We are a booking agent and collect revenue less costs from venues , I currently use sales invoice to record sales(settlement) and enter costs as a negative amount that are an expense in my project, Project treats the deductions as a reduction in income not an expense, can this be fixed?
2 votesHi Tara, it sounds like you're using invoices as a single source to record all this information? However, I'd recommend looking into Xero Projects where you'll be able to enter bills for your venue expenses and invoices for the income you'll receive from the project.

Restricted to entering 9 digits before the decimal place in estimated expense unit price/total fields.

Project Timer - it would be great when using the timer for it to automatically enter actual start time and end time into the time entry, rather than just a duration.

Projects - Option to default bills & expenses to non-chargeable
Within Xero Projects, we would like the functionality to be able to amend the project setting so that we can set the default to non-chargeable for bills and expenses rather then the current automatic % markup.
The current approach means that the project reporting shows bills outstanding when they aren't particularly relevant when you have contractors delivering the work for an agreed price. at the moment we have to go into each category and amend each line item

How to make Xero projects report in Zoho Analytics
I have Integrated the Zoho Analytics with Xero through the Import Service in Zoho Analytics. But I am unable to fetch the Xero project module data, rest other modules data I received in Zoho Analytics.
Please let me know how i can get the projects module data also. Xero Projects - Add separate field for Project Number
Is there a way that within Xero Projects, we could have a field for "Project Number" and a seperate field for "Project Name".
Unfortunately we have found that some duplication of project numbers can happen within Xero as the project name and project number are within the same field.105 votes -
Tracking - "Add another option" at top of page
When you have a large number of Tracking category options and you wish to add another, you have to scroll heavily to get to the bottom of the list each time you wish to add another.
This is not time efficient. The option to add another tracking category option should be at the top of the page for simplicity and time management of the XERO user3 votes -
Tracking - Functionality for Rental Property Management
Have two codes - one for rental income & one for rental expenses.
When reconciling bank transactions to these codes, have the ability to allocate them to a property.
Have a feature where you can view the outstanding transactions for each property and select the transactions to go on the statement to the client for that month.
Auto generate the management fee for the month based on pre-selected criteria for that property - either % or fixed amount.
Auto generate a bill from this statement for the money that needs to be paid to the landlord.6 votesThanks for sharing and your interest in the idea here. Being open this isn't a feature we have any plans of implementing in the near term.
However, some of what's been described here can be achieved using Tracking. For example, you could create accounts in your Chart of Accounts for Rental Income and Rental Expenses. You'd then use a Tracking category for your Properties, listing each property as a separate option within that category.
Alternatively, if you're after more specific tools for managing properties we'd recommend looking into apps that can integrate with Xero and offer more services that could suit your business.

Xero Projects - Select the date when closing the Project
Our financials include a report on the profitability of projects closed during the month. Because the system writes the date of closure from the actual live date that the user marks the project as closed, the user needs to make sure that each project is marked as closed immediately on the date of completion. E.g. If a project is completed in the last week of the month the user must ensure that the closure field is ticked during that week and not wait until the following week.
Can you allow the user to enter or amend the closure date ?

Projects - Ability to set a default tracking category
Number of fields for projects is really poor, I need a tracking category added to projects so for example we can have four different types of projects which I want to categorise in the initial project set up. When costs and revenue are then allocated to this project it's also automatically allocated to the tracking category associated. At the moment I'm having to manually allocate to every transaction. Would be made easier if like sage they had a copy above function but we don't even have that either, so clicky!

Xero Accounting app - Move favourite Tracking Categories to the top of the list
When adding bills in the app, I find myself searching for the same category over and over. On the desktop, a likely or previous category comes up automatically. That would be great in the app, too.
Failing that, it would be good if the list of categories contained frequently used categories first. I doubt anyone scrolls alphabetically, so it seems a useless feature to have.

Projects - Ability to copy time entries using web platform
Currently you can copy a time entry using the Projects app but this function does not seem to be availible using the web based software. This could be added to the hamburger menu where at present the only options are edit or delete.

Project supplier invoices
Scenario - Multiple projects open. If materials are purchased at eg a builders merchants for mutliple projects on one invoice/receipt, it's not possible to allocate the spend to individual projects which is madness. It seems that the total invoice/receipt must be assigned to ONE particular project. When materials are bought, it's often far cheaper to buy them in bulk, hence buying for more than one project at the same time. It should be possible to therefore assign individual lines on the invoice to a particular project (a bit like tracking).
6 votesHi Clare, if you're adding an expense from within a project, it's expected that the expense you're creating is related to the Project you're in. You could create a Bill within the Bills to pay area where you can assign individual lines of your bill to different Projects.

If im in a project and i start the timer i still have to tell it which project im timing (find or choose a project) Seems logical for it to automatically populate the field with the project im currently in...

Analytics - Filter by tracking category
It would be ideal to filter analytics (Business Snapshot) by tracking category and show only income/expenses for each Tracking Category on the dashboard e.g by Department/Region/Product etc.

Xero Projects - Automatically enter description as Supplier name
For all Xero Projects expenses, the only way to add the Expense name is to add a description for each expense. When we're tracking spend monies, receipts & invoices, this is a time consuming/ inefficient process. It would be ideal for the project expense to simply show the supplier name (when there's no description field added).

Projects: On project summary report include column for who project is assigned to. This will be useful if calculating work in progress per assigned user.

XPM and Projects Integration
Some integrations require firms to have XPM for their practice manager software. Xero blue synchs with XPM but Xero Projects does not - which presents a real issue when trying to use XPM integrations like FYI
