Hubdoc - Add a discount field to supplier invoices
Hi Hubdoc Support,
I’d like to suggest a feature that I believe would benefit many users working with supplier invoices.
Currently, when capturing invoice details, there’s no option to enter a discount before the total amount is calculated. It would be incredibly useful to have a field above “Total Amount” where we can input a discount value—either as a percentage or fixed amount—and have Hubdoc automatically adjust the total accordingly.
This would:
Reflect real-world supplier practices more accurately
Reduce manual edits and errors
Improve audit trail clarity
Streamline publishing to accounting platforms like Xero or Sage
If this is something…10 votesHi there! We really appreciate you sharing your idea, and thank you for the attached screenshot – it's very helpful.
After reviewing your submission, we agree that this is an excellent suggestion that could benefit many businesses. To move it forward, we need to see strong support from the community.
Please feel free to encourage any colleagues who would benefit from this feature to add their votes! It's also incredibly impactful when others share how this would improve their own workflows, so more comments are always welcome.

Contacts - Default cursor to search
I'd just like the cursor to already be IN the search field when I open Contacts please.
Thanks15 votesWe understand why this idea is quickly gaining traction. Being able to start typing in the search bar as soon as the contacts page loads would be a small but meaningful improvement.
Right now, the cursor doesn’t land in the search bar by default, so it’s an extra click each time.
This idea's now in the Gaining Support stage. If it’s something that would make a difference to your workflow, adding your vote or comment helps us understand the wider demand—and gives our product team more to work with when prioritising updates.
We’ll post here with any changes or progress.

Hubdoc - Warning if supplier bank account in Xero is different
Hubdoc could read bank accounts and a warning pop up if they differ from that in Xero.
9 votesThanks for sharing your idea, Claire.
We'll track the interest for a warning if the supplier bank account in Hubdoc if the this differs to Xero, here.

Hubdoc - Mark purchases as Paid once reconciled in Xero
When the transaction is reconciled to a Bill that's been uploaded from HubDoc in Xero, it should mark the document as Paid in HubDoc. (Google's AI-generated answer says that this happens, but it doesn't on my account). That way it would be much easier to see in HubDoc which items still aren't reconciled
Specifically, if a document is
1) published as "Purchased, Awaiting Payment", and published to Xero
2) that bill is then reconciled to a transaction in Xero, so that bill is shown as Paid and linked to Hubdoc
3) then when viewing the document in Hubdoc, "Mark as…12 votesHi Mark, thanks for this excellent and clearly detailed suggestion.
We understand the workflow you're proposing: when a bill from Hubdoc is reconciled in Xero, its status should automatically sync back and be marked as 'Paid' in Hubdoc.
We're grateful for your engagement and for letting us know the changes that matter to you.
We've reviewed your idea for the 'Paid' status to sync from Xero back to Hubdoc, and now it can gain support from other community members. Along with votes, others can now comment to share additional detail about how this two-way sync would improve their experience.

Hubdoc - Apply payments to customer sales invoices (AR)
Please add the ability to enter payment details when posting invoices via Hubdoc.
At the moment, if an invoice has already been paid (e.g. by cash or a personal card), I have to post it in Hubdoc and then go into Xero to add the payment manually. This is especially common for my café and restaurant clients who pay many invoices in cash, and it creates a lot of extra work.
Being able to record the payment at the point of upload would save a huge amount of time.
6 votesHi there! thanks for sharing this great idea. We love hearing what would make a real difference for you.
We could see that having the ability to record the paid invoice from within Hubdoc would be useful. Now it's over to the community to show their support. To help get the ball rolling, feel free to share the idea with any colleagues who'd find it useful – every vote helps!
We'd also love to see others jump in the comments to explain how this feature would help them out.

