  1. i just want to use one app for everything, a calendar view to see what i have booked in would be very useful. at the moment i don't get the best use out of xero i'm running my business of multiple apps putting a calendar in xero would mean i can run the business directly from the xero platform

    we have quoting, invoicing we have the ability to take payments through the app on-site but i barely do any of that within xero because its lacking a calendar.

    there is no point in having "projects" without a calendar to quickly…

  2. Add a button to move an estimated expense to become an actual expense. Would save time having to copy and paste the description. Add ability to amend final cost.

  3. Add an option to export accounting data with tracking categories split into separate lines instead of combined in one field.

    This would make exports much easier to use in other software, reduce manual data cleanup, and support clients who need to import Xero data into reporting tools or different accounting systems.

  4. It would be great to have a shortcut to adding project time. At the moment, the + near settings has a shortcut to many functions, but not project related functions.

  5. Time logs in timesheets. I will be very helpful if there are time logs, when updating timesheets. We can see when our employees has updated their timesheets, if that is on time or late. This will help us trough chasing purposes.

    Quick tip in the meantime: You can use the Timesheet Summary Report to quickly identify which employees haven't submitted hours for a specific period, which might help with your chasing process!

  6. When a quote has been accepted, instead of then having to go to Projects to make a new project would be more efficient to then have so you can turn the project into a project from the quote.

  7. Certificate insurance is a big part of our company's operation. Xero needs to include a mandatory compliance option for companies to implement. When a compliance requirement, e.g., a certificate of insurance, is due to expire in 30 days, the system should prevent bills from being submitted for payment until compliance is met.

  9. It would be helpful if you could add a description or comment field to tracking categories. This would allow us to add keep category names concise and then add more information to in the description field so that we can describe things like how it is used, start and end dates for event tracking etc.

    Hi everyone, thanks for sharing this idea. We understand that having more context around Tracking Categories could help teams apply them consistently, especially when managing more complex reporting setups.

    The suggestion is to add a description or notes field to Tracking Categories, giving teams a place to record how each category should be used.

    For now, some teams use internal guides or shared documents to keep these details available. We’ll continue tracking this idea here, where other users can add their feedback and examples to help shape future improvements.


  10. It would be incredibly helpful if we could have project names available as a column option in standard financial reports. This is something we currently have to add manually into the reports we run monthly.

    Hi Polina, thanks for highlighting this idea. We can see how having Xero Projects data available within standard reports could make it easier to analyse financial performance without needing to switch between different reports.

    While Projects data isn't currently available as a reporting filter in standard financial reports, using Tracking Categories alongside your projects can help if you need project-based reporting within reports like the Profit & Loss.

    I've updated the status of this idea to Gaining Support so we can continue tracking interest from the community. If there are particular reports or project metrics you'd like to see supported, let us know so we can capture those use cases too.


  11. Currently, Xero Projects allows us to enter and track predicted expenses, which is great for monitoring project costs. However, there is no equivalent option for predicted income.

    Being able to record predicted income against projects would provide a much clearer picture of project profitability and cash flow forecasts. This would allow project managers, accountants, and business owners to compare projected vs actual income alongside expenses, improving financial forecasting and decision-making.

    Benefits of this feature:

    Aligns income forecasting with existing expense tracking.

    Improves visibility of project profitability before actuals come in.

    Helps businesses plan resources, budgets, and cash flow more effectively.

    Hi Jalal, thanks for sharing this idea with us. We can see why this would be helpful for some users. Currently the way to view to profit is to add columns for both Gross Profit and % Profit to the Project Details and Summary reports.We've moved this idea to gain more support from the community. We'll watch it closely for more traction. In the meantime, you can share this idea with your peers who might want to see this feature in Xero as well.

  12. It would be great if cost codes or tasks automatically linked to a job once they’re assigned to a customer or project. At the moment, you have to assign the task and then separately select the job from the tracking dropdown, which feels like duplicating the same step. Ideally, once a cost code or task is assigned to a customer or project, it would automatically populate and link in the tracking section. This would streamline the workflow and reduce the chance of mis-entering or incorrectly assigning information.

    Hi Ryan thanks for raising this with us. We appreciate the need for a Tracking option within the Projects space. While this is not available currently we will open this up fro the community so they can add their vote. Did you know if you've set up tracking categories, you can assign a category to use for the contact's transactions from the contact default section?

    When you create a new transaction, click in the tracking field and the assigned category will populate (you don't need to select it from the list). You can refer to the subheading Default Settings here .Cheers!

  13. Be great if you can apply a % markup to the Estimated expense,and all the expenses assigned to this Estimate, then have same % applied. OR at least those expenses that don't have a % markup already applied, then default to the Estimated expense markup. VERY timeconsuming to enter on all expenses individually, especially when you can enter the % on the Estimate (and it just doesn't do anything...)_. Not really a suggestion, think this is a bug. M

  14. Currenty you can only have 10 tracking options for MTD IT - this means that clients with more than 10 properties are unable to track per property and allocate the required ownership %ages for their MTD returns.
    This number is too small for many and needs increasing please!

  15. The ability to select a default tracking category for a products/service when being set up.

    Since the MTD tracking relies on tracking categories, having default categories linked to the product/services will mitigate the number of invoices going to "unassigned" and then not appearing on the returns.

  16. The projects API does not have an endpoint to assign users to a project. I would like for a new API endpoint to be available so that users can be assigned to a project and tasks via the API rather than manually assigned.

  19. The new MANUAL JOURNAL feature does not show the tracking categories after being posted. You need to click edit first before seeing the tracking categories. Can this be improved? I have attached the screenshot of the actual posted journal although the tracking categories are complete before posting. Thanks

  20. Allow typing/searching for tracking categories instead of just scrolling the dropdown list
    Please add the ability to type into the tracking category fields to auto-suggest or filter options, rather than forcing users to scroll through a long dropdown menu.

    Currently, if a business has numerous tracking categories or options, users have to manually scroll through a massive list every time they enter a line item on an invoice or bill. This is incredibly time-consuming and slows down data entry significantly.
