  1. Please increase the character limit for line descriptions when generating invoices from Projects.

    Right now, if a bill line has a description that exceeds the small character limit, it gets cut off on the invoice. I have to then manually open each bill, copy the full description, and paste it into the corresponding invoice line. Obviously this is extremely time-consuming and inefficient for something that seems like a relatively small backend fix that would make a big difference to everyday usability.

    Is anyone else dealing with this?

    While increasing the character limit of a bills description when invoicing from a project isn't something we have plans for atm, we can gauge the interest from community in this and will update you if there's any progression.

  3. The ability to upload a file into individual projects directly rather than via bill allocation. Would like to be able to upload customer order, for example.

  4. I use Projects as timesheets for my staff in my contracting business, and it has worked well for the past two years. I do not use Xero process staff wages, I use ACE Payroll.

    After a staff member leaves, I delete them from Projects, as it costs me $7.50 per month per person, and when you have between 20-25 staff, it can get quite expensive.

    Once I delete a staff member from Xero, I cannot change any of their time entries. The reason I need to do this is usually because they have allocated his/her time against the wrong project.

    Appreciate the detail in your idea here, Lynette. While we don't have immediate work planned for this , it'll be good to get a sense of the interest from others in the community and if there's any change planned we'll let you know through the idea here.

  5. I'd like to be able to move expenses from one project to another without having to delete the expense under one project and manually enter it again into a different project number. It would be much easier and so much more efficient to be able to do the same as assigning a bill to a job number and if that job number turns out to be incorrect, it's simply a case of re-assigning the project number to it rather than having to delete and re-enter the whole thing again. Very frustrating and time consuming!

  6. It would be great to have the ability to assign New staff to all existing Projects without having to open each Project individually. Perhaps a multi select drop down. Currently I am having to open 40 projects and add the new staff member in one at a time.

  7. We have a large project with countless numbers of invoices assigned to the project. I would like an option to be able to "mark all untracked expenses as invoiced" so that we can see what has already been invoiced to the client and so that we can work out more accurate profitability figures. At present, each individual invoice needs to be marked off separately and this can take hours to mark them all off, particularly if the project is large.

  8. Projects - Make the entire Projects experience better. Today is May 17th 2024, there are currently 300+ ideas, suggestions, and requests here related to Projects, few of which have even been responded to by Xero. It seems clear that Projects is the red-headed step-child of the Xero platform, always the last to the table when the development team starts talking about updates.

    For those of us who run project-based businesses, the features requested on these pages are CRITICAL to our ability to understand how our business is doing. I'm calling on Xero to put more energy into building out Projects…

    We've reviewed your idea to be able to select multiple unassigned expenses and assign them to an estimated expense at once, and it can now gain support from other community members.

  10. I thought that once a project was 'closed' it remains closed and does not appear anywhere except in the closed tab of projects however this is not the case. I tested and was able to allocate an invoice to a closed project.

    Suggestion:
    a) closed projects remain locked out; you can only allocate to them if you re-open - they should not even appear in any selections
    b) If they must remain where they are then a pop-up warning appears if you try to allocate this way there are no mistakes in accidently allocating to a closed job

    Hi Kelly, thanks for sharing your feedback. We appreciate the need for a closed project to be locked or hidden. At the moment, Xero Projects lets you assign certain transactions to closed projects so businesses can clean up allocations after the work is done. Closed projects are marked as “Closed,” which helps distinguish them from those in progress. We have added this to the Gaining Support for more traction.

  11. It would be good to have customer or site supervisor sign off time entry's when created, and even a way to send copy of signed time entry to task

    Hey Jason, really appreciate you putting this idea forward. Getting a customer sign-off on project time entries just makes sense, it’s one of those things that can save a lot of hassle down the line.

    Having a built-in digital sign-off could bring extra clarity and confidence for both you and your customers, creating a clear record of approval before invoicing. It’s a simple step that could save time and build trust in your projects.

    At the moment, Xero Projects doesn’t offer a built-in way to collect customer signatures, but it’s clear this could be a helpful addition for many of you.

  13. Can we please add the ability to set up a sub-category under category options?

    For instance, we have already tracking categories by store locations (i.e. Loc 1, Loc 2, Loc 3). However, we need to have a sub-category per Deputy's area (i.e. FOH, BOH) under the store locations.

    Category option: Loc 1 (Store Location)
    Sub-category option: FOH, BOH (Area)

    If we could set up a sub-category under tracking options, that would be great. Thank you!

  14. To display the potential project margin % and variance from expected invoice and costs as baseline to compare with actual performance. OR allow the project report to be customised to add calculated fields. So staff can instantly see the potential of the project, and look to adjust if necessary before sending to quote or invoice.

  15. We use the project and task options for all our projects.
    Each of our tasks within individual project folders have fixed prices. These fixed prices are often of a substantial amount, with projects scheduled to run up to and at times over a year.
    We invoice each task/project for time spent each month till the project is completed.
    I would like to have the option to invoice against time spent at the end of each month on each fixed price tasks within each project.

  16. It would be useful if when manually adding an expense to a project, there could be a description box available as well as entering the expense name. We sometimes need to elaborate on those costs for the numerous people looking at that expense but there is no-where to put this information unless it's added to the expense name.

    Hi Nicola, really appreciate you taking the time to share this idea. Right now, the only place to add detail when recording an expense in a project is the Expense Name field, which is limited to 100 characters. You can consider this as a workaround to include a short description with the title— but we know that it’s not an ideal solution when you need to provide more context or add a professional level of detail.

    This idea is now in the Gaining Support stage. If you’ve found creative ways to work around this or have thoughts on what a proper description field should include, we’d love to hear them. The more insight we get from real workflows, the more helpful it is in shaping future updates.

  17. Creating projects in Xero is a great and useful function. Creating estimated expenses inside of the projects is even greater. However, those estimated expenses not showing estimated costs to complete the project is a missing crucial feature for me. Currently the estimated costs do not show in projects summary reports unless there are expenses towards that estimated expense item. This is a major flaw because anyone wanting to track estimated expenses needs to know the estimated costs to complete on all projects.

  18. When in Projects - Tasks & Expenses - it would be really handy if the supplier name was included.

    When adding bills, I have to remember to add the supplier name in the bill description before adding the bill info.

    We've reviewed your idea to allow employees with limited access to add time via a dropdown menu, similar to the admin experience. It's now open to gain support from other community members.   20. It is possible to see a list of bills not assigned to a project.

    However, I would like to be able to see a list of all transactions not assigned to a project including spend money and receive money.