Contact - Ability to customise columns on Contact Activity
On these top level menu layouts, like Invoices, Bills and Contact Activity list we really need to be able to add/remove columns. Eg. to see the net total for each Bill/Invoice, not just the gross amount including VAT.
We use these menu layouts a lot, and have to copy and paste to Excel when we want to send that data, because there seems to be no export on Xero that can produce a neat one row per invoice layout. The exports produce a massive report that displays every row from every invoice - not much use.
Having the ability to…
4 votesAppreciate your feedback, Maggie. However it is unlikely that this change would be made across all areas of Xero at once. It would help to get an understanding of the desire for this in each area to share with our product teams.
We have an existing idea for customising columns in the Invoices list, and one around the ability to view total and tax amount columns in the bills list that I have added your vote to, and I have adjusted your idea here for the customisation of columns in the Contact Activity. If there is any progress for each of these we will update on the respective idea. Thanks

Contacts | Files - Change the location of View button
Under Customers Accounts, File Attachments - Move the View button for the attachment to the LEFT side and keep the Delete button on the RIGHT side of the attachment. NOT next to each other.
Multiple times, we have accidentally deleted important files from the customer contact account.
7 votesHi Sherri, thanks for your feedback. I know you started your idea in the Navigation and Homepage forum however this appears to relate to the Contacts page where you attach files to a contacts record.
I've slightly update the title of your idea and moved this across forums. We will start to get a sense of the interest in this from the community here.

Tax number validation - The ability to verify VAT/GST/ABN numbers of contacts directly with the country Tax Authority
When setting up suppliers in "Contacts" within Xero, it would be great if Xero could perform a VAT check from a link to the HMRC website. There could be a button next to the VAT number box called "Check VAT" and then the supplier's VAT details (as per HMRC) would show.
Furthermore, it would be great if there could be a VAT report that you could run each quarter to check whether all VAT numbers are correct. It might involve a bit more work for the bookkeeper to ensure they set up the supplier correctly in Xero, but it would…
4 votesThanks for the suggestion to add a “Check VAT” action in Xero Contacts to verify VAT numbers directly with HMRC John. We can see how this would be a helpful addition for ongoing supplier checks ✨.We’re moving this idea to Gaining Support so others can vote and add real-world examples. The more detail you can share about when and how you’d use this (for example, one-off checks during setup vs. quarterly reviews), the better we can assess impact and prioritisation. We’ll continue to monitor interest and will update this thread if there’s progress to share.

Navigation - Hubdoc shortcut
Shortcut to Hubdoc - First thing I do when I open Xero in most clients is click straight into Hubdoc. With the BETA layout the shortcut has now been lost right down under 'do more with Xero'. I want to move the shortcut so it is the first thing I get to when I click on the client name. I'd also like the hide the Syft, I don't plan on using it yet and don't want it on my dashboard
4 votesThanks for sharing your feedback on the new navigation, Cath. We really appreciate hearing the changes that'd make the most impact for you.Our team are monitoring this forum closely to consider further improvements.
For now, we'll get a sense of others that'd find a shortcut to Hubdoc useful, too.

Hubdoc - Detect Bank statement when publishing to Xero
Currently hubdoc suggests that a document is a Credit Note and to check before proceeding. Can this be the same when a document has Statement written on it. I find that statements are often processed as invoices causing duplicate payments within Xero
9 votesIt's great to hear you find the Credit Note detection useful, and can understand why you'd like to see this for bank statements as well.
We've reviewed your idea and we'll be keeping a close eye on the support this gains in the forums here.
If there is any news to share, we'll update you here.

Hubdoc - Add ABN field for suppliers
I would like a field in Hubdoc to enter the supplier ABN number, that would then pull through to the ABN Field in the Contact in Xero please. This will be a huge help when bulk reviewing ABNs and GST Registration status. If the field could be clearly seen when processing documents it would be helpful so we can just double check against the document when processing.
4 votesHi there!
Thanks for this fantastic suggestion. We can definitely see how an ABN field in Hubdoc that syncs to Xero would be a huge help.
Having that ABN visible while processing documents would make it much easier for accountants and bookkeepers to confirm supplier details and apply the correct GST.
The next step is to gather more community support! If you know any colleagues who would also benefit from this, please encourage them to add their vote. We'd love for them to share their own experiences in the comments, as hearing how this feature would improve different workflows is incredibly valuable.

