projects so they can keep track.

Projects - Allow limited-access users to add expenses
we are currently setting up our company so that all employees use projects to keep track of time entries.
however, we have given majority of our employees limited access as they don't need to see much, but it means they aren't able to add their expenses on. Projects - Make "Time Credit" feature available in projects
Time adjustments or credits within a Project | Time entries in Projects works well and it makes sense that a time entry is locked once it is invoiced. However we regularly need to make adjustments for situations like (a) incorrect entries, e.g. billing time on a public holiday not worked, that we want to credit back against the invoice or (b) moving time between tasks within a project. Projects - Ability to move expenses to another project.
I'd like to be able to move expenses from one project to another without having to delete the expense under one project and manually enter it again into a different project number. It would be much easier and so much more efficient to be able to do the same as assigning a bill to a job number and if that job number turns out to be incorrect, it's simply a case of re-assigning the project number to it rather than having to delete and re-enter the whole thing again. Very frustrating and time consuming!

Projects - Report on Time used and remaining (export to CSV/PDF)
Often I have to send my customers a short report about the timeentries and how much is left. Right now I'm doing a screenshot with the gofullpage extension. Sometimes import the PDF to chatgpt to get a actual sheet. Would be great to have an export button on the time tab of a project.

Projects - Increase bill description character limit when invoicing from a project
Please increase the character limit for line descriptions when generating invoices from Projects.
Right now, if a bill line has a description that exceeds the small character limit, it gets cut off on the invoice. I have to then manually open each bill, copy the full description, and paste it into the corresponding invoice line. Obviously this is extremely time-consuming and inefficient for something that seems like a relatively small backend fix that would make a big difference to everyday usability.
Is anyone else dealing with this?

While increasing the character limit of a bills description when invoicing from a project isn't something we have plans for atm, we can gauge the interest from community in this and will update you if there's any progression.

Projects - Assign New staff to all Projects in Bulk
It would be great to have the ability to assign New staff to all existing Projects without having to open each Project individually. Perhaps a multi select drop down. Currently I am having to open 40 projects and add the new staff member in one at a time.

Xero Projects - Have an option to "mark all untracked expenses as invoiced"
We have a large project with countless numbers of invoices assigned to the project. I would like an option to be able to "mark all untracked expenses as invoiced" so that we can see what has already been invoiced to the client and so that we can work out more accurate profitability figures. At present, each individual invoice needs to be marked off separately and this can take hours to mark them all off, particularly if the project is large.
