  1. The Contacts listing in Xero shows amount owing on left and amount receivable on right, it would be more 'readable' to accountants if it were the other way around:

    They Owe - left side / debit / current asset
    You Owe - right side / credit / current liability

    Thanks for sharing your idea about how you'd like the "You Owe" and "They Owe" columns to be the other way around.

    It's worth noting that the current orientation matches the Spent/Received columns in the Reconcile tab of the bank account. You might like to raise a separate product idea if you'd also like a similar change there (or maybe an option to swap the columns around).

  2. Hi Hubdoc Support,

    I’d like to suggest a feature that I believe would benefit many users working with supplier invoices.

    Currently, when capturing invoice details, there’s no option to enter a discount before the total amount is calculated. It would be incredibly useful to have a field above “Total Amount” where we can input a discount value—either as a percentage or fixed amount—and have Hubdoc automatically adjust the total accordingly.

    This would:

    Reflect real-world supplier practices more accurately
    Reduce manual edits and errors
    Improve audit trail clarity
    Streamline publishing to accounting platforms like Xero or Sage

  3. Shortcut to Hubdoc - First thing I do when I open Xero in most clients is click straight into Hubdoc. With the BETA layout the shortcut has now been lost right down under 'do more with Xero'. I want to move the shortcut so it is the first thing I get to when I click on the client name. I'd also like the hide the Syft, I don't plan on using it yet and don't want it on my dashboard

  4. Please add the ability to enter payment details when posting invoices via Hubdoc.

    At the moment, if an invoice has already been paid (e.g. by cash or a personal card), I have to post it in Hubdoc and then go into Xero to add the payment manually. This is especially common for my café and restaurant clients who pay many invoices in cash, and it creates a lot of extra work.

    Being able to record the payment at the point of upload would save a huge amount of time.

    Hi there! thanks for sharing this great idea. We love hearing what would make a real difference for you.

    We could see that having the ability to record the paid invoice from within Hubdoc would be useful. Now it's over to the community to show their support. To help get the ball rolling, feel free to share the idea with any colleagues who'd find it useful – every vote helps!

  5. I would like a field in Hubdoc to enter the supplier ABN number, that would then pull through to the ABN Field in the Contact in Xero please. This will be a huge help when bulk reviewing ABNs and GST Registration status. If the field could be clearly seen when processing documents it would be helpful so we can just double check against the document when processing.

    Hi there!

    Thanks for this fantastic suggestion. We can definitely see how an ABN field in Hubdoc that syncs to Xero would be a huge help.

    Having that ABN visible while processing documents would make it much easier for accountants and bookkeepers to confirm supplier details and apply the correct GST.

    The next step is to gather more community support! If you know any colleagues who would also benefit from this, please encourage them to add their vote. We'd love for them to share their own experiences in the comments, as hearing how this feature would improve different workflows is incredibly valuable.

  6. Under Customers Accounts, File Attachments - Move the View button for the attachment to the LEFT side and keep the Delete button on the RIGHT side of the attachment. NOT next to each other.

    Multiple times, we have accidentally deleted important files from the customer contact account.

    Hi Sherri, thanks for your feedback. I know you started your idea in the Navigation and Homepage forum however this appears to relate to the Contacts page where you attach files to a contacts record.

    I've slightly update the title of your idea and moved this across forums. We will start to get a sense of the interest in this from the community here.

  7. Could we add a feature to enable us to email out service and inspection reminders up to 28 days before it is due.
    This could be done by date only.
    It would save us having to add another app and potentially another running system to get this feature.

  10. Last Paid Date flag for Vendor or Check bank account details alert.
    Increasing there is a need to check bank details for Suppliers - to make sure haven't changed. If a Supplier hasn't been used for many months, Xero doesn't prompt the bank details to be checked. We have had cases where the supplier changed owners and bank accounts but not informed us. The bank details weren't checked. it would be useful if we could have an alert or flag that prompts a check after 3 or 6 months.

    Thanks for sharing this idea – it's a really practical suggestion.

    We get how easy it is to miss checking bank details, especially for suppliers you haven’t paid in a while. A quick alert or reminder after 3–6 months of no activity could be a great way to help catch changes (like new ownership or account updates) before a payment goes through.

    Your idea’s now live for others to see, vote on, and add their thoughts. If this would make things easier for your team, feel free to share it around.

  11. From the Files Inbox, there is a way to attach the file to a NEW transaction, but please allow it to be attached to an existing transaction too. This is especially useful when there are lots of files in the Inbox.

    Appreciate why you'd like to be able to attach a file to an existing transaction from the detail you've shared here, Hitesh.

    This isn't possible from the Files inbox atm, however as you may already be across - from the flip side you can attach a file from the Files inbox from within the transaction.

    Do get this means having to go to the transaction to perform what you're asking and we'll get a sense of the interest in being able to attach to an existing transaction from within the Files inbox, here.

  12. Add a photo to a customer file.

    The companies I work for have over 100 tenants.
    It would be great to be able to add a photo of the tenant for recognition purposes.

    It will make phone and email queries easier.

    The photo can then be displayed next to the customer's name

  14. It would be great to look down the list of files in the Xero Files inbox and see a thumbnail image of what the PDF is, so that non-relevant ones or replicas can be deleted in bulk.

    When files are forwarded, often the attachment is loaded to the inbox along with multiple other files which turn out to be logos from the email signature, and it is time-consuming to have to open every file to find out whether it is relevant or not, and delete individually.

  15. In nearly every other business program, a Contact refers to a person and not the business name. The person should be the primary entry entered for contact information, and the business name is an attribute to that person, not the person an attribute to the business as it is currently set up in Xero. We often have to change the specific person (or entity like Accounts Payable) who a quote or invoice or other document needs to go to, and the only way to do that currently is to change the primary person under the business name each time we…

  17. Currently hubdoc suggests that a document is a Credit Note and to check before proceeding. Can this be the same when a document has Statement written on it. I find that statements are often processed as invoices causing duplicate payments within Xero

  18. We tag documents for organisation in Hubdoc, but have no visibility of these in Xero, which makes no sense. These don't need to be editable, but it would make sense that it showed what tags were on an invoice. Even if this was detailed in the history of the invoice. This would be a massive time-saver!

  19. When the transaction is reconciled to a Bill that's been uploaded from HubDoc in Xero, it should mark the document as Paid in HubDoc. (Google's AI-generated answer says that this happens, but it doesn't on my account). That way it would be much easier to see in HubDoc which items still aren't reconciled

    Specifically, if a document is
    1) published as "Purchased, Awaiting Payment", and published to Xero
    2) that bill is then reconciled to a transaction in Xero, so that bill is shown as Paid and linked to Hubdoc
    3) then when viewing the document in Hubdoc, "Mark as…