Contacts - Link sent Customer Statements from Activity History
Customer statements to show on the contacts tab when sent - I can see in history & notes on the file tab on a contact that a statement was sent but it would be great if it was possible to click a link here to see the statement that was sent to the customer (rather ticking to send statement to own e-mail)
2 votesThank you for sharing your suggestion and outlining your desired changes. Your idea has been reviewed. It is now open for community voting and support. We encourage you to share this with colleagues who stand to benefit so they can add their vote. The comment section is also open for members to provide further context on how this would improve Xero.

Contacts - Option to navigate pages of the Contacts list from the top of screen
It'd be useful to have the ability to paginate from the top of the Contacts list screen to avoid having to scroll down the page.
2 votesHi!
Thanks for sharing this idea about how you'd like the option to have the page selection at the top of this screen, rather than at the bottom.
We've reviewed your idea and now it's up to the community to get behind and support it. Make sure you share it with any colleagues that this could also benefit, so they can add their votes and comments too!

Contacts - Ability to select a person instead of company name for all instances of use
In nearly every other business program, a Contact refers to a person and not the business name. The person should be the primary entry entered for contact information, and the business name is an attribute to that person, not the person an attribute to the business as it is currently set up in Xero. We often have to change the specific person (or entity like Accounts Payable) who a quote or invoice or other document needs to go to, and the only way to do that currently is to change the primary person under the business name each time we…

Reconciliation/Hubdoc - Auto-match scanned receipts to bank transactions for easier reconciliation
Xero already scans invoices to create drafts, which is a huge time-saver.
Extending this capability to receipts would add even more value.
Specifically, if receipts sent to a Xero mailbox could be scanned and automatically matched to the right transaction, it would save significant manual effort, reduce errors, and streamline reconciliation. This small enhancement could have a big impact on efficiency for businesses handling large volumes of receipts.
2 votesThanks for bringing your idea forward and clarifying the most impactful changes. We've taken a look, and now we need the community's voice to drive it forward! Get your colleagues involved by sharing this idea so they can vote.
Their comments are also welcome to add additional details about how this could improve the Xero experience for everyone.

Contacts - Add photo to customer profile
Add a photo to a customer file.
The companies I work for have over 100 tenants.
It would be great to be able to add a photo of the tenant for recognition purposes. It will make phone and email queries easier.
The photo can then be displayed next to the customer's name
3 votesThanks Bianca, for submitting your idea!
We've reviewed your idea, and it's now open for the community to support.
Other Xero users can now vote for your idea and add comments to share how it could enhance their own Xero experience.

Contacts - Switch "They Owe" and "You Owe" columns to align with accounting norms.
The Contacts listing in Xero shows amount owing on left and amount receivable on right, it would be more 'readable' to accountants if it were the other way around:
They Owe - left side / debit / current asset
You Owe - right side / credit / current liability2 votesThanks for sharing your idea about how you'd like the "You Owe" and "They Owe" columns to be the other way around.
It's worth noting that the current orientation matches the Spent/Received columns in the Reconcile tab of the bank account. You might like to raise a separate product idea if you'd also like a similar change there (or maybe an option to swap the columns around).
In the meantime, we've reviewed your idea and now it's up to the community to get behind and support it. Make sure you share this idea with any colleagues that this could also benefit, so they can add their votes and comments too!

Contacts - View balance of outstanding amount in multi currency
I would like to have having ability to quickly see the outstanding amount in the currency it was originally invoiced (like USD or EUR) directly from contacts dashboard, without having to navigate through detailed reports and apply multiple filters. This would save a lot of time.
7 votesHi Gita, we're grateful for your engagement and for letting us know the changes that matter to you.
We understand that having this 'at-a-glance' view directly on the contacts dashboard would save time and make managing multi-currency accounts more efficient.
Your idea is currently gaining support from other community members. Along with votes, others can comment to share additional detail about how your idea could improve their experience with Xero.
We'll keep an eye on the support for this idea here.
