  1. I have many clients so it is time consuming to go to each client organisation and into Files just to check whether there are new uploads. It would be great to have a dashboard in Xero HQ that showed how many items were in a clients Xero Files inbox. Or at least get notified when a client has uploaded to the Files inbox.

While Xero currently allows documents like Certificates of Insurance to be uploaded to a contact, it would be much more effective to have a structured compliance tracking feature similar to how W-9 information is managed. This would allow users to input and track key insurance details—such as policy type (e.g., General Liability, Workers’ Compensation), coverage limits, and expiration dates—directly within the vendor or contractor profile. With this data captured in a structured format, Xero could provide automated reminders for upcoming expirations and visual alerts for missing or non-compliant coverage, helping businesses better manage risk and ensure vendors remain compliant before…

  5. Please improve Statements so that they show credit balances if the customer account is in credit. We have customers who pay proforma for some items, so sometimes their account is in credit. Xero only shows a £0 balance in these cases, which is incorrect. The balance needs to be the actual balance as the statements are useless in these cases. Thank you :)

I like the new feature where you can record Spend Money transactions direct from the Files page, but the whole feature becomes useless if you can't adjust the VAT amount to match that on the voucher/receipt. Switching to 'VAT Exclusive' doesn't give you the ability to amend the VAT value, so if it's out by a penny you have to cancel the operation and record it in the old Spend Money way. Seems a bit silly really.

    So, allow users to adjust the VAT amount when recording Spend Money transactions direct from the Files screen.

  7. Need to identify clients where the Phone/Mobile field has been populated. Currently reporting and exporting options do not separate the populated Client Phone field into Phone/Mobile etc. There is a compatibility issue with ATO SmartDocs not picking up the mobile phone number if it is in the Client's Phone/Mobile field. We need to move these to Phone/Phone field to fix the issue, but currently there is no way XPM can provide a list or report showing clients where their Phone/Mobile field has been populated.

  8. Moving or reducing size of the add address screen so you don't have to scroll down to select add. For ease of use, at 100% zoom it should all be visibleor action button to the top

    Hi Trudy, just to check would this be when adding or editing a contact? From the left side menu you can click a section to quickly drop down and enter the details you like. Does this resolve what you're after here?

  9. In Canada we need to file T4A slips for contractors. We can create a group of suppliers/contacts who would need a T4A, and we can create saved custom reports for the transaction lists, and we can add all their details to the contact, but we can't combine all this info into one report. It would be great if we could have a report that let us see both the amounts paid to a contractor AND their contact details in one report that we can then use to prepare the slips. Even better would be an actual workflow that we could…

  10. Instead of manually adding/removing email addresses when sending invoices via Xero, being able to select a contact group to send them to.

    For example, for one of my clients, when I send an invoice from Xero I need to CC 5 different internal people and would rather be able to select a group instead of entering them individually.

    Being able to select a group would be less time consuming for us, and look less clunky for their customer.

  12. Add Contact Name to History and Notes Report - we use this report for bank account changes audit purposes. It would be great to have a column with the contact name to assist with this audit process. Currently we need to click into each contact to find the name.

  13. Supplier/Purchase defaults should allow a default description.

    I have to copy and paste the same item into multiple bills and line items. Xero automatically grabs the dates, contact, and reference, allows defaults on tax but for some reason ignores the description field.

    Please add this small feature that would save hours of manual inputs.

    Appreciate you sharing with us here, Rory. It'll be good to get a sense from your idea others in our community would also find setting a default description useful.

    This isn't something we have any plans of at present but will keep a track on the interest this builds here.

    In terms of existing functionality - if not already you may find creating untracked Inventory items helpful where you could add a default description for the item that you can select when creating invoices/bills for your contacts. You can set a separate description for Sales versus Purchases.

  14. The ability to send an outstanding reminder notice to Customers that includes a list of multiple invoice that are outstanding.

    Our customers can have upwards of 40 invoices per month, and for a 30 day EOM customer, I would like to be able to send 1 reminder that their account is past due.
    I don't want to waist time sending individual invoices, or resend a statement, but more a letter that is clearly different from an invoice and statement that outlines what is overdue and how much is due.

    Statements are easily ignored if a customer thinks they have already…

  15. If the ABN was displayed on the Contacts list screen, or when a contact is selected, it would be easier to check you were in the correct Supplier (or Customer) before inputting a new bill/invoice which may avoid errors.

  16. In MYOB, the ABN details are automatically verified with a green tick and automatic verification window . Surely Xero could do something similar? Rather than relying on manual verification which is very lame

    I'm wondering if you could provide more information on your product idea.

    Currently, Xero uses the ATO's ABN validation system when setting up company details. Are you asking for Xero to validate ABN details for contacts and/or suppliers during purchasing and invoicing, or is it something else?

    Providing these details will help others in the community understand what they are voting for and ensure we get your idea to the right product team for consideration.

  17. Allow email attachments (such as PDF's) to be dragged from an email, and dropped into Files. This feature does not work with New Outlook, only Classic Outlook. As Classic Outlook will be made redundant by Microsoft one day, it's imperative Xero restore this functionality we have always had with New Outlook. This isn't an idea. This is a request to maintain the same level of functionality we have always had

    Thanks for sharing this feedback in Product Ideas, Tamara. Drag & drop options into Xero Files is something our product team are looking into, however we can't make any commitment to development at this stage. I will keep you updated of any progress around this here.

    In the meantime taking on board your feedback here they are keen to get further insight of the old to new outlook experience if there are any further details you'd like to share on your experience using Outlook with Xero, here?

    While the drag & drop you're after isn't available atm, you should be able to use the Files unique email to still send your attachments from Outlook to your Xero Files inbox.

  18. The new layout does not support our workflow. On the contrary, it slows us down and makes the system less transparent. For practices like ours, managing hundreds of clients, clarity and efficiency are essential. The previous dashboard enabled us to see key information at a glance. The new version creates unnecessary friction.

    Appreciate you sharing feedback, Erzsebet. However we do ask that each post be contained to a single idea in a feature to help;

    • other members know what they're voting for
    • product teams get a sense of the interest for a particular change
    • us provide updates on any progress for a change

    Being upfront, the new homepage will replace the Dashboard experience over the coming weeks, and we cannot maintain both experiences long term.

    To help with some of the notes you've raised on your needs;

    • You can view draft invoices/bills from the Invoices owed to you/Bills to pay widgets - This now sits beneath the graph
    • # of items to reconcile should be visible from each Bank account widget, as well as within the Tasks widget
    • Net profit or loss widget will provide a quick gauge of the clients FY

  19. Adding a 'credit limit amount' to the 'Purchase defaults' section of Contacts would be very useful.

    I have accounts with several suppliers with a credit limit. It would be very handy if I could see that credit limit in Xero and either put a stop on placing orders until I have reduced the balance and/or a simple reminder that I am approaching or over the limit.

    The 'credit limit amount' is available in 'Sales defaults' but not 'Purchase defaults' which seems to be an odd omission.

  20. When sending statements Xero is adding automatic commentary on the associated email about "overdue invoices". In my examples the Xero feature claims that the customer is "Overdue $535" is 100% wrong - customer only owed $39.

    I fully understand why this is. There are unallocated cash payments (overpayments) in the mix.

    There can be a lot of reasons why this is - invoice queries, partial payments, customer terms, errors being resolved, a customer payment that is not easy to reconcile etc etc. but the point is, that these transactions (overpayments) are totally legitimate as far as Xero is concerned.
