Contacts - Set date to send reminder notification for service dates
Could we add a feature to enable us to email out service and inspection reminders up to 28 days before it is due.
This could be done by date only.
It would save us having to add another app and potentially another running system to get this feature.13 votesAaah gotcha, thanks for the confirmation and additional feedback on the idea here. A bit of an extension from our existing functionality for Contacts and there may be some CRM solutions that you could explore in the Xero app store atm.

Hubdoc - Warning if supplier bank account in Xero is different
Hubdoc could read bank accounts and a warning pop up if they differ from that in Xero.

Contact – check bank details reminder
Last Paid Date flag for Vendor or Check bank account details alert.
Increasing there is a need to check bank details for Suppliers - to make sure haven't changed. If a Supplier hasn't been used for many months, Xero doesn't prompt the bank details to be checked. We have had cases where the supplier changed owners and bank accounts but not informed us. The bank details weren't checked. it would be useful if we could have an alert or flag that prompts a check after 3 or 6 months.8 votesThanks for sharing this idea – it's a really practical suggestion.
We get how easy it is to miss checking bank details, especially for suppliers you haven’t paid in a while. A quick alert or reminder after 3–6 months of no activity could be a great way to help catch changes (like new ownership or account updates) before a payment goes through.

Files Inbox - Attach to an existing transaction
From the Files Inbox, there is a way to attach the file to a NEW transaction, but please allow it to be attached to an existing transaction too. This is especially useful when there are lots of files in the Inbox.
14 votesAppreciate why you'd like to be able to attach a file to an existing transaction from the detail you've shared here, Hitesh.
This isn't possible from the Files inbox atm, however as you may already be across - from the flip side you can attach a file from the Files inbox from within the transaction.
Do get this means having to go to the transaction to perform what you're asking and we'll get a sense of the interest in being able to attach to an existing transaction from within the Files inbox, here.

Contacts - Add photo to customer profile
Add a photo to a customer file.
The companies I work for have over 100 tenants.
It would be great to be able to add a photo of the tenant for recognition purposes.It will make phone and email queries easier.
The photo can then be displayed next to the customer's name

Files - Suggestion for thumbnail previews in Files Inbox
It would be great to look down the list of files in the Xero Files inbox and see a thumbnail image of what the PDF is, so that non-relevant ones or replicas can be deleted in bulk.
When files are forwarded, often the attachment is loaded to the inbox along with multiple other files which turn out to be logos from the email signature, and it is time-consuming to have to open every file to find out whether it is relevant or not, and delete individually.

Contacts - Ability to select a person instead of company name for all instances of use
In nearly every other business program, a Contact refers to a person and not the business name. The person should be the primary entry entered for contact information, and the business name is an attribute to that person, not the person an attribute to the business as it is currently set up in Xero. We often have to change the specific person (or entity like Accounts Payable) who a quote or invoice or other document needs to go to, and the only way to do that currently is to change the primary person under the business name each time we…

Hubdoc - Detect Bank statement when publishing to Xero
Currently hubdoc suggests that a document is a Credit Note and to check before proceeding. Can this be the same when a document has Statement written on it. I find that statements are often processed as invoices causing duplicate payments within Xero

Hubdoc - Tags Should be Visible in Xero
We tag documents for organisation in Hubdoc, but have no visibility of these in Xero, which makes no sense. These don't need to be editable, but it would make sense that it showed what tags were on an invoice. Even if this was detailed in the history of the invoice. This would be a massive time-saver!

Hubdoc - Mark purchases as Paid once reconciled in Xero
When the transaction is reconciled to a Bill that's been uploaded from HubDoc in Xero, it should mark the document as Paid in HubDoc. (Google's AI-generated answer says that this happens, but it doesn't on my account). That way it would be much easier to see in HubDoc which items still aren't reconciled
Specifically, if a document is
1) published as "Purchased, Awaiting Payment", and published to Xero
2) that bill is then reconciled to a transaction in Xero, so that bill is shown as Paid and linked to Hubdoc

Hubdoc - Add supplier bank details when creating from a Bill
Option to add a bit more detail if needed for a supplier (bank account and email) for the ease of then must marking straight away in Xero for payment.

In the meantime, you could update the supplier with their email and bank details in the Contacts screen.

Contacts - Additional People Search
it would be nice to pull from a dropdown of existing contacts already in the system to add to Additional People instead of having to type in their first/last name and email all over anew.

Contacts - Default cursor to search
I'd just like the cursor to already be IN the search field when I open Contacts please.
Thanks24 votesWe understand why this idea is quickly gaining traction. Being able to start typing in the search bar as soon as the contacts page loads would be a small but meaningful improvement.
Right now, the cursor doesn’t land in the search bar by default, so it’s an extra click each time.
This idea's now in the Gaining Support stage. If it’s something that would make a difference to your workflow, adding your vote or comment helps us understand the wider demand—and gives our product team more to work with when prioritising updates.

Contacts - Ability to add an ID type for e-invoicing
Noticed that the BRN can be filled in the "Business Registration Number" data field in Xero Contact, but how about the individual contact with an Identity Card or Passport number?
Even we can fill the IC / passport number in the BRN field, but how to choose the ID type (whether it is IC No., Passport No., BRN, or Army No.)?
4 votesHi Liew,thanks for raising this. We can see how having a dedicated field for e-invoicing IDs on a contact would make things easier, especially when you're managing different ID types and need a quick way to reference them.
At the moment, you can enter specific IDs like the BRN, but there’s no option to add a custom or more general ID type.
This idea’s now in the Gaining Support stage. Your input helps us get a better sense of how useful this would be across the wider Xero community, and feeds into how we prioritise updates. We’ll share more here when there’s progress.

Hubdoc - Quick calculations when enter amounts
Calculator function in the dollar fields -- Reckon accounts has a function where, if you need to split a total into 2 or more lines, you can subtract it from within the dollar field just by pressing the minus button. Then to enter the result into the dollar field you just press the enter key. See screenshot.

Contacts - Keep 'Use as billing address' checked when edited
When using the new Check box. 'Use as billing address'. If you type in the address afterwards and edit the address. It deletes the the selected checkbox. 'use as billing address'
Just frustrating as you have to go back in and recheck.

Keeping the checkbox selected unless intentionally changed would make things quicker, easier, and less error-prone when updating contact details.
We’ve now moved the idea into the Gaining Support stage. That means it’s open for votes and comments, and we’ll be keeping an eye on the demand as feedback comes in. The community input helps the team gauge what matters most to our users.

Make archiving and restoring contacts more intuitive and user-friendly.
Option for archiving contacts should be select from drop-down menu or click on "the 3 dots" and select.
Having to find an historical invoice allocated to an archived contact in order to restore them is super-unhelpful and counterintuitive. MUCH better to include archived contacts in Contacts options and include a "Restore" option via "press and hold", drop-down or the 3 dots.
3 votesHi Bradley, have you tried archiving and restoring contacts from the Contacts list? From here simply select the contact/s you'd like to archive and you'll see the option at the top of the list turn blue for you to click.
When you'd like to restore a contact you'll find the Archive tab as an option from this same screen, where you can click on the contact to open it's record and there is a blue Restore option in the top right.
